Initial situationTo date, the operational budgets of all 56
Hapimag Resorts in 16 countriesand monthly reports to executive
management and the board of directorswere made out in form complex
Excel spreadsheets. The budget data fromthe Excel files was then
fed into the SAP R/3 financial system. In addition torequiring a
fair amount of time, this method led to redundant
data,inconsistencies, and a greater risk of error. Moreover, every
individualmodification had to be carried out extensively.
Challenges The system lacked a database ensuring a
single-point-of-truth.Furthermore, planning and reporting (MIS)
with Excel spreadsheets had tobe replaced by a more efficient
method. The basic design of the planningprocess, however, proved to
be good and development on it wascontinued. The new budget tool had
to be managed centrally but madeavailable decentrally nonetheless.
The Reporting (MIS) had to beintegrated into the SAP
environment.
Project goalsHapimag initially wished to set up integrated
planning. The goal consistedin being able to feed plan values into
an Excel front-end in the future andthen storing this data into the
SAP BW. This data should then betransferred back to the SAP R/3.
The next requirement involved database-supported reporting (MIS) to
replace the existing MIS.

ImplementationFollowing the setting up of the catalogue of
requirements, from among three vendors, Hapimag chose SAP
BusinessObjects Planning and Consoli-dation 7.0 (BPC) for
NetWeaver. SAP-BPC is a powerful planning and conso-lidation
application that meets all requirements in the fields of budgeting,
planning, consolidation, and reporting as well as offering the
following advantages:
Front-end tool for existing IT environments SAP BW/BI serves as
the database for master and dynamic data Standard interfaces
Desktop: interactive Excel
The new planning and reporting tool has met our requirements
fully.Thanks to the shorter duration of planning and reporting, we
can nowinvest more time in analyses. The CubeServ consultants
provided us withexcellent support and we were able to achieve our

Results and benefitsThanks to the implementation of SAP BPC 7.0
NW, we were able to set up adatabase allowing for integrated and
simultaneously automated and flexibleplanning. The manual workload
could be reduced significantly and allplanning data could be
rapidly consolidated into a stable database.
Because Excel serves as the front-end, users did not have to
familiarize themselves with a new environment. Simultaneously, the
required single-point-of-truth could be ensured. Decentralized data
processing (bottom up) could be ensured by means of defined access
rights.
