512-594-8413August 27, 2012Greetings to the Students and Parents of the HHS Choirs!Words cannot begin to express my excitement regarding this new school year! The Leadership Council has spent a great deal of time working to make certain this is the best Hawk Choir year, EVER!!!

Choir students are the smartest, most hard working students in all of PISD. We will work hard, learn much, and accomplish much. Together, we can create amazing music that will live in the singer’s hearts forever. We will have many exciting experiences. Some may be different from any other choir you have participated in….. take a step of faith and come along!

The Choir Leadership Council is dedicated to serving the Hawk Choir for 2012-2013. They have planned the banquet, yard signs, put music in folders, created bulletin boards and organized the uniforms. You will find them to be approachable with your positive comments and suggestions. Denise Hunt will be serving as President. Other members of the Council include: Gabriela Braga – Vice President of Camp Rock Star, Alayna Robert and Katie Dill – Vice Presidents of Social Events, Clara Massa and Kristen Gillis –Vice Presidents of New Members, Drew Walsworth – Secretary, Garrett Hudson – Treasurer, Brenna Hudson – Historian, De’Montre Veal –Chaplain, Anh Bao – Librarian, Krista Willis and Kirsten Thompson – Quartermasters, Bryan Sangmook and Sidney Banuelos, Equipment Managers, Delaney Kearney- Spirit Leader, and Daniel Cunningham, Assistant to Mrs. Payton. These students have certainly demonstrated servant hearts over the summer.

Parent support is a necessary component to the success of any group. Every parent is a member of our Hawk Choir Boosters by virtue of your student joining choir. There are NO DUES, but I do ask that you attend meetings, when possible, as every meeting benefits every student in our program. Together, the Boosters will help us create the type of choir program that will rival any choir in the district and beyond.

Mission Statement The Mission of the Hendrickson Hawk Choir is:

* to educate students to sing and perform at their highest ability* to foster personal discipline and character/leadership abilities in each student* to promote and encourage each student to work together towards specific goalsand priorities for the good of the choir as a whole.

The HHS Choir Curriculum is based on the TEKS and follows the Curriculum Bundles as outlined by PISD.

Calendar GuidelinesA yearly Choir calendar is included in this handbook and may be found of the Choir Website and on the Charms Office Assistant website and at Google Calendars: Hawk Choirs. Students will have a calendar in their choir folder and posted on the wall of the choir room. Please check the calendar often when making plans. Some activities on the calendar are required; others are optional, based on each student’s participation in various activities and the choir they are enrolled in. Students are required to keep an up-to-date planner. DATES GIVEN AT THE BEGINNING OF THE YEAR RARELY CHANGE. PLEASE PLAN DR. APPOINTMENTS AND FAMILY TRIPS, ACCORDINGLY.

RegistrationThe following forms, along with payment of Choir fees, need to be completed and turned in by all members of the HHS Choir by Sept 5, 2013. If paperwork is not completed and turned in along with payment (or payment agreement) of Choir fees, the student will not be allowed to participate in Choir activities. The following are required of ALL students in the HHS Choir:

OPTIONAL: Voice Lesson Application and Deposit, on campus voice lessons are encouraged but not required.

Adult Students (Students Who are 18)Students who have reached the age of 18 must still have parent signatures for Choir papers unless they have a letter from their parent on file in the Assistant Principals’ Office giving them permission to sign their own papers. A copy of that letter MUST also be provided to the Choir department to be kept on file. The Choir director reserves the right to ask for parent signatures of 18-year-old students at any time. ( State Law)

FeesFees are directly related to events that students in choir are required to participate in:

1. TMEA – All State Choir audition fee $20.002. UIL Solo/Ensemble fee $28.00 for solo/ $8.00 for ensemble3. Choir Polo (informal uniform) $20.00

Optional fees include:1. Choir T-shirt $10 to $25.00 (depending on the shirt)2. Meals before football games $5.00 each home game

Financial PolicyNo student will be denied participation in the HHS Choir program due to financial hardship. Financial arrangements can be made by speaking to the Choir Director or by setting up a payment plan using the fees form at registration.

Choir Rules & PoliciesProducing quality, exciting music is fun but requires hard work and self-discipline. Outstanding Choirs are the result of efficient rehearsals where the standard for behavior is high. Each singer is responsible for contributing to the success of each rehearsal. The students of the HHH Choirs will:Rules:

Be prepared to sing when the bell rings with your folder and pencil in your assigned seat. Failure to do so will result in a tardy. Students not in the room when the bell rings – go to Student Services for pass. Students in the room, but not in their seats will STAND for every minutes of tardiness.

Maintain excellent rehearsal behavior. Do not talk or leave your seat in the middle of instruction or singing time.

Conduct yourself according to the highest standards. Respect your classmates and Choir Directors by listening, working together, and following instructions. Respect classmates’ and Choir property by asking first before using their belongings.

