Welcome

Living in halls of residence should be an enjoyable experience. You will meetand enjoy the company of fellow students of different nationalities, cultures,faiths, beliefs, abilities, backgrounds, age and sexuality to your own.

You will make lots of friends. In fact, you will probably find the friends you makein halls remain friends for life. You will be sharing accommodation with manyother students and we hope you enjoy all the benefits that this can bring.

This booklet contains general information about living in Halls of Residence atEdge Hill University and how to pay your accommodation fees. It should be readin conjunction with your licence agreement and kept for future reference duringyour stay.

As well as being fun, communal living can also present certain challenges. Insuch a diverse and close community it is vital that we respect our differencesand do not allow our own prejudices or behaviours to adversely affect the life ofothers. This is particularly important with regard to health, safety, security andnoise related issues.

All students, whether living in University residences or elsewhere, are bound bythe University’s disciplinary regulations. A breach of these regulations is abreach of the student licence agreement and may result in action under thestudent disciplinary procedure and/or termination of the licence agreement.

Please take the time to read this booklet carefully.

Hall Suppport Team

Residential Hall ManagersThe team of five Resident Hall Managers (RHMs) reside on campus and worktogether to manage the 58 halls of residence located on campus. Throughoutthe residential contract, a duty RHM is available at all times, out of office hours,to deal with urgent matters and to provide information and support to studentswho live in halls.

The RHM team plays a major role in monitoring student behaviour and worksalongside the Head of Accommodation Services and the Accommodation Teamto provide an effective hall management service.

The RHMs and their locations are:

Night Support OfficersThe Night Support Officers (NSOs) work closely with the RHMs, StudentAssistants and Campus Support to help manage and offer support to residentialstudents.

Student Services Engagement AssistantThe SSEA aims to focus on enabling on-campus students to find their niche atEdge Hill and feel part of the university community.

She organises events such as film nights, sports activities, trips off campus andlive music.

The SSEA is available in the evening. During term time drop-in sessions operatein the Student Information Centre from Monday to Thursday between 6.00pmand 7.30pm.

Student AssistantsThe Resident Hall Managers and Night Support Officers also work alongside ateam of sixteen Student Assistants (SAs) to support residential students. SAs areavailable to provide help and information to residential students. When youarrive in halls you will be introduced to your Student Assistant and giveninformation about how to contact him/her.

Please make an effort to get to know your Student Assistant and attend allmeetings arranged.

Finance

This section will answer your questions and equip you with the financialinformation necessary for your stay in Edge Hill University accommodation.Please read it thoroughly and if you have any queries contact a Finance Officeror a member of the Accommodation Team.

The Finance Office is at the end of the corridor on the ground floor of LadyMargaret Hall. The office is open for cash and card payments from 9.30am to4.30pm on Monday-Friday. The Finance Office is responsible for payment oftravel and subsistence claims, University Hardship Fund payments and for thecollection of course fees.

How to Pay Your Accommodation FeesA £150 deposit is due before arrival. Payment of accommodation fees can bemade online by visa debit or credit card in one of three ways:

• In full with a 5% discount if paid on or before key collection day (normally the first day of occupancy)• In three termly instalments• In seven instalments

The majority of students pay in three instalments to coincide with their studentfunding payments.

If you intend to pay your accommodation fees with your student funding (i.e.maintenance loan and/or maintenance grant), please note that once you areregistered onto your course, your first instalment will be received in 3-5 workingdays. Student loans are generally paid in three instalments at the start of eachterm.

If you receive the NHS bursary, this will be paid to you on the third Friday ofeach month. Please contact the Accommodation Team if you need to discussyour payment plan further.

For students who are not on a standard 40 week contract or have started theircontract in the middle of the academic year, please contact the AccommodationTeam for information regarding payment arrangements.

InstalmentsThe total balance due for the duration of your Licence Agreement (40 weeks oragreed fixed term), is divided into three or seven equal instalments.

Payments by three instalments will be on the following dates:

13th October 201513th January 201620th April 2016

Payments by seven instalments on the following dates:

22nd October 201522nd November 201522nd December 201522nd January 201622nd February 201622nd March 201622nd April 2016

Please note it is important to arrange your on-line payment Before You Arriveon Welcome Weekend otherwise your room keys will not be issued.

If you are an International student and possess a visa debit/credit card you willbe able to pay online as per above instructions or via Western Union:edgehill.ac.uk/international/fees/making-payments

Discount for Payment in FullStudents who pay their hall fees for the year in full on or before their keycollection day (normally the first day of occupancy) will qualify for a discount of5% on the rates quoted.

*The discount will be re-applied to your student accommodation account in theevent of early departure from Halls of Residence.

Student LoansIf you have not already submitted an application, apply online atwww.gov.uk/studentfinance for student loans and grants. We advise earlyapplication to ensure the funding is in place for the start of your course.

Funds and BudgetingIf you have set up instalment payments you must ensure that there are sufficientfunds in the account before the money is debited. If, for any reason, you findyou do not have the funds to cover the full value of the payment, please informthe Accommodation Finance Officer. Please allow 48 hours prior to aninstalment due date to discuss this.

The first few weeks at university can be expensive, particularly if you are movingaway from home. Besides paying for your accommodation fees there will beother expenses such as books, stationery, food and travel as well as entertainment.It is essential that you budget carefully so that you live comfortably withoutworry during your first few weeks.

Accommodation Products and MerchandiseA range of Accommodation packs can now be purchased via our UniversityOnline Store. This includes bedding & towel packs in a variety of colours, utensilpacks and crockery starter sets. Our packs can be pre-ordered by any studentwho is due to move into on-campus accommodation from September 2015onwards. All of the items you order are delivered directly to your room prior toyour arrival, at no extra cost. For full details please visit the University OnlineStore store.edgehill.ac.uk.

What Happens if I Fail to Pay?Students who are unable to pay their hall fees MUST inform the AccommodationOffice and negotiate a payment plan with a member of staff. If you fail to pay, orto negotiate a payment plan, you will be subject to credit control procedures.The University may ultimately terminate your Licence Agreement and you willbe required to vacate your room.

You should note that failure to settle outstanding bills will affect your standingat the University and may result in your debt being referred to a debt collectionagency. Failure to pay outstanding accommodation debts will incur one or bothof the following actions and will apply until the debt has been cleared in full:

• Termination of Licence Agreement - The University may terminate your accommodation licence agreement for overdue payments.• Referral to a debt collection agency for county court action, resulting in a County Court Judgement (CCJ).

Keep in TouchIf you are experiencing financial problems or having difficulty paying your hallfee liability please notify the Accommodation Team immediately about yoursituation. Please note that appointments between 5.00pm-7.30pm are availableupon request.

Termination of Licence AgreementIf a student formally withdraws from study, his/her liability for hall fees willcontinue for a period of 28 days from the date of receipt of formal notificationof withdrawal from the Institution and the return of all keys, fobs and swipecards.

If the room is let in the meantime to an eligible student of Edge Hill University,i.e. one not already contracted to Edge Hill University and whose conduct andpayment history are acceptable, liability for hall fees will cease the day the roomis re-let. Arrangements need to be made to clear any outstanding hall fees.

If you move out of University-owned accommodation but are still enrolled onyour course you will continue to be liable for rent for the duration of youragreement, and any costs incurred through damage or items lost, unless theroom is re-let to an eligible student of Edge Hill University in the meantime.

