How to Secure Print to a Sharp Copier (Legacy Models)

If you have ever had to print a document that you need to keep confidential, this guide will tell you

how to do it.

There are 2 ways to Secure Print to Sharp Copiers. The first is one-off Secure Print.

The second is if you need to constantly send confidential prints to the machine, confidential prints to the machine,

You can setup a custom folder to send your prints to.

First up: One-off Secure Print

In your program, go to “File” then “Print”

The print window will appear. Next to the selected printer, click on “Properties”

The “Printer Properties” window will open. Click on the “Job Handling” tab at the top of the box.

In the “Job Handling” tab, check “Retention” then “Hold Only”. Then click on “OK”. You can also add a 5-8 digit PIN if you wish by checking “Password” and

filling the little box below it with your PIN.

You will then be back at the “Print” window. Click on “OK”. Some programs will say “Print” instead in the same place. Your print

job is now at the printer.

At the copier, click on “Document Filing”

In “Document Filing”, click on “Main Folder”

This is where you will see your print job listed. Just select it on the screen. If you added a PIN, the copier will prompt you for it.

You can the choose “Print”, “Move”, or “Delete”. Selecting “Print” moves to the next screen.

Here you can now chhose options for printing, such as stapling, by clicking on “Output”. 2-sided as well with it’s own button. Select the “Number of Prints” using

the arrows. Then click on “Print and Delete the “Data” button.

Your print job will now print!

If you need to setup Secure Print on a more permanent basis, the rest of this guide will

assist in it’s setup.

First, please refer to our guide titled “How to Find a Sharp IP Address

(Legacy Models)”. You will need the (Legacy Models)”. You will need the IP address for the first part of this

setup.

Once you have the copier’s IP address, open up a web browser and put it in the address bar. The machine’s web should open up. It will look like the picture above. On the left side, in the list of links, select “Document Operations”

It will open up a sub list. Select “Custom Folder”, Then in the main page click on “Add”

In here you can setup your folder for Secure Print. Fill out the “Folder Name”, then “Initial of Folder”, there you should use the lowercase letter of the your

name. You can also add a pass code to open the folder. Put a 5-8 digit number in the “Password” box. Then click on the button next to “Administrator” under

“User Name”. Then click on “Submit”. If you are setting up more than one person for Secure Print and need more folders, click on “Submit and Register Next”. It

will open up a blank form for you. We now move on to setting up the print driver to send prints to your folder.

At you computer, search for “Control Panel”. If you don’t have a search box, right click on the Windows Logo in the bottom left corner and select “Search”

When the Control Panel opens up, make sure the “View by” is set to “Small Icons”. This is a dropdown box. Then select “Devices and Printers”

In the “Devices and Printers” window, right click on the printer, and select “Printer Properties”. It will be about halfway down the menu.

The printer’s properties will open. Click on the “Advanced” tab.

In the “Advanced” tab, click on “Printing Defaults”. If this is greyed out, you will need the assistance of your IT staff. They, with this guide, should

be able to complete the setup.

The printer’s driver window will pop up. Click on the “Job Handling” tab.

In the “Job Handling” tab, Check the “Retention” box, then click on “Hold Only”. In the “Document Filing Settings”, click on “Custom Folder”, then click on

“Stored To…”. It will open a new window.

In the “Stored To” window, click on the “Get Folder Name” button, then select your folder name. If you added a password to your folder, enter it in the “Folder

Password” box. Then click “OK”

You are now back in the “Printing Defaults” window. First click on “Apply”, then click on “OK”. This will take you back to the “Printer Properties” window.

Click on the “General” tab. Then click on the “Preferences” button. This will re-open the driver window. Check the “Job Handling” tab to

see if all of the settings are the same as we just setup. If not, follow the same setup from same point that you last saw the driver window (4-5

pages ago).

Congratulations! You are now setup for Secure Print.
