1 Getting to know HP Web Jetadmin 10.1

As business infrastructures become increasingly complex, managing printing and imaging peripheralsdevelops into a major challenge. It is often difficult to obtain a global perspective on the quantity andcapabilities of your company’s printing and imaging devices. In addition, as the number of yourperipherals increases, so do your support and maintenance responsibilities. HP Web Jetadmin 10.1offers a solution to these challenges.

HP Web Jetadmin 10.1 is a simple printing and imaging peripheral management utility for remotelyinstalling, configuring, and managing a wide variety of HP and non-HP network peripherals via yourMicrosoft® Windows® desktop. Rest assured that HP Web Jetadmin 10.1 and your network-connectedperipherals are well protected with advanced security features, including Microsoft .NET platformtechnologies, Windows Active Directory integrated role-based user authentication, Simple NetworkManagement Protocol (SNMP) v3.0, IPsec device configuration, and a secure online update feature.

Comparing versions 8.1 and 10.1HP Web Jetadmin 10.1 has many significant improvements compared to HP Web Jetadmin 8.1. Inaddition, some features that exist in HP Web Jetadmin 8.1 are not included in HP Web Jetadmin 10.1.Some of these are considered discontinued features and will not be available in any future versions.

Installation and setupWhen you install HP Web Jetadmin 10.1, you only need to install it on one hardware platform that meetsthe recommended minimum requirements and is centrally accessible on the network (for moreinformation on system requirements, please see Technical specifications on page 50). You may thenaccess the software from any supported Windows desktop on the network. You must use an HP WebJetadmin 10.1 authorized domain user account (for more information on how to set up domain useraccounts, please see Active Directory domain users and groups on page 35 and User roleson page 35.

Easy migrationHP Web Jetadmin 10.1 offers a new migration tool so you can enjoy a smooth transition from versions8.1, 8.0, or 7.8. Settings and data from versions 8.x or 7.8 can be applied to HP Web Jetadmin 10.1.The migration tool provides the ability to upgrade HP Web Jetadmin on the same host or to migratesettings from an alternate host.

Most settings and data will be retained during migration. The following table shows which settings anddata can and cannot be migrated to HP Web Jetadmin 10.1 from one of the three previous versions.Since the HP Web Jetadmin 10.1 architecture is different from previous versions, some settings will notbe retained.

License agreementRead the License Agreement and select I accept the license agreement to begin installation of HP WebJetadmin 10.1.

HTTPS NotificationHP Web Jetadmin uses encryption based on .NET to provide authentication and privacy between theHP Web Jetadmin 10.1 client and the server. If you require HTTPS server authentication, please seeHTTP port on page 35.

File locationYou may choose the location for the files during installation or use the defaults chosen by HP WebJetadmin 10.1.

ConfirmationBefore the installation begins, the installer will confirm the HP Web Jetadmin version and the locationsof the installation, update service, and shortcut files. When you click Install, the installation begins.

NOTE: If .Net 3.0 SP1 is not detected, the software will provide assistance in installing .Net 3.0 SP1.

SQL 2005 Server ExpressSQL 2005 Server Express installation is performed as part of the HP Web Jetadmin 10.1 installation.OSQL and other commands install the base SQL components and the HP Web Jetadmin 10.1 databaseinstance. This instance is named HPWJA (data engine).

Installing HP Web JetadminDuring the final step of the HP Web Jetadmin installation, a progress bar tracks the progress of theinstallation. This may take several minutes. When the installation is complete, a Results window isshown. When this window is closed, you will be asked if you want to run HP Web Jetadmin 10.1.

Once the installation is complete, HP Web Jetadmin 10.1 can be launched from a supported browserby entering the hostname or IP address of the computer on which it is installed, followed by the portnumber and path. For example, HP Web Jetadmin 10.1 can be activated on a supported Windows

desktop with the URL (http://myhost/:8000). Typical default port numbers for Web services have a valueof 80. Since HP Web Jetadmin 10.1 may be running simultaneously with another Web service on thesame computer, HP Web Jetadmin uses a port number of 8000. If desired, the port value may be altered.However, no matter what the default port number, if SSL is enabled, a redirection will occur to port 8443whenever the default port number is attempted. Once the specified HP Web Jetadmin 10.1 URL isentered, HP Web Jetadmin 10.1 attempts to launch it automatically. The Microsoft ClickOnce installerapplication loads and runs and the HP Web Jetadmin smart client is downloaded and/or updated.

Forexample, in the image below, the Task Module docking area is minimized and the All Devices sectiontakes the space. Repeating these steps will show the module again. Changing screen sizeYou can resize sections on a screen and columns within a section using drag-and-drop. To resize asection, place your cursor on the boundary between two sections. Once the appearance of the cursorchanges, click and drag the boundary to a new location. In the image below, the Device section is madelarger.

Resizing columnsTo resize columns or set the width of a column, click and drag the column marker in the list header tothe desired width. Or, to resize the column to the broadest width required to display the data, double-click on the column header. In the image below, the IP Hostname column is made wider.

Current Tasks and Common TasksThroughout HP Web Jetadmin 10.1, the Current Tasks task module lists those tasks that are includedin each specific area. For example, in Groups, the Current Tasks task module lists all tasks withinGroups.

