Options for the documentation management structure:PBS Proposal

The HiLumi LHC Design Study (a sub-system of HL-LHC) is co-funded by the European Commission within the Framework Programme 7 Capacities Specific Programme, Grant Agreement 284404.

Quality managementThis presentation addresses :

• Product Breakdown structure

It is structured as follows:

• Definition of PBS and WBS

• Introduction to the former LHC documentation structure

• Proposed option

• Demonstrators to help the decision

PBS vs WBS• A product breakdown structure (PBS) is a tool for analysing, documenting and

communicating the outcomes of a project. It provides an exhaustive, hierarchical tree structure of deliverables (physical, functional or conceptual) that make up the project, arranged in whole-part relationship.

• The PBS is identical in format to the work breakdown structure (WBS), but it is used at a different step in the planning process. The PBS precedes the WBS and focuses on cataloguing all the desired outcomes (products) needed to achieve the goal of the project.

• This feeds into creation of the WBS, which identifies the tasks and activities required to deliver those outcomes. The WBS is a hierarchical decomposition of the project into phases, deliverables and work packages. It is a tree structure, which shows a subdivision of effort required to achieve an objective.

PBS defines where you want to go, the WBS tells you how to get there.

What existed for the LHCLHC documentation was handled with EDMS.

In EDMS there were several structures that adapted to the type of information.

None of them corresponded purely to a PBS or a WBS

Proposed optionHL-LHC is a natural upgrade of the LHC and so would be natural to use the same systems and standards for documentation handling

Documents produced for HL-LHC shall integrate the LHC hardware baseline (document types defined on the LHC-PM-QA-202)

For practical reasons we need a documentation structure where people working in the project can easily find the place where to create their documents

It shall be created very soon to avoid key documents to be dispersed in SharePoint or local EDMS structures

In the short term the LHC-PM-QA-202 and LHC-PM-QA-303 quality documents must be updated

Demonstrators to help the decision• Create a “PBS like” structure containing the present WPs

complemented with nodes for the project governance and management

• Develop the WP nodes to fit the needs of the WPs Leaders

• Enforce the approval and release procedure of the document by their “document type” pre identifying documents that shall go to the Hardware baseline.

• Try and learn using this test.

• After the test we can decide that several structures could exist at the same time just by reorganizing the nodes if needed