Classroom Policies:Bathroom Ask the Director for permission first. Sign out CORRECTLY in your classes section of the folder on the page with your name on it Use the Choir Hall Pass Use passes wisely. You get six passes per semester. Only one person out of the room at a timeWater: Use a drinking fountain before class You may bring a water bottle (put your name on it) You may purchase water in the choir room for $ .50 cents BEFORE choir beginsFood: No eating during class. Eat snacks or drinks other than water (including coffee!) before or after class. No gum during class- this can be dangerous and interferes with proper singing. No food or drinks in practice room.Homework: Doing other coursework is not allowed during choir time.. Telephones: Cell phones are not allowed during school hours. The director’s classroom phone may be used with permission Cell phones may not be used in any capacity during ANY performance.Materials: Folders and pencils must be stored in their proper location. Failure to do so will result in a $1.00 fine. Books and music may be checked out through the Choir Director or Choir Librarian.Personal Items: All personal items (backpacks, purses, books, etc) must be stored in front of the bulletin boards on the

north side of the choir room AWAY from the risers. Visiting the Choir Room During Off Periods:

You may come to the choir room during other classes if your teacher allows it or if you have an off period. B efore or after school using your fine arts pass. The director will NOT open the door for you in the middle of rehearsal. If you are disruptive, you will lose your privileges to come to the choir room during off times.Choir Computers: There are four computers in the Choir room available for your use. Please ask first if you need the use of

the computer. Choir director computers (including the laptop) are not for student use unless permission is given by the

director. All choir computers are equipped for recording Charms assignments.Choir Director Offices No one is allowed in the Choir Director’s office unless invited in or given permission by the Director.

Attitude is everything!!! If you have a good attitude in the choir then these are the easiest rules to follow!!!

ConsequencesIn general, any behavior which is not representative of good citizenship may result in the student’s dismissal from the activity or from the Choir program. Specific consequences include, but are not limited to:

Warning (verbal or non-verbal) Student apology to offended party Teacher assigned consequence (removal from class for the remainder of the period, lowered Choir grades,

detention, re-assigned seating, choir privileges revoked, removal from choir trip, alternate assignment/service project, etc.)

Conference with the student and/or parent Office referral Suspension from Choir activities for a period of time designated by the Choir Director and/or HHS

Administration. Moved to a lower level Choir or removal from Choir as elective Internet Policy Consequence: Upon confirmation of internet policy violation, the choir student will be asked

to remove any offensive items from the website(s) (this includes the Hendrickson Choir Facebook page) and will be asked to give an apology and plan of action to deter this behavior to the Principal, Director and Choir members. Parents/Guardians will be contacted and made aware of the offensive behavior. If the behavior continues, the student will be removed from Choir.

Due ProcessAll Pflugerville ISD students are entitled to due process in accordance with PISD guidelines. The goal as a staff member is to ensure that all students are treated fairly. Please contact the Choir Director is you have any concerns. The Director will work with you to resolve problems. The Director desires to provide a quality music education for all of our students.

Grading PolicyPISD Choir programs have instructional objectives aligned to the mandated TEKS. These objectives address the academic skills needed for successful performance in the next grade or next course in a sequence of courses. Assignments, tests, projects, classroom activities, and other instructional activities are designed so that the student’s performance indicates the level of mastery of the instructional objectives. The student’s mastery level of these objectives is a major factor in determining the grade for a subject or course. Students are expected to meet the responsibilities for each Choir class as determined by the Director. Since Choir is an academic music class with some Co-curricular and extra-curricular activities attached, the Choir student’s grade will reflect achievement in both curricular and extracurricular areas. The following are examples of items that can be subject to grading. Additional assignments may be given at the discretion of the Directors:

Mandatory before or after school rehearsals Meeting all classroom expectations Correct posture, air production, and articulation Improvement of vocal fundamentals Improvement of ensemble skills Performances Singing or written evaluations

NOTE: PISD has set the percentages at 80% for major grades and 20% for minor grades.

Students begin each 9 weeks with a grade of 100. Points are deducted daily based the student failing to meet the following criteria:

15% classroom Skills (Daily participation Grade) Classroom Conduct/Participation

This includes participation, attitude, team work, promptness, and work ethic. Rehearsal Preparation (Having all materials)/ Marking music

This means having all required materials in class every day and marking your music when instructed by the Director.

Vocal Technique/Warm-upsThe physical and vocal warm-ups we do every day to start class and include good posture and breathing techniques

Sight-Reading Reading music, learning music theory, sing hand signs that pulse to the beat and move vertically to the pitch.

Ensemble Rehearsal Working for improvement on our music literature during our classroom rehearsal time

80% Dress Rehearsal/Performance Skills (Concerts or any other required performance)Required dress rehearsals and concerts include Fall, Holiday, Pre-UIL, and Men’s Only for all students. Spotlight and UIL Concert and Sight-Reading Contest are all eligible students. Hawk Chorale and Varsity Women’s Choir may have additional requirements. Other dress rehearsals and concerts may be added for all students as determined by the Choir Director.

Dress Rehearsals: Present On time at the designated location, stayed for the entire rehearsal. Proper uniform (choir polo or dress or tux, socks, nylons, shoes, hair, etc.) Rehearsal behavior

Performances Present On time at the designated location, stayed for the entire time Proper uniform(as stated in advance by the Choir Director) On stage performance (focus, behavior, stage presence) Audience etiquette

Rehearsal Skills Points are deducted per minute for unexcused tardy, leaving rehearsal early for unexcused reasons, or

for unexcused absences. Additional points can also be deducted for behavior.