Please note, you are ultimately responsible for finding a replacement studentfor your room. However, we will assist by passing on your details if we areapproached by students seeking accommodation.

The circumstances in which the University may terminate the agreement aredetailed in full under Section 4 of the contract but examples include:

• Overdue payment (the student will continue to be liable for rent until the room is re-let).• Serious or persistent breach of the student’s obligations as set out in the agreement.• The student does not have status as a registered student of the University.• The health or behaviour of the student is believed to constitute a serious risk to him/herself, other people or the University’s or other people’s property.• The accommodation or access to it is sufficiently damaged as to be unfit for habitation.

Room TransfersRequests for room transfer within university accommodation will be consideredbut are dependent on the availability of rooms.

A charge of £25 will be applied to your original invoice if you transfer rooms.

We offer ten different types of accommodation packagesand 2090 rooms.

All our halls of residence are located on campus andwithin easy reach of the facilities. These include theStudent Hub, shops, launderette, catering outlets,theatre, sporting facilities, student bar/club and theStudents’ Union.

All halls are wireless enabled and are free from utilitybills. Please note that none of our rooms have aerialfacilities. If you have a TV in your room you will needto purchase a TV licence. This applies if you watch orrecord television programmes as they are being shown– on TV, online or on any device such as laptops,tablets or mobile phones.

Type A: Main HallsStanley, Clough, Lady Margaret and John Dalton

Stanley is situated on the upper two floors of the East wingof the main building on campus and provides 50 single studybedrooms.

Clough is situated on the upper two floors of the East wingof the main building on campus and provides 47 singlestudy bedrooms.

Lady Margaret is situated on the upper two floors of theWest wing of the main building on campus and provides48 single study bedrooms.

John Dalton is situated on the upper two floors of theWest wing of the main building on campus and provides50 single study bedrooms. John Dalton is female only.

Your total yearly charge for Main Halls is made up of anaccommodation charge of £61.67 per week for 40 weeksand a catering charge of £44.95 for 35 weeks. This worksout as a total weekly charge of £101.00.

• Rooms in Main Halls are let on a meals plan basis with food and drink available from eight of the catering outlets on campus.• Each room contains a single bed, desk chair, wardrobe, drawer unit and bedside cabinet but all students need to bring their own bed linen, duvet, pillows, towels crockery, cutlery and pans.• Kitchens are fully equipped with an electric cooker, microwave, fridge, freezer, toaster and kettle. Also provided in each kitchen are an iron, ironing board and individual food lockers. • There are eight shower cubicles, four bathrooms and ten toilets as well as washbasins shared by the students in each of these halls.

Type B: Back Halls CateredEleanor Rathbone, Lady Openshaw and KatherineFletcher

Eleanor Rathbone is situated to the rear of the campusclose to the Business School building and provides 38 singlestudy bedrooms.

Lady Openshaw is situated to the rear of the campusnear to the old gymnasium and provides 35 single studybedrooms.

Katherine Fletcher is situated to the rear of the campusnear the old gymnasium and provides 38 single studybedrooms.

Your total yearly charge is made up of an accommodationcharge of £61.67 per week for 40 weeks and a cateringcharge of £44.95 for 35 weeks. This works out as a totalweekly charge of £101.00.

Type C: Back Halls Self CateredMargaret Bain and EM Butterworth

Margaret Bain is a female only hall and is situated to therear of the campus near to the Wilson Centre and provides36 single study bedrooms.

EM Butterworth is situated to the rear of the campusand near to Edge Hill Sport and provides 36 single studybedrooms.

• All rooms are let on a self-catered basis with food and drink available from eight of the catering outlets on campus.• Each room contains a single bed, desk chair, wardrobe, drawer unit and bedside cabinet but all students need to bring their own bed linen, duvet, pillows, towels crockery, cutlery and pans.• A central common room provides the focus for social activities within the hall.• The kitchens in these halls are fully equipped with an electric cooker, microwave, fridge, freezer, toaster and kettle. Also provided in each kitchen are an iron, ironing board and individual food lockers.• There are six bathroom/shower rooms and seven toilets in these halls.

Type D: Forest Court En-SuiteSituated at the front of the campus, the Forest Courtcomplex comprises ten halls of residence. These hallshave 293 rooms on three floors, most of which are set inclusters of six rooms.

Ash, (36 rooms) Beech (35 rooms) Rowan (36 rooms)and Willow (35 rooms).

• Each room is a single study bedroom containing a single bed, desk chair, wardrobe, drawer unit, bedside cabinet and full en-suite facilities but students need to bring their own bed linen, duvet, pillows, towels crockery, cutlery and pans.• All rooms are let on a self-catered basis and food and drink can be purchased from eight of the catering outlets located on campus.• The six kitchens in each hall are fully equipped with a full sized electric cooker, fridge, freezer, microwave, kettle, iron, ironing board and dining table and chairs.• There are a number of adapted rooms in these halls for disabled students.

• Each room is a single study bedroom containing a single bed, desk chair, wardrobe, drawer unit, bedside cabinet and wash basin but students need to bring their own bed linen, duvet, pillows, towels crockery, cutlery and pans.• All rooms are let on a self-catered basis and food and drink can be purchased from eight of the catering outlets located on campus.• There are six kitchens in Cedar, Elm and Maple and three kitchens in Holly, Larch and Oak hall. Each kitchen is fully equipped with a full sized electric cooker, fridge, freezer, microwave, kettle, iron, ironing board and dining table and chairs.• There is one bathroom, one shower room and two toilets shared by six students in each hall.• There are a number of adapted rooms in these halls for disabled students.

Type F: Founders CourtBalfour (42 rooms), Crosfield (56 rooms), Dewhurst(24 rooms), Fennemore (48 rooms), Feuchsel (24rooms), Holt (48 rooms), Matheson (38 rooms),McDairmid (24 rooms), Sarah Yelf (18 rooms),Sinclair (34 rooms) and Smith (24 rooms).

Founders Court is situated close to the Performing Artsbuilding in the western campus. The complex comprisesfive halls of residence, providing 380 en-suite rooms onthree or four floors and is set in clusters of four, six or eightrooms.

• Each room in Founders Court is a single study bedroom containing a single bed, desk, chair, wardrobe, drawer unit, bedside storage and full en-suite facilities.• Students need to bring their own bed linen, duvet, pillows, towels, crockery, cutlery and pans suitable for use on induction hobs (if unsure, please ask for advice when purchasing pans).• All rooms also have a refrigerator and a PC linked to the University computer network with a flat screen monitor that can be enabled to receive Freeview TV for students who have a TV licence.• All rooms are let on a self-catering basis and food and drink can be purchased from eight of the catering outlets on campus.• The kitchens in each hall are fully equipped with an electric cooker, induction hob, freezer, microwave, toaster, kettle, iron, ironing board and dining table and chairs. Graduates Court is situated close to the Faculty ofEducation building in the western campus. The complexcomprises five halls of residence, providing 142 en-suiterooms on three or four floors and is set in clusters of four,six or eight rooms.

