Flagstaff’s Volunteer Information Center Web Portal (VicNet) Reference Guide Flagstaff’s VicNet allows you to view and manage your volunteer schedule; sign-up for volunteer openings; print your schedule; update personal information; post volunteer hours; receive news and messages from the volunteer office; check your volunteer service history; print service reports, and change your VicNet password.

Logging into VicNet Access Flagstaff’s VicNet login page by going to Flagstaff’s Volunteer webpage: http://www.flagstaffacademy.org/how_to_help.html

Once you access the webpage and click on the link, the VicNet will display a login page:

Enter your email address in the Login name field.

Enter your password In the Password field.

*If you forget your password: Click the "Forgot your password?" link on the login page. You will be prompted to enter your email address, and click the Go button. If you continue to experience difficulty accessing your information, please contact Flagstaff’s Volunteer Coordinator for further assistance.

Navigating VicNet The following information explains the basic purpose of each tab and provides visual examples of how such a tab might look.

Home tab Upon logging into VicNet, you will be on the VicNet Home tab. The following image is an example of what a VicNet Home tab might look like:

Instructions Heading: Information on how to navigate VicNet will appear here.

News Heading: Important messages or announcements will appear here.

Your Assignments Heading: Any volunteer jobs you are signed up for will appear here. This will include completed jobs.

My Profile tab

The Profile tab lets you update your personal information. There are several sections of the Profile tab. The following are examples and descriptions of each section.

Contact Information

In this section you can verify and update your contact information.

Additional Information

Here we ask that you provide us with information that will help make the best of your volunteer experience:

Demographics

This information is optional but does help us get a better idea of the demographic make-up of our volunteers.

Employer

This information is very important to the school. The data we gather here helps us in acquiring employer matching funds and becoming eligible for various grants.

Skills & Experience

Tell us a little more about you! This information is assists us when we are looking for volunteers with specific skills.

Availability

In this section you should specify the times that you have available for volunteering. Teachers and event coordinators will be able to see this information to help them find volunteers.

Assignment Preference

Selecting your preferences is an essential step in managing your volunteer opportunities.

The preferences you select not only tell us what volunteer assignments you are interested in but these settings are what allow you to access the job openings for those assignments.

The list is in alphabetical order and is long! All teacher assignments are listed by the teacher’s last name. PTO events begin with “PTO”. You can change your preferences as needed. New assignments may be added throughout a school year so you should review this list occasionally.

Emergency Contact

Here you will list the person we should contact in the event that there is an emergency involving YOU.

My Schedule tab My Schedule tab allows you to manage your schedule of volunteer assignments. Volunteer openings for assignments that you have indicated as a preference (on the My Profile tab) will be shown here. In addition, all of your scheduled volunteer jobs will appear here.

There are several things that you can do on this tab:

Sign-Up for a volunteer opening

Check the box next to each volunteer opportunity you are signing up for.

Select the continue button to schedule yourself.

You will see a volunteer confirmation similar to this:

Print your schedule

Select this button to create a printable version of your schedule. The report will list all of your scheduled volunteer assignments. Here is an example:

Click on the printer icon in your web browser to print the report.

Remove yourself from a scheduled volunteer assignment

Click this button to remove yourself from the schedule for a selected volunteer assignment and date. You will only be allowed to remove yourself from a scheduled volunteer assignment if it is more that 7 days prior to the date of the assignment.

My Service History tab

On this tab, you will see the records or your service or the total number of hours you have served for Flagstaff. Flagstaff requires each FAMILY to volunteer 30 hours per year. You can track your progress toward the 30 hour goal here. Keep in mind that this will show volunteer hours for an individual, NOT the entire family.

Here is an example of what a My Service History tab might look like:

Click on the year to drill-down into that year’s service records.

Select an entry to drill-down to specific details about that volunteer service.

Here is an example of the details that will be displayed:

Select this button at anytime to create a printable report of the service history details that you are viewing on the screen. Once the report is displayed click on your web browser’s printer icon to print.

Time Sheet tab If you have performed volunteer service offsite and were not able to use the volunteer sign-in kiosk at the school then you are expected to enter your hours online. The Time Sheet tab is where you will do so.

Select the date of service from the drop-down.

Select the volunteer assignment that you are entering hours for from the drop-down. If you do not find the assignment you can leave this blank.

Enter the hours and minutes your served.

Click on the button.

The Account tab

The Account tab is where you can change your VicNet password.

The Account tab looks like this:

To change your password:

Enter your current password in the box.

Enter your new password.

Confirm your new password by entering it again.

Click on the button.

Exiting Flagstaff’s VicNet

Click on the button. It is located at the bottom of every tab.
