This check box allows the user to select other currencies which they would like to generate invoices for. The check box is unchecked by default. The functionality of the “Currency” drop down list is unchanged and determines how rates are displayed. We will call this the “System Currency” for the purposes of this update. If “Use Additional Invoice Currencies” is checked, checkboxes showing the additional currencies available in Resbook will display.

To  allow  this,  a  check  box  has  been  added  to  the  “Accounting  and  Financial”  Screen:  “Use  Additional  Invoice  Currencies”.    This  check  box  allows  the  user  to  select  other  currencies  which  they  would  like  to  generate  invoices  for.    The  check  box  is  unchecked  by  default.

 The  System  Currency  will  be  checked  by  default.    Updating  the  System  Currency  will  result  in  the  corresponding  updates  to  the  check  boxes.      Selecting  additional  invoice  currencies  will  result  in  an  “Invoice  Currency”  drop  down  list  and  a  “Conversion  Rate”  text  box  being  visible  on  all  invoices.    You  will  need  to  check  today’s  exchange  rate  using  a  currency  calculator  like  XE.com,  and  manually  enter  the  day’s  exchange  rate  in  the  “Conversion  Rate”  box.    

   Invoice  Currency:  contains  the  list  of  user-­‐selected  currencies  in  “Accounting  and  Financial”.    The  default  value  is  the  System  Currency.  To  show  the  invoice  in  another  available  currency,  the  alternate  currency  must  be  selected  from  the  drop  down  list  and  the  invoice  must  be  saved.    Conversion  Rate:  contains  your  manually  inputted  conversion  rate  to  convert  the  System  Currency  to  the  Invoice  Currency.

 Conversion  only  occurs  whenever  the  invoice  is  saved.    Changes  to  the  system  currency/rates  outside  of  an  invoice  will  not  automatically  alter  existing  figures  on  invoices.    Once  the  invoice  is  saved,  it  will  display  as  follows:    

   Please  view  the  table  below  for  further  clarification  on  the  table  above:    Column   Description  Rate   Rate  in  System  Currency    Billed  As   [Rate  *  Quantity  *  Conversion  Rate]  in  Invoice  Currency  GST   Tax  component  (in  Invoice  Currency)  of  “Billed  As”  value.    The  label  and  tax  

rate  used  for  the  calculationof  this  column  will  automatically  change  according  to  the  “Tax  Code”  selected  in  “Accounting  and  Financial”.  

EX  GST   [Rate  –  GST]  in  Invoice  Currency.  The  label  of  this  column  will  automatically  change  according  to  the  “Tax  Code”  selected  in  “Accounting  and  Financial”  

Total   [GST  +  EX  GST]  in  Invoice  Currency