• Each room in Graduates Court is a single study bedroom containing a single bed, desk, chair, wardrobe, drawer unit, bedside storage and full en-suite facilities.• Students need to bring their own bed linen, duvet, pillows, towels, crockery, cutlery and pans suitable for use on induction hobs (if unsure, please ask for advice when purchasing pans).• All rooms also have a refrigerator and a PC linked to the University computer network with a flat screen monitor that can be enabled to receive Freeview TV for students who have a TV licence.• All rooms are let on a self-catering basis and food and drink can be purchased from eight of the catering outlets on campus.• The kitchens in each hall are fully equipped with an electric cooker, induction hob, freezer, microwave, toaster, kettle, iron, ironing board and dining table and chairs. Type H: Chancellors CourtBinns (45 rooms), Blake (24 rooms), Booth (48 rooms),Boyce (23 rooms), Bradshaw (24 rooms), Byron (48rooms), Fulton (48 rooms), Lord (36 rooms), Meadon(24 rooms), Millner (24 rooms), Pinfold (48 rooms),Tomkins (44 rooms), Williams (24 rooms) andWilson (48 rooms).

Chancellors Court is situated at the rear of the campus,near to Sporting Edge. The complex comprises ten halls ofresidence, providing 508 en-suite rooms on three or fourfloors and is set in clusters of four, six or eight rooms.

• Each room in Chancellors Court is a single study bedroom containing a single bed, desk, chair, wardrobe, drawer unit, bedside storage and full en-suite facilities.• Students need to bring their own bed linen, duvet, pillows, towels, crockery, cutlery and pans suitable for use on induction hobs (if unsure, please ask for advice when purchasing pans).• All rooms also have a refrigerator and a PC linked to the University computer network with a flat screen monitor that can be enabled to receive Freeview TV for students who have a TV licence.• All rooms are let on a self-catering basis and food and drink can be purchased from eight of the catering outlets on campus.• The kitchens in each hall are fully equipped with an electric cooker, induction hob, freezer, microwave, toaster, kettle, iron, ironing board and dining table and chairs. Chancellors Court South is situated at the rear of thecampus, near to Creative Edge. The complex comprisesfourteen halls of residence, has 245 en-suite rooms onthree or four floors and is set in clusters of four, six or eightrooms.

Type J: Palantine CourtCarrington (24 rooms), Glazebrook (48 rooms),Pankhurst (48 rooms) and Roscoe (24 rooms)

Palatine Court is situated at the front of Campus, nextto Forest Court. The complex comprises four halls ofresidence, has 144 en-suite rooms on three or four floorsand is set in clusters of four, six or eight rooms.

• Each room in Palatine Court is a single study bedroom containing a single bed, desk, chair, wardrobe, drawer unit, bedside storage and full en-suite facilities.• Students need to bring their own bed linen, duvet, pillows, towels, crockery, cutlery and pans suitable for use on induction hobs (if unsure, please ask for advice when purchasing pans).• All rooms also have a refrigerator and a PC linked to the University computer network with a flat screen monitor that can be enabled to receive Freeview TV for students who have a TV licence.• All rooms are let on a self-catering basis and food and drink can be purchased from eight of the catering outlets on campus.• The kitchens in each hall are fully equipped with an electric cooker, induction hob, freezer, microwave, toaster, kettle, iron, ironing board and dining table and chairs. *The University continually strives to enhance the services and facilitiesavailable to students and in doing so there may be some building work inthe vicinity of halls of residence. Personal Safety and Security

Health And Safety Is Everyone’s ResponsibilityThe University has a legal duty of care toyou as our student. Similarly, it isimportant that you recognise your ownstatutory responsibility for the safety andwelfare of yourself and others at Edge Hill.

All our resident students are expected toco-operate with our policies andprocedures to assist us in ensuring weprovide a safe and secure learning andresidential environment.

Everyone is expected to follow some basicsafety management principles:

• To not access or use campus facilities when they are closed, locked or not lit.• To act in a reasonable way so as to prevent injury to yourself and others.• To observe all safety regulations, appropriate to your course, your place of study and your hall of residence. This includes compliance with the health and safety policies of organisations whose premises are used by Edge Hill and any work placements you are expected to fulfil.• To use any tools, machinery or equipment (appropriate to your study) in a safe manner.• To report any accident / incident or hazard that has led, or may lead, to injury or damage to the Accommodation Team, your course tutor or appropriate Edge Hill representative.• To co-operate, as required, in the investigation of accidents so that an even greater level of safety and health may be met.• To set a good example, at all times, to other students and peers.

Fire SafetyYou must familiarise yourself with theprocedures to be followed in the event offire. Fire Action Notices are postedthroughout Edge Hill’s buildings. Onhearing the fire alarm, students MUSTevacuate the premises immediately usingthe nearest safe exit and proceed to thedesignated Assembly Point (indicated onthe Fire Action Notice).

Fire alarms are tested weekly (everyThursday at the Ormskirk Campus). Fireevacuation exercises are carried out at thebeginning of each academic term.Important Note: Fire safety equipment,e.g. extinguishers, alarm call points, fireblankets etc. are installed throughoutEdge Hill’s premises in the interests ofeveryone’s safety and welfare.

Under the Criminal Damage Act 1971 it isa criminal offence for any person who,without lawful excuse, destroys ordamages any property belonging toanother. Consequently, any tamperingwith safety equipment will be reported tothe necessary internal and external agentsto take punitive measures as appropriate.

All resident students are required toattend a basic fire safety training session,organised by Lancashire Fire & RescueService, in partnership with Edge Hill. TheUniversity has worked in partnership withthe Fire Service to create a five minute firesaftey video. If you require furtherinformation regarding Lancashire’s firesafety regulations and recommendationsplease call 01772 862 545.

If you notice any fire fighting equipmentwithin the hall that appears to have beentampered with, you have a responsibilityto report this to Facilities Management bycontacting the FMHelpdesk on 01695 58(4455).

General Safety InformationAll electrical equipment brought ontoCampus must conform to the relevantBritish Standard / European Norm. If youare in any doubt about any personalelectrical items that you bring onto theEdge Hill Campus, you must arrange foryour appliance(s) to be tested andinspected by contacting the FM Helpdeskon 4455. Drop-in sessions for electricaltesting will also be arranged duringOctober and January (dates to be confirmed).

• Electrical fittings e.g. lighting, power sockets etc. must not be tampered with.• You must carefully follow the instructions for proper use of electrical fittings within your study bedroom.• The preparation of food and drink within study bedrooms is strictly forbidden.• Kettles, cookers and irons may only be used in kitchens or general purpose rooms within Halls. (Details on those kitchen appliances we provide, including user instructions, are provided within each kitchen area)• The use of candles within halls is not permitted at any time.• Smoking is strictly prohibited within all Campus Buildings, including all Halls of Residence, and our vehicles.• You must co-operate fully with any fire evacuation exercises.• Fire doors must not be propped open or obstructed and fire door closers must not be disabled or tampered with.• The use of any items that prevent fire doors from closing properly e.g. door- wedges, ‘over- door’ hangers etc. are not permitted within the halls of residence.• Cookers must not be left unattended or left in a poor condition e.g. a build up of oil in grill pans.

• Tampering or misuse of fire extinguishers, fire alarms or smoke detection sensors is a criminal offence and a significant breach of the Student Code of Behaviour.• You must not clutter your room or any communal area with personal equipment and belongings. Rooms should be left in a suitable condition to allow cleaning to be done and ensure a safe environment is maintained.• You must not obstruct stairwells (internal or external) at any time.• No barbeques allowed on campus.