Final ExamsMandatory performances scheduled for the end of each semester (Holiday and Spotlight!) serve as a portion of the student’s semester exam grade and cannot be exempted.

Makeup Policy Missing a Performance:

A “live” performance cannot be re-created. If a student is absent for a math test, for example, the test can be made up with the same test the other students in the class completed. For an excused absence for a concert or other REQUIRED PERFORMANCE, students will required to write a one page paper, typed and double spaced on the composer of the Director’s choosing. The paper is due within 2 days of the absence in order to receive full credit. If a student fails to write a paper or copies the paper straight from the internet or other source a Zero will be given and the incident will be reported to their grade level principal. Class work will be made up as per the HHS School Handbook Policy.

Concert Etiquette/Performance ExpectationsChoir students will exhibit proper concert behavior during all performances in order to reflect positively on the HHS Choir program. Choir students will be graded on their concert etiquette. The following rules will be followed at all performances:

Set a good example for the audience and other students. No cell phones on your person during the concert Sit/Stand in your assigned place. Do not leave your seat FOR ANY REASON during the performance.

Use the restroom and drinking fountain before concerts begin or at intermission. Move to and from the stage without talking. Stay in concert order. Do not talk on stage. No food, drink, or gum is allowed in the performance area, including the stage, backstage, and seating

area Never talk during a performance. Support your fellow Choir members with appropriate applause. This is NOT a sporting event.

o During serious music, applaud only after the conductor has lowered his or her armso During pop or jazz music you may applaud for a soloist during the song.o In songs that have multiple movements, applaud only after the final movement. This will be

noted in the concert program. The conductor will lower his or her arms when the final movement is over.

Eligibility – Curricular Events & Concerts Co-Curricular Choir activities are those Choir activities that occur as an extension of the Choir class, as designated by Texas State Law and UIL. They can occur during school, before or after school, or on the weekend. Co-Curricular Choir activities are graded and include things like rehearsals, sectionals, and concerts. Students do not have to be eligible to participate in Curricular Choir Activities.

Eligibility - Extra-Curricular Extra-curricular Activities are those Choir activities which occur beyond the regular, required Choir activities (such as UIL contests, TMEA auditions, Football games, Chamber of Commerce events, etc.) as designated by Texas State Law and UIL. Students MUST be eligible to participate in Extra-Curricular Choir activities. Ineligible students are not suspended from practice or rehearsal for extra-curricular activities or from participation during the period in which school is

recessed for vacation time. At HHS, participation in exta-curricular activities is counted in the audition score for the next year’s choir placement.

Students are eligible during the next grading period if they pass ALL of their classes on their report card with a grade of 70 or above.

Students who receive one or more grades of “Incomplete” on their report card in any subject are considered ineligible. They have one week after the end of the 9 weeks period to complete the missing work and have their grade changed to “Passing” to regain eligibility. Otherwise, they remain ineligible until progress report time.

Students who receive one or more grades of “incomplete” on their report card but make up the work AFTER 3 days after the end of the 9-weeks period will remain ineligible until progress report time, when they can regain eligibility.

Students who receive one or more failing grades on their report card in any subject are ineligible, even if the student completes work to get the grade changed after the 9-weeks is over, unless the failing grade was given in error by the teacher and the teacher states that as part of the grade change.

Students who are ineligible due to grades may regain eligibility at the end of the 3 th week and 6th week grading period by receiving passing grades for ALL of their classes on their progress report (given at the end of the 3rd week and 6th week of the 9-week period).

Students who continue to be ineligible on their progress report must wait until the next report card to attempt to regain eligibility.

Students in approved PISD AP classes can apply for a waiver one time during the school year to waive a failing grade in an AP class.

Students who receive failing grades on their report cards or progress reports may or may not be allowed to participate in non-UIL Choir activities as determined by the Choir Director and PISD Administration in accordance with Choir policy, school district policy and UIL rules.

Rehearsal & Concert Absences & TardiesAttendance at required Choir activities from all members is essential. These are the “homework” and “tests” of Choir. Not only does tardiness or failure to participate in either rehearsals or performances affect Choir grades, but it also affects future Choir placement, Choir awards, and may result in student removal from the organization at the discretion of the Choir Director. The following guidelines outline the attendance procedures and policies for the HHS Choir. These attendance guidelines also apply to activities held outside of the school day.Rehearsal & Concert Check-InStudents will need their student ID card to sign in for rehearsals and concerts. The barcode on the student IS will be read by a scanner to mark student attendance in Charms. The scanner accurately time-stamps student check in for grading purposes. Parents can check their child’s attendance at required Choir activities via Charms. Students will be marked Present, Absent (Excused or Unexcused), or Tardy (Excused or Unexcused). In the event a student must leave early the Tardy code will be used and a note will be make by the Director to clarify tardiness or leaving early.

Absence Notification FormThis form (found at http://www.pfisd.net/HHS/choir/ or in the choir room) is used to notify the Director a week in advance of (or immediately after in case of emergency) a student missing or tardy to a required Choir rehearsal or performance, regardless of reason. Failure to notify the Director IN WRITING, WITH A PARENT SIGNATURE, will result in a grade of “0”. Once notification has been received, the Choir Director will determine whether or not the tardy/absence is excused or unexcused and adjust the student’s grade if necessary. Do not assume that just because notification has been made that the tardy/absence is excused. It is the STUDENT’S responsibility, not the parent’s, to follow Choir procedures.

