Hotel accessibility pack 1 Thank you for considering the Hilton London Gatwick Airport. We are pleased to give you some information about our hotel that you may find useful when planning your visit. Arriving at the hotel There are two entrances to the hotel. The ground-floor main entrance The hotel’s main entrance is on East way. From the drop-off point in front of the entrance, there is a small ramp on the left from the car unloading area up to the pavement. The main entrance has one way revolving door, with two side doors. There are 80 spaces, of which two are for disabled drivers on the immediate left after you enter. From the car park, turn right, and walk back to the hotel’s entrance. In the lobby area of the main entrance (at the bottom of the staircase) there is a phone on the nearside of the pillar (directly in front of the staircase). Please dial 0 for help if you need it. If you need help with luggage, equipment or any guidance, our team of porters and concierge are on duty 24 hours a day. The concierge desk is located in the first-floor lobby to the left of the main reception desk. Thank you for considering the Hilton London Gatwick Airport. We are pleased to give you some information about our hotel that you may find useful when planning your visit. Arriving at the hotel

There are two entrances to the hotel.

The ground-floor main entrance

The hotel’s main entrance is on East way. From the drop-off point in front of the entrance, there is a small ramp on the left from the car unloading area up to the pavement.

The main entrance has one way revolving door, with two side doors. These doors are open during the day and evening after 11pm till 5am you shall request entry by a door bell located on the right side of doors to the hotel. A member of concierge can help you with your luggage on request by the telephone located in the lower lobby just passed the entrance door.

The Euro car-park entrance is on East way, a few metres after the hotel entrance. The car park is on the ground level. We do not operate or control this and so you have to pay a charge. The first floor entrance

Another entrance, for guests arriving from the airport, is at the end of a gently sloping covered walkway.

This entrance has a motion-sensor automatic sliding door.

Follow straight through to the reception desk (signposted), which is in the hotel’s Atrium lobby.

Welcome and reception

There are no steps in the main lobby area. However, there are seven small pillars of differing size in front of the reception desk. The concierge desk, lifts, public and house phones, reception, lobby bar, Amy’s restaurant, toilets, gift shop and a COSTA Coffee are all in the atrium lobby.

If you arrive in the lobby area from the car park and ground floor by the lift, as you leave the lift go to the right, to the check-in desk.

The front desk is to the left of the main lobby if you arrive from the first-floor hotel entrance, between the seven small pillars. In the middle of the lobby is a seating area. To the near and far left of the first-floor entrance are the lifts to the bedrooms. If you continue straight across the lobby, there is a staircase to the Garden restaurant and bar, which you can also get to by using the lift.

The concierge desk is to the left of the reception desk.

The surfaces on the ground floor are carpeted.

The surfaces on the first floor are tiled at the entrance as is the area round the lounge seating area. The floor in front of the reception desk, lifts and seating areas are carpeted.

From the reception area, as you face the reception desk, there are two lifts on the left and two lifts on the right.

Check-in is at the main reception desk, which is 1m 10cm high. However, if you ask, a member of staff will also be able to come to the seating area with a clipboard.

An induction loop is at the fifth check-in point on the reception desk.

If you need a large-print copy of the registration card, we can provide this.

Extra services

If you want to order a newspaper, please contact the reception team. We will deliver your newspaper each day to your room.

You can order a wake-up call through the reception team. Or, you can set a wake-up call in your room using either the phone system or the television.

Every guest room has a guest directory ‘Your hotel guide’ that contains information about the facilities in the hotel. For extra help to use this directory, or for a large-print version, please contact a member of the reception team.

Toilet facilities

There are three sets of public toilets in the hotel. One set is in the ground-floor meeting area, with one separate unisex accessible toilet. There is another set in the Garden restaurant. These do not have specific accessible toilets. The final set is in the main lobby, opposite the reception desk, to the left of Amy’s restaurant. Here there is an accessible toilet cubicle within the women’s and men’s.

You can get to the accessible toilet in the lobby using all lifts to the first floor. The toilet is on the left-hand side as you go towards the entrance of Amy’s restaurant.

You can get to the accessible toilet in the ground-floor meeting area by taking the first-floor lifts opposite the gift shop to the right of the reception desk, down to the ground floor. Turn left out of the lift. Turn left again through two sets of double glass doors (180cm wide each set of doors) which open outward. You may find the doors heavy. If you need help, please contact the duty manager.

Phones

The public phones are in the lift lobby area, to the left of reception. Go into the alcove next to the concierge desk, and the phones are on the wall on the right-hand side.

There are two public payphones, of which one is mounted at a lower level.

Getting round the hotel

All lifts have an announcement system and tactile (markings which can be felt) buttons at the regulation height.

The lifts have mirrors on the right, left and back walls.

There are signs in the lift (above the doors) and around the hotel to let you know where things are.

Hotel shop

The hotel shop ‘Journey’s friend’ is off the lift lobby area to the right of reception on the 1st floor.

