1 Guide to the BFI system This guide presents step-by-step instructions for researchers on how to use and navigate the BFI-system (https://bfi.fi.dk/). The BFI-system is the IT-system developed and used by the Ministry of Higher Education and Science to support the Danish Bibliometric Research Indicator (the BFI model). The BFI system is in Danish. In the BFI-system everyone has the opportunity to make proposals for new publication channels to be added to the BFI list. Proposals can be made at any given time. A publication channel can be one of the four types: Bogserier (Book series) Tidsskrifter (Journals) Konferenceserier (Conference series) Forlag (Publishers) The BFI Office evaluates all proposals and sends them to one of the 68 subject groups, covering the different scientific subjects in Denmark, who will make an academic evaluation of every proposed publication channel. Guide to the BFI system

This guide presents step-by-step instructions for researchers on how to use and navigate the BFI-system

(https://bfi.fi.dk/).

The BFI-system is the IT-system developed and used by the Ministry of Higher Education and Science to

support the Danish Bibliometric Research Indicator (the BFI model). The BFI system is in Danish.

In the BFI-system everyone has the opportunity to make proposals for new publication channels to be

added to the BFI list. Proposals can be made at any given time.

A publication channel can be one of the four types:

• Bogserier (Book series)

• Tidsskrifter (Journals)

• Konferenceserier (Conference series)

• Forlag (Publishers)

The BFI Office evaluates all proposals and sends them to one of the 68 subject groups, covering the

different scientific subjects in Denmark, who will make an academic evaluation of every proposed

publication channel. You will find a list with the different academic groups here (The list is in Danish).

1. Getting access to the BFI-system

All researchers with an SDU log-in can get access to the BFI-system at: https://bfi.fi.dk.

Click the “log-ind” button (English: Log in) in the bottom middle of the front page.

This leads to a log-in page where you can log into the BFI-system using WAYF.

This button leads to a page with a list of institutions, where you can either search for the University of

Southern Denmark (Syddansk Universitet) or scroll down to find it in the list.

Clicking on the link “Syddansk Universitet” leads to the WAYF log-in page, where you can log-in using your

SDU username and password. Now you will be logged in.

2. Add a publication channel to the BFI authority list

Making a proposal for a new publication channel, not already in the BFI-system, the first thing to do is to

determine if the channel is already in the BFI-system.

Click “Forslag” (Suggestions) which can be found in the top black bar on the front page of the BFI website

once you’ve logged in.

2.1. The channel is already in the BFI-system

In the example above a search for the “Case Studies in Sport Management“ has been executed.

You can see in the search result, if the magazine already exists in the BFI-system.

In this case the publication does exist in the BFI system, but it is not at the BFI list. If it was, it would look

like this:

To make a proposal that this publication channel should be added the BFI list click the “foreslå” button

(Propose).

This leads you to a page, where you should choose “Opret forslag om ny kanal” (Create new channel

suggestions).

Afterwards you arrive at a standard submission form that needs to be filled out and submitted. The

submission form varies slightly depending on the type of publication channel you have chosen.

To see an explanation of the three different submission forms for the four different types of publication

channels, please see section ‘2.2.

The following must be full out in the form:

o Forslag til placering i faggruppe* (Suggestions for placement in a scientific subject group) is where

you choose which scientific subject group you think the journal or book series should be placed in.

o Oplysninger om fagfællebedømmelse, herunder link til hjemmeside (Information on peer

reviewing, including link to the relevant page on the journal or book series website) is where

information regarding the journal’s or book series’ peer-review process should be added and linked

to.

o Andre oplysninger, herunder forslag til andre faggruppeplaceringer (Other information, including

suggestions for placement in other scientific subject groups) is where other relevant information

can be added.

At the bottom of the submission form, there is a box which can be checked, if you which to receive e-mail

updates regarding the progress and status of your proposal. The e-mails will be in Danish.

When the form is filled out, click the “send” button.

2.2. The channel is not in the BFI-system

An example of a journal which is not in the BFI system is “CVIR endovascular”.

You have to choose the link “Foreslå ny kanal til BFI-listerne” (Create a proposal for a new channel) in the

top of the search site.

This activates a prompt where you must choose which type of publication channel you wish to propose for

the list. After making your choice, click the green “OK” button.

