iMindQ® for Business Uses

iMindQ® for Marketing

Being in marketing requires good planning, organizational skills and ability to work under

pressure. In this fast changing environment, it is easy to get lost in a bunch of information

and have problems meeting deadlines. Tracking details of the marketing plan, or wider

business plan, and transforming ideas into measurable results is a challenge for every person

in marketing.

Detailed campaign plans

With mind maps you can see all the information and data so you can build a detailed project

plan which provides faster and easier memorization and visualization of the whole plan. By

having the "big picture" presented in a map, you can easily find parts from the map with the

advanced search option and focus on what you want to see.

Fast generation of creative ideas

The most important skill for everyone involved in marketing is creativity. Using mind-maps

facilitates the process of business brainstorming, generating innovative ideas, which leads

to fast creation of marketing campaigns and strategies. Using this type of software can help

you increase your skills while you are solving a problem, intensify creativity and facilitate

your thinking processes.

Better focus on the step-by-step process

It takes time to plan and organize your work. Every day you receive information from emails,

files, online news, social media, smart phones etc. With many mind mapping solutions you

are able to centralize all needed documents in a single place by adding attachments to a

mind map or importing files from different formats. This allows for a better focus on the

step-by-step process rather than generalizing the issue.

Moreover, most of the mind-mapping software solutions today let you meet deadlines

easily by setting reminders for a specific meeting or assigned task, or adding time and date

on a specific topic in the mind map.

Remarkable Presentation

Business presentations are a crucial part of every marketing activity. Getting the audience

to pay attention and understand what you are saying is rather difficult. You can have the

presentation outline in a mind map and use it as guide by providing hard copy to the

audience which will make it flawless and easy to follow. Using snapshots from parts of the

map can make it more visually understandable and focused.

iMindQ® in Finance

CFO’s and any member of the financial team can benefit from using a mind mapping tools

for different activities they have, such as:

Summarize Financial Statements

Portfolio Management

Information Management

Cashflow Forecasting

iMindQ® in Sales

Generating Outline for the Sales Plan

Being successful in sales is not about luck. You have to plan and analyze each step

thoroughly: from pre-sales research to USP identification to post-sales after-care for

comprehensive and effective sales strategy. Pointing the right factors that influence the sales

processes and that are causing the problems, can help you in better problem solving and

definition of good sales strategies.

Managing the Sales Pipeline

Sales pipeline is the amount of business you attempt to close in a given month, quarter, or

year. It is usually presented as a spreadsheet that tracks all of the business your sales force

has pursued in the form of requests for proposal. As time passes, you can begin to track what

share of sales you close. If that share is consistent, you should be able to forecast sales with

greater accuracy, which will give your sales team greater confidence and help operations staff

plan accurately for future demand. You will also glean information on where your sales team

falls short. For example, is your conversion rate low, or are you converting plenty of customers,

but only getting a small share of their total business?

Page 12: iMindQ Whitepaper

12

Mind mapping can help you focus on the three critical pieces of information: accounts total

budget, the likely length of a sales cycle and the key decision makers. It will also help you

find your magic metric and set up your sales compensation plan.

When managing the sales pipeline, you have to connect and map results which will lead to

better decision making. Managing and setting up the tracking process is also important.

Note: Usually the most important metric is the lead-to-sale conversion, which is the time it

takes a customer to respond.

Sales Forecasting

When it comes to sales forecasting: you have to think and work around three things: the

basics, the prediction itself and the assumptions. When you map out and connect these

things, you’ll benefit not only from connecting them in a more logical way, but also from

keeping the data at one place and simply update it. This way you’ll keep track of changes

to decisions, historical data, variations in the year by year forecasts etc. In the basics you

should include price, cost, units, 3-case scenario and 2-5 year of forecast. When making the

prediction you have to have in mind the following: break down the predictions to the

simplest thing, use historical data and be realistic. To make the appropriate assumptions

you need to include three information sources: variables, market research and justification,

accountability to all assumptions.

