GUIDE: Recording Auto Attendant Announcements for MetroNet’s HPBX Platform This document covers how to record and upload custom announcement for your HPBX Auto attendant, it is not intended to be a comprehensive guide on administration of an auto attendant – for additional information please see the HPBX Administrator’s Guide. Recommendations Using Audacity: http://audacity.sourceforge.net/. This is a free, open source, audio recording and editing software. Using a USB or secondary microphone for your computer. Using the computer’s built-in microphone is not recommended. Installing Audacity Visit http://audacity.sourceforge.net/download/ and download the appropriate installer for Audacity. This will depend on your operating system (Windows, Mac, Linux). You should be able to accept all defaults during the installation. This document covers how to record and upload custom announcement for your HPBX Auto attendant, it is not intended to be a comprehensive guide on administration of an auto attendant – for additional information please see the HPBX Administrator’s Guide.

Recommendations• Using Audacity: http://audacity.sourceforge.net/. This is a free, open source, audio recording and

editing software.

• Using a USB or secondary microphone for your computer. Using the computer’s built-in microphone is not recommended.

Installing Audacity• Visit http://audacity.sourceforge.net/download/ and download the appropriate installer for Audacity.

This will depend on your operating system (Windows, Mac, Linux).

Setting up Audacity for Auto Attendant Recordings• MetroNet’s HPBX requires recordings to be in a specific format: 16-bit PCM WAV (16-bit, PCM,16kHz).

2. Select your microphone by clicking on “Edit”→“Preferences” and selecting “Devices.” Select your microphone in the “Recording” section. Here I have selected my Jabra headset microphone. Then click “OK.” Important: If given the option, select “mono” under Channels.

3. Record your audio by clicking the “Record” button at the top. Click the “Stop” button when done.

4. Click on “File,” then “Export.” Under the “File Types” dropdown choose “Other Uncompressed Files.”

5. Name the recording whatever you like, putting .wav at the end of the name. Then click “Options.”

6. Choose the following: “WAV (Microsoft)” and “Signed 16 bit PCM.” Click “OK.”

7. Select your save location (ex: Desktop) and click “Save.”

To upload the recording to the Auto Attendant1. Log into the MetroNet HPBX Administrator portal (http://mymetronet.net/commportal/admin) and

locate your Auto Attendant. Auto Attendants are indicated by the small “star” icon. To access the Auto Attendant settings, click on the small blue “Individual Line” icon on the right.

2. A new window will open. Navigate to the “Announcements” section and click on the announcement you want to change.

3. Select “Upload announcement.”

4. Click on the “Choose File” box and locate your saved file from the previous steps.

5. Click on “Upload.” Then Click “Save.”