Excused Absences/TardiesCriteria the Choir Director uses in determining if a tardy or absence is excused:

Is the tardy/absence a result of an unforeseen emergency of an immediate family member (death in the family, sudden hospitalization, accident)? IMMEDIATE family is defined as: parents, step-parents, siblings, step-siblings, and grandparents.

Other school activity (sports, tutoring, club meeting) – must be cleared with the Choir Director at least one week in advance to allow time for sponsors to discuss the conflict and come to a resolution.

Religious activity – must be cleared with the Choir Director in advance Other circumstances as determined by the Choir Director in advance.

Unexcused Absences/TardiesUnexcused tardies or absences are determined by the Choir Directors and include, but are not limited to:

Lack of a ride (ask a Choir friend or ask your Director IN ADVANCE if you need help) Non-school related activities (sports, dance, or music lessons, rehearsals, or recitals: parties; dinners;

birthdays, etc.) Homework/group project for another class that could have been done prior to or after the rehearsal Job (school comes first, it is your responsibility to clear your work schedule in advance – check the Choir

calendar often; students may request a letter from the Choir Director to give to their employers to verify participation)

Trips Family planned activity Other circumstances as determined by the Choir Director

Choir activities are posted as much as a year in advance so please check the calendar when making plans that could be considered unexcused absences..

Conflicts With HHS Choir ActivitiesWhen a student is involved in more than one activity that occurs outside of school time, conflicts may occur. Students MUST keep a planner for ALL of their scheduled HHS activities for conflicts as soon as dates are available. The student must notify all affected parties (Choir Directors, parents, coaches, employers, sponsors)when there is a conflict so that there is time to determine how to handle the conflict (compromise, miss one or the other activity, work out a ride, etc.). Completed Absence Notification Forms must be turned in to the Choir Director one week or more prior to the scheduled event. The choir Director is happy to speak to coaches, sponsors and employers about conflicts if requested by the student or parent.

Students with JobsIf a student has a job and is in choir, please keep in mind:

Having to work is NOT considered an excused absence from any required, graded Choir activity and will result in a grade of “0”.

Students MUST notify employers well in advance (as required by your employer of all required Choir activities. Students may print a copy of the Choir calendar or may request a letter from the Choir directors to give to their employer regarding required Choir activities that may interfere with work.

Class SuppliesOne set of supplies will be provided to the students through the choir fees. This includes a black binder, a pencil pocket, 2 pencils, and a highlighter. It is the responsibility of each student to take care of these supplies, store them in the proper location in the Choir room, and return them in good condition at the end of the school year. Students will be assessed a $1.00 fee each time their Choir folder is not stored properly. This fee will go into the choir fund.

Students are expected to follow the listed uniform guidelines below, without exception. Students may not be allowed to perform and/or their grade may be negatively affected if the following guidelines are not met.

Formal UniformsWomen:

Ladies must provide their own BLACK panty hose or knee-highs (no bare legs). Ladies must purchase black character dance shoes with a 1 ½ inch heel (closed toe, closed heel). No sandals or flip flops. All hair must be completely pulled back. No Hair in the face! NO EXCEPTIONS! No necklaces, watches or bracelets. NO EXCEPTIONS! Small post style earrings are allowed. Small rings are also allowed.

Men: Men must provide their own BLACK dress socks. Men must purchase black dress shoes. Black athletic shoes, casual shoes, or boots are not allowed. All hair must be pulled back away from the face. No necklaces, watches or bracelets. NO EXCEPTIONS! Small post earrings are allowed. Small rings are also allowed.

Formal Uniform GuidelinesChoir students are financially responsible for all parts of their formal Choir uniforms including dresses, jackets, pants, ties, cummerbunds, any other uniform parts. Repair and /or replacement costs are the responsibility of the student.Customary Replacement Costs:

Students are responsible for promptly checking out and returning the uniform assigned to them before and after each school year. Failure to do so will result in giving their name to the registrar to prevent them from receiving their schedule or diploma. Do NOT leave your formal uniform in the PAC or choir room after a concert. It is your responsibility.

Graduation Uniform:Singers will be given a “robe” to wear before the graduation ceremony begins and MUST return the robe as soon as the graduation ceremony is over.

Informal UniformsThe informal choir uniform is the current year’s choir Polo and blue jeans. Choir Polos are required and are to be purchased at the beginning of the choir year. Replacement or additional Polos are available for purchase from the Choir department for $20.00. Informal choir uniforms must be worn on all concert days, to all informal concerts, singing the “National Anthem,” at Football games, at Pep Rallies, on choir trips, etc. No other polo will be permitted. Failure to do so will negatively affect a student’s grade. Students who ask to borrow a choir polo for a performance will be assessed a $10.00 deposit (which will be returned when the laundered Polo is returned to the Choir) and a $1.00 rental fee. This fee will go into the choir fund. Choir T-shirts are encouraged, but not required.