Sales Presentations

One of the most important things to the sales staff members is to make good, eye-catching

and interesting presentations for both customers, investors, and managers. First thing you

benefit from mind mapping regarding making presentations is to plan and connect logically

the information your presentation will convey to the interested stakeholders.

iMindQ® in Analysis

iMindQ® offers the users the idea not only of mind mapping, but introducing the idea and

logic behind concept mapping. Analysts gain the following benefits from mind mapping:

Generation of Outline for Business Plans, SWOT analysis, Market Research Analysis,

Presentations

iMindQ® for Management

Managers use mind mapping for Problem solving, High-level Strategy Planning, Project

Management, Project Planning, Knowledge Management, Summarize Reports for seeing the

bigger picture. Other general uses are taking notes during meetings, preparing MoM’s etc.

iMindQ® in Human Resources

In any company new knowledge, knowledge elicitation and the knowledge retention is at

highest importance these days. People employed in Human Resources are responsible for

properly sharing and presenting the company’s mission, vision and policy to all employees.

The use of concept maps can facilitate the creation of shared vision and shared

understanding within teams and organization. Mind maps can serve them for planning

training processes, planning interviews and during the interviews for noting every answer of

each candidate.

iMindQ® for individual use

Mind maps can be very beneficial for every individual in their daily activities. Mind mapping

users have seen increased productivity once adopting mind maps as a technique. Below

we’ll look at the specific benefits that individuals will get from using a mapping tool for

different needs.

Mind mapping for Journalists from the media

A journalist job is to do researches for certain areas, write articles, held presentations in front

of the editors for certain area they have been working on etc. They face with information

overload and that is why they need something that will help them organize that information

and give different, logical meaning to it.

Fast ways to take notes and manage personal activities

When they visit different press conferences, they can use mind mapping tool on their tablet

or smartphone to take notes as simply and fast as they can without the need to write down

Page 14: iMindQ Whitepaper

14

in several pages what were the main conclusions after Q&A’s discussions. They can also use

mind mapping for self-organization and “To Do” lists.

Mapping story ideas

Mapping out story ideas helps the user think in a non-linear way, more like in a

brainstorming session where one would work with post-its on a white board and connect

ideas in a more creative way. Especially interesting when collaborating with friends. You can

post it as an online document and share it with others or even authorize them to edit the

map.

Mapping production processes and flows

How can the newsrooms better cope with multimedia coverage and how can they integrate

the online and the print operations? Mind mapping allows you to go into greater detail

describing what exactly is at stake and what could be changed. Also allows the user to

present the newsroom complex production flows and processes.

Mind mapping for Artists

Mind mapping can be used by artists such as musicians, writers, producers etc. The main

purpose why artists might use mind mapping is to logically structure any creative ideas

they might have and break them down to more detail points. One example is when a writer

writes a book or an article. In the first phase, the writer notes down the main concepts as

the top level topics and to which later can add more detailed points to them. This is more

similar to a self-brainstorming session. Further on, the writer can add notes, files, pictures

and even links to the source materials the person encountered during a research. Producers

and Screenplay writers may use mind mapping to create character profiles with the physical

appearance, language patterns, character traits and personal history and relationships.

Mind mapping for Students

Students can find mind mapping a fun and exciting way to study, work and follow their

progress all while saving time. Here are a few cool and easy illustrations of mind mapping

benefits in organize class schedules, writing essays, preparing exams, and meeting deadlines.

Stay up-to date with assignments

You can use mind maps to organize the information you receive from all of your classes you

take. Attach your lecture documents of any file type to the class or chapter topic, enter notes

Page 15: iMindQ Whitepaper

15

and set alerts for your assignment and test due dates. Be on top of your education and

know how well you are progressing!

Easier collaboration

Mind maps can be great addition to any group project. You can chat with your classmates,

discuss your ideas and share your views, all while you are still able to upload and attach

documents for others to read (or exchange them by hand if you use hand drawn mind maps).

With mind mapping you can easily build a common view and understanding with your

classmates!

Faster presentation

Mind mapping software solutions can help you create your presentation in the shortest time

ever. All you need to do is lay down all your ideas from your brainstorming session in a mind

map and organize it. Even more, most mind mapping software solutions allow you to take

screen shots from your mind maps

Set your own personal tasks

When visualizing all your tasks and assignments you can work with ease and more

confidence. Creating a mind map with your personal tasks and goal will help you stay on

top of your daily activities!

Plan your essay

When planning an essay, mind mapping helps students to make a realistic plan for their

essay; create a logical structure for the introduction, main section and conclusions. It focuses

your mind on the message you want to get across and the key information you want to

include, making it less likely to go off topic or start rambling.

