In today’s world, employees are required to access and store information at any time, from anywhere, and on any device. Collaboration software, with its allowances for commentary and large files sizes, is now as critical to productivity and communication as email. Just as the way people share information has changed, so has the way we need to protect that valuable content throughout its lifecycle. File sharing tools are commonplace, but they are typically designed expressly for collaboration—security is an afterthought.

Particularly when contending with compliance and privacy regulations, most organizations have concentrated on document protection by restricting the most sensitive content to within the firewall; or through the use of different access controls to limit document permissions as a preventative measure against external sharing. This approach often impedes the speed of business with which knowledge workers have become accustomed to when using email and file sync & share applications. To keep up,

enterprises must have user-friendly tools to enable the sharing of secure content beyond traditional boundaries while also providing a streamlined user experience.

Information Rights Management, A Critical Tool for Today’s EnterpriseAs reliance upon the cloud grows, so does the risk of data leaks and other security breaches. Unlike other security strategies, IRM puts emphasis on securing information itself, rather than relying on other systems to ensure security.

Traditionally, no matter how secure an environment may be—standard firewall, VPN, or cloud—only the perimeter is fortified. Security breaches and bugs such as Heartbleed are reminders that even in the most secure environments, there will always be unknown vulnerabilities. In today’s enterprise, content is the new perimeter.

What is IRM?Information Rights Management (IRM) concerns the protection of sensitive information for business purposes — usually referring to documents and emails. While IRM is a part of Digital Rights Management (DRM), DRM typically refers to consumer-facing rich media (film, music, literature). IRM tends to encompass more enterprise-based needs and uses encryption as its armor, protecting permissions and document usage. As the use of internet for business and personal needs continues to evolve, it’s best to regard IRM as a distinctly different security practice.

Plug-in free control of enterprise content provides complete security of information assets beyond the firewall.

Intralinks Information Rights Management (IRM) emphasizes document-level security rather than relying upon “walls” as the predominant protection against security breaches and leaks. IRM gives users, and ultimately administrators, full control over a document for its entire lifecycle. End-to-end encryption of an individual document affords granular control in ways typical secure environments cannot—who can view it, who may download it, who may edit it, and for how long they may access the content. For example, even if a document was downloaded onto the mobile device of a terminated employee, access to that document may still be revoked.

IRM by designTM gives companies the freedom to share and collaborate with

complete control over their content. A plugin-free component throughout our entire platform, IRM puts Information Rights Management directly under the control and oversight of the organization. Control of content is extended to wherever it resides. IRM gives companies the freedom to share through complete document control. With IRM, documents can be controlled remotely — permission for information to be created, viewed, edited, and distributed can be handled individually. Access to individual content pieces may be granted and revoked individually during the course of a project. By integrating IRM into the Intralinks® platform, IT no longer has to handle the complexities of plugins and other 3rd-party solutions. IRM is built directly into the software. IRM gives the organization the ability to extend control of its content wherever it resides. Encryption is used in the granting of control over who has access to a document, who may implement certain controls over the documents, and what the user is allowed to do with the document. By embedding the security settings and preferences into the document, organizations can feel confident they are managing their information by their own design.