Within the Task Module docking area, you can choose to show, underneath Current Tasks, commontasks for any area by right-clicking in the Task Module docking area and selecting the tasks you wishto show. This capability provides a way to specify task modules that you use most often to be readilyseen and accessed within in the task module docking area no matter what part of the tree structure youare accessing. In the image below, Reports - Report Generation tasks are being selected to add tothe Task Module docking area. Alerts - Recent Alerts and Alerts - Common Tasks have alreadybeen added.

● Columns Layouts: Create custom views by identifying which columns are displayed for all devicelists (All, Error, and Warning).

● Refresh Selection: Retrieve the data for a selected device directly from the device. This is usefulif you suspect the data displayed for a specific device might be out of date. Refresh Selection isonly available on a device list (All Devices, Groups, and Filters) when one device is selected.You can also access this feature through any device list; select a device, right-click, and thenselect Refresh Selection.

● Preferences: Set preferences for UI Settings, Device Filters, and Device Identification. DeviceIdentification settings provide device information chosen by you to uniquely identify a device, suchas address, device name, and location. The settings are provided when you add or remove a devicefrom a group. Device Identification settings are used for both device groups and supplies groupsand may be different for each group created.

Tools

● Export Devices: Export data representing device attributes to a file to be stored on a disk or sentvia email through SMTP. While many data elements exist within HP Web Jetadmin 10.1, the datathat is actually available on devices will vary depending on model and device firmware revision.

● Device Discovery: Launch the HP Web Jetadmin 10.1 Discovery wizard to begin or schedule anytype of active discovery method.

HelpThis option provides online help for HP Web Jetadmin 10.1. You can read context help or find helpinformation from a list of contents, from an index, or by searching.

Drag-and-drop functionalityHP Web Jetadmin 10.1 has new drag-and-drop functionality that makes creating and editing simple andfast. The following are examples of how drag-and-drop functionality can be used.

● To add devices to a group from the All Devices page, highlight the device or devices and drag-and-drop them onto the group in the left navigation pane (the Groups tree must be expanded).This also works for adding devices to supplies groups.

● To move a group to a different parent group, within the left navigation pane highlight that groupand drag-and-drop it onto the desired parent group.

● To discover a specific device and monitor its status all in one step, drag a device from any devicelist into the Discovery - Quick Monitor task module.

● To list all of the configuration templates, expand Configuration in the left navigation pane and thenexpand Templates. You can drag-and-drop one or more devices onto one of the templates listedunder Configuration.

● To sort the Alert History details by any of the columns listed, drag that column to the top left ofthe page.

Print ManagementPrint Management provides control over remote print queues and drivers. These features can be usedto create, edit, and delete existing queues as well as install or update printer drivers. HP Web Jetadmincan act as a driver repository for deploying new HP drivers onto remote systems. And, PrintManagement features in HP Web Jetadmin use HP’s Universal Print Driver (UPD). For moreinformation, please see Print Management on page 28.

Application ManagementApplication Management allows you to set up HP Web Jetadmin roles and users, get applicationupdates, and discover other instances of HP Web Jetadmin. These features can used to secure accessto HP Web Jetadmin features and ensure that additional functionality, device support, service patches,language support, and more are always current.

For example, you can use Application Management to assign local or domain users to user roles. Arole is a set of permissions for HP Web Jetadmin features. Once a user is assigned to a role, that userwill have access to the permissions designated by the role. For more information, please see Userroles on page 35.

Viewing devicesQuick Device Discovery can be used to find a device based on any of the following network searchableparameters:

● IP address

● IP hostname

Quick Device Discovery initially looks in the HP Web Jetadmin cache to see if the device has alreadybeen discovered. If not, Quick Device Discovery can use the information provided to locate the deviceon the network and add it to the HP Web Jetadmin cache of discovered devices. Once found, thedevice Status page will be displayed.

NOTE: Quick Device Discovery does not work for PC-connected devices.

LayoutsYou can create different layouts to apply to any Device List. At the top of each Device List is aLayouts field with a drop-down list from which you can select any custom layout or default layout orcreate a new layout. The layouts can be:

● Shared: any user can access them

● Private: cannot be accessed by other users

Steps for adding a customized Device List

1. In the toolbar, click View > Column Layouts. The Column Layout Manager page is displayed.

2. Click New. The Column Layout Editor page is displayed.

3. Type the name of the custom view in Name.

4. Select the column to display on the device lists by highlighting it and clicking the arrow buttonsbetween the two lists. To show all columns, select the radio button Advanced. Then select thecolumns as you did earlier.

5. If this view can be seen or used by other users, check the box for Shared (or public).

6. Click OK. The Column Layout Manager page is displayed. The view you just edited is availableto select on the device lists.

Device FiltersFilters are used to limit the content of any list based on specified criteria. Filters can also be applied toother features such as Automatic Device groups.

● Multiple layers of filtering can be created by using AND/OR operators.

● Filters can be stored and also shared with other users.

● There are a few built-in filters that exist when HP Web Jetadmin is first installed.

● Filters can be added as filtered lists in the left navigation pane.

