IV. Chairman’s Report

Marianne Virgili, IOM, CCE recognized and thanked the Winter Board of Regents for a

great Winter Institute. It was reported that current summer registration numbers are

higher than they were at this time last year. Each member of the board was challenged to

recruit two first-year attendees and to utilize social media to help them in the process.

Institute’s goal is to ensure that every industry professional is aware and takes advantage

of the tools that are available to help them and their business communities grow. A way

to achieve this is by expanding the IOM All-Stars program and reengaging with alumni

and past board members.

Bob Thomas, IOM, CAE, CMP shared that at the most recent Michigan Association of

Chamber Professionals Fall Conference, they hosted a reception for Institute alumni as

well as prospective Institute attendees. Approximately 35 alumni attended the event, and

20 prospective Institute attendees attended as well. It was mentioned that the West

Board of Regents is reaching out to newly announced chamber executives.

Marianne encouraged board members to keep Institute staff apprised of outreach in

order to track the efforts of board members on the Volunteer Action Grid. This

information will allow for a comprehensive review of the efforts made in 2013 and help

set direction for next year.

Marianne concluded by telling the group how pleased she is with the newly formed

partnership with WACE (Western Association of Chamber Executives). Those who

have graduated from the three-year WACE Academy are now able to enter the Institute

program as third-year attendees.

V. Institute Update

Marimar Molinary, IOM, CAE, CMP shared with the group the internal restructuring

and creation of the U.S. Chamber of Commerce Foundation. One of the biggest benefits

of the restructuring will be the opportunity to expand scholarship fundraising efforts by

making it a year-long initiative. While on-site, Institute will discontinue the Class

Challenge fundraiser and will maintain the Silent Auction. Moving forward Institute

should be referred to as a program of the U.S. Chamber of Commerce Foundation.

An article written by Marianne Virgili, IOM, CCE entitled Education, Relationships,

Mentoring and Success: Why I am a Raving Fan of Institute for Organization Management is

scheduled to be published in ACCE’s Winter Magazine.

Board members were encouraged to utilize social media to promote the program and

were encouraged to request marketing materials from staff.

At Winter Institute there was a total of 22 faculty members, 3 of whom were new. The

evaluation ranking average of faculty at Winter Institute was 4.58 on a 5.0 scale. Two

new electives will be offered this summer: Creating a Government Affairs Program and

Advanced Strategies of Community and Economic Development.

Institute’s first hot topic webinar of the year, Sustainable Growth Models for Membership, will

occur on March 14, 2013 at 2 p.m. and will be facilitated by Jay Handler, Co-Founder

and Director, Membership180.

For the second year in a row, Institute will sponsor a session at MAKO. Greg Fine,

CAE, Chief Executive Officer, Turnaround Management Association, is confirmed for

the closing keynote address on Collaborative Leadership. Institute will continue to

provide water bottles, IOM ads, and IOM ribbons at state conferences.

VI. Boards of Regents Reports

Winter Board of Regents Report

i. Megan A. Lucas, IOM, CEcD, Economic Development Director, Altavista

Economic Development Authority, reported that Winter Institute 2013 was a

success. Winter Institute registrants totaled 211, one shy of goal. For the first

time, Winter Institute combined graduation and the Big Bash. The regents

sought to make the graduating attendees feel special by creating a VIP lounge

at the Big Bash for graduates only. Also for the first time, the Winter regents

held two meetings on-site to more fully engage regents on-site and get a

jump start preparing for next year. Due to the U.S. Chamber of Commerce

Foundation restructuring transition, no fundraising was permitted at Winter

Institute. Megan thanked Institute for the generous contribution of $11,000

to Winter Institute’s 2014 scholarship fund.