Edge Hill conducts risk assessments for allsignificant safety risks such as fire,outbreak of disease or major breakdownof services and has developed a range ofprocedures for dealing with such events.

These are available for inspection byresidents within our risk registers. Anyresident student wishing to inspect theseshould contact the Director of FacilitiesManagement or the Director of StudentServices in the first instance.

Looking After Yourself and Your PropertyWe want you to enjoy your life and studiesat Edge Hill which is why FacilitiesManagement provides support services 24hours a day to help and assist youwherever we can. It is, however, importantthat everyone understands that they mustlook after themselves and their ownproperty.

Securing Your HomeWherever you live, it is important that youare aware of your own personal securityand that of your home. Residentialstudents are requested to follow thesesimple suggestions:

• Never leave your room unattended without locking the door.• Never ‘prop’ doors open.• Never allow unknown visitors into the Halls of Residence.• Ensure the outside door is secured when leaving the Halls of Residence.• Ensure that you lock doors and windows whenever you go out, even if it is only for a few minutes.• Ensure windows and doors are secured before going to sleep.• Do not leave valuable items on display (i.e. in your window) or within easy reach of the window.• Do not leave valuable portable items within easy reach of the window.

If you are unable to secure a door orwindow due to a mechanical oroperational fault you should report itstraight away to the FM Helpdesk on ext.4455

However, if you see someone trying togain entry to your halls of residence andyou don’t know who they are contact FMCampus Support (on ext. 4227), aResident Hall Manager (RHM) or a NightSupport Officer immediately.

Securing Your Personal BelongingsLeaving your belongings, e.g. bags, coats,mobile telephones etc. unattended mayattract attention from an opportunistthief.

Remember you are not permitted to takebags or cases into examination rooms andwill be asked to leave them outside if youarrive with them. Wherever possibleplease leave things at home in your room.

Students are reminded that all personalbelongings are brought onto and left onEdge Hill premises entirely at their ownrisk so please take care of yourpossessions.

All students should insure their ownproperty and personal belongings. EdgeHill cannot accept any responsibility forlosses of any student's personal belongingsand property (this includes food andfrozen goods stored in Edge Hill’s fridges).

Personal SafetyPlease take the time to read through thefollowing general precautions to help youto stay safe and reduce the chances ofbecoming a victim of crime.

Staying Safe When Off Campus• Wherever possible, avoid walking or cycling after dark in poorly lit areas, especially if alone.• Try to avoid walking alone at night. Take a friend with you if you have to go out.• Always let someone know where you are going and what time you may be back.• If travelling away from Campus, try to get a lift from a friend or use the Students’ Union mini bus or public transport. Wait for it with a friend - do not accept lifts from strangers.• If you suspect you are being followed or feel your safety is endangered, head for a public place and seek assistance.• Take particular care when withdrawing money from cash points. Be aware that you are vulnerable when handling your cash and card. Do not use cash points at night,think ahead and withdraw any cash during the day.• Keep a £1 coin and 20p coin in your pocket – useful if your purse/wallet or mobile telephone is stolen.

Staying Safe When On Campus• Walk on the illuminated designated pedestrian pathways.• Report any incidents, including persons acting suspiciously, hazards that may cause an accident etc. to FMHelpdesk (24 hours) on 4455.

First Aid and Other EmergenciesThe Facilities Management (CampusSupport) team are present on Campus 24hours a day. Therefore, in the event of anaccident or emergency requiring medicalassistance, call the Emergency Numberext. 2222 immediately.

Accident ReportingThere is a legal requirement for allaccidents and incidents, however minor,to be reported at the earliest opportunity.Accident reporting allows appropriateinvestigation into the causes of anaccident to ensure there is no recurrence.

Accidents can be reported online on theHealth and Safety web page. Alternativelyif access to a PC is unavailable, hard copiesare available from the Security andCustomer Information Centre.

Personal Emergency Evacuation Plan (P.E.E.P)A PEEP is aimed at providing persons whocannot evacuate a building unaided, witha clear plan to manage their escape to aplace of safety in the event of anemergency e.g. fire.

At Edge Hill, we will conduct a PEEP’sassessment with any student whoidentifies to us that they may requireassistance during an evacuation. TheInclusion Team, based in StudentServices, will facilitate this.

Traffic Management and Travel

We encourage everyone to use alternativemodes of travel to their place of work orstudy to reduce our environmentalimpact. Here are some of the optionsavailable to you as a Campus resident:

Car ParkingCar parking at our Ormskirk Campus isvery limited. In accordance with theUniversity’s Car Parking Policy (availableat edgehill.ac.uk/travel), studentsresiding within our Halls of Residence arenot eligible to park on campus.

However, if you have a mobilityimpairment or you need your vehicle toattend placements for your course apermit may be granted. In this case,please apply online at:enforceit.net/wfdehuonlinepermitsliveusing your halls address and selecting‘Special Circumstances’. You will then berequired to obtain and supply evidence ofyour circumstances in the form ofconfirmation from the Inclusion Team inStudent Services (for medicalcircumstances) or your course tutor (forstudy-related travel) as detailed in the CarParking Policy. Please note that yourapplication can not be considered untilyour evidence is received and it is yourresponsibility to provide this as soon aspossible by email [email protected]

Campus Access – Vehicular AccessVehicles may enter campus via our MainEntrance on St Helens Road or Ruff Lane.

Access via the student and staff entranceon St. Helens Road is available 24 hoursper day. Students who are eligible to parkon campus should use this entrance andpark in Car Park C, controlled by barrieraccess. Access is arranged via the SCIC.

Access via Ruff Lane is available from6.00am to 8.30pm, seven days per week(including Bank Holidays). Students arenot eligible to park within car parkingareas accessible from Ruff Lane.

CCTV monitors the main access routesonto campus. They are located at theentrances to Ruff Lane, and the three accessroutes from St Helens Road. The CCTV ismonitored by Facilities Management.

Pedestrian AccessThere are several entrances to the campusincluding three entrances from St. HelensRoad and one pedestrian access from RuffLane.

Pedestrians may access campus via themain entrance (St Helens Road) orFounders Court. An access-controlled(card-operated) gate provides authorisedaccess to our Graduates Court complex.Both of these entrances are available 24hours a day.

The Ruff Lane gate is open from 6.00amto 8.30am seven days per week (includingBank Holidays). Outside these hoursaccess on to campus should be made viathe St. Helens Road entrances.

The pedestrian ‘green lane’ entrance fromSt Helens Road is open from 8.00am-9.00pm Sunday to Thursday, and is open8.00am-10.00pm on Friday and Saturday.

Outside these hours, the gate willautomatically be closed. However, studentscan use their unicard to access the gate.

Disciplinary sanctions will be takenagainst any student who fails to complywith the access regulations.

TaxisA direct and free phone service is availableat the S&CIC for a local Ormskirk taxifirm. All taxis should be directed to collectand drop off customers from the pick-uppoint outside the SCIC. Taxis are notpermitted to collect or drop off in anyother area on campus.

CyclingSecure cycle areas are available aroundthe Campus. For further informationplease enquire at the FM Helpdesk.

Protecting Your Car Or BicycleYou should secure your car or bicycle inthe same way as you would any otherpossession. While on Campus, please beconsiderate and ensure that you do notobstruct fire exit routes or pedestrianthoroughfares when parking your vehicleor securing your bicycle. Motorcycles arerequired to be pushed along anypedestrianised area and not ridden.