Madrigal UniformsThe Madrigal uniform consists of a skirt, blouse, cape, and muffler for the ladies and a cut-away jacket, pants, shirt, vest, top hat, and cape for the men. Girls must wear character shoes and black panty hose or knee highs and men must wear black socks and black dress shoes.

Costumes are required at the Spotlight! Spring Show. Students must supply their own costumes for this concert based on a “Theme” as determined by the Leadership Team and Choir Director. Costume ideas will be given before the concert and placed on the choir website and discussed/posted in class.

EnsemblesChoir class offerings may change from year to year at the Director’s Discretion or as necessary for the HHS Master schedule.Concert Women’s Choir (Choir I – All 9th grade women)This class is designed for all women in the 9th grade, regardless of their middle school experience.

JV Choir (Choir Level II - men and women grades 10-12) – This year will focus on individual voices and preparation for auditions. Students will be asked to provide vocal tracks for their work.Lady Hawks Varsity Treble Choir (Women’s Level III and IV– 10-12th grade intermediate/advanced Women)This class is designed for women who have some high school Choir experience and have achieved an intermediate/advanced level of vocal development and sight-reading skills and have demonstrated an excellent attitude. Members of the Lady Hawks Varsity Women’s Choir students are required to participate in the All-State Choir audition process and UIL Solo & Ensemble contest. Eligibility is mandatory.

Prerequisites:o Director’s approvalo Audition required for assessing the student’s vocal technique, music reading skills and attitude.o Previous high school level Choir experience is requiredo Must have attended ALL required activities and been eligible for and participated in UIL.o Eligibility (during the previous year) is essential and is used as a determining factor when placing

Hawk Chorale (Choir Level IV -11-12th grade advanced men and women)This class is designed for students who have achieved the highest level of musicianship, vocal development and music reading skills. The class is limited to 16 students. This class will require extra time commitments outside of the regular school day for extra performances and rehearsals. As a member of Hawk Chorale, students are required to participate in the All-State Choir audition process and UIL Solo & Ensemble contest. Eligibility is mandatory. Exceptional Sophomores may be placed in the class ONLY if they meet the criteria, are needed for balance purposes, and at the director’s discretion.

Prerequisites:o Director’s approval.o Extended audition (above the regular choir audition) is required to assess the student’s vocal technique,

Auditions for Ensemble PlacementStudents who wish to participate in advanced Choir should keep the following information in mind during the ENTIRE school year:

Students should consistently demonstrate leadership, maturity, and must attend all required choir activities as well as be actively involved in optional choir activities, especially All-State auditions and UIL solo and Ensemble contest.

Students who wish to eventually participate in advanced Choirs should make a concerted effort to daily improve their sight-reading skills.

In the event of a tie, the tie will be broken by grade level, with advantage given to the older student. If there is no tie, the Choir placement will be given to the student who has the best audition, as determined by the choir Director.

Do not expect to be placed in a higher level Choir without specific attention to attitude, daily improvement, and outstanding participation in the HHS Choir Program. You must work to improve your skills every day!

Audition TimesStudents will audition during choir class in the 2nd semester.

Audition ResultsAuditions help the directors gather information to put people in the best Choir for their ability and their attitude. Results will be posted as soon as they are available. Results are based on the audition and choir placement is not negotiable once it is posted. Any student who signs up for Choir but does not audition will be placed in the lowest choir for their voice part. Students may move UP or DOWN or STAY THE SAME based on the criteria listed. Hawk Chorale has only a limited number of openings for women based on the number of men placed in this choir. There is no guarantee that a student will be placed in ANY particular Choir.

Audition ProceduresAll students will audition at the end of the school year. Those who were not eligible for UIL will be moved down one Choir level. Those students moved down can move up into the choir they achieved for the 2nd semester based on their choir audition at the end of the previous school year provided they are eligible for all classes on each 9 weeks report card for the entire first semester, attend all required choir activities during the 1st semester and maintain a choir grade of 90 or above each 9 weeks during the 1st semester. A contract signed by the student and parent is required at the beginning of the year for a schedule change to be considered at the 2nd semester.

The student may choose to drop the conflicting class and remain in their assigned Choir. The student may choose to remain in the conflicting class and move to the next lower level Choir. Note:

students may NOT choose to move UP to the next higher level Choir since they did not qualify for that Choir by audition.

Concert Solo and Ensemble AuditionsThroughout the year students will have the opportunity to audition for solos and ensembles at concerts. The audition procedures are as follows:

If there is a conflict with an audition time, arrange for an audition time PRIOR to the regular audition times.

Once auditions have concluded, no further audition will be allowed, regardless of the reason. Music should be rehearsed, memorized, and blocked/choreographed prior to the audition. Perform in the

most appropriate style for the song/show. Students will audition in front of judges/director. Solo and ensemble acts are selected based on the best audition, at that moment in time, as determined by

the Choir director and/or judges, not on grade level, Choir class, or future performing potential. Following auditions, solo selections will be posted outside the Choir room as soon as they have been

decided by the Director. Students who are selected through audition may require additional rehearsal for voice or dance, and may

require special costumes. NOTE: Sometimes students will be assigned special dancing or singing parts, because of their class period,

level of performance preparation, special skills they may have, etc. These parts will not be auditioned but will be selected by the director, choreographer, or others involved with the preparation of the show.

