iPhone Essentials Updated for iOS 11

The newest iOS 11 brings design changes, new apps, and major improvements to iCloud and iCloud Drive.

As you adjust to the changes in appearance, the different screens, the new ways to do things, remember that it might make you cranky, but it’s great for your brain to be learning new things and creating new neural pathways.

Practice a little every day and you’ll be a happy user in no time!! And be sure to keep up with the Software Updates as Apple releases them, to fix bugs, improve security and keep things working smoothly.

Settings The first thing I do with a new OS is look through the Settings to see what new things I may have control over.

iCloud All of your iCloud settings and choices are in one place. Tap your name to see your choices and settings, including managing your iCloud storage. (see below for more about iCloud). Mail accounts and password settings are now under Accounts and Passwords.

Emergency SOS is a new option for auto-calling emergency services. With Auto Call turned on, you can quickly click the Sleep/Wake button five times to call emergency services

Privacy Choose which apps have permission to use Location Services, the microphone, speech recognition, camera, etc. If you want to use the Maps app and other apps that base the information on your location, you do need to turn Location Services on. Be sure to go through and choose which apps you want to know where you are.

Control Center Control Center gives you access to the most commonly used settings. To access the Control Center, swipe up from the bottom of the Home screen

• Airplane Mode – turns off the cellular and communications radios • Cellular • Wi-Fi toggles connect/disconnect from a wireless network -see below for

turning wifi off • Bluetooth toggles connect/disconnect from a Bluetooth network -see

To Customize What Appears in Control Center 1. Tap Settings 2. Tap Control Center 3. Tap Customize Controls 4. Choose what you want to appear in Control Center

If you use Notes or Voice Memos, or some other app often, consider adding it to the Control Center for faster access.

IMPORTANT NOTE!!! In iOS 11, switching Wifi and Bluetooth off in the Control Center disconnects you from the network you’re on for a day, and then turns it back on the following day. It DOES NOT turn it off. To truly turn it off, you have to go into Settings and choose Wifi and Bluetooth, and turn them off.

Do Not Disturb You can set your iPhone to silence calls, alerts and notifications during certain hours. You can also schedule quiet hours, allow only certain people’s calls to ring through, and customize the settings in the new Do Not Disturb While Driving setting.

1. Tap Settings 2. Tap Do Not Disturb 3. Tap Scheduled to set specific times 4. Tap Allow Calls From to receive calls from only certain people 5. Turn on Repeated Calls to allow a second call from the same person to come

through 6. Scroll to the bottom to see your Do Not Disturb While Driving choices,

including options to send an auto-reply to anyone who calls or texts you while you are driving

NOTE: If you are suddenly not receiving ANY calls, check to be sure you haven’t accidentally turned on the Do Not Disturb (the crescent moon) in Settings or in the Control Panel. Also check the left side switch that turns sound on and off, as well as the volume buttons, to make sure the iPhone isn’t muted.

OTHER USEFUL SETTINGS Make Things More Readable You have a lot of control over the size of text

1. Tap Settings 2. Tap Display and Brightness 3. Turn on Bold Text 4. Tap Text Type 5. Drag the slider to adjust the size 6. Your device will restart to have the choice take effect

You can also change the View to be Zoomed, which will make icons and words bigger and easier to read on all screens.

Don’t Type Periods Instead of actually typing a period at the end of a sentence, double-tap the space bar and it will put in a period and a space so you can just start typing the next sentence.If this feature doesn’t work:

1.Tap Settings 2.Tap General 3.Tap Keyboard 4.Turn the “.” Shortcut ON

Caps Lock While there is no Caps Lock key on the iPhone keyboard, you can create one.

1. Tap Settings 2. Tap General 3. Tap Keyboard 4. Make your choices for keyboard options, including Enable Caps Lock. To use the Caps Lock, double tap the Shift key and it will turn black, indicating that the Caps Lock is on.