Sages Restaurant, in The Hub, serveshot food throughout the day, and includesa fresh pasta and omelette bar.

Sages Dining Room, in The Hub,provides a warm and friendly seating areato join your friends for a chat and a coffee.

The Hub Coffee Bar, situated in TheHub where we proudly brew and serveStarbucks coffees, chocolate and teas.

The Hub Grab and Go, situated in TheHub with a selection of pre-preparedsandwiches ready to go, or a wide range ofbreads and fillings at our deli bar.

Café Rewind, situated in the Faculty ofHealth and Social Care building, an idealplace to have a coffee and a snack betweenyour lectures.

The RedBar, situated in the Arts Centre,offers a coffee bar and bistro servicethroughout the day and into the eveningwith licenced bar facilities from 5.00pm.

RepairsAll repairs should be reported to FacilitiesManagement via the FM HELPDESK oninternal telephone number 4455 (24hours) or online via the Go Portal –go.edgehill.ac.uk, - click ‘FM OnlineRequests’ in the Student Support Section.

In the case of emergency repairs out ofoffice hours, our Campus Support Teamwill make the necessary arrangements fora contractor to attend.

The University has rights of entry intoaccommodation for inspections,maintenance or repairs purposes but willalways try to notify students in advance ofany repair or maintenance works.However, no notice will be given in anemergency or where the student hasreported the repair themselves. Ifworkmen are not able to gain access to theaccommodation in response to a repairreported by the student(s), any chargesthey make for the wasted call-out will bepassed on to the student(s).

Pest ControlIf there is evidence of pests in your halls,such as ants, please report it by contactingthe FM Helpdesk.

Any issues will be dealt with by an externalcontractor and, in some instances, mayrequire more than one visit to eradicate theproblem.

To help prevent any problem, please followthese simple instructions:

• Do not leave food or crumbs on the floor• Dispose of food and packaging correctly• Keep kitchen surfaces and food preparation areas clean• Do not feed birds or other animals

Entry to RoomsAs detailed in the Licence Agreement, theUniversity will normally give 24 hoursnotice if it intends to enter youraccommodation unless repairs arerequested by the occupant This is tomaintain your privacy.

However, if urgent repairs are needed, ifan emergency occurs, or at the discretionthe Head of Accommodation Services orCampus Support staff, then they mayenter your room without notice. If thisoccurs, a log is kept of the entry to youraccommodation and the reason for it.Notification of entry will be left in yourroom.

Housekeeping Services - CleaningAll cleaning services are provided by theFacilities Management HousekeepingServices. For Housekeeping queries pleasecontact the FM Helpdesk on extension4455.

Housekeeping Services clean thecommunal areas, which include corridors,staircases, entrance halls, kitchens andcommon rooms regularly, but patterns ofservice may vary in some circumstances(e.g. staff training). The housekeeping staffwork varying hours but generally between8.30am–3.00pm Monday to Friday. Nocleaning is carried out on Saturdays,Sundays, Bank Holidays and betweenChristmas and New Year.

The University’s licence agreement makesthe student responsible for keeping theirroom and en-suite bathroom and showercurtain (where provided), clean and tidy.All students are provided with a ServiceLevel Agreement which highlights theirresponsibilities.

Please note that it is the student’sresponsibility to ensure that communalareas are accessible for cleaning and arekept clean, tidy and clear of additionalfurniture and student belongings. In thekitchens, sinks should be empty and pots,crockery and cutlery kept clean and storedneatly. Students are also responsible for thecleanliness of the kitchen and must cleangrill pans, cooker and microwave after use(see manufacturer’s instructions displayedin the Appliance Manual in the kitchen).

Recycling, including bottles and cans,must not be left to accumulate in thekitchen. Please rinse out bottles and cansbefore disposing in the correct recyclingbins. In preparation for the weekly clean,students are required to clear all worksurfaces, including the draining board, ofall crockery, utensils etc, and ensure thefloor is clear of all obstructions. Studentsare responsible for their own bedroomsand, where applicable, their en-suiteshower, including shower curtain.

Students should remove waste frombedroom areas and dispose of in theappropriate external waste and recyclingbins. This should NOT be placed into thekitchen bin or left for the housekeepingstaff to remove. At weekends and BankHolidays residents are responsible fortaking out all of their waste and recyclingfrom bedrooms and kitchens. Black andclear bags will be left for use over theweekend

Each corridor is provided with a vacuumcleaner, brush, mop, bucket, iron andironing board for students’ use. Studentsare responsible for washing their own potsand pans, and for keeping the cooker andrefrigerator/freezer clean and clear offood. Students are also responsible for the

defrosting of fridges and freezers in theirkitchen. Please note that irons may onlybe used in kitchens or general purposerooms, never in bedrooms.

Room InspectionsAs detailed in the Licence Agreement, theUniversity has rights of entry intoaccommodation for inspection purposesand will notify students if any additionalcleaning needs to be done.

Students may book their final roominspection through the FM Helpdesk. Amember of the Housekeeping Team willattend to work through the inspectionwith the student and advise if any chargesare to be applied.

Your room will be prepared and inspectedby the Facilities Management team priorto your occupation. Periodic inspectionswill take place to ensure that students aremaintaining cleaning standards.

Students will be advised in advance of anyroom inspections. In accommodationwhere the students are responsible forcleaning kitchens and bathrooms, thesewill also be inspected by theAccommodation Team and FacilitiesManagement. Students will be notified ifany cleaning needs to be done.

Where the levels of cleanliness are notacceptable you will be advised on whatsteps you should take and the date for there-inspection.

If you fail to rectify matters that have beendrawn to your attention, or if the level ofcleanliness is consistently not of anacceptable standard, staff may beemployed to provide a cleaning serviceand the cost will be charged to you.

Disposal Of Recyclable MaterialsThe University actively promotesrecycling and reuse through the campusaccommodation in order to reduce theamount of waste sent to landfill.

Please place separate materials forrecycling into the appropriate containersplaced in the communal areas within yourHalls of Residence.

It is your responsibility to empty the wasteand recycling into the external bins.External waste and recycling facilities arelocated close to the residences, details ofwhich can be found at edgehill.ac.uk/sustainability/waste/halls. Pleasearrange, with your housemates, who willempty the waste and recycling into theexternal bins when full.

Waste should be separated into threedifferent categories in order to maximiserecycling:

Co-mingled dry recycling: Cans, tins,glass bottles and jars and any plasticbottle. Please do NOT put plastic bags orplastic packaging into the recycling bin.

Mixed paper and card: Please flattenboxes etc. before putting in the bin. Weaccept paper, newspapers, magazines,envelopes, thin card and egg boxes. Please doNOT put plastic bags into the recycling bin.

General waste: This is food wastetogether with all other waste that cannotbe recycled. It is also known as generalwaste. Do NOT put electrical/electronicwaste or batteries in these bins. There is abattery collection point in the Students’Union offices, Edge Hill Sport andMcColls shop and FMHelpdesk.

For more detailed information about whatcan be recycled please see posters in

kitchens or visit edgehill.ac.uk/sustainability/waste/halls. Pleaseensure you follow the rules for recycling toprevent contamination.

Please do not leave rubbish bags besidethe bins. If the bins are full please advisethe FM Helpdesk on ext. 4455.