Lobby Bar and Atrium lounge

The bar is in the middle of the lobby, and is an open area. There are toilets off the lobby, to the left of Amy’s restaurant, opposite the reception desk. These toilets have an accessible toilet cubicle.

Garden restaurant and bar

The Garden restaurant and bar is on the ground floor, to the right of the hotel entrance (if you are arriving by lift) or to the left of the hotel main entrance (if you are arriving from the car park and drop-off area). You can get to the Garden restaurant and bar from all floors and the hotel lobby by lift. You need to get off at the ground floor.

As you leave the lift, the entrance to the restaurant is in front of you past the main entrance. Double doors lead into the bar and restaurant. You may find the doors heavy. If you need help, please contact the duty manager.

The bar is in front of you, and the restaurant is to the right. There are no ramps or steps.

The bar and restaurant area are carpeted, and the entrance area has a laminated surface.

Amy’s restaurant and bar

Amy’s restaurant is on the first floor, just off the hotel lobby opposite the reception desk.

You can get to the first floor by lift from all floors, or an escalator from the ground floor or main entrance.

When you leave the lift, the entrance to the restaurant is in front of you across the lobby past the bar. There is no door to the main entrance of Amy’s, where you will arrive in a bar area. There are three steps down into the restaurant.

Or, to the right of Amy’s restaurant, before you arrive at the lobby toilets, there is an entrance door with ramp access straight into the restaurant.

The bar area has a wooden floor, and the restaurant, starting at the base of the ramp and steps, has a carpeted floor.

Livingwell express

The hotel has a fitness room on the first floor, to the left of the first-floor entrance (as if you were leaving towards the airport).

Take the lift to the first floor. The entrance to Livingwell express is to the left of the first-floor entrance, just after COSTA coffee.

There is nobody on duty in the fitness room. However, there are surveillance cameras, which are monitored by reception.

To get into the fitness room, please insert your room key card.

The doorway into the fitness room has wooden doors. We can help you with these if you need us to.

The floor in the gym is rubber laminate.

The gym has three treadmills, one cycling machine, one multi-trainer, one upper-arm trainer, one leg press, two exercise mats, one abs trainer. The machines are in front of the window/wall and there is an aisle down the middle of the room.

We provide towels and exercise leaflets at the back of the gym on the shelving unit.

We also provide a water dispenser.

If you need help, there is a red-alert cord available to the left of the doors, above the exercise mats (if you are facing the doors from inside the gym).

The business centre

From the ground floor facing the main stair case you turn left into the business centre entrance, walk down the hall way and you will come a brake out area where the business centre office is located This area is carpeted.

The business centre has someone on duty from 7am until 7pm, Monday to Friday. Please contact reception if you want to use the services at any other time.

Reception will also be able to arrange for any photocopying services.

The business centre has a small desk with two PCs – one with internet access, one with Microsoft Office.

There are three more PCs with internet access at the far end of the lobby past Amy’s restaurant just after the lobby toilets.

Conference facilities

We have 21 meeting rooms.

The following four meeting rooms are on the ground floor opposite the Garden restaurant and bar, to the right if you are entering from the main entrance, or to the left if entering from the lifts. These rooms are all on the same level in a self-contained carpeted Ascot foyer with its own, toilets (including an accessible toilet) and bar.

The Ascot Suite – which we can be divided into three meeting rooms.

The Lingfield, Windsor and Goodwood suites. These rooms have natural daylight.

The following meeting rooms are smaller with natural daylight, and are on two corridors on the Ground floor, just off the lower lobby and near the business centre. The rooms are on the same level as the ground floor. Entrance to all meeting rooms is level.

See below for a description of each specific meeting room:

The meeting rooms and the foyer areas are all carpeted.

Hotel key contacts are listed with phone number if you need help.

You can arrange to hire audio visual equipment before your event. Please let the conference and banqueting sales person know when you are making your booking.

You can see the measurements of the rooms, and where the power points, phones and so on are, on the floor plans.

A hearing induction loop and microphones are available for use in the Ascot Suite.

The Ascot Suite (can be divided into Ascot 1, 2 and 3)

This room is on the ground floor, one level down from reception, but near the hotel’s main entrance.

From the lobby go to the first-floor lifts by the gift shop to the right of the reception desk. Choose the ground floor, and turn left out of the lift. Turn left again through two sets of double glass doors (each set are 180 cm wide) which open outwards - you may find the doors heavy. If you need help, please contact the conference and banqueting operations team or the duty manager.

Continue straight past the toilets into the Ascot Foyer and turn left where you will find the Ascot Suite. In the middle of the foyer area there are two pillars. However, they are not next to the meeting-room entrance.

The Ascot Suite has three sets of double doors, which open outwards.

There are two pillars in the Ascot Suite, which are hidden if the room has been split up into sections.

The light controls are at the far side of the suite. However, we will already turn these on for you. If you need help to control the temperature or have any extra needs, please call your conference and banqueting porter or duty manager.

