Defining a Family

Once a client has been entered into the HBDS, a family must be created when there is more than one person in the household and a Primary Caregiver has been identified. A family includes:• All immediate family members living within the home (i.e., parents/primary caregiver, siblings)•A live-in partner of the primary caregiver if the primary caregiver is not married

For the purposes of the HB Program, a family does not include the following persons:•Non-relatives residing in the household, with the exception of the paramour•A paramour’s child(ren)•Relatives residing outside the household

Checking if the Family Exists in the System

• Click on Clients > Family Search• Identify the Family member you are adding and

search to identify if they already belong to a family

• In this example, we searched for Bobbie Fake by his last name. We know it is the correct Bobbie by his date of birth and address. Notice he is not currently linked to a family because the family count is 0.

We are now ready to add Bobbie’s family. First, search for him by clicking on Clients (1) and then Client Search (2).

Enter the client information for the person you are looking for. In this example, we entered Bobbie’s last name (1) and clicked Search (2).

Find your client in the list generated. Click on the record of your client. In this case, Bobbie Fake.

When the client record comes up, click the Families tab.

Since we already searched for Bobbie’s family, we know it doesn’t exist in the system. Click Create a new Family with Client.

Add the information for the family member you want to link to (1) and click Search (2) to see if they are in the system. In our example, we are looking for Miriam Fake by entering Mi Fake.

We have reconfirmed that Bobbie’s family does not exist in the system. Click Create New from Current Individual to link the family members.

Enter the data in the required (asterisked) fields. Click Save at the bottom of the screen when you are done.

Next, click on the Family ID record to open the Client Family Details.

Update each family by identifying the Primary Caregiver (1) and checking the appropriate In Household/Extended Family/Employed boxes of all family members (2). Click Save (3).

To define the relationships between family members, click the Relationships link.

Based on the name displayed in the Second Individual Name (1), select the correct roles between the First Individual Name and the Second Individual Name (2). Click Save (3). In our example, Miriam and Bobbie are mother and son.

You have successfully created a Family in HBDS!

In order to remove a family member from being linked to the family (because they moved, etc.), click Remove Family Members.

Enter the date the person is no longer with the family (1). Select the appropriate reason (2). Click Save (3). In our example, Miriam was court ordered to leave.