Disposal Of Electrical ItemsLegislation (the WEEE directive) dictatesthat electric and electronic items mustNOT be disposed of in the normal wastestreams. When purchasing new electricalitems the shop selling the goods shouldadvise on how and where to dispose ofyour electrical equipment. Please do NOTdispose of electrical equipment in thewaste and recycling bins. You should takeall electrical items away from campuswhen you leave.

Reuse In HallsThe University runs a Reuse in Hallsscheme at the end of the summer term todivert unwanted items from landfill. Theproject aims to collect clean and reusableitems that won’t be taken home such asclothes, kitchen equipment, workingelectrical items and sealed or canned food(in date). These items are then sorted anddistributed to local charities. Look out forinformation which will be displayed inyour Halls of Residence.

Feminine HygieneContainers for the disposal of femininehygiene products are provided in the hallsand are emptied monthly (excluding en-suite rooms). Under no circumstancesshould products be flushed down thetoilet. If containers are full before themonth ends please report to the FMHelpdesk extension 4455.

LaunderetteEdge Hill provides a laundry Top-Up Cardsystem on campus for your use. Thelaunderette, housing nineteen washersand twenty dryers, is situated at the end ofthe ‘STREET’, opposite the QUAD. Theopening times are 7.30am to 9.00pmevery day (last wash 8.00pm). The cost ofthe Top-Up Card is £5 after which thestudent tops up online. Students may viewthe live status of machines in thelaundrette via the FM Webpageedgehill.ac.uk/facilitiesmanagement/laundrette

PostPost is delivered on campus by Royal Maileach weekday morning. We aim to deliverstudent post to halls by midday (Mondayto Friday. Notification of parcels requiringcollection from the Durning Centre willalso be delivered at this time.

Volunteer Multi-Faith Chaplaincy at Edge HillThe Chaplaincy offers a multi-faith serviceand representation from several Christiandenominations and the Jewish Faith.Representatives from other faiths will alsobe invited to join the service.

Although support is primarily offered forissues relating to religion and faith,private and confidential advice andguidance can also be given on othermatters.

In summary, the role of the VolunteerChaplaincy Service is to offer a multi-faithservice, to meet the religious and faith-related needs of all students and staff. Theservice can offer spiritual support,encouragement, guidance and pastoralcare to both staff and students of theUniversity, regardless of their culturalidentity, belief or creed.

University Hardship FundThe fund is made available to Edge Hill toprovide means-tested and discretionaryfinancial help for both full and part-timeundergraduate and post-graduate students.The aim of the fund is to support vulnerablestudents, in particular to help them accessand remain in Higher Education. Whereeligible, full-time students must have

applied for their maximum Student Loanentitlement before applying to the fundand that support should be accessed in thefirst instance.

Postgraduate students must have madeadequate provision to cover fees and livingcosts whilst on course before applying tothe fund for unexpected expenditure.

Pre-Registration Nursing and MidwiferyThese students are usually supported by amonthly bursary from the Department ofHealth. Your Licence Agreement

Summary Information on Your Licence AgreementYour licence agreement is a legally bindingdocument between you and Edge Hill. Itallows you to occupy a study bedroom onthe understanding that such occupancy isas a licensee not as a tenant. Inconsideration of payment of your hall fee,you are entitled to occupy a room allocatedfor your use.

Your room is allocated on the basis of yoursole occupancy. You may not allow anyother person to occupy or share yourroom. Please note, you have no particularright to occupy a specific room and youmay be required to change rooms onrequest. In particular, the Institutionreserves the right to require you to changerooms during Christmas and / or Eastervacations for Health & Safety reasons orother demands, e.g. essential maintenance.Disruption will be kept to an absoluteminimum.

Please note that your licence agreement isfixed term for the period specified on thecontract and terminates at the end of thespecified period. Once you have signed alicence agreement you are financially liablefor the rent of your room in halls for thewhole of the fixed term.

Students who vacate their room earlierthan the termination date on the licenceagreement because of finished exams, theend of formal teaching or other reasonswill not be released from their contractsand will not qualify for a refund ofaccommodation fees.

If students wish to vacate their room earlybecause of finished exams etc., they mayrequest an early ‘final room inspection’through the FM Helpdesk. However asstudents may return to their rooms at any

time up to the end of their contract theywill remain responsible for their rooms’condition until the end of contract. Anydamage or additional cleaning discoveredat the end of contract and after the finalroom inspection has taken place, will incura charge.

Hall FeesStudents who pay their hall fees for theyear in full on or before their keycollection day (normally the first day ofoccupancy) will qualify for a discount of5% on the rates quoted. Alternatively,payment can be made in three or seveninstalments. Students who are unable topay their hall fees MUST inform theAccommodation Office and negotiate apayment plan with a member of staff. Ifyou fail to pay, or to negotiate a paymentplan, you will be subject to credit controlprocedures. The University may ultimatelyterminate your Licence Agreement andyou will be required to vacate your room.

You should note that failure to settleoutstanding bills will affect your standingat the Institution and may result in yourdebt being referred to a debt collectionagency.

Students who pay their hall fees for theyear in full on or before their keycollection day (normally the first day ofoccupancy) will qualify for a discount of5% on the rates quoted.

KeysYou are responsible for looking after yourown keys at all times. You should not lendyour keys to anyone nor have copies made.

You must report to the Security andCustomer Information Centre immediatelyif any keys are lost or stolen. If thishappens, you must contact Campus

Support staff in order to gain access to youroom.

Campus Support staff will ask you toprove your identity before allowing youaccess to the room. You will be chargedfor replacement keys, fobs and swipecards at the published rate. If you haveyour keys stolen, this must be reported tothe Police and a crime reference numberobtained. Locks will also be changed ifFacilities Management deems thisnecessary. This may also incur a charge.

Lock-outs: If you lock yourself out of yourroom or hall, contact Campus Supportstaff. Proof of identity will be required. Atthe end of your stay, keys must bereturned, labelled with your room numberand residence, to Campus Support staff.

Keys should not be left in rooms becausethe accommodation remains yourresponsibility until the keys are returned.You may be charged additional rent andfor a replacement key if your keys arereturned after the due date. You may alsobe charged for the proper and reasonablecost of replacing the lock.

Withdrawal From Edge Hill UniversityIf a student formally withdraws fromstudy, his/her liability for hall fees willcontinue for a period of 28 days from thedate of receipt of formal notification ofwithdrawal from the Institution and thereturn of all keys, fobs and swipe cards.

If the room is let in the meantime to aneligible student of Edge Hill University,i.e. one not already contracted to Edge HillUniversity and whose conduct andpayment history are acceptable, liabilityfor hall fees will cease the day the room isre-let. Arrangements need to be made toclear any outstanding hall fees.

All keys and passes must bereturned to the Security andCustomer Information Centre(S&CIC) at the end of the fixed term.It is important that you remove allpersonal tags from the keys.

Failure to return keys and passes toCampus Support staff may result ina yellow card being issued and youwill be charged for the full cost ofreplacing the lock, key or pass.

Damage Or LossStudents are responsible for any damage,loss and/or an unacceptable level ofcleanliness caused by themselves or theirvisitors within Halls of Residence.Students will be held financially liable forthe full cost of making good the damage,loss or cost of additional cleaning.