Available actions for filters listed on the Filters menu (accessible from the toolbar) are:

● Built-in: Applies a built-in filter to a displayed device list. Built-in filters include Color Devices,Error Devices, PC-Connected Devices, Ungrouped Devices, and Warning Devices.

● Shared (if there are shared filters): Lists any filter that has been designated as shared in the FilterEditor.

● Private: Accesses all filters that are not shared (as specified in the Filter Editor).

● Clear: Clears filters from devices selected in the device list.

● New: Creates a new filter using the Filter Editor.

● Edit: Edits an existing filter using the Filter Editor.

● Save As: Saves an existing filter with another name to make two filters using the Filter Editor.

● Manage: Creates a filter, edits a filter, or deletes a filter using the Filter Manager.

● Error Devices: Any devices with a severity of Error.

● Warning Devices: Any devices with a severity of Warning.

● New (Last Discovery): Any devices that were added to the All Devices list since last discovery.

● Ungrouped Devices: Any device that is not a member of a group.

● PC-Connected Devices: Any device that was discovered through PC-connected devicediscoveries.

● New (Time Period): Any device that falls into the New state based on the days setting withinTools > Options > Device Management > Device Filters > New Devices Filter.

● New (Manual): List of devices that have been flagged by users as being Acknowledged.Acknowledging devices can be done by right clicking any selection of devices in the All Deviceslist.

Device Lists tabsWithin the All Devices view the following tabs provide information for any highlighted device:

● Status: Get information about device model, IP hostname, IP address, system contact, status ofdevice, and supply levels. You also have access to the Embedded Web Server and the ability toconfigure what is shown on the Status page.

● Config: Access the device configuration settings, with the ability to view the device history andcustomize its configuration settings list.

● Alerts: Group, subscribe, and view the template and alert history.

● Groups: View what groups the device(s) belong to and add new devices to groups.

● Reports: See what devices have been added to data collections, what type of data collections areenabled, and when collection dates are scheduled. Get easy access to generate reports.

● Troubleshoot: Access the device’s Embedded Web Server or HP Instant Support, reset thedevice, toggle the device online and offline, print a test page, or view detailed status, history, andtroubleshooting tools.

Fleet deploymentBy using one peripheral management utility for all of your network-connected printing and imagingdevices, you can do more in less time and turn your attention to other IT matters. HP Web Jetadmin isdesigned to make device discovery, organization, and configuration easy so your business experiencesmaximum efficiency in fleet deployment.

Advanced device discoveryThe discovery feature searches the network for connected devices or PC-connected devices, displaysthe results in a list, and adds the devices to a device cache on the host computer. HP Web Jetadmin iscapable of discovering devices automatically. The discovery feature provides the following advantages:

● You no longer have to manually search for devices to be able to add them to HP Web Jetadmin.

● You can schedule discoveries to run automatically at specified intervals and capture devices asthey are most visible on the network (such as in the middle of a workday), or when off peak networkusage is desired (such as late at night).

● You do not need to be present when discoveries run.

● Without leaving your workstations, you and helpdesk personnel can quickly find specific devicesor those with particular capabilities.

After you install HP Web Jetadmin, run an initial discovery to build a cache of device information. HP WebJetadmin discovers devices in two ways: by sending a query to devices and listening for their responsesand by monitoring the network for SLP signals that the devices send to indicate their presence on thenetwork. The software uses industry-standard SNMP queries to recognize devices and collect deviceinformation.

Network device discoveryThe following table describes HP Web Jetadmin discovery mechanisms:

Local Broadcast: IP Broadcast discoveries Sends a general SNMP request to all of the active devices on the localsubnet.

SLP Multicast discovery Sends a single SNMP request over an HP specific multicast address. OnlyHP multicast-enabled devices respond to this request. You can limit thediscovery mechanism to the local subnet or configure it to cross up to 15routers for remote subnets.

Specified Addresses discovery Searches for all of the devices listed in a host file that you create.

NOTE: The IP Hostname can be used but DNS lookups must be enabled(they are by default).

IP Range discovery Searches for the devices located within a range of IP addresses (multipleIP ranges can be designated). IP ranges can also be uploaded.

Active Directory discovery Searches the Microsoft Active Directory domain for published print queuedetails. Once these are discovered, Web Jetadmin looks within theWindows print queue to determine if the device is network-connected.Discovery settings include AD domain or organizational units.

Listen for new devices (passive discovery) Finds devices without sending active queries onto the network by listeningfor device SLP packets.

Other installations of HP Web Jetadmindiscovery

Searches the network for other HP Web Jetadmin host machines. Theseremote hosts can also have their device list synched with the HP WebJetadmin device list on the local host.

PC-connected printer discoveryHP Web Jetadmin can discover printers connected directly to PCs. This discovery both facilitateslearning about devices that are connected directly to PC hosts and also gathers detailed informationabout those devices when the SNMP Proxy Agent is being used. SNMP Proxy Agent is a small softwarepackage that can be installed onto a PC and facilitates HP Web Jetadmin communications with selectlocally connected HP printers. PC connected discoveries can be performed without the SNMP ProxyAgent being installed onto remote hosts but this type of discovery will only gather a minimal amount ofdevice information. This discovery queries desktop and server hosts in order to find locally connecteddevices. These are devices that are not connected directly to the network, but are connected to the LPTports or USB ports on the local host.