Midwest Board of Regents Report

i. Joseph B. Henning, IOM, CAE, ACE, President and CEO, Aurora Regional

Chamber of Commerce, shared that as a board, the Midwest regents have

sought to share news about Institute through their individual social media

networks. Various Midwest regents have used water bottles and ribbons at

state conferences and have found utilizing those materials has garnered a

positive response. Midwest has used the co-advisor program for a couple of

years and are continuing to brainstorm ways to keep regents involved while

on-site. The Midwest regents are also looking into other possible venues for

the Big Bash.

Southeast Board of Regents Report

i. Jeremy L. Arthur, IOM, President and CEO, Chamber of Commerce

Association of Alabama, shared that the Southeast regents are focusing their

efforts on expanding the IOM All-Stars program. Weekly emails are being

sent by Jeremy to the board with assignments for the week. These emails

serve as a reminder for each regent to take action to reach the goals they set

for 2013. Last year, Southeast Institute launched a co-advisor program, and

Jeremy stated this is one of the most valuable actions the Southeast regents

have taken. This year, Southeast would like to foster more diversity amongst

attendees.

i. Jeff K. Sandford, IOM, President and CEO, Texarkana USA Chamber of

Commerce and Past Chair of the West Board of Regents, shared that 2013

will be the West board’s first experience with the co-advisor program. This

upcoming summer, the West regents want to place an even greater emphasis

on dorm culture and participation to build a more unified site. West Institute

is working to garner more first-year attendees for their site as well as for all

sites through tracking newly appointed chamber executives. West Institute

has appointed a communications chair on the Board of Regents.

Northeast Board of Regents Report

i. Christopher Hogan, IOM, Vice President of Communications, International

Bottled Water Association, shared his confidence in Northeast’s current

registration numbers. The Northeast board’s desire is that attendees feel

engaged with volunteers. The Northeast regents have implemented a

tradition of going into the classrooms of each of the classes at the beginning

of the week to welcome them to Institute, and then return at the end of the

week to thank the attendees for attending. This is a tradition that will be

continued in 2013. The Northeast regents are in the process of researching

other avenues for scholarship fundraising outside of the silent auction, but

do not currently have any details to share at this time.

VII. Other Business

Marianne Virigili, IOM, CCE encouraged trustees to pay attention to and utilize the

marketing information kits they each received from Institute staff.

VIII. Adjournment

Marianne Virgili, IOM, CCE thanked everyone for participating on the webinar and

reminded trustees of the challenge to each recruit two first-year students. She also

encouraged each board chair to email their respective board weekly to build up energy

and engage them in recruitment efforts. The next meeting will take place in person on

October 4, 2013 in Washington D.C.

It has been a very exciting year for our summer Institute sites. Congratulations! This success hastruly fired up our regents to make the Winter Institute not only a great learning experience, butrecord setting and successful in every area. The Winter Board of Regents is committed toimproving and building upon our past history of success and attendee satisfaction. We have beencommunicating by email, Facebook, and phone all year, discussing how we can improve in everyaspect of the program. We also have been discussing important ways to recruit and buildattendance.

Our specific goals and objectives include:

Attendance: Our goal is 210 attendees, which includes 68 first-years, based on the formulaprovided by Institute staff. We feel this is an obtainable goal, as we had 211 attend last year. TheWinter regents will also assist in the marketing and recruitment efforts with Institute staff.

Examples of recruitment strategies include, but are but not limited to:

o Contacting past attendees from 2013 who have not yet registered to remind them ofregistering for Winter Institute.

o Continuing to promote Winter Institute as the “make-up” and “get back on track” site.o Connecting with associations’ and chambers’ local and state organizations for emailing and

mailing of Winter Institute information and the “Pay It Forward” program.o Connecting with states located around Arizona, promoting a “local” Institute site for

attendees.

Fundraising: If allowed, Winter regents will set a fundraising goal to be discussed at the Fall Boardof Regents meeting. This will be accomplished through a silent auction on-site during the week.