The sequence of inspections is• Initial Room Inventory/Inspection/ Sign-off Initial Room Inventory – (students must hand in their room inventory to the FM Helpdesk within seven working days of arrival). If the student identifies any discrepancy with the room inventory, this should be returned within 24 hours.• Periodic Inspection of rooms and communal areas • Final Inspection of rooms and Sign – Off Final Room Inventory/Inspection

Note – Students must attend the finalroom inspection at the end of occupation.An appointment may be booked online viathe GO portal.

The final and periodic inspections willinclude a record of:• Levels of cleanliness• Loss of Edge Hill property• Damage to the fabric of the building or services• Damage causing interruption to the provision of services• Damage to furniture, fittings and equipment

Important Note – Your signed RoomInventory will be taken as evidence of theinitial condition of the room and will implythat this was acceptable to both yourselfand the University upon occupation. Thiswill form the basis of the final inspectionand the administration of damagedeposits.

Signed inventories will normally becollected on the day of occupation. If thisdoes not happen, you must return yoursigned room inventory to the FM Helpdeskwithin seven days of your arrival. If youdisagree with the content of the RoomInventory you must clearly mark on the

Inventory and hand this to the FMHelpdesk within 24 hours.

The agreed damage deposit of £150.00 perstudent will be used to pay for individualand/or communal damage, loss oradditional cleaning in your Hall ofResidence. If the recorded damage, loss oradditional cleaning exceeds the depositamount, additional charges will be applied.Information regarding damage, loss oradditional cleaning charges will becommunicated clearly before occupationwithin the Licence Agreement, on notice-boards within Halls of Residence, andcopies are available through the FMHelpdeskor the FM website (Go Portal).

In instances where no individual admitsresponsibility for the damage, loss orunacceptable level of cleanliness the costwill be spread among the students in yourHall. You will be formally informed of suchdeductions in writing by the University.

You have the right of appeal against adecision to withhold your damage depositor the application of any additionalcharges. Appeals or complaints must bemade via the FM Helpdesk in accordancewith the FM Customer Feedbackprocedure within fourteen days ofnotification of any deductions to be made.FM will inform the student of the decisionwithin fourteen working days upon receiptof an appeal. If you wish to challenge theFacilities Management decision you mayappeal to the Pro-Vice Chancellor (University Secretary and Clerk toGovernors). The decision of the Pro Vice-Chancellor (University Secretary and Clerkto Governors) will be final.

copies are available from the FMHelpdesk, the FM Website (Go Portal) andat FM Customer Information Standsacross campus.

Use of Your RoomThe premises shall be used as a place ofresidence and study only. You must notcarry out any alterations, structural orotherwise, or any decoration to the premises.

Use of sticky tape, glue, pins or nails onwalls and ceilings and Christmas snow onwindows is prohibited. Only white tack isacceptable for sticking posters on walls.

Posters must be removed at the end of theacademic year and the wall cleared ofwhite tack. You must not decorate theceiling/walls of your room with stickers orstars.

Bicycles must be stored in bicycle storagefacilities provided around the campus andnot in bedrooms, corridors, bathrooms orshower areas. Please note that not all cyclefacilities are under cover.

All rooms must be left in the samecondition at the end of the occupation asat the start.

VisitorsOvernight visitors are not allowed. Youare responsible for the conduct of yourvisitors and if visitors are causing anuisance to others, or if we cannotestablish that they are a guest of a residentor have legitimate business in theresidence, they must leave if asked to doso by a member of staff or the CampusSupport Team.

Absence from HallYou must notify your Resident HallManager or Student Assistant of any

intended absence from hall for periods ofone night or longer. This is to facilitatechecking procedures in case of emergencysuch as fire.

DisciplineYou are expected to abide by theInstitution’s Student Regulations. A copyis also available in your StudentRegulations and Handbook.

The Head of Accommodation Services,supported by the Residential HallManagers, Night Support Officers,Residential Life Advisers and StudentAssistants, is responsible for halldiscipline, and will inform the Director ofStudent Services on all matters of concern.If you breach the Code of Behaviour, theDirector of Student Services and/or theHead of Accommodation Services maytake the following action:

• Impose a reprimand or a fine. A yellow card may be issued to any student in breach of the Code of Behaviour relating to noise, vandalism, nuisance or other inappropriate behaviour. A yellow card is a £50.00 fine. Any subsequent breach of the Code of Behaviour may result in the issue of a red card. A red card is a £100.00 fine. Further breaches could result in stronger disciplinary action and/or the termination of your Licence Agreement. The issue of a yellow card or red card may also affect any future application you may make for Halls of Residence. All fines must be paid to the Finance Office on the next working day. Failure to pay may affect your academic standing.• Require you to pay wholly or partly for any damage or loss incurred for which you are responsible.

• Refer the matter to the Institution’s Disciplinary Procedure.

Edge Hill reserves the right to terminateyour Licence Agreement and may do soimmediately if:

• Hall fees are not paid in accordance with the terms of your Licence Agreement• your status as a student at Edge Hill is terminated or suspended for any reason• you are in breach of any of the obligations contained in your Licence Agreement

Any dispute or difference between the andyourself in the interpretation orimplementation of your LicenceAgreement should be referred initially tothe Director of Student Services, or onher/his recommendation then to the Pro-Vice Chancellor (University Secretary andClerk to Governors), whose decision willbe binding and final.

If the University terminates yourlicence agreement because youhave breached the code ofbehaviour or the licence agreement,you will remain responsible forpaying your fees associated withyour room for the remainder of thefixed term.

NoiseYou must not exhibit any behaviour (forexample, loud music or shouting androwdiness) which may be a nuisance toother Hall residents, or to other people inneighbouring premises. The Institutionseeks to establish conditions in Hall whichare conducive to study at all times.

Students are expected to showconsideration towards their neighboursboth on and off the campus. You must notcreate a noise nuisance by playing music

loudly, and the volume of radios and TVsmust be kept to an acceptable level.Students who listen to loud music may doso only by using headphones. Studentsmay also be required to keep windowsclosed to control levels of noise.

Your attention is drawn to theInstitution’s Code of Behaviour in relationto noise, and also to the EnvironmentProtection Act of 1990. If you cause anoise nuisance to a local resident byplaying excessively loud music, anabatement notice may be served on you byan Environmental Health Officer, and theequipment which is causing the noisenuisance may be impounded.

Failure to comply with a Noise AbatementNotice may result in your appearance in aMagistrates Court, and possibly a fine ofup to £5,000. If you cause a noisenuisance, your Licence Agreement may beterminated and you may also be subject todisciplinary action.

Forbidden Items• The use and/or supply of illegal drugs on the University campus is prohibited.• No firearms (including air pistols or rifles), sharp or pointed instruments, knives, axes, swords or martial art equipment (that could be used as an offensive weapon) should be kept or used on the University Campus.• Other than assistance dogs, no animal, bird, fowl, fish or pet of any kind may be kept on the University Campus.• Candles and fairy lights are not permitted on the campus for fire safety reasons.• Alcohol may not be sold in Halls of Residence or in any other area of Edge Hill University except the University Club or on premises specially licensed by Magistrates.

• Smoking is not allowed in Halls of Residence or any other University building.