Fast studying and recalling for exams

Studying for exams is a pretty scary and complex thing for most of the students, making all

the unstructured info difficult to remember and review. With mind mapping this information

overload can be organized in a very neat manner. You simply write down the main topics

for each subject, enter the most important information with one keyword and few important

sentences. This can assist students to review notes more effectively and efficiently,

remembering things visually.

Concept Mapping

A concept map is a way of representing relationships between ideas, images or words in the

same way that a sentence diagram represents the grammar of a sentence. In a concept map,

each word, phrase, or idea connects to another, and links back to the original idea, word or

phrase. Concept maps are a way to develop logical thinking and study skills by revealing

connections and helping students see how individual ideas form a larger whole.

It was first created to enhance meaningful learning in the sciences. A well-made concept

map grows within a context frame defined by an explicit "focus question".

Concept mapping can be done for several purposes:

To generate ideas (brain storming, etc.);

To design a complex structure (systems, networks, long texts, hypermedia, large

web sites, etc.);

To communicate complex ideas;

To aid learning by explicitly integrating new and old knowledge;

To assess understanding or diagnose misunderstanding.

Concept Maps vs. Mind Maps

Because of the different origins and purpose of each, Mind Maps and Concept Maps have

complementary strengths.

Mind maps can grow much larger than Concept Maps. Concept maps (networks)

get exponentially more awkward as they scale up, whereas trees can scale up very

well, because they encapsulate larger amount of information (mind mapping term

collapse branch).

Mind Maps are used mainly to generate ideas more quickly.

Mind Maps are much better at visually and mentally dividing things up into

different contexts and areas of focus. A Concept Map is more usually considered

as a whole, which is another reason that Concept Maps tend to remain smaller.

Concept Maps are designed to be clearly read one proposition at a time, whereas

many Mind Maps can only be skimmed to give a flavor of the subject, or even just

visually appreciated as a work of art.

Mind Maps work well as a reminder for those "in the know". Concept Maps are

self-contained and self-explanatory, so are better suited to sharing real knowledge

with non-authors, without a limited shelf life.

Presentation mode

What really moves people is telling a story, especially if the storytelling is represented and

accompanied with visual representations. Every presenter is a storyteller or a screen writer

who has his/her own story to tell/show. The audience usually remembers things that have

meaning and information they can connect logically.

iMindQ® not only that connects the information logically and allows you to customize the

representation of the information, but also allows you customize your way of presentation

depending on the audience.

Imagine the world of the movies or a play in the theatre, different scenes in which different

actors play their own role through which the screenwriter tries to convey his/her story to

the audience.

iMindQ® allows you the same thing with the new Presentation Mode. Imagine the specific

view of part of the map as a Scene and each Topic as an actor with certain animation (role)

assigned to it. If you want to present the ideas of a Brainstorming session instantly after the

end of the session, you can automatically present the brainstorming ideas in the mind map

with just one click.

Drag and drop desired content from the search results to the topics in the map space.

Writing the results from the research process can be tricky and a little bit difficult. Different

sources, several documents for same matter, can confuse the user and make the research

process unusable. Using the integrated web browser in iMindQ®, you can create detailed

mind maps, in only one click. Every piece of information can be built into the map, giving

you overview of the entire research process and clearly presents the research results.

Multiple Mind Maps

In iMindQ you can insert several ideas in the map as floating topics and from them, develop

multiple central ideas later on. The structure of each central idea can be changed, depending

on your needs, whether it is to do list, a basic plan, or a simple mind map.

One mind map with one central idea, displayed in the middle, shall not be a limiting factor when

working or discussing unconnected ideas. Further development of those ideas in a mind map,

enables you to create multiple mind maps around different central ideas, without the need to be

interconnected. This can help specifically when holding braninstorming session for generating

ideas for new product or new services, for improving a specific product, process etc. During the

brainstorming session these ideas are generated as floating ideas, in iMindQ known as Floating

topics. If you further need to develop an idea into subcategories, simply change the Topic

Structure to any desired Topic Structure and start working on them.

Style Editor

The process of mind map creation can be divided into two main steps:

Info inserting – in this process you are building the map, inserting the ideas through

topics without paying attention to the visual style of the map;

Style Editing – process where you are giving life to the map, using shapes and colors

for editing the details of the map components.