Institute Mixer: There have been challenges in the past with the Institute Kickoff and Mixer,especially for the first-year attendees. This year the regents will create a more welcoming experiencefor the first-years by arranging tables together and making sure that, along with their Class Advisor,they understand and know the expectations for the week. We also want to make sure they have theopportunity to bond with their fellow classmates. Our goal is to get all positive responses about theKickoff and Mixer on the Institute survey. The location for this year’s event has changed and it willtake place in the Memorial Hall Student Union South Ballroom. Last year’s location was unique, butdid not work well for our Mixer. We feel this year we will not only have a great time with the Mixer,but will have found a super location to accommodate everyone.

Graduation: Last year we made a lot of changes to our graduation and Big Bash events, mostnotably having the Bash immediately follow graduation in the same room. This was a huge successand very well received. We will make just a few added improvements this year, as we believe this is agreat way to wrap up the week and celebrate our new IOMs.

Two other specific areas of importance:

Winter Institute has a reputation of having the best Class Advisors and 2014 will be no different.Kimberly Nastasi has recruited a great group for 2014. We like our Class Advisors to be positive,energetic, and excited to be part of this incredible program. Class Advisors are critical to the successof Winter Institute.

The Winter Board of Regents prides themselves on providing a first class, positive, and funexperience for attendees at Winter Institute. Each area of responsibility has been carefully filled byour volunteers. We are fortunate to have a great and diverse group of extremely dedicated regents.Each year we strive to improve from the year before and each year we have accomplished what weset out to do. I look forward to working with our regents, advisors, faculty, and staff for an excitingand rewarding 2014 Winter Institute. Thank you for this opportunity to serve our industry.

Midwest Institute started the summer season with success and continued its trend of increasedattendees. With a goal of 90 attendees, Midwest’s final enrollment was 93 – achieving 103% of ourgoal. The highlight of enrollee numbers was recruiting 44 first-year attendees against a goal of 33.

Our successful recruitment of first-year attendees can be attributed to a number of new marketingand outreach efforts – some of which were borrowed from other sites and others that wereidentified during last fall’s strategy and planning sessions. I anticipate that we will continuehomework, recruitment communications, coordinated IOM events and information sessions,conference exhibits, and personal referrals in the upcoming year.

Midwest volunteers took a more proactive approach in reaching out to state groups to increaseawareness of the program and to promote incentive programs such as Pay It Forward. In addition,marketing materials for Institute were shared at state and regional conferences and meetings.Furthermore, regents plan to work with Institute staff and alumni to further develop the relationshipwith Association Forum in Chicago to promote the value of Institute to its membership.

The larger than budgeted first-year class posed some unique opportunities for the site, which wasaddressed in advance by leadership. Engagement opportunities for the attendees were identifiedgoing into the week and the volunteers and staff met the challenge head-on at the Institute Mixer onSunday evening. Informal icebreakers ensured all attendees were greeted and had an opportunity tomeet fellow attendees. In addition, small-group discussions were created on the fly throughout theweek to allow for further discussion of topics and to increase the likelihood of bonding. As a resultof informal feedback from the attendees, the site volunteers would like to look at expanding theinformal discussions. In addition, more focused communications with attendees (especially first-yearattendees) will be created for 2014.

One drawback with the transition to the Foundation was the inability to promote the silent auctionactivities in advance. Comments were received that attendees were not aware of the auction orfundraising opportunities. While the group worked within the guidelines, earlier communicationsand promotion of the auction will benefit the site in future years. The Board of Regents appreciatesthe support of the Institute program in helping to meet the fundraising needs for the future.

The biggest challenge still remains the small site, although this certainly lends itself to strongrelationships in and out of class.

It was a fantastic year to serve as Chair. I am humbled and honored to have served with a group ofdeeply committed association and chamber professionals from throughout the country who werehighly energized and active. I appreciate all of the work from the Midwest Board of Regents whoraised the bar on recruitment, professionalism, and engagement. The dedication of the Institute teamalways made the volunteers feel appreciated and valued for their contribution. I look forward towatching the continued growth and success of our Midwest site!