AwardsChoir awards are given at the end of the year. Awards may include (but are not limited to):

The Exemplary Choir Student Award is given by the Choir Director and may be determined by, but not limited to, the following criteria:

All of the above Outstanding Choir Student criteria listed above plus: Participated in the TMEA All-State Choir audition process Participated in UIL Solo/Ensemble contest Attended at least two concerts event of another music organization, HS, college or professional (just not

HHS Choir).

The Texas Music Scholar Award, given by TMEA (Texas Music Educators Association) designates students in high school music programs who exemplify attributes of meritorious performance in the areas of scholarship, musicianship, and citizenship. Designation is attained by recommendation of the Choir Director (who must be a member of TMEA) of students in grades 9-12 that have met the following criteria during the current school year:

Is a viable member of the school’s parent musical organization (Choir) for the entire school year. Maintains an overall “A” average as defined by the local school district for the entire school year. Participates in all scheduled events of the parent organization (Choir) Attends, as an audience member, two Director-approved concert events of high school, collegiate or

professional level during a school year. Has auditioned, been selected, and participated as required in a TMEA organization (Region Choir or All-

State Choir) Performs a UIL Prescribed Music List Class 1 Solo for a competition or public performance Consistently exhibits behavior which brings honor to the parent organization, school and community

Private Voice LessonsPrivate voice instruction is available through voice teachers in the Choir department. All students are encouraged to sign up for voice lessons.

Voice lesson information will be given with the Choir Registration Packet and can be found at http://www.pfisd.net/HHS/choir/ and in the choir room.

The HHS Choir screens its voice teachers and allows only quality, experienced voice instructors to teach voice lessons on its campus.

Openings are limited. Students will be assigned on a first-come, first-served basis depending upon when the voice lesson enrollment form is received. If all voice lesson slots are filled, students will be placed on a waiting list until there is an opening or until additional qualified instructors can be hired.

Preference will be given to those students who have taken voice lessons in previous years or over the summer with an HHS Voice Instructor and who wish to continue with their current teacher.

Voice students are required to participate in UIL Solo/Ensemble contest in February/March, and any recitals the instructor presents.

Cost for voice lessons is determined by the Fine Arts Office and can be found in the Voice Lesson Information Packet. Students at HHS receive one, 30 minutes lesson per week during their Choir class or another pre-arranged time.

Missed lessons will be charged to the student unless the teacher is notified 24 hours in advance. Voice Instructor contact information can be found in the Contracts they send home with the students and on the HHS Choir website

Lessons may only be terminated in writing by notifying both the teacher and the Choral Director. This should only be done at the end of the semester.

FundraisingEven though HHS Choir fundraisers are optional, students are encouraged to participate to help cover costs for things not covered by the Choir budget from PISD, and also to cover costs for those students who cannot afford to pay their Choir fees due to family situations.

Guidelines All money raised belongs to the HHS Choir and cannot be refunded for any reason. Each year students accounts with positive balances return to $0.00

Delinquent AccountsStudents are responsible for turning in all money due to the HHS Choir for fees, trips, etc. by the required deadline. Students who have delinquent accounts will receive the following consequences:

receive statement reminders via email or snail mail. not be allowed to attend any Choir trip until all ledgers are settled Serious offenders will be dealt with through the Assistant Principal’s Office If ledgers are still in arrears in May, students will not be allowed to walk at graduation, get their next

year’s schedule or current year’s report card (as per HHS School Policy). These students will be referred to the Assistant Principal’s Office. Delinquent accounts will be dealt with similar to book fines.

Payment Information The following procedure should be used whenever any type of payment is made to the HHS Choir:If the payment is cash, you must have the exact change

All payments should be turned in to the money box using the money envelopes supplied. All payments, especially cash, should be paid before school starts in the morning. All checks should be made payable to HHS Choir Please include the Choir student’s name in the “memo”

area of all checks and include the driver’s license number of the person signing the check.

Charms Student Account Credit Card Payments: Go to http://www.pfisd.net/HHS/choir/ Click on “Charms Office Assistant” under the choir logo This will bring up the main parent page The school code is “Charmshhs” Enter your student’s school ID number. Click on “Finances” Click on “Make Miscellaneous Payment” Enter the information requested and include a description of what you are paying for. You do not need to

be a member of Paypal to make Credit Card payments.

Insufficient FundsDistrict policy states that the HHS Bookkeeper will turn over all insufficient checks to the district contracted company for collection. They are not handled by the choir director.

TripsGuidelines & ConductIn addition to those policies set for by PISD and HHS, Choir members will adhere to the following procedures:

Students are expected to conduct themselves in a manner that reflects positively on the Choir, HHS, and PISD.

Students must follow all HHS, Choir, and PISD rules as well as legal, ethical and moral requests from Directors or chaperones while on the trip.

Follow the instructions of the Choir director, staff, bus drivers, and parent chaperones at all times. They are your legal guardians in the absence of your parents

Students must have all necessary forms (Medical/Travel Release) completed and on file with the Choir office to travel on any trip with the Choir.