When one of the types of discoveries for PC-connected devices is invoked, HP Web Jetadmincommunicates directly with the remote host in one of two ways:

● By looking for an SNMP Proxy Agent on the local PC. If the agent exists, HP Web Jetadmin beginsto query the device through the proxy in much the same way as it queries devices directly connectedto the network. Through the agent, many pieces of information for select locally connected HPprinters are available, such as status, page count, and supply levels.

● Through WMI (Windows Management Instrumentation). WMI is a Microsoft service that runs onmost Windows operating systems and is used by remote management applications to gatherinformation. HP Web Jetadmin performs a query through WMI on workstations found by way of itsvarious discovery mechanisms. This query attempts to resolve Windows printer model details fordevices that are plug and play compatible. The WMI PC-connected discovery solution does notgather status or other details from the device. The WMI PC-connected discovery also requiresadministrator (local) credentials on each host queried.

NOTE: The SNMP Proxy Agent only works with select HP printers. For more information, visithttp://www.hp.com/go/webjetadmin.

PC-connected device discoveries use different query protocols depending on the method used. Thetable below shows differences in primary and secondary protocols. The primary protocol is used first. Ifcommunication is possible through the protocol, devices are queried. The secondary protocol is usedwhen no communication is attained through the primary protocol.

Grouping devices for easy managementWhen the devices list in HP Web Jetadmin becomes too large to quickly locate or manage devices, itcan be broken into subsets, or groups, in order to manage the devices more easily. Benefits to dividinga large list of devices into groups include:

● Devices are easier to locate when organized into smaller subsets.

● Dividing a list into smaller, logical subsets makes tracking assets easier.

Organize devices according to your specific peripheral management needs. For example, organizedevices by geographic location for simple, logical management. A main group might be named after acity, subgroups might be associated with the city for each building site, and additional subgroups mightbe associated with each building for floors or departments. For asset management purposes, groupdevices based on model type.

Groups are displayed as nested folders under the Groups option in Device Management. Nestedfolders make it easy to differentiate between groups, and to distinguish main groups from subgroups.Click Groups to display all groups. Folders will turn green, red, or yellow depending upon the severitylevel of any one of the devices contained within the group.

Creating groupsGroups can be populated from the All Devices list, another group, or any list that has had an HP WebJetadmin filter applied to it. HP Web Jetadmin has drag-and-drop functionality that makes creating andediting groups simple and fast.

You can add devices manually or you can select Automatic to automatically add devices to groups.Automatic allows newly discovered devices to be added to a group based upon criteria or filters definedfor the group. For example, a filter based on the device model can be assigned to a group and all devicesdiscovered in the future that match the device model name or number will automatically be added to thegroup.

SubgroupsJust as groups of devices in HP Web Jetadmin are subsets of the list of all devices, subgroups aresubsets of other groups and are created to provide organization and structure to more easily managedevices. It is generally easier to work with smaller groups, especially when large lists of devices existin HP Web Jetadmin. Subgroups can minimize wait times for actions to be performed on lists of devices.

Ungrouped DevicesThe Ungrouped Devices folder of the Navigation tree displays devices that have not been added toa group.

Fleet configuration management

Remote installation and configurationHP Web Jetadmin allows you to select multiple devices or groups of devices and change the optionsfor all of those devices at once. For example, you can install multiple devices at once or assign the samepassword to several devices that have already been installed. Spend a few minutes entering theinformation once and then apply it to all selected devices, rather than entering the same informationrepeatedly for each device. It also ensures that redundant information is entered consistently andcorrectly across multiple devices.

These features can be used to create, edit, and delete existing queues as well as install orupdate printer drivers. HP Web Jetadmin can act as a driver repository for deploying new HP driversonto remote systems. In addition, HP Web Jetadmin Print Management utilizes HP Universal PrintDriver.

How it works

Use HP Web Jetadmin Print Management to locate a workstation or server on the network. Once thehost is found, you may add administrative credentials and begin to manage the print queue and driverson the remote host. You can change settings or the driver for existing queues, or add or remove queues.It is important to have local administrator rights on remote systems when performing this managementactivity.

Driver installation

HP Web Jetadmin facilitates driver management. Drivers can be added to the HP Web Jetadmin hostwhich acts as a driver repository. Drivers are installed on remote hosts where queue management isbeing performed. The drivers can be removed when they are no longer the latest revision or no longerneeded. Pre-configured drivers can be applied during print queue management operations or exportedto disk as stand-alone .INF driver install file sets. All drivers installed onto remote hosts by HP WebJetadmin are installed using .INF driver install file sets. They are not installed with any additional softwaresuch as utilities or toolboxes.

Driver pre-configuration

Many HP drivers can be pre-configured, allowing you to define device defaults and feature availability.For example, you can restrict color printing to those who need it, for multiple devices and users. Featuresthat can be set to a particular state for greater resource management include Duplex/Simplex, Portrait/Landscape, Print in grayscale, Print quality, and more. Some of these features can be locked.Typically, PCL5 and PCL6 HP drivers for newer HP devices can be pre-configured in a variety of ways.

To pre-configure a driver, select the driver from the Available Drivers list, then choose the Pre-configure control. This launches the Driver Pre-configuration interface where settings are enabledand disabled.

Enhanced print queue management

Within the Print Management section, HP Web Jetadmin can install print queues and drivers ontomultiple remote hosts. This fleet print queue creation can be done remotely from the HP Web Jetadminclient interface and in one configuration session.

Fleet deployment is often essential for companies that are geographically distributed, and wheredifferent devices or different user rights (such as the ability to print in color) may be implemented. Usingthe Create Queue wizard, drivers can be pre-configured with the proper rights and deployed to theusers’ PCs or laptops without having to travel to the sites.

To create a print queue, complete the following steps:

1. Launch the Create Queue wizard by right-clicking in the Print Management navigation tree or byselecting Create print queue from the Print Management - Common Tasks task module.

2. Select a device from either a group or the All Devices listing. Only one device selection is possible.

3. Choose one or many remote hosts from the Select server screen. Credentials are required foreach host selection.

4. Select a driver and pre-configuration.

5. Name the queue and select from the Share this printer options.

6. Confirm the settings. Web Jetadmin will begin queue creation on each of the designated hosts.

The HP Universal Print Driver – postscript emulation is bundled with HP Web Jetadmin and is installablefrom any create or edit queue interface. HP Universal Print Drivers PCL 5 and PCL 6 can be added toHP Web Jetadmin through Application Management > Product Update. The HP Universal Print Drivercan be pre-configured to define user specified print defaults such as duplex or grayscale. When pre-configured with HP’s Managed Print Administrator or Active Directory templates, these defaults can belocked so users cannot change the settings.

When HP Web Jetadmin creates a queue using the HP Universal Print Driver, the driver and printer(specified in HP Web Jetadmin) are installed in traditional mode, which is similar to a product-specificdriver.

Evaluating fleet deploymentPeripheral management software that boasts multiple capabilities but is difficult to use and configureprovides limited value. To ensure that it is easy to use and offers the features you need, open thesoftware and perform some common tasks. When comparing products, consider the following:

● Can you quickly locate peripherals and discover their capabilities? Can you use the software tolocate devices based on different criteria, such as model or capabilities?

● How easy is it to add new network-connected devices? Does the software include peripheraldiscovery capabilities, or do you have to manually search for devices?

The software includes several features that enable helpdeskpersonnel to remotely troubleshoot devices without having to physically interact with them, which cansignificantly reduce time spent resolving issues. Proactive measures, such as regularly querying forstatus or enabling email alerts, can be enforced so that potential problems can be prevented.

For example, helpdesk personnel can perform the following actions remotely using HP Web Jetadminto troubleshoot a device issue:

● Quickly locate a device with Quick Device Discovery or the Device List Search feature.

● View the status of a device to determine if it is experiencing an error.

● Generate a test page, which acts as a ping test to determine network connectivity.

● Switch the device online and offline.

● Power cycle the device.

● Perform a cold reset to factory defaults.

● View critical diagnostic information, such as firmware version.

● Upgrade supported device or HP Jetdirect firmware.

● Configure network or device parameters.

Locating devicesWhen clients contact the helpdesk with a device issue, helpdesk personnel can use Quick DeviceDiscovery or the Device List Search feature to remotely access device information. Search criteriainclude:

● IP address

● IP hostname

● Searchable lists (any field strings)

Quick Device Discovery first looks in the HP Web Jetadmin database to see if the device has alreadybeen discovered. Once found, Quick Device Discovery highlights the device within the HP WebJetadmin list and displays the device’s status.

Troubleshooting devicesOnce the helpdesk has accessed a device, a variety of troubleshooting options are available to remotelyresolve issues. A significant amount of time can be saved if a problem can be solved without having tophysically interact with a device.

This featurecan also be used to determine whether network communication with the device is possible.

SupportDetermine support options by selecting HP Support (HP Instant Support) from a device’sTroubleshoot tab. This tool provides instant access to reference material that can aid your helpdeskin diagnosing device issues.

Reset OptionsFrom a device’s Troubleshoot tab, select Reset Device to power cycle a device remotely.

Printer Web ServerConnect directly to a printer HTTP server from within HP Web Jetadmin. This provides additional one-to-one troubleshooting. The printer’s Embedded Web Server can be accessed through either theStatus or the Troubleshoot tabs.

Device statusThe status of individual devices or groups of devices can be viewed to determine the current state ofeach device. The status feature allows many warning or error issues to be remotely resolved beforethey are detected by end-users. Device Status can be enabled in device lists, with a column describingthe device condition, by enabling Status through Select Columns. The Severity column (enabled bydefault) uses a combination of color and icons to represent the severity of each device’s status. Thismakes sorting devices easy and facilitates quick and proactive problem resolution.

AlertsAlerts are a very powerful and frequently used feature of HP Web Jetadmin that provide proactivenotification of printing and imaging problems. E-mail message alerts may be sent whenever certainpredefined events occur. For example, error or warning conditions on devices, such as paper out ortoner low, can prompt e mail messages to be sent that contain detailed information pertaining to thecondition, allowing the recipient to act upon that condition immediately. Receiving early notification ofdevice events allows administrators to correct problems before they impact end user productivity.

HP Web Jetadmin attempts to provide the message that appears on the control panel of the device inorder to provide specific information about the event in the email message.

Available alertsThe following types of alerts can be subscribed to:

● General alerts (detailed) include detailed information about device events and rely on traps.Polling is established when traps destinations can’t be configured.

● Supplies alerts monitor device supply status and levels through polling.

● Critical alerts events are monitored by polling every five minutes. This and other polling rates areadjustable.

Supplies alertsSupplies alerts can be sent at various thresholds in order to receive a warning that a supply, such as atoner cartridge, is running low. While the default is 10%, thresholds can be set at virtually any level. Thiscan be valuable for individuals who order supplies and require advanced warnings of low supplies.Supplies alerts include tray/media level, fuser, drum, toner, and other device supplies.

Configuring alertsHP Web Jetadmin allows you to select which devices will be monitored for alerts and to configure whichevents will be monitored for each device. Two key features, All Subscriptions and Templates, enableadministrators to quickly edit, apply (subscribe to), and manage HP Web Jetadmin alerts on fleets ofdevices.

For each alert type monitored, it is possible to configure the Time to ignore duplicate alerts, aparameter that can dictate how often a particular alert email is sent. For example, an administrator mayonly want to be notified once per day that toner is low on a device, but may want to receive a notificationevery time paper has run out in a device so that it can be refilled promptly.

In addition, Ignore first time period may be selected to eliminate any e-mails from being sent untilthe Time to ignore duplicate alerts time period has passed and the condition still exists. For example,while an administrator may not wish to receive an email alert whenever a user simply opens a printercover and closes it again, the administrator may desire an email alert if the cover has remained openfor several hours.

Customized settings

Customized settings for individual devices can also be copied from one device to others by creating asubscription template. Simply drag and drop the devices onto the subscription template to quickly applythe template to multiple devices.

Select recipients to receive alertsThe administrator can select recipients to receive email alerts. E-mail accounts can be entered to receiveall alerts for a single device, or individual accounts can be specified to only receive messages for uniquealerts that occur on a device. For example, a Toner Low alert could be sent to someone in charge ofordering supplies, while a Paper Jam alert could be dispatched to a helpdesk or service desk.

Language preferences can also be associated with particular email addresses, and the same alertmessage may be sent to different people in different languages. HP Web Jetadmin also offers the abilityto assign different content lengths of email messages to different types of events. The different contentlengths include:

Concise A brief message that contains the event, the message that appears on the front panel, the device name, alink to detailed device information, and contact information.

Verbose A detailed message that contains all of the information in the concise message as well as detailed deviceinformation. Verbose is the default category that is assigned to alert types.

Custom A user-defined message that may contain any available parameters in any order.

Evaluating proactive managementA proactive peripheral management utility should meet your needs for managing all of your network-connected peripherals and drastically reduce or even eliminate the need for you to physically manageindividual devices. When evaluating the software, consider the following:

● Does the software allow you to proactively manage your peripherals? Can you configure peripheralalerts and status updates to bypass potential issues?

● What options are available for monitoring peripheral status and supplies usage?

● How well does the software diagnose peripheral problems?

SecurityBecause HP Web Jetadmin can be accessed from nearly any desktop and installs and configuresdevices, it must be able to secure itself against unwanted access. HP Web Jetadmin not only safeguards

itself against unauthorized users, it can also protect the devices it manages. Securing devices isimportant for many reasons, including:

● Reducing printer down-time

● Reducing helpdesk calls

● Minimizing troubleshooting visits

● Minimizing supply usage

HP Web Jetadmin offers several levels of authentication and privacy to secure devices and itself againstunwanted access. A firewall protects the internal network from external access, and is the first defensemechanism that ensures against unwanted Internet users browsing to an installation of HP WebJetadmin.

HP Web Jetadmin offers additional security to ensure only desired users within the intranet have accessto the software. These are described in the following sections.

HTTP portThe HTTP port number can be changed to align the HP Web Jetadmin port to security standards withina given environment. HP Web Jetadmin defaults to using port 8000 in order not to conflict with any otherWeb service on the machine that may be using the typical port 80. However, the port number can bechanged by the administrator to any desired number.

SSL/TLSHP Web Jetadmin’s HTTP server can be further protected by implementing SSL/TLS, which forcesauthentication between the HP Web Jetadmin server and the desktop browsing. A self-signed certificatemust be installed on the HP Web Jetadmin host computer when implementing SSL/TLS.

Data encryption with .NET RemotingHP Web Jetadmin can encrypt information passed between a browser and HP Web Jetadmin’s hostmachine (such as passwords) using HTTPS. .NET Remoting provides its own encryption independentof the initial browser session that is used to launch the product.

Active Directory domain users and groupsHP Web Jetadmin uses user accounts or groups within the Active Directory domain as a means ofauthenticating end-users. The user that initially implements HP Web Jetadmin must be a member of thelocal Administrator group on the host where the software is being installed. Any user (including an ActiveDirectory domain user) that is a member of this local group has Administrator rights within HP WebJetadmin.

NOTE: HP Web JetadminHP Web Jetadmin 10.1 is also compatible with Windows NT domains.