I am proud to report that Southeast Institute finished another successful year in 2013. With anattendance goal of 226 attendees, our final enrollment numbers ended above goal at 228, with anadditional attendee in the Graduate Elective Program, resulting in 229 total attendees.

As the Board Chair, I have continued the precedent of sending a weekly email to the Southeastboard. These emails served as: a reminder for important timeline tasks for Institute; as a way to helpkeep us focused on our goals; as a way for us to continue promoting our mission; and, as a conduitto generate discussion on ways to grow and improve. The weekly “Friday Email” continuallyreminded everyone on the Southeast Board of Regents to think about Institute throughout the year.

Our Class Advisors for 2013 truly helped make for a successful week. Their level of enthusiasm anddedication helped set the tone for a fun-filled and productive Institute week. In addition, ourRegent/Advisor Partner Program was designed to help ensure each participant got the full Instituteexperience and helped facilitate dialogue between the advisors, regents, and the class sections.

The Southeast board remains committed to the challenge of raising scholarship money for Institute.We know that without available scholarship funds, many associations and chambers across thecountry would not be able to participate in Institute.

The Southeast Board of Regents remains committed to advancing our overall goals we set in 2013:1. Exceed our attendance goals by setting (and achieving) stretch goals; 2. Strengthen our newRegent/Advisor Partnership Program to enhance interaction among attendees; 3. Increaseassociation participation at Southeast utilizing professional contacts and testimonials; 4. Recognizeparticipants for the IOM Alumni Network (formerly known as the IOM All-Star Program) fromeach state to help “sell” the program; 5. Strengthen our diversity representation at Southeast;6. Solicit a minimum of 150 items for the silent auction to benefit scholarships. In addition, theBoard of Regents continually discusses other goals to be added that complement our mission.

We would like to continue the dialogue with the Board of Trustees to help identify resources andways to strengthen our diversity representation. Commitment to building a diverse representationat Institute through a process of reaching out to diverse groups is vital for the future. We wouldalso like to continue the dialogue as it relates to “strong associations/chambers for the future”with regard to utilizing cutting-edge techniques necessary to remain competitive in today’sworld/workforce. We also see a need to place more emphasis on the idea of “successionplanning” and “career transition” for the next generation of non-profit executives.

I am honored to turn the Chair position over to Barry Copeland, Birmingham Business Alliance.Barry’s leadership, enthusiasm, and commitment to success will serve Institute well. I, along withthe entire Southeast Board of Regents, take great pride in the Institute program and am honored toparticipate in such a world-class program that trains executives to lead the next generation ofchamber of commerce and association professionals.

We are thrilled to report that West Institute is alive and well and our Board of Regents is excitedabout the results of our successful week in Los Angeles in July 2013!

A big THANK YOU is a must for the dedication of our team and the hard work over the year theyexhibited to make this year successful. West Institute’s overall numbers improved significantly,smashing our goal and elevating above numbers from previous years. Our 114 association andchamber professionals also included two IOM graduates returning to participate in the GraduateElective Program to further their educational experience, and they, too, celebrated anothersuccessful year of professional development.

Although having a fun and exciting auction as in past years, West was not able to meet our highlysuccessful scholarship fund total from 2012, however we did raise almost $8,000 to help current andfuture professionals in their opportunity for participation in future years. This effort has been oneof the signature events for West over the years, and the excitement that the classes exhibitthroughout the week contributed to the successful fundraising.

As was mentioned earlier, the tremendous volunteers at West Institute produced many excitingevents, beginning with the Institute Mixer. This event included a professionally produced “Jeopardy”contest, which served as a fun way to quickly bond our classes together prior to the start of classes.Later in the week, our Big Bash was again held on the very popular yacht as we celebrated a greatweek and a fantastic, emotional graduation ceremony. The entire week was punctuated by a hands-on, caring team of regents who were not only visible to the participants, but active at all times, visitingwith individuals and supporting every break, meal, class and activity. New this year was thepartnering of a West Board of Regent with the Class Advisor to assist in class development andsupport.