Be on time Everyone travels with the group and returns with the group. Special permission to travel in some other

manner may be granted if the HHS Choir “Personal Transportation Request” form is presented to the director PRIOR to the trip. Permission will be granted or denied based on the individual situation.

Students will not be released to anyone other than their parents unless a permission note, signed by the parent, has been turned in and the student has checked out with the Director or designated chaperone.

You are responsible for your own possessions. The Choir program assumes no responsibility for personal items lost or damaged on Choir Trips.

No changes may be made at any time during a trip without receiving notice of the change in writing. Students may not ride with other students. Student may not ride with other students’ parents unless they

bring written permission IN ADVANCE from their parent/guardian. Ride the same bus for the entire trip. DRUG, ALCOHOL, AND TOBACCO POLICY: The use of these items will not be tolerated during any Choir

activity at home or away from school by students, chaperones, or Directors. School and local authorities will deal with any student found with these items with the same penalties as if the offense occurred during the school day on campus. In addition, the students will be sent home immediately at the parent’s expense. Students in violation of the policy will face the penalties set forth by the school and community where the violation occurred, including removal from the HHS Choir Program.

For the safety and security of all of our students, the Director and chaperones reserve the right to check all luggage prior to and/or during any Choir trip.

Bus ConductThe Choir will frequently travel on either school buses or commercial buses. Student conduct is expected to be at the highest level on any trip.

While on the bus, students will: Remain seated in assigned seat at all times. Texas Department of Transportation requires a seating chart

be completed for all school bus rides. Sit properly in a forward position. Keep the bus clear of food, drinks, and debris (at times it may be necessary to ea on the bus. Every effort

should be made to keep your area clean.) Keep all body parts inside the bus. Remain silent when addressed by the person in charge on the bus. Refrain from loud, boisterous talking, singing, screaming, whistling, inappropriate jokes, music players

with speakers, etc. No public displays of affection.

Student DriversStudents are allowed to drive themselves to activities under certain circumstances as determined by the Director. For example, when an activity is within PISD, often times there will not be a bus going to the event, especially when it is after hours or when it is a small group of students. Another example would be when the activity lasts a long time but the student knows their performance time in advance and only needs to be there a short portion of the entire time (like UIL Solo & Ensemble contest). Students are NOT allowed to drive themselves to group auditions and activities when there is a bus going to the activity both directions, or even on direction, unless they have a circumstance deemed reasonable by the Director. In this instance a “Personal Transportation Request” should be completed and turned in 1 week prior to

the event. Under NO circumstances will another student be allowed to ride with this student when there is adequate transportation provided unless written consent is received from the parents of BOTH students.

Attendance Policy for TripsAll choir trips are optional unless otherwise specified. Only HHS Choir members and their parent chaperones are allowed to participate in HHS Choir trips. The following additional criteria may apply to Choir students attending any Choir trip:

No unexcused Choir Concert absences during the school year. No more than one unexcused rehearsal/sectional during the school year. No office referrals from a Choir Director. No ISS assignments at any time during the semester in which the trip occurs. No OC assignments at any time during the school year.

Trip Reservation and Payment GuidelinesThe HHS Choir may take one or more trips per year within or outside the state of Texas. Trip location will be determined by the Choir Directors.

Individual fundraising accounts are not allowed through the Choir program, per IRS directive. Students and parents interested in participating in the Choir trip will sign a travel contract and pay the trip

deposit, along with scheduled payments. The tour company controls trip refunds. The refund policy will be set out in the Travel Contract given to

each family when signing up for the trip. Students will forfeit all or part of the money they paid to attend the trip if they cancel FOR ANY REASON after the refund deadlines unless another student is found to take their place.

Trip availability may be limited. Students who exceed the number allowed on the trip (based on transportation availability) will be placed on a waiting list.

Trip payments will be posted in student’s Choir accounts online through Charms. Trip payments must be made on time so that we may pay the tour company. Failure to make a trip

payment on time will cause a student to be placed on the waiting list or dropped from the trip. Parents are invited to attend trips. Cost for parents is the same as for students. Chaperone spots are

limited. Trip payments may be made in case, check or credit card via Charms and PayPal

Trip Pick-Up TimesParents must be prompt when picking up their children from Choir trips. Students will call parents regarding our arrival time on our way home. Please be respectful of the time the Choir Director spends away from their families in order to provide students with special opportunities outside of the school day by picking up students quickly upon return to school.

University Interscholastic League (UIL) ContestsSolo & Ensemble Contest (February)

This is an extra-curricular activity; therefore students MUST be ELIGIBLE to participate. Students enrolled in the HHS Choir Voice Lesson program are required to participate. All Varsity level

choir members are required to participate. This is an optional activity for JV and Freshmen Choir members.

Madrigal students are REQUIRED to participate in small ensembles for this contest. Students must demonstrate proficiency on their music before being allowed to participate. Students may sign up for a maximum of ONE solo and ONE ensemble. All UIL participants must perform

their solo/ensemble in class. Students will have limited class time to work on solos. Be sure to check the calendar and keep the contest date clear. There is only one contest date. Sign up and choose a song prior to Christmas break in order to make the contest entry deadline. THE SIGN

Texas State Solo & Ensemble Contest (TSSEC) (May) This is an extra-curricular activity; therefore, students MUST be ELIGIBLE to participate. Students who qualify at the Region 18 UIL Solo & Ensemble contest will be REQUIRED to compete at the

state contest over Memorial Day weekend in May. Dates and times are assigned by UIL and will be announced in early May Any student who cannot participate must speak to the Directors prior to April 1 st. Any student who fails to participate after registration has occurred on April 1st will be required to

reimburse PISD for any costs incurred on their behalf.