UnicardsIf you are resident in a catered hall, aweekly cash value will automatically beplaced on the Unicard for 35 weeks of a 40week contract. Study Abroad students ona semester programme have the cashvalue for every week of their programmeexcept the vacation periods. You mustshow your Unicard for every transaction,otherwise a charge will be made for thepurchase. Unicards are not transferable.It is your responsibility to use the fullmonetary value on the card each week; nomonetary value can be carried forwardfrom week to week.

Students who wish to remain on campusduring the vacation periods can eithermake cash purchases or top up theirUnicard via UPay at the following link:www.upay.co.uk .

Lost Unicards must be reportedimmediately to the FM Helpdesk. Anadministrative charge must be paid on-line for a replacement Unicard via thefollowing link: store.edgehill.ac.uk -click on Facilities Management under theproduct catalogue. Your receipt ofpayment is to be shown at the FMHelpdesk prior to the production of areplacement Unicard. Please note that theUniversity cannot accept anyresponsibility for monetary losses due to lostor stolen Unicards.

CleaningYou are responsible for the cleanlinessand tidiness of your study bedroom,including the en-suite showers and toilets(where provided) and communal areas ofyour hall during term-time. If, during

housekeeping inspections of Halls, it isfound that your study bedroom, en-suitebathroom (where provided) or thecommunal area requires additionalattention by housekeeping or other FMServices, you may be charged. Ifcommunal areas are frequently found tobe in an unacceptable condition, they maybe locked or equipment and furnitureremoved.

In all halls, our staff clean the communalareas, which include walkways, staircases,entrance halls and common rooms on adaily basis from Monday to Friday.Communal bathrooms are cleaned dailyMonday to Friday (the cleaning of the en-suite facilities are the responsibility of thestudent).

You are responsible for disposing ofpersonal refuse from your room to thedesignated refuse area. The disposal ofkitchen refuse to bin areas is theresponsibility of the Housekeeping staffMonday-Friday and becomes theresponsibility of the student at weekendsand Bank Holidays. Black and clear bagswill be left for students use over theweekend. If you have any concernsregarding the cleaning of your hall thenplease contact the FM Helpdesk onextension 4455.

Fire AlarmsIt is your responsibility to ensure that youare aware of, and comply with, theInstitution’s fire and safety regulations,which are available from the FM Helpdesk.The Campus Support team will organise atleast one fire practice each term.

Misuse of fire alarms and firefighting equipment (including fireextinguishers, fire hoses, break-glass points and fire/smokedetectors) is dangerous and isforbidden. Misuse of fire safetyapparatus will result indisciplinary action being takenagainst you. Persistent misuse willresult in expulsion from halls ofresidence. You will be fined andcharged for repairs to theequipment.

Room InspectionsStaff reserve the right to enter and inspectyour room (other than your personalpossessions) at reasonable times. Wherepossible, you will be informed beforehandof any such inspection and will have theright to be present.

Authorised Service Staff of the Institutionalso have the same right of entry for thepurposes of decoration and repairs. Rightof entry without notice may be required inthe event of an emergency or essentialmaintenance.

Personal InsuranceUnder no circumstances is the Edge Hillliable for the security of your personalbelongings whilst they are on Edge Hillpremises or within your room. TheInstitution does not insure the personaleffects of students against loss or damage,including loss of food contained in EdgeHill fridges or freezers.

You are therefore strongly advised to takeout insurance cover either individually orby special arrangement within the termsof parental insurance. The Students’Union can provide advice on insurancearrangements.

Please note: Many insurance companiesare unwilling to provide cover for studentsbelongings kept in communal areas ofhalls of residence (including the contentsof fridges and freezers). You may wishtherefore to keep the value offridge/freezer contents to a minimum tominimise any possible loss.

The EnvironmentIt is the responsibility of all campus usersto play their part in reducing theirenvironmental impact, including:• Behaving in a manner which does not damage the existing environment• Separating materials for recycling into the appropriate bins• Disposing of your bedroom rubbish into the external waste and recycling bins• Disposing of kitchen waste and recycling into the external waste and recycling bins• Disposing of litter in the litter bins provided around the campus• Using energy and water appropriately

TV SetsIt is a criminal offence to have a televisionwithout a current licence and the TVLicensing Authority has the power toimpose large fines.

You need to be covered by a valid TVLicence if you watch or record TV as it isbeing broadcast. This includes the use ofdevices such as a computer, laptop,mobile phone or DVD/video recorder.Edge Hill supplies the TV licence for anyTV situated in a communal area (i.e. thekitchens in Founders, Graduates and

Chancellors Court). However, if you wishto watch TV in your own room you mustpurchase a TV licence directly from the TVLicensing Authority.

You will need a licence appropriate to yourreceiver i.e. if it receives a colour signal,you will need a colour TV licence.

Electrical EquipmentAll electrical items must be in goodworking order and tested for safety beforebeing brought on to the premises. This isparticularly important if the item is fromoutside the UK, due to voltage differences.

The only electrical items you may bringwith you for use in your study bedroomare: radios, stereos, shavers, hairdryers/stylers, computers, small televisions (withvalid TV licence) and DVD/video/gameequipment.

Toasters and kettles are also permittedbut these must ONLY be used in thedesignated communal kitchen areas.

If you bring any of the above items intoyour room or communal area, regardlessof their age, you must request a PAT test(Portable Appliance Test) through the FMHelpdesk. An appointment will then bearranged for this to be undertaken. Aftertesting, a label will be affixed to the pieceof equipment to indicate when furtherinspection is required. FM will maintainan inventory of all tested items and holdthe certificate of testing. This is arequirement of University Policy and theprovisions of the UUK Student HousingCode of Practice.Facilities Management will also holddrop-in sessions for you to bring yourelectrical items to be tested. These

sessions will be held during October andJanuary in the Hub (dates to be confirmed).

Please note that you are not permitted tobring large electrical appliances on tocampus, e.g. fridges/mini freezers, freezers,washing machines, heating appliances.

If you have any concerns about electricalequipment in your room, you mustcontact the FM Helpdesk as soon aspossible (ext. 4455).

Student Code of Behaviourand Disciplinary ProceduresEdge Hill has an expectation that allstudents will conduct themselves at alltimes in an orderly manner, respecting therights, privacy and property of others andthe Institution. Students must familiarisethemselves with all Edge Hill regulationsand policies. In registering as a studentyou have agreed to abide by all of theInstitution's rules and regulations.

These include:• The Student Code of Behaviour and Disciplinary Procedures• All codes relating to Faculties, Subjects or Service areas of the Institution• The Equal Opportunities Policy, encompassing all requirements of the Equality Act• The terms of all contractual arrangements entered into with the Institution

Student Accomodation Code Under the 2004 Housing Act, all EdgeHill University accommodation nowcomplies with the Universities UK Code ofPractice for University managed studentaccommodation. What to do if Things Go WrongIf you wish to complain about youraccommodation or about the standards ofservices provided, Edge Hill has an agreedand published Complaints Procedure.This is available from Student Services inthe Student Information Centre andaccessible on the website. Under our

complaints procedure, any student notsatisfied with the outcome of our owninternal procedures and any decisiontaken at Stage 3, can appeal against theoutcome. The Office of the IndependentAdjudicator for Higher Education (OIA)provides an independent scheme for thereview of student complaints. Details arecontained in full in our ComplaintsProcedure. Any complaint notified to theOffice of the Independent Adjudicator willalso be reported to the UUK/SCOP CodeManagement Committee for the Code ofPractice for the Management of StudentHousing.