In the foyer of the ground-floor meeting rooms, there is a bar to the left, with a high service counter and 9 high-level cocktail tables scattered around. We can remove the cocktail tables and set up another bar and seating area if this helps.

Windsor, Lingfield and Goodwood Suite

These rooms are off the Ascot Foyer on the ground floor opposite the Ascot Suite, one level down from reception, but near the hotel’s main entrance.

From the lobby, go to the first-floor lifts by the gift shop to the right of the reception desk. Choose the ground floor, and turn left out of the lift. Turn left again through two sets of double glass doors (180cm wide each set of doors) which open outwards. You may find the doors heavy. If you need help, please contact the conference and banqueting operations team or the duty manager.

Continue straight past the toilets where you will find the Windsor first on the right and the Lingfield second on the right. The Goodwood Suite is at the far-right hand of the foyer, after the Lingfield Suite.

In the middle of the foyer area there are two pillars. However, they are not next the meeting-room entrances.

The rooms all have double doors that open outwards.

All rooms have natural daylight, but we can use black out curtains if you wish to block out the light.

The drinks fridge is low level.

On the cupboard, you will find a telephone, candy dispenser, stationery box, fire-evacuation instructions, a card containing details on the business-centre facilities, and useful phone numbers if you need help, which you may need during your meeting.

In the Windsor suite the cupboard is on the near left as you enter.

In the Lingfield suite the cupboard is on the far right of the room with a wardrobe on the right of the entrance.

The following meeting rooms are in the left-hand corridor (if you are leaving the business centre). Epsom

This room has two doors which open inwards. You can open these fully to allow access for a wheelchair.

The cupboard is on the right as you enter, and the wardrobe on the far right.

Meeting rooms 3

The wardrobe is on the left of the room, and the cupboard is on the right.

Meeting Rooms 4

The wardrobe is on the right, and the cupboard is on the left. Meeting room 5

Although this room is smaller than meeting room 6, the layout is similar. So, as you walk into the room, the wardrobe is on the right. To find the cupboard, head towards the left of the room, turn the corner to the left and the cupboard is straight in front of you.

Meeting room 6

As you walk into the room, the wardrobe is on the right. To find the cupboard, head towards the left of the room, turn the corner to the left and the cupboard is straight in front of you.

Meeting room 7

The wardrobe is on the near left, and the cupboard is on the near right.

As you enter the room, the wardrobe is on the right of the room, and the cupboard is on the left.

The following meeting rooms are in the right-hand corridor (if you are leaving the business centre). Boardroom

For guests using the meeting rooms on the ground floor, there are toilets near the entrance of the Ascot Foyer.

The accessible toilet has a door wide enough to allow a wheelchair to pass through. There is a pull-cord light switch to the immediate right of the entrance.

There is a concertina door which you pull across. Directly in front of you is a raised toilet, with grab rails either side. An emergency pull cord is on the right, and the sink is on the right.

There is enough space for a wheelchair to pull up next to the toilet.

For guests using the meeting rooms on the first floor, there are accessible toilets at the far end of the lobby, opposite the reception desk and to the left of Amy’s restaurant.

Bedrooms

We have eight accessible Hilton guest rooms, six with a bathtub and two with a walk in shower (with bath tub: four doubles and two twins, of differing size and facilities; with walk in shower: two doubles).

The accessible rooms are on the first floor and third floor.

One twin accessible room connects to a standard double room.

All accessible and adapted rooms have the following. However, we provide details further on in this pack. Two emergency buttons (bedroom and bathroom by the toilet) A red warning light in case of an emergency A lower bathtub with a height-adjustable shower attachment Lever-style taps on the sink and bath Handrails in the bathtub and on either side of the toilet

We can add the following equipment to any room in the hotel for you to use. A bath seat An inflatable cushion to help get in and out of a bath Non-slip mats Vibrating alarms – to place under a pillow to warn of an emergency.

Your room will have a chair at the desk, a ‘comfy’ chair and a coffee table. If you need more space in your room, we can remove any of these items. Please contact either reservations, before your stay, or housekeeping once you have arrived at the hotel, to arrange for furniture to be moved.

Our rooms do not have windows that open. They are also double-glazed to block out sound.

The wall-mounted thermostat can control your room temperature.

All these rooms are non smoking.

In the Event of Emergencies:

The Hotel operates a system of PEEPs (Personal Emergency Evacuation Plans). On check-in to the Hotel, you will be offered the opportunity to discuss and outline any special requirements or assistance you may need should an evacuation of the Hotel be necessary as a result of a fire or other emergency.

You will be given a copy of this Emergency Evacuation Plan and we will keep a copy for our Hotel Fire Team to refer to in case of an evacuation taking place during your stay.

The Plan will specify which of our Team Members will be designated to assist you, should you require this.

Should you have any concerns regarding emergency evacuations, please speak to the Duty Manager.
