EMAIL AND FILE SHARING

The FirstClass® App

Setting Up Email- When setting up your device for using the FirstClass®

app, follow the step by step directions found here:

http://www.hendersoncountypublicschoolsnc.org/instructional-

technology/files/2011/02/FirstClassforiPhone.pdf.

Although these directions are for iPods and iPhones,

these still apply to iPads.

NOTE: When using the client on the iPad, please

remember to logout. You will logout in the top left-

hand corner of FirstClass® when you are logged in.

You must also tap LOGOUT on the main login

screen to ensure you are logged out. Essentially,

you are tapping logout twice in order to fully logout

of the system.

Setting Up Your FirstClass® Calendar- When setting

up your FirstClass® calendar, follow the step by step

directions found here:

http://www.hendersoncountypublicschoolsnc.org/technology/files/2012/04/F

irstClass-Calendar-on-iPadUPDATEDPORT.pdf.

NOTES: Make sure the calendars you want to view and use are

displayed in the Show Calendars list. If you are using the iCloud or any

other personal calendars, you will have to manually select the desired

calendar each time you add an event from your iPad. It is important to

note that the iCloud calendar is completely separate from the other

calendars and should not be used.

FirstClass® Device Preferences: From your computer client, you need to

check the way FirstClass® is handling your iPad device. When logged into

the client, go to Edit>Preferences and choose the Handheld Devices tab.

19

Ensure the Conflict Resolution Policy is set to “Keep FirstClass

changes, discard device changes”. This will ensure proper

syncing.

Also check to see if the “Synchronize only after date” is the one

you want it to be. You can change it if you need to view earlier

dates on your device.

If you are having difficulty viewing all desired dates on your device,

change the NEXT SYNCHRONIZATION drop-down beside the

calendar to “Slow(Full)”

Document and File Sharing

iPad apps handle files within the software which created them. For this

reason, it is necessary to use email to share files. FirstClass cannot be

used to send files because the software that created the file must be used

to send the file. For example, a Pages document must be sent using

Pages. For this reason, Gaggle should be used for document and file

sharing. Gaggle account information will be provided by the school-based

Gaggle trainers.

WHY NOT USE A PERSONAL EMAIL? Federal regulations and state law

require that business email be archived. In order to facilitate this, Gaggle

will be used.

Setting Up Gaggle for Sharing

1. Go to Settings and select Mail, Contacts, Calendars.

2. Under Accounts, select Add Account and choose Other.

3. Under Mail, select Add Mail Account.

4. Enter the following:

a. Name: Your Name

20

b. Address: [email protected] (your username

would have been given to you by a member of the

Technology Staff)

c. Password: Your Gaggle password

d. Description: “Gaggle Email Account”

5. Press Next.

6. The IMAP button should be highlighted in blue. If not, press

IMAP to change it to blue.

7. Under Incoming Mail Server, enter the following:

a. Host Name: imap.gaggle.net

b. User Name: [email protected]

8. Under Outgoing Mail Server, enter the following:

a. Host Name: smtp.gaggle.net

b. User Name: [email protected]

c. Password: Your Gaggle password

9. Press Next.

10. A verification process will take place. This may take some time.

Be patient. When it is finished, press Save.

11. Press your home button. Congratulations! Your Gaggle account

is now set up.

Sharing Files from the iPad With Email

1. Open the application used to create the file.

2. Once the file is open, locate the Share icon. Depending on the

app, it may look a little different, but here are some samples:

file.

4. Type your entire FirstClass® email address in the To: field.

5. Fill in the Subject field relative to the document you are

sending.

6. Click Send and a copy of this email with attached file will be

sent to your FirstClass email.

7. Now you can forward this message to the appropriate recipient

or you can save your file on your PC.

22

UNDERSTANDING ITUNES

Interface

iTunes provides users with the ability to back up, share, sync and

personalize content to iDevices.

1. Sign In: Users should sign in with their Apple ID and password.

2. iTunes Status Box: This area displays work being done within

iTunes. Whether the iPad is syncing, backing up, or purchases are

being transferred, unless the apple logo is displayed, do not

unplug or close iTunes.

3. Left-Hand Navigation Bar: This is the menu for accessing

iDevices and purchased content.

