How to Setup a CBE Portal Account (Site Liaisons ONLY) Step One (For Site Liaisons ONLY)
1. To set-up your CBE Portal account, contact Donna Michael at [email protected]. Include in the
email your name, work email address, role (site liaison) and facility’s name.
2. Expect to receive an email from [email protected] with your username and temporary password.
3. Click on the following link: https://www.icomphosting.com/CBE
4. Follow provided instructions to access the portal.
Step Two (For Site Liaisons ONLY)
5. Create User Profile
• Click on User Profile Tab
• Update your password to something you will
remember
• Fill in the required information (including contact
information and upload your resume)
Setting up Access to CBE Portal SUMMARY Site Liaisons ONLY:

Rotation Learning Plans
Below are the 3 steps to locate the rotation learning plans in the CBE Portal:
1. Go to the Main Menu tab and click on Learning Plan.
2. Select your interns name to access the assigned LEARNING PLANS.
3. Choose the appropriate learning plan rotation: clinical, management
or community rotation.
Preceptor Responsibility: As a preceptor you must be ready for the rotation you precept. You can have the intern work
with other members of your team to complete the activities as appropriate. For example, the production rotation has
several activities related to the ordering of food. As the preceptor overseeing the rotation, you do not have to walk the
intern throughout the activities, unless it’s your actual job responsibility. If you have someone else completing the food
ordering process, schedule the intern with that individual to complete the activity.
MS Interns: As you look through the rotation learning plans, you will see a few activities with an asterisk in front of the
assignment. This indicates an activity that does NOT need to be completed by the University of Alabama MS Degree
interns. The MS interns will have these assignments already incorporated into their UA degree program, so to
acknowledge programs overlap and avoid duplication, these internship activities in the portal will not be required by the
MS students.
Step by Step: Navigating a Rotation Learning Plan
Let us walk through each of the steps to access, review and practice using one of the rotation learning plans: Food
Service Management.
1. Click on your assigned intern’s name
2. Click on the ‘FS Management Rotation’ learning plan
3. Hover and click on each of the listed activities to learn more about the intern’s rotation assignments. NOTE: A
down-loadable document is attached to an activity if it turns purple when you hover over it.

5. Hover over the blue ‘I’ icon to get additional instruction or information about the activity.
6. On the first day of the rotation, the intern will provide the preceptor with a HARD COPY of the Food Service
Management rotation learning plan. You will also find an electronic copy in the CBE Portal (located as the first-
or second-line item in each rotation learning plan). Example:
7. IMPORTANT TO REMEMBER:
a) You are expected to use the hard copy of the rotation learning plan to confirm and check-off each
activity completed by the intern. Example:
b) The intern is responsible for keeping the official hard copy with both their and preceptor initials /
completion dates. The intern will upload the completed document into the portal at the end of the
rotation (Clinical, Management or Community).
c) The CBE Portal will only list activities that need to be uploaded by the intern. NOTE: The regional
internship director &/or program assistant will be responsible to mark these ASSIGNED activities as
COMPLETED in the portal.
You are responsible to make sure the intern has the opportunity to complete all activities listed on the
HARD/ELECTRONIC COPY of the Rotation Learning Plan. However, you are not responsible for working one-on-one with
the intern for all of the activities.
Rotation Learning Plan Video and Policy
Take the time to view the Navigating the Portal: Accessing Rotation Learning Plans video and read the Rotations policy.
Preceptors should be familiar with the activities an intern needs to complete while working with them. When precepting
interns, preceptors are responsible for showing an intern how to complete activities on the learning plan rotations or
help them identify someone who can help them complete the activities. Preceptors should always let the intern observe
a new activity, participate in the activity with supervision, and then perform the activity independently to help build the

intern’s confidence, knowledge, and skill set. Being familiar with all of the required rotation activities will help a
preceptor set-up the rotation.
As the preceptor, it is important for you to review the learning plan documents to become familiar with the activities
your assigned intern will need to complete.

Steps to Review & Approve Rotation Hours
1. Click on Main Menu 2. Click on Rotation Schedule 3. Select Assigned Intern’s Name
4. Select Rotation to Review
5. Select the Date intern was at Rotation Site
6. Review ‘Actual Time’ Intern Submitted and click on ‘Approved’ or ‘Rejected’ button. Once you’ve approved the
interns time, the system will show the entry as COMPLETED hours
7. Remember to click on the SAVE Icon

Steps to Review & Approve Multiple Dates and Times
1. Click on ‘Multiple Paper’ icon
2. Select all of the rotation dates that the intern completed under the ‘Multiple Rotation Editor’
3. Click on ‘Approved’
4. Click on the SAVE icon to save updates
REMEMBER: Preceptors are required to approve intern’s rotation hours on-site. The intern will enter their actual work
hours initially and then the preceptor will review and either approve or reject submitted hours. The approval process
may be done daily or at the end of each week.

EVALUATION OF INTERNS REMINDER: Access to the CBE Portal: https://www.icomphosting.com/CBE

Evaluation of Interns
Below are the 4 steps to locate the Evaluation of Interns learning plans in the CBE Portal:
1. Go to the Main Menu tab and click on Learning Plan.
2. Select your interns name to access the assigned Learning Plans.
3. Choose the appropriate learning plan rotation: ‘Evaluation of Interns’.
4. Select the appropriate rotation being evaluated (Clinical, Management,
or Community). NOTE: Both the survey monkey link and a PDF copy of
the evaluation will be listed for each rotation.
Preceptor’s Responsibility: The rotation's primary preceptor will be responsible for the
evaluation of the intern’s development of professional attributes and competency to
practice during the rotation. Ideally, if more than one preceptor worked with an intern
during the rotation, then the preceptors should collaborate in completing the evaluation
and reviewing with the intern. It is recommended to print a copy of the PDF evaluation BEFORE the rotation begins, in
order to become familiar with the rotation’s performance expectations.
Intern’s Responsibility: The intern should have provided a paper copy of the evaluation form to their primary preceptor
on the first day of the rotation to help the preceptor be aware of items on the evaluation. The intern should print a copy
of this evaluation from the Portal and complete an honest self-reflection of their performance to discuss with the
preceptor during the review.
Completing the Survey: If the preceptor took notes on the PDF paper copy, then they will want to have this available as
they fill out the electronic evaluation form. Survey Monkey will not allow a preceptor to exit and come back to the
evaluation, therefore; the electronic evaluation must be completed in one sitting. A time should be scheduled to meet
with the intern on the last day of the rotation to discuss their performance, complete the electronic evaluation together,
and set goals for continued intern improvement. Please review each professional attributes and competency statements
within the survey to evaluate if expectations were met, using the following definitions and ranking scores:
