HR Reporting with SAP NetWeaver BW — Overview

• SAP NetWeaver® Business Warehouse (SAP NetWeaver BW) is:A packaged business intelligence product built on top of a data warehouse One of the core components of SAP NetWeaverA standalone SAP NetWeaver Application Server (Basis) system with its own release cycleOptimized for (but not limited to) use with SAP ERP

It can extract data from other SAP systems, custom or third-party applications, the Internet, and more!

6

HR Reporting with SAP NetWeaver BW — Overview (cont.)

• SAP NetWeaver BW goes beyond what HR can provideData integration from various sources (SAP, PeopleSoft)Flexible end-user reporting tools

Query design tools, slice-and-dice capabilitiesGreatly reduces the need for custom report development

PerformancePerformanceOptimized as a querying and reporting toolData is stored in an aggregated form

Offers out-of-the-box reporting assets (HR Business Content)Fully integrated with SAP NetWeaver Portal Historical reporting

Can be used as a repository for data from legacy systems

7

SAP NetWeaver BW for HR — Common Pitfalls

• SAP NetWeaver BW becomes a “data dumping” tool — it is implemented without detailed and specific requirements

SAP NetWeaver BW is used to convert all historical data from HR legacy systems without specific requirements

• Lack of use (SAP NetWeaver BW becomes shelfware)• Using SAP NetWeaver BW primarily for operational and

transactional reporting HR users do not view SAP NetWeaver BW as a source for HR decision making

• Not leveraging HR Business ContentResulting in heavy customization

13

Five Criteria for HR Reporting Success with SAP NetWeaver BW

Five critical

Reporting strategy

Technology

Five critical BW process

streamsFunctionality

Requirements analysis

Usability

14

Criterion #1 — Reporting Strategy

• Key questions to ask in defining a reporting strategy

Reporting strategy

- Is SAP NetWeaver BW part of your reporting solution set?

- Does it support decisions at all

15

gy Does it support decisions at all levels of users?

- Does it support the required reports?

The Goal of an SAP NetWeaver BW Reporting Strategy

• An SAP NetWeaver BW reporting strategy should aim to answer the following questions:

How do you support decisions at all user levels?Which toolsets are needed to deliver the required reports? How do you prepare the organization for the information that will be available?Should we integrate or replace our third-party data warehousing tools?

16

Criterion #2 — Usability

• Is the business ready to use a tool like SAP NetWeaver BW for HR?

- Is there adequate training on SAP NetWeaver BW provided to end

17

Usability users?- How will the reports be

disseminated?

Page 4: HR2010 Agarwal Lessonsfor

4

Why Involve Business Resources Early in the Project?

• To collect inventory of the existing reports• To analyze the underlying requirements• To map the requirement to respective SAP NetWeaver BW

reporting tools (collaborating with IT resources)• To assist with data modeling (along with SAP NetWeaver BW

experts)• To assist with functional testing

To ensure data elements, layout, and format are as requested• To participate in focus groups• To help train end users

18

- Are the requirements clearly defined and documented?

Criterion #3 — Requirements Analysis

• Requirements analysis defines a successful SAP NetWeaver BW implementation

Requirements analysis

defined and documented?- Do the requirements support the

evolving business needs?- Are the reports classified into

analytical vs. operational?

19

Sample Approach for Requirements Analysis

Identify businessowner/audience

Collect layout

Standard SAP ERP reports

InfoSet/ad hoc Step 1

Step 2 – Analyze requirements Step 3 – Map to a reporting tool

Create an inventoryof all legacy reports

and data elements

Merge common data elements and reports

Identify gaps in data elements

and map to reporting tool

Custom reports

20

- Do your tools support your

Criterion #4 — Functionality

• What is your reason for using SAP NetWeaver BW for HR?

Functionalitybusiness requirements?

- Is the right Business Content available to accomplish your requirements?

21

- Is your data model in line with your business requirements?

Criterion #5 — Technology

• Key technology considerations

Technology

business requirements? - Are your technical specifications

defined and documented?- Does your infrastructure support

your portal (if you have one)?

22

SAP NetWeaver BW for HR Technical Design

• Create documentation standards early in the project• Define naming conventions

Start with ZHR for custom InfoObjects and YHR for custom queries, for example

• Break it up into manageable chunksBy area — back end, query, front endy q yBy major requirement category

• Guiding design principlesProduction support — sustainabilityQuery performanceFront-end performanceProject scope and timelines

A Common Pitfall

• Customers start with customization to meet every requirement

25

HR Business Content — Overview

• Predefined and ready-to-use queries, reports, InfoCubes, etc.• Standard HR queries and reports

Example: Headcount by Quarter and Benefits Costs to Employer

• HR InfoCubes (central data repositories)Available for Personnel Management, Personnel Development, Recruitment, Benefits Administration, Personnel Time Management, and Payroll

Do I Need HR to Use SAP NetWeaver BW?

• NoThe only prerequisite for SAP NetWeaver BW is that you need one or more source systems from which to extract HR data

• If you have implemented HRYou can use standard extractors to pull data from HR

The standard extractors need to be customized if your yimplementation has custom fields and/or custom infotypes

• If you have not implemented HRYou can use Create New Extractors to extract data from non-SAP ERP systems

But this requires significant customization

31

Why Use SAP NetWeaver BW HR Business Content?