User rolesUser Roles determine which elements of HP Web Jetadmin various users can access. For example,you can use Roles to prevent unauthorized users from changing system-wide settings, startingdiscoveries, and creating device groups. All roles are assigned to Active Directory groups or users thatauthenticate to HP Web Jetadmin via Single Sign-on. By right-clicking the Run as option for InternetExplorer 6, users can also authenticate with an alternate domain identity on another person’s desktop.User and password management are no longer administrative functions in HP Web Jetadmin, as theseitems are now managed within the Active Directory domain.

Local users and groupsLocal users and groups can be created at the HP Web Jetadmin host and can be used in place of ActiveDirectory domain user credentials. This is helpful in environments where neither Windows NT nor ActiveDirectory domain credentials are used.

Device-level securityWhile an installation of HP Web Jetadmin contains several methods for securing itself against unwantedaccess, devices may still be configured with other installations of HP Web Jetadmin or other SNMPutilities. For example, configuration of a device can be accomplished through a variety of utilitiesincluding:

● HP Web Jetadmin

● HP Install Network Printer Wizard

● Telnet

● HP Embedded Web Server

● Any SNMP utility

● Communicate securely with devices supporting SNMPv3

With all of these avenues for potentially changing device configuration, setting security at the devicelevel is the surest way of restricting access to the device. Users can access devices in a variety ofmethods, but setting security at the device level is effective no matter which technique is used to accessthe device. There are several security mechanisms that can be enabled with HP Web Jetadmin to guardagainst all forms of access, including:

● Upgrading HP Jetdirect firmware to the highest level

● Disabling all unused protocols

● Specifying an administrator password (through Embedded Web Server and Telnet)

● Specifying an SNMP Set Community name

● Locking the control panel

NOTE: HP Web Jetadmin 10.1 will no longer use the HP Jetdirect password as a form of security todeter unwanted SNMP Set request attempts. We recommend using SNMPv3 to stop unwantedconfiguration of the device using SNMP.

IPsecIPsec device configuration items appear within the Network configuration category. Using HP WebJetadmin, you can configure an IPsec policy and then apply it to one or more selected HP Jetdirectdevices. Through an IPsec policy, IP traffic can be processed or discarded, and processed traffic canbe protected by IPsec authentication and encryption protocols. For more details, see the IPsecconfiguration help documentation after the plug-in is installed.

Reporting, supplies management, and optimizationWhen you know exactly what is going on in your print environment you make better managementdecisions and you’re in a better position to control costs. To aid in that effort, HP Web Jetadmin 10.1provides a rich set of data collection, supplies management, and reporting features. These include:

● Data collection: An administrator can enable Web Jetadmin to automatically gather a wide varietyof information for a device or group of devices.

● Reports: Once data are stored in a database, users can create reports to track everything fromwho uses color and how often they use it, to which devices are used most heavily and which havethe highest uptime. Reports can be displayed through the client host, stored in an archive, or sentto email.

● Supplies management: An administrator can enable monitoring, alerts, and reporting capabilitiesfor device supplies.

Enabling data collectionData collections are groups of devices that have specific collection types enabled. An administrator canapply a data collection type such as Device Utilization to a single device, multiple devices, or a devicegroup.

NOTE: Apply data collection to a device group via Group Policies.

When a data collection is first applied to a device or devices, HP Web Jetadmin launches a datacollection immediately to establish a data baseline. Once the device is populated under a specific datacollection type, data collections occur at specific intervals or triggers. All data collections start at midnight(local server time) but can be offset (in hours) using the Data Collection tool.

Data collection types all have a specific collection cycle. When Device Utilization By User datacollection is started, printers will start sending job-trap packets into the HP Web Jetadmin host. All othertypes are schedule triggered. All but Hourly Peak Usage are collected once every 24 hours. HourlyPeak Usage is collected once every hour to provide greater reporting resolution.

As data is collected, they are stored in tables within the HP Web Jetadmin database. Data retention isautomatically set to one year beyond the initial collection date. This value can be changed in Tools >Options > Shared > Server Maintenance > Reports. Data collections for Reports can be retained forup to five years.

Types of reportsReports are generated through a combination of user specified settings and stored data. Finishedreports can be displayed through the HP Web Jetadmin client host, stored in an archive, or sent to email.Reports can be generated in a summary format, a reporting period format, and through any number ofgraphical formats. Administrators can schedule reports to occur automatically.

To generate and schedule a report, follow these steps:

● Click Reports in the left navigation bar and then right-click and select Generate reports to beginthe Report Wizard. If templates have been created, you can select an existing template from theUse template drop-down box. If you do not want to select a template, you can select Custom andthe type of report from the drop down menu.

● Next, select the device by highlighting it and clicking the arrow buttons between the two lists. Toselect multiple devices, use either Ctrl + Click or Shift + Click. To move all devices from one list tothe other, use the double arrow buttons. You can sort the list of available devices by clicking thecolumn headers, or view more columns by right-clicking the column headers.

● Select report formatting, date range and device information.

● Select how you want the report displayed (either on the page or directly to email). If sending thereport to email addresses, you can either browse for those addresses or you can enter themmanually. Separate each address with a semicolon.