Concert & Sight-Reading Contest (April) This is a required contest for all students in the HHS Choir. This is an extra-curricular activity; therefore, students MUST be ELIGIBLE to participate. The director determines who will and will not perform with the Choir at UIL for reasons other than

eligibility. Rehearsals before or after school will be required for all students. Students who are ineligible to

participate in UIL Concert & Sight-Reading Contest are excused from rehearsals AFTER we have performed at the PRE-UIL Concert.

Any student who misses required UIL rehearsals will not be allowed to participate in the contest, at the Director’s discretion.

All-State Auditions (Texas Music Educators Association – TMEA)The All-State Choirs are choirs made up of the best students from all over the state of Texas. The process to get into the All-State Choir is a series of 4 auditions; each audition narrows the field until only a few students remain. Approximately 20,000 begin the process across the state and only 500 actually make one of the 3 choirs (Mixed, Treble, or Men). The first audition is District auditions, followed by Region, Pre-Area, and Area auditions. The students in our Region (Region 18) come from school districts such as: Pflugerville, Austin, Hays CISD, Westlake, Lockhart, Bastrop, San Marcos, and others. Participation in the All-State process is required for all Varsity level students and optional, but strongly encouraged for all JV students who wish to be placed in a higher level Choir in the following year.

At each audition, portions of the required songs are auditioned by every student from every school district. The students audition for a judging panel (hidden behind a screen) of 5 judges. The audition takes about 2 minutes. Each student receives a score for their audition and the highest ranked students in each voice part are selected to go on to the next round of auditions. For each audition the students learn new, required songs. These auditions are held at schools in one of the Region’s districts.

Participation in the All-State process is considered extra-curricular by the State, students MUST be ELIGIBLE to participate in the audition process. For specific requirements refer to the TMEA Auditions Contract to be signed and returned at the mandatory ALL-State Auditions meeting the first week of school.

All-State Camps – Students are encouraged to attend a summer camp to get a head start on the music. Camp dates and information are posted on the links page at http://www.pfisd.net/HHS/choir/.

Texas Future Music EducatorsPISD is beginning a chapter of the Texas Future Music Educators (TFME) which is a student organization formed by TMEA (Texas Music Educators Association). This organization is for students interested in selecting Music Education as a profession after they graduate from HHS. Yearly dues are $15.00 and there is a requirement to attend 4 meetings per year. In addition, there are opportunities to attend music events, perform community service for their on-campus music organizations, learn from music educators currently in the field, attend a portion of the TMEA convention in February

(including college night) and basically hand out with other students across the district interested in being music teachers. See the Choir Director for details.

Student Leadership – Hawk Choir Leadership CouncilThe goal of the HHS Choir Leadership Council Officers is to work together to promote teamwork, maintain a positive Choir environment for all students, and encourage participation in the HHS Choir. Officers are selected by application each spring for the following year. The application is available during the Spring Semester at http://www.pfisd.net/HHS/choir/. Freshmen may apply as Section Leaders after the 1st six weeks of the Fall Semester. Attendance at Officer Meetings, including the Leadership Camp in the summer and Choir events is mandatory.

The HHS Choir Booster Club provides support for the Choir Program. All Choir parents are members if they have a child in the HHS Choir. All parents are invited to attend Booster Club meetings, as noted on the Choir calendar. You may email the Booster President, Mrs. Rebecca Hudson, ([email protected])for more information. A list of the Booster Club Officers and their contact information can be found at the HHS Choir Website at http://www.pisd.net/HHS/choir/.

Parent Volunteers Anyone interested in volunteering with the HHS Choir in a capacity where they will be around student will be required to complete the online application and criminal record check (per PISD policy). To get started go to PISD website, go to the “Parents” tab and then volunteers or http://www.pfisd.net/community/volunteers.cfm You will be taken directly to the PISD registration site. Volunteers will need to register before they can fill out the application. Once the volunteer has been cleared the volunteer coordinators for HHS will be notified as well as the HHS Choir Director.

Letter JacketsProcedures & Policies

Letter jacket points are tracked by the Choir Directors and can be viewed via Charms to check for accuracy.

Students will be fitted for their letter jackets in the Spring AFTER they have achieved 45 points. Fitting dates are scheduled by Student services.

The school does not pay for letter jackets or awards. As of 2011-2012, the choir is not allowed to pay for any amount on letter jackets from our account. Letter jackets are the sole responsibility of the student and parents.

Extra patches and additional or specialized lettering may be ordered and paid for by the student at the time of the fitting.

At the discretion of the director, a letter jacket or letter may be awarded to a 4 year choir member at the end of the junior year. This decision will be based on past year’s participation, attitude, and positive involvement in the choir program.

Remember that director approval is required for all points given.