Fortunately, we faced few challenges. Now in our eighth year at Loyola Marymount University, wecontinue to be a desired location in the overall Institute experience with the expectation ofdelivering excellence. The familiarization of the Los Angeles community – and the West Coastamenities – all play a part in our ability to market this location even more effectively in the future.The ability to hold our silent auction over multiple days has provided a better response to thisimportant part of the week’s experience. Transportation issues have been largely resolved from pastyears; however our dorm room accommodations and service level need to be improved if we are toeffectively engage students to consider this accommodation in the future.

At the end of the day however, the overall success of West Institute must go to our incredibleInstitute staff! Their ongoing support, coupled with the national Board of Trustees under thetremendous leadership of West Board of Regent Marianne Virgili helped make 2013 a year toremember for all of us. Most importantly, the combined work of everyone mentioned made alasting and positive impact on those who we serve – our fellow association and chamberprofessionals.

The Northeast Institute Board of Regents had an outstanding year on the registration front. In fact,on a percentage basis of goal achieved, we led all other sites – topping out at a whopping 110percent. We were also successful in the recruitment of first-year attendees, finishing with 55,compared to 53 in 2012. In addition, we exceeded our registration goals for all categories ofreturning attendees. In fact, at 141 percent of goal, our fourth-year numbers handily beat out everyregistration category of any site. Staff and volunteers at every Institute location work hard topromote and advance the IOM program and we are proud to showcase what Northeast Institute hasto offer.

While we always seek to do better, our fundraising total of $5,575.00 was a terrific accomplishment.Now that Foundation and state fundraising rules have almost been completely sorted out, we aresure that next year’s board will be able to start organizing and promoting all fundraising effortsearlier and have an even bigger impact. Given the legal constraints with which we had to operate,the silent auction was nonetheless well organized and effectively executed. All the money wascollected in timely manner and items distributed quickly.

The Kickoff went well and was filled with high energy and a happy, active group of attendees. Onceagain, the threat of inclement weather, which indeed culminated in record-setting downpours,caused the Mixer to move indoors. However, overall feedback was nonetheless generally positive.

One of our biggest challenges was encouraging attendees to stay on campus at the West CampusApartments. The on-campus culture of Northeast has long been one of its hallmarks, as it helps tocreate a bonding experience outside of the classroom. For the first time, registration showed morepeople staying at the hotel versus on-campus. Some attendees staying at the hotel did commentthat, had they known more about the on-campus apartments and the social culture they promote,they would have opted for the campus apartment experience. Others seemed happy being in atraditional hotel environment. As a board, we feel it very important that attendees are exposed tothe on-campus experience, as it has shown itself to be the best place to encourage out of classbonding and networking. We will continue to market the apartments, especially to the first-years,although we do understand that no matter where attendees stay, the important thing is that theyhave a valuable and fun experience.

As in the past, we will continue follow-up communication with past attendees and encourage themto return to Northeast Institute, reach out to attendees who have lapsed within the past five years,and continue to focus on the marketing efforts to the three-hour regional drive market.

During the course of outreach leading up to this year’s Institute, we heard many positive commentsabout regents following up with attendees to remind them about enrollment. We do face somechallenges finding a reliable and consistent pool of advisors, but continue to develop promisingleads.

Overall, we have a great team of regents and class advisors in place and look forward to anotheroutstanding year at the Northeast Institute.

In 2013, we advanced Institute’s marketing efforts through the hard work and collaboration of the volunteersand the Institute staff to further Institute’s goals. Below is a summary of our major accomplishments for yourreview. The aim of the advertisements has been to create messages that are relatable and impressive.

There are currently 2,408 alumni in Institute’s database.

IOM ALUMNI NETWORK

219 individuals identified themselves as IOM All-Stars since the program rolled out in 2012.

In an effort to be inclusive, the IOM All-Stars program transitioned to the IOM AlumniNetwork in 2013, and alumni have the opportunity to opt-out of communications if theychoose to do so.