4. Menu Tabs: Use these tabs to access different categories of

content for your device.

5. Main Menu: This menu controls the functionality of iTunes and is

where devices will be authorized and deauthorized.

23

iTunes Overview

iTunes is the software which is installed on your computer. This software is

used to sync your device, backup your iPad data and access a wealth of

free resources (such as iTunes U). Your iTunes account should be logged

in on both your computer and your iPad when syncing.

Understanding Syncing

Syncing your device is important for backup, software installation and

general maintenance of your iPad. Although not necessary on a daily basis,

this should become a weekly or biweekly habit. When syncing your device,

you can also view software updates, choose what to sync and access

customization of your syncing practices and iPad setup. Oftentimes syncing

your iPad can solve many minor technical issues, as this can update

everything as you sync. In addition, this creates a backup of your

applications, settings and pre-determined files.

Sharing Files via iTunes

When syncing your iPad to your computer, it is important to know where to

find your files on your PC. Follow these steps for locating your files on

iTunes:

In an application that allows for sending to iTunes, when you access

the Share option, choose Send to iTunes.

Choose the format of the document. Remember that you must

choose a format that matches a piece of software on your PC. For

example, do not choose Pages format, if you do not have Pages

software on your computer.

Plug in your device.

After sync is complete, click on the name of your device.

Click on the Apps tab.

Scroll down to the bottom of the page to the “File Sharing” section.

24

1. Click on the application that you used to create the file which you

are wanting to access.

2. Choose the document you wish to access on your computer.

3. Click on the “Save to…” button.

4. Choose your location for saving. Now your file is on your

computer.

25

TIPS AND SHORTCUTS

There are many shortcuts and tricks that make the use of the iPad even

more efficient. Here are some of those tips:

Keyboard Tips

Keyboard Trick: If you are using the on screen keyboard and you want to

type an apostrophe and you do not want to have to switch back and forth

between the letter and number keyboards, simply press and hold down the

exclamation key and choose the apostrophe. Several other keys have

additional options, as well. If there is an international letter needed, try

pressing and holding the related letter. Also, the question mark gets you to

the quotation mark.

Turn on Caps Lock: To turn on Caps Lock, simply double tap the shift

key.

Gesture Tips

Zooming: To zoom in or out, simply pinch 2 fingers together or apart. This

can work in Safari, documents, images and some other apps.

Application Switching: For switching between applications, use 4 or 5

fingers and swipe left or right.

Multitasking Bar: To reveal the Multitasking Bar (open applications), use 4

or 5 fingers and swipe up.

Multitasking Bar Tips: The first view of the Multitasking Bar shows

everything you have opened with the most recent application first. If

you need to force close an application, go to the Multitasking Bar,

26

hold down the application icon until it shakes. Then press the red

minus sign to close the application.

Notifications: To reveal notifications, swipe from the top of the screen

down with 1 finger. Turn these off in Settings if desired.

Basic Tips

Make App Folders: If you need to organize your applications, try making

folders to group your related icons. For example, if you wanted to make a

folder just for Games, press and hold on one game icon. When it starts to

shake, drag it over another app icon with which you want this one grouped.

You will notice the second app highlight. Drop the first app icon into the

highlighted area of the second app icon. Name your folder appropriately.

Continue to drag and drop icons until your desired folders are made. To

stop the app icons from “shaking”, click the Home Button once.

Take a Screenshot of Your iPad: When you need to capture what is

displaying on your iPad screen, hold down the Home button and then press

down the power button. The screen will flash and the camera will click. The

image is stored in your Photos app.

Saving Battery Life: Do not just turn off the screen by pressing the power

button. This just puts your iPad to sleep. When you do not need your iPad

for a while, shut it down by holding down the Home button and the Power

button. A red slider will appear. Slide it and your iPad will really shut down.

Selecting Text to Copy: If you want to select a word or short phrase,

simply press and hold on the word, then drag and select copy. For

selecting more text to copy and paste from one place to another, simply tap

on a paragraph 4 times and the entire paragraph will be selected. Then

you can simply choose Copy.

27

Return to the Top of a Page: When scrolling down a lengthy page of

content, avoid having to scroll to the top of the page by tapping the title bar

at the top of the screen.
