    EXCEL TEMPLATES were developed by McGraw-Hill/Irwin to accompany ADVANCED

    ACCOUNTING, 11th Edition, by Hoyle, Sh!e"e# !nd Do$%ni&' It is designed to provideyou, the student, with experience in using microcomputers in accounting by working selectedproblems at the end of chapters, using spreadsheet templates developed for xcel! "he purposeof this guide is to provide general software operating instructions as well as to provide specifichelp in completing xcel "emplate problems! "he guide is divided into five sections#

    U(in) E*el+"his section is an abbreviated guide to using xcel spreadsheetsoftware! It is not meant to be a comprehensive user$s manual% rather, it is anintroduction to the terminology, features, and keystrokes necessary to work withxcel "emplates!

    'n xcel spreadsheet is a grid of )*,+ rows and .* columns that allow you to enter and

    manipulate numbers and text and to create graphs!

    "he intersection of a column and a row forms a cell! ach cell has an address composed

    of the column letter and the row number! It is displayed on the left side of the formulabar! 2or example, cell 6 is located at column 6, row !

    ' range is one or more contiguous cells that have been selected! It is identified by theupper left and lower right cell addresses separated by a colon! 2or example, ')#2) isthe rectangular block of cells covered by this address range! Many features in xcelre4uire that a range of cells be selected before performing an action!

    :ata can only be entered into one cell at a time! "his cell is referred to as the active cell,recogni(able by a heavy border surrounding it! "he mouse, arrow keys, and various keycombinations move the active cell around the spreadsheet! "he active cell$s address is

    displayed on the left side of the formula bar!

    6lick and drag the mouse to select a range of cells!

    6lick on the letter at the top of each column to select the entire column! 6lick and drag across theletters to select more than one column!

    6lick on the number along the left side of the document window to select the entire row! 6lickand drag up or down the numbers to select more than one row!

    Hold the 6trl key and click on various cells, column letters, or row numbers to activate non-contiguous cells or cell ranges!

    "o select a contiguous range of cells, click on the upper left cell of the range! >ext, press the=hift key while clicking in the lower right corner of the range!

    "o move to a particular cell in the spreadsheet, choose Edit Goto or press the 2 function key tobring up the Goto dialog box, and enter the desired cell address in the Reference box!

    CELL POINTER MOVEMENT USING THE E04OARD

    In addition to using a mouse, you may also use the keyboard to move around the spreadsheet0refer to "able )3!

    6lick the =tart button, point to Programs, and then click on the Microsoft xcel program icon!

    Aith the keyboard, you may access themain menus by pressing the 'lt key andthe underlined letter of the menu item0e!g!, 'lt-2 will display the 3ile menu3!"hen use the up and down arrow keys

    to highlight the desired option andpress B>"1C to activate it, orpress the underlined letter of the option!

    Items on a menu followed by ellipses 0!!!3 will display a dialog box where more actionmust be taken to complete the option! Items without ellipses will execute immediately!

    3ORMATTING CELLS

    6ells may contain values, formulas, functions or text!

    9alues are usually entered as numbers! Ahen entered into a cell, values are right ustifiedby default! "his data can be used in mathematical calculations!

    "o enter a numeric value, select a cell or range of cells, type the number, then press

    B>"1C! >umeric formatting in xcel is applied to a cell or range of cells rather thanto the data itself! Ahen a value is placed in a cell, it will be shown with the current cellformatting! If you want the number ).+ in a cell to represent dollars, type 1234 and

    press B>"1C, then apply formatting to the cell 0refer to "able . in the 2ormatting6ells section above!3

    NOTE# ;ou need not enter (eros after the decimal point! xcel will handle this foryou based on the number of decimal places specified when setting thenumeric format for the cell!

    2ormulas perform mathematical calculations on the numerical contents of a cell or rangeof cells! 'll formulas must start with an e4ual sign 03! 8elow, "able + lists the

    1e-entering the data in a cell is one way to edit a cell! ;ou may also select the desired cell and

    click inside the 2ormula bar to place your cursor in the cell contents! In addition, you may pressthe edit function key 02.3, or double-click on the cell to edit data directly in the cell!"able * shows keyboard movement that assists with editing#

    INSERTING COLUMNS AND RO/S

    5se Insert to add blank cells, ranges of cells or entire blank rows or columns! xcel shifts theother cells of the worksheet to make room and adusts references in formulas to reflect the newlocations! xcel applies appropriate formats to the inserted cells if the surrounding cells have

    formatting! 1ows are inserted above the active cell0s3 and columns are inserted to the left of theactive cell0s3!

    =elect a cell or range of cells below 0or to the right3 where the row0s3 or column0s3 is tobe inserted! 6lick Insert, then 6olumn or 1ow! xcel will insert an entire blank row orcolumn in the worksheet! If more than one cell was selected across a row or down acolumn then a corresponding number of rows or columns will be inserted!

    =elect a cell or range of cells below 0or to the right3 where the partial row0s3 or column0s3is to be inserted! 6lick on Insert, 6ells! "he Insert :ialog box will appear! 6lick on =hift6ells :own to insert a partial row or =hift 6ells 1ight to insert a partial column and clickon ?@! If more than one cell was selected across a row or down a column then acorresponding number of cells will be inserted!

    Note+;ou may also access the Insert command from the shortcut menu by pressing theright mouse button inside the selected range of cells!

    SORTING

    =orting is used to rearrange data in the worksheetusing sort keys! "he first sort key sorts all of the data,the second and third sort keys sort within the previouskey! "o sort rows using up to three columns as yoursort keys, select a cell in the list to be sorted! 6hoose=ort!!! from the :ata menu! "he sort dialog box willappear 0see 2igure *!3! xcel automatically highlightsthe contiguous data cells, and uses them as the list tobe sorted! Indicate whether your list has header rowsby clicking the correct option at the bottom of thedialog box! >ext, select the first sort key from the=ort 8y dropdown menu! If you want to sort on morethan one key, make your desired selections from oneor both of the "hen 8y dropdown menus!

    "o sort lists with headings positioned to the left of the data, you will click ?ptions from the =ortdialog box, then choose =ort Reft to 1ight from the ?rientation options! 6lick ?@, and then

    If the file already has a filename, when youchoose 3ile, Save, the file will be savedautomatically using the existing filename! "hisalso occurs if you click on the =ave button on thetoolbar!