Alumni are automatically added to the Network upon graduation and are encouraged to takeaction in the following ways:o Use the IOM recognition in email signatures and professional correspondence.o Mentor an industry peer and/or send someone from their own organization to

Institute.o Utilize social media outlets to share their Institute experience with others.o Wear the IOM ribbon at state and regional conferences, when available.o Distribute IOM ribbons at state and regional conferences to fellow IOMs, when

appropriate (ribbons provided upon request).o When hiring, consider including “IOM recognition preferred” as a qualification.o Attend the Graduate Elective Program at any of the five sites and encourage their

fellow graduates to do the same.

Board members created state strategies representing 13 states plus Washington, DC for alumniengagement and expansion within their own states.

PAY IT FORWARD SCHOLARSHIP PROGRAM

Institute reached out to 97 state societies on two separate occasions throughout the year.The first time encouraging Winter Institute participation and the second in regards toSummer 2013.

Of the 97 organizations who were contacted 52 participated by sharing information aboutthe Institute program with their members.

In total, 42 first-year participants attended Institute using a PIF scholarship; 36 chamberprofessionals and 6 association professionals. This is an increase of 75% over last year’susage of 24.

INCENTIVE PROGRAMS

Friends and Family Enrollment Incentiveo In 2013, 62 individuals (32 first-years and 30 second through fourth-years) attended

Institute using the Friends and Family incentive from 40 unique organizations. This isup from 46 individuals from 32 organizations in 2012.

o All Elite, C100, and CCC100 members were mailed a 2013 planner and a letter fromInstitute Vice President Raymond P. Towle, IOM, CAE encouraging participation inthe Friends and Family incentive program. This physical mailing was followed up withan email from Raymond the following week.

Refer a First-Year Incentiveo All attendees received a flyer marketing the Refer a First-Year incentive while on-site

in 2013. The flyer encouraged attendees to refer their contacts. In 2013 three first-yearattendees were referred to the Institute program by second through fourth-yearattendees using this incentive.

Group Rateo In 2013, 107 attendees registered for Institute using the group rate. They came from 74

unique organizations. The largest organization taking advantage of the group rate sent11 attendees. 58 organizations sent 2 individuals.

What was your biggest takeaway from the webinar?

Change Networking to NetGiving.

Not relying on networking to be a value proposition.

Redefining thinking about membership recruitment and retention. If you are engaging themembership, then the recruiting and retaining pretty much takes care of itself.

Great reminders of our members’ needs!

Developing and utilizing an Engagement Plan (with input from all staff, board and volunteers)instead of a retention plan.

Engagement plans, not a retention plan. That was a great point.

Changing our Retention Task Force to an Engagement Task Force. We have been practicing the artof engagement but calling it retention. Engagement clearly defines the role of this task force muchbetter.

This discussion developed ideas for overcoming some of the old ways we do things.

It got us talking in a different way about membership engagement.

Working to engage younger business members.

That I need to spend more time digging for specific examples of engaging members outside ofevents and "telling the chamber story" about our advocacy work.

Due to the word of mouth outreach and marketing efforts by our volunteers, Institute exceeded theoverall attendance goal of 781 by 23 attendees, finishing with 804 total attendees. 2013 was a verysuccessful year! We thank Marianne Virgili, IOM, CCE, Chair of the Board of Trustees, as well asall of our volunteers for their on-going efforts to market the program this Institute season. We arelooking forward to a great year ahead!

Below are some highlights from 2013.

Recruited 11 new Board of Regent members and 27 Class Advisors from variousassociations and chambers of commerce.

Of the 27 Class Advisors, 15 were first-time advisors.

There are 199 interested volunteers in our database, representing 40 states plus DC.

32 states plus DC are currently represented on the board.

37 first-years were recruited from board members’ organizations during the 2013 calendaryear.

18 first-years were recruited from other organizations during the 2013 calendar year.

59 returning students were recruited from board members’ organizations during the 2013calendar year.