The style editor in iMindQ® can help you to introduce the company’s standards while

working with mind maps in the brainstorming segment, while creating project plans or

MS SharePoint integration

Microsoft SharePoint Server (or commonly referred as SharePoint) is a web application

platform developed by Microsoft Corporation. It is integrated with your company’s

document management and content management systems; however the latest versions

have significantly broader capabilities.

SharePoint integration in iMindQ® allows you to create and upload mind maps on

SharePoint Server, open already existing maps as well as creating and managing

connections to the appropriate web sites. Once the maps are created and uploaded on the

server, team members, project stakeholders and all project participant can view and edit the

map by inserting their proposals for the map’s subject.

Map templates

Using the map templates helps users and/or organizations can standardize the use and

appearance of the mind maps when created/edited/viewed in iMindQ® within a team or

across an organization. Information in a template can include views, topic shapes and colors

as well as pre-defined maps that can be edited during the creation phase.

iMindQ® contains four categories of map templates:

Business;

Educational;

Personal;

My templates;

that will give possibility to the users to create mind maps very quickly according.

Combined View

Combination view is a special view that contain two sub-views. Usually, the combination of

the views is bottom – upper, but iMindQ® offer users to all for sides for placing the second

view. The top pane view is the working space, where the mind map is created. The bottom

view is usually the Gantt Chart view.

The bottom pane view shows detailed information about the tasks from the map, located in

the top pane view. Combination views can be useful when the users are interested to view

more detailed information about a selection of task in one of the available views. By

Project Management

32

Introduction

Project Management is use of knowledge, tools, skills and techniques in the project plan in

order to meet the project requirements. The project management in one company is applied

using processes that received inputs and generates outputs. The main purpose of the

project management module in iMindQ® is to help project leaders and architects to create

useful and full-bodied project plan.

In our case, the input of the PM process is the mind map and the generated output is the

project plan. Created mind map is a starting point of the further process for developing the

idea into product. When the initial project plan is prepared, the executives will have the

preliminary information of the time frame for receiving the project’s goods. This piece of

information will help managers to estimate the budget, costs and resource allocation as well

as to better schedule the important project milestones.

Project Plan

Once the mind map for the idea is prepared, the next logical step is to create or prepare

“something” that will help to get the idea into the reality. That “something” is called project

plan. By its definition, project or project plan, as commonly referred, is a temporary effort

undertaken in order unique product or service to be created.

While the mind map is time independent, there are no deadlines or constraints, the project

plan is precisely planned over time with strictly resource schedules. This dimension - time,

is the key parameter for project success.

The project management module in iMindQ® will help you, project managers in the

companies, to prepare initial project plans, to schedule work and material resources while

the executives and the project stakeholders will have a tool for reviewing and analyzing

project information.

Gantt Chart

Gantt chart view is the most used view while creating project. It gives tabular and graphical

presentation of the tasks in the project plan. Gantt chart view consists of two parts: Gantt

table which is located on the left side of the application and Gantt chart on the right side.

This presentational chart illustrates the start and finish dates of the main project elements

(tasks and milestones) as well as the summary elements, such as task summary and project

Page 33: iMindQ Whitepaper

summary task, make it suitable for work mainly for project managers and project schedulers.

All these elements correspond to the Work Breakdown Structure of the project plan, giving

more detailed overview of the scheduled activities of the project participants.

Presenting the project activities with graphical elements, makes the project plan and its

milestones to be understood by all project participants.

In iMindQ, for better differentiation and visualization of the tasks in the map space and in

the Gantt Chart View, you can colorize the Gantt Chart task bars with one click, by applying

the fill color of the tasks in the map space to the task bars in the Gantt Chart View.

You can also manage the visibility of the Task Information in the map space, depending on

which Task Information you need at the moment.

WBS Chart

Work Breakdown Structure (or commonly referred as WBS) is process of hierarchical

decomposition of the project plan into deliverable work packages, using the tree structure

for graphical visualization. WBS can be used for presenting the project phases on global

scale (“35 000 feet” view) or for planning the project architecture up to the smallest portion

(task).

Using the WBS chart in iMindQ®, project managers, project leads and other project

participants (such as stakeholders) can make estimations for the workload for each task in

the project plan and have full overview on project’s deliverables. Once, having the anatomy

of the project plan graphically presented, project managers can easily organize the work of

the project teams, schedule project’s outcomes and make estimation of the project’s costs.
