VIEW RESUMES

Go to Applications and select “Advertised Positions”. Click on the drop down menu
next to Show advertisements for and select the duration of advertisements to be
listed and click List. A list of the advertisements will be listed. Click on the position to
access the Job Drawer page.
New Applications are stored in the Unprocessed folder by default. Click on any the
folders to access the resumes. Click on the candidate’s name to view the full resume
details.

Tick the box next to the candidate’s name(s) and then click on one of the folder
buttons at the top of the Summary table where the resume will be moved to the folder
clicked.

New applications are stored in the Unprocessed folder. Based on your job requirement, a default
filter is set up so that only candidates who pass the filter are displayed first.
You may view qualified candidates by clicking the Show Qualified link.
You can change the filter criteria by clicking the Set Qualified Filter link.
To show all candidates, click Show All

To automate the pre-screening or moving of candidates into other folders, save the filter
criteria as a rule by selecting Save Filter as a Rule in the drop down tools box.
To set criteria which are not available in the basic filter, select Advanced Filter in the drop
down under “Other Actions”.

Alternatively, by selecting Advanced Filter in the drop down tools box, you can filter
based on your own criteria.
Check on the categories to perform the search on and click Next. Specify the criteria you
want to search on and click Search.

The RULES WIZARD allows you to create and modify rules that will automatically move
applications to suitable folders of a job and/or alert you via email if suitable applicants has been
moved.
Create a New Rule
Go to Applications and click on the position title. Select “Automate candidate processing
with Rules Wizard” under Tools. Click on Create New Rule.
Indicate the criteria to perform the auto-filter. Select your actions for your rule i.e. send
email notification whenever resumes are auto-moved to your selected folder.

Click “Yes” to run the rule. Note: SiVA will automatically run the rules for new
applications that comes in. A notification email will be sent to the user who setup the
rules.

Email Templates. You can send an Acknowledgment, Interview and Reject
letter to candidates.
Go to Summary Table of the position.
Tick the box(es) before the names of the candidates you want to email.
Select Send Email option in the drop-down menu of Other Actions.

Select the e-mail template to use: Acknowledgement, Interview or Rejected Letter etc.
You can edit the default e-mail. Note: Do not change the text with the $ sign (e.g.
$CANDIDATE_NAME) for the mail merge.

Schedule Interview. Another option to schedule candidates for interview is the “Invite to
Interview” tool. This is more effective if you are scheduling two or more candidates for
interview. To use this tool:
Go to Summary Table of the position. Check the boxes before the names of the
candidates you want to schedule for interview.
Select the “Invite to Interview” tab right on top of the summary table. Select the date
and time of the interviews for each candidate using the calendar icon.
Click Proceed to Send Interview Letter.

Add Comments – keep a record of your comments (e.g. telephone, face-to-face
interview, or any feedback about the candidate).
Blacklist – tag unwanted candidates who have shown unprofessional behaviour or
provided fraudulent info in the resume for your own company’s reference.
Note: This ‘blacklist’
tagging will be displayed
in the candidate’s
Jobstreet resume
together with the
comments. Anyone
within your company
who comes across this
application will see your
action. There will be no
email sent to the
candidates about being
blacklisted.

Application Answer – view the candidate’s answer to the job-related question (if any).

Forward Resumé. You can choose to forward the candidate’s resumé to the Hiring
Manager or to a colleague. To forward resumés:
Select the resumes by ticking the box right beside the candidate’s name.
Click on the drop down menu for Other Actions and select Forward Resume.
Print Resumé. For mass printing of resumes. Select the resumes by ticking the box beside
the candidate’s name. SiVA can mass print a maximum of 500 resumes a day.

Copy to Another Position. To copy candidate’s resume to another position’s folder.
Choose to copy to an advertised position or My Folder.
Select the resumes by ticking the box right beside the candidate’s name.
Click on the drop down menu for Other Actions and select “Copy to Another Position.
Choose the position that you want the candidate’s resume copied to and to which
folder from the drop down menu. You will receive a pop-up message that the resume
has been copied successfully.