This will bring you to a standard submission form which needs to be filled out and submitted using the

green “Send” button at the bottom. The submission form will vary slightly depending on which type of

publication channel you’re making a proposal for.

2.2.1. Proposing a journal or book series

The submission form for proposing a journal or book series:

- Titel* (Title) - The full title of the journal or book series.

- ISSN - The ISSN number of the journal or book series if it has one. An ISSN number is an 8 digit

number in the following format xxxx-xxxx

- Forlag (Publisher) - The name of the journal or book series’ publisher if this can be identified

- Hjemmeside* (Website) - the web address of the journal or book series

- Forslag til placering i faggruppe* (Suggestions for placement in a scientific subject group) - Which

scientific subject group you think the journal or book series should be placed in.

2.2.2. Proposing a conference series

The submission form for proposing a conference series:

- Konferencetitel* (Conference title) - The full title of the conference

- Konferencens korte navn (the short name of the conference) - The abbreviated name of the

conference if it has one

- Frekvens* (frequency) - The frequency of the conference should be stated (e.g. annual, biannual

ect.)

- Senest afhold (last held) - The date the conference was last held, in the format “month, year”

- Senest afholdt i (last held in) - The place the conference was last held, in the format “city, country”

- Konferenceseriens hjemmeside (the conference series wbsite) - The web address of the conference

series

- Forslag til placering i faggruppe* (Suggestions for placement in a scientific subject group) - Choose

which scientific subject group you think the conference series should be placed in

regarding the conference series’ peer-review process should be added and linked to

suggestions for placement in other scientific subject groups) - Other relevant information

2.2.3. Proposing a publisher

The submission form for proposing a publisher:

- Forlagsnavn (Name of the publisher) - The name of the publisher

- Alternative navne (Alternate names) - Any alternative names of the publisher

- ISBN-rødder (ISBN-roots) - The publishers ISBN-root(s). An ISBN number is usually 13-digits long

divided by hyphens. The ISBN-root is the third set of numbers in a 13-digit ISBN-number, e.g. xxx-

xx552-xxxx-x.

- Forlagets hjemmeside (the publisher’s website) - The publishers web address.

- Oplysninger om fagfællebedømmelse, herunder link til hjemmeside (Information on peer

reviewing, including link to the relevant page on publisher’s website) - Information regarding the

publisher’s peer-review process should be added and linked to.

3. Changes to another scientific subject group or the bibliographic data

Proposals for changes to be made in the bibliographic data of a publication channel or changes to move a

publication channel to another scientific subject group is submitted on the page “Forslag” (English:

Suggestions).

You start by searching for the publication channel in the search field and then click on the button “Foreslå”

(Propose).

This leads to a page where you can choose to “Opret forslag om ændring” (marked with a red circle on the

picture below).

This leads to a submission form that is already partially filled out with the information of the publication

channel, where the proposed changes can be written in the field “Andre oplysninger, herunder forslag til

andre faggruppeplaceringer” (Other information, including suggestions for placement in other scientific

subject groups).

4. Remove a publication channel from the BFI authority list

Proposals to have a publication channel removed from the BFI-list are submitted on the page “Forslag”

(English: Suggestions) where you start by searching for the publication channel in the search field. There

should be a checkmark in the “Er på BFI-listen” (Is at the BFI-list). If that the case, you can click the button

“Foreslå” (Propose) next to the correct publication channel in the listed results.

This leads to a page (see picture below) where you can choose to either “Opret forslag om flytning” (Create

a proposal for moving a publication channel to another scientific subject group), “Opret forslag om

sletning” (Create a proposal for deletion) or “Opret forslag om ændring” (Create a proposal for a change).

Here we choose the second option “Opret forslag om sletning”.

This leads to a submission form (see picture below) that is already partially filled out with the information

of the publication channel, where the proposal for having the publication channel removed from the BFI list

can be made in the field Begrundelse og andre kommentarer (Reason and other comments).

5. Change a publication channel from level 1 to level 2

Proposals to have a publication channel changed from a level 1 to a level 2 publication channel can’t be

made in the BFI system, but have to be directed to the members of the scientific subject group responsible

for the specific publication channel.

The specific scientific subject group a publication channel belongs to can be seen by searching the

publication channel in the BFI-system. The scientific subject group number is listed under the heading

“Faggruppenr.” (English: subject group no.) in the listed results.