• ScenarioNeed SAP NetWeaver BW functionality, but limited knowledge and resources are available to create SAP NetWeaver BW reportsCost is a factor (i.e., cost to develop and customize)

• Key Decision PointsWill standard delivered reporting be of value to users and/or process owners? Will costs be incurred in the future to meet the gaps? Will more than the required information be available to users and/or process owners?

32

Why Use SAP NetWeaver BW HR Business Content? (cont.)

• ConsiderationA prototype using delivered Business Content could be a good starting point

33

34

Three Options for Using SAP NetWeaver BW

1. Create reports using SAP NetWeaver BW as one of the reporting toolsets

Along with the core HR reporting tools, for example2. Use SAP NetWeaver BW HR Business Content for all reporting

requirements3. Use SAP NetWeaver BW as the complete reporting solution

35

Page 7: HR2010 Agarwal Lessonsfor

7

Option #1 — Create Your HR Reports in SAP NetWeaver BW

• ScenarioDetailed reporting requirements gatheredHR is the source for all transactional reportingSAP NetWeaver BW used for summarized/aggregate and non-real-time data

• Key decision pointsy pIs existing reporting still required by users and/or process owners?Has the source of the data changed?

SAP may become the system of record• Consideration

Must avoid “data dumping” into SAP NetWeaver BW

36

Option #2 — Use HR Business Content for SAP NetWeaver BW Reports• Scenario

Need SAP NetWeaver BW functionality, but limited knowledge and resources are available to create SAP NetWeaver BW reportsCost is a factor (i.e., cost to develop and customize)

• Key decision pointsWill standard delivered reporting be of value to users and/or process owners?Budget available in the future to meet the gaps?Get the business used to SAP NetWeaver BW functionality

• ConsiderationA prototype using delivered Business Content could be a good starting point

37

Option #3 — Use SAP NetWeaver BW as a Complete Reporting Solution• Scenario

SAP NetWeaver BW is the chosen reporting solution for all reporting needs

• Key decision pointsAre the right resources staffed on the project? Is there time to gather detailed requirements?g q

• ConsiderationsDefine and document detailed requirements Distinguish between “operational” and “analytical” reporting needsEnsure data model is not a moving target

Try to separate the SAP ERP and SAP NetWeaver BW implementations

Key Decisions When Building Your Data Model

• How often do you want to look at the data? Monthly, daily, or quarterly?

• What level of analysis do you require?Summarized or detailed?

• How many years of data do you need to house? How much history? How much history?

• How quickly must the data be able to be retrieved?Type of report? Required performance?

• How often is the data going to change? For example, organizational hierarchy — predictable change vs. marital status — unpredictable change?

Key Considerations for HR Master Data

• HR master data is time-dependentFor the most part, individual records do not overlap and do not have gapsThis is a consideration when loading master data

• “Point-in-time” analysis is a key requirement for HRThis is a key consideration for historical conversions from ylegacy systems

47

Page 9: HR2010 Agarwal Lessonsfor

Different Considerations for the Various HR Sub-Modules

• General considerationsSAP ERP configuration is in placeRequired integration switches must be on

• Operational and performance considerationsPersonnel Administration (PA) transaction data sources do not support a delta updatepp pA full update is required

Lessons Learned — Data Loading

• Create process chains to sequence your loadsProcess chains are a sequence of processes that are scheduled in the background to wait for a particular eventSome of these processes trigger an additional event, which in turn can start other processes

Load the organizational structure before you start the load for the Headcount InfoCube

• If HR is used globally, select an appropriate time to do the load A good time might be 7 pm EST for global implementations

72

Develop and Communicate an HR Reporting Strategy

• Use a well-defined reporting strategy to outline a common understanding of HR reporting needs

This provides a roadmap for the project, and should include a series of snapshots outlining the project’s tools, architecture, and dependencies over time

73

Develop Detailed Reporting Requirements

• Complete a comprehensive analysis of the reporting requirements

This will be the first stepping stone in a successful SAP NetWeaver BW implementationThis analysis will enable the design of a stable data modelThis analysis will also help to differentiate between transactional and analytical reporting

74

Recognize and Use Reporting Tools Appropriately

• The true value of SAP NetWeaver BW is realized when it is used for analytical reporting

For example, different views of headcount data over time • Transactional reporting can be accomplished using standard SAP

ERP reports and ad hoc queries For example, birthday lists and service anniversary reports

75

Leverage HR Business Content

• Create a prototype using business content• SAP NetWeaver BW for HR has a rich repository of Business

Content that includes pre-delivered InfoCubes, queries, and rolesThis can be used to accelerate the implementation

76

Separate Your SAP NetWeaver BW Environment

• If possible, SAP NetWeaver BW and HR should be on different development and implementation cycles

• If these activities are done in parallel, additional complexities in the SAP NetWeaver BW data modeling and extraction process result

77

Page 14: HR2010 Agarwal Lessonsfor

14

The Top Five Barriers to Success

1. Operational reportingIs information operational or analytical in nature? Is SAP NetWeaver BW viewed as a tool to support all operational reporting?

2. Requirements analysisIs detail or summary data required?y qWhat data elements are required for the report?

3. Skill and proficiencyIs the workforce capable of adopting the technology?Have you classified your users? (i.e., casual vs. power)

78

The Top Five Barriers to Success (cont.)

4. Report disseminationHow are the reports going to reach the users? Is the right technology available to the right audience?

5. TechnologyCan your objectives be achieved at reasonable costs? Are IT and HR aligned? Are IT and HR aligned?