● Choose to save the report as an HTML document or export it to a CSV file.

● Name the report and define how long it should be kept.

● Select the start date and start time of the report and how often it should run. The selections forreport frequency are:

❑ Start time: Specifies when the configuration will launch.

❑ Recurrence, Once: launches only once in the specified schedule.

❑ Recurrence, Daily: Task will recur once per day or once per weekday depending on theselected setting.

❑ Recurrence, Weekly: Task will recur every specified number of weeks on the specified day.

❑ Recurrence, Monthly: Task will recur every specified number of months on the specified day;or, task will recur on a specified day pattern.

Progress will be shown during the running of the report.

● Right-click Reports and then select Schedule report.

● Expand the Reports menu. Right-click Report Generation and then select Schedule report.

Supplies managementHP Web Jetadmin helps you easily monitor, order, and replenish supplies. In fact, HP Web Jetadmin10.1’s Supplies feature set includes the best of reporting and alerting functionality, focusing on animportant aspect of keeping devices up and running. Key feature items for Supplies include:

● Supplies information tab: Quickly displays all supplies details for any device list selection.

● Supplies groups: Used to quickly incorporate and manage devices under proactive and predictivesolutions.

Supplies tabFrom any device selection within Groups, All Devices, or filtered lists, the Supplies tab launches aquick view of levels, part numbers, and other supply details. A Group-by control allows you to ordersupplies details in the following ways:

● Device: Shows devices in a collapsed state. Expanding one or more devices reveals supply details.

● Urgency: Groups devices by collapsed Out, Warning, Unknown, and OK supply statuscategories. Expanding these reveals details for the device and supply.

● Part number: Groups the devices by collapsed supply part number categories. Expanding thesereveals details for the device and supply.

● None: Reveals supply detail in an expanded device list.

Supplies groupsA key feature in HP Web Jetadmin 10.1 is Supplies Groups. These are special groups that only appearin the navigation tree under Supplies. They consolidate supplies alerts and supplies reports for groupeddevices. For example, an individual with responsibility over supplies for a set of devices in one part ofthe corporation can group the devices in supply group “A.” Another person with responsibility formanaging supplies in a different part of the corporation, perhaps in another city, can create supply group“B.” These two individuals can create settings and manage supplies separately in a way that fits theirindividual needs.

Viewing Supplies groups

Select a supply group from the navigation tree to display that group in the workspace. In the upperportion of the workspace are displayed the same device and supply details that can be obtained throughthe Supplies tab in any device list. Under Supplies Groups, however, the focus is on supplies groupmembership rather than list selection.

Tools for viewing and analyzing the device and supplies details include:

● Group by: Groups the details the same way as in the Supplies tab. Device, Urgency, Part number,and None facilitate ordering the data in several different ways.

● View: Adds more detailed information to the list.

● + (Expand All) or - (Collapse All): Controls listed elements depending on how they are grouped.

● Shop for supplies online: Launches the SureSupply shopping pages from the HP Web site.

● Show all or Show only needed: Displays the list in a filtered or unfiltered state. In this way, onlydevices that are in a Supply needed state appear in the list.

NOTE: The Supply needed state is dictated by the setting in Tools > Options > DeviceManagement > Supplies. The adjustable variable is Supply low level and can range from 0% to 100%.

● Print shopping list: Prepares a printout of the device list as it is currently displayed.

Proactive

This tool leverages HP Web Jetadmin alerting features. When it is activated with the Enable checkbox,you can choose any of four proactive supplies alerting features. Within these features, you can specifythresholds and designate optional email recipients. The four proactive supplies alerting features are:

● Supply refreshed: Fixed at 100%

● Early warning: Adjustable from 0% to 99%

● Supply low: Adjustable from 0% to 98%

● Supply out: Adjustable from 0% to 97%

NOTE: The settings are only adjustable for Early warning, Supply low, and Supply out. These threecannot overlap and each one is limited by the setting directly above it. For example, the setting forthe Supply out threshold cannot exceed the Supply low threshold.

When supplies alerting is enabled, HP Web Jetadmin uses an adaptive polling technique that increasespolling frequency as a supply gets closer to the user specified threshold. In this way, HP Web Jetadmincan propagate supplies alerts messages accurately and use less network bandwidth than is used withtraditional polling methods.

Predictive supplies management, when activated with the Enable checkbox, starts data collection onall devices contained in the supplies group and enables a predictive supplies report. The supply grouppredictive report is:

● Fully schedulable (default: first day of each month)

● Archived in Reports

● Able to be sent to email recipients

● Full of details including Supply, Part No., Estimated Replacement Date, and more

● Customizable by using the Edit control

● Able to link to HP SureSupply

Supplies tracking devices

You can receive alerts about device supply status and levels using HP Web Jetadmin. Simply createsupplies alerts from Alerts or Supplies sections.

● Create an alert subscription template and select Supplies alerts as the subscription type.

● Select to receive alerts for Supply replaced, Early warning, Supply low, and/or Supply out. Youcan set the supply threshold at which an alert will be sent.

● Browse or enter the email address of the person receiving the alert.

● Enter a Template name.

● An alerts subscription confirmation will appear.