Controlling Sounds You can control what sounds play when different things happen. You can turn off all sounds, or just some. Maybe you don’t like the sound when you unlock your device or type on the keyboard. Maybe you prefer not to hear a bing every time you receive or send an email, or when someone sends you a text or leaves a voicemail. It’s easy to choose which sounds and alerts you want to hear.

This is also where you can choose a different ringtone and make the Vibrate feature silent.

Change Your Wallpaper As fun as it is to have a favorite photo on your iPhone Lock Screen, it’s quite refreshing to change the images every once in a while.

1. Tap Settings 2. Tap Wallpapers 3. Tap Choose a New Wallpaper 4. Know whether you are changing the Lock Screen of the Home Screen

(you might want to choose a less busy image for the home screen so you can still read the screen)

5. Navigate to find the photo that you want to use 6. If you choose one of Apple’s wallpapers, know that Dynamic will use more

battery power than Still 7. Choose the photo 8. Choose which screen to apply it to 9. Enjoy!

Change Your iPhone Signature By default, every email you send says “Sent from my iPhone or iPad.” You can remove this and even add your own signature. You can even have a different signature for each of your email accounts.

1. From the Home screen, tap on Settings 2. Scroll down and tap Mail 3. Scroll all the way down and tap Signature 4. Choose All Accounts if you want to use the same signature for all of your

email accounts 5. Click Per Account if you have more than one email address and want to

create unique signatures for each one 6. Tap in the white space below the account name and type the text you want

to appear at the bottom of every email from that account 7. There is no need to Save it, just tap back to Mail and you’ll see that, next to

Signature, it now shows either the text you typed or the number of how many email accounts you have

ALL ABOUT STORAGE To Manage iPhone Storage You cannot add more storage space to your iPhone, but you can do things to make more room, including using iCloud Drive to store more of your stuff.

1. Tap Settings 2. Tap General 3. Tap iPhone Storage 4. Across the top, you’ll see a color graph showing your iPhone’s total storage

capacity, and how it is being used 5. You’ll also see the Recommended Options to Enable iCloud Photo Library

and also Offload Unused Apps 6. Tap Show All to see a list of videos, and apps, and how much each one is

using 7. If there are apps you don’t use anymore, tap and Delete 8. If you use the app sometimes, but really need the space on your phone right

now, choose Offload App to keep the data you’ve created with the app, and only remove the actual app from your iPhone

More Tips for Reclaiming Storage Space on Your iPhone • Delete text messages, especially those with videos, photos, stickers • Delete photos stored on your iPhone’s camera roll after confirming that they

are backed up someplace else • Delete the photos in the Recently Deleted Album

Using iCloud Drive Some of the biggest changes with iOS 11 are with iCloud Drive. Now, in addition to storing your iCloud Photo Library on iCloud so that you can access your photos on all of your Apple products, iCloud Drive now makes it easy to store everything that’s in your Mac’s Documents folder, and whatever is on your Mac Desktop, so that you can work on them wherever you have wifi access.

To access what's on iCloud Drive, there’s a new icon of a folder on the Home Screen. This is the new app called Files (formerly called iCloud Drive.)

Tap Files and you’ll see the Browse screen with a list of Locations, including iCloud Drive. Your Dropbox Files are also accessible here.

Tap iCloud Drive and you’ll see folders for Pages, Keynote, Numbers, and any other apps that you’ve set to save to iCloud Drive.

You’ll also see folders for your Mac’s Desktop and your Mac’s Documents folders listed, as well as any other files or documents you’ve saved to iCloud Drive.

Tap on any of these folders to work with your files on your iPhone.

To turn iCloud Drive On/Off: 1. Tap Settings 2. Tap your name at the top of the list 3. Tap iCloud 4. Scroll down to iCloud Drive 5. Make your choice to turn it on/off

You'll need to do the same thing on your Mac: 1. From the Apple menu, choose System Preferences 2. Click on the iCloud icon 3. Choose which apps you want to save to your iCloud Drive

Very Important Note: Once you turn iCloud Drive ON, your files are on the Cloud, and images of them also appear on your desktop for easy access.

If you decide to turn iCloud Drive OFF, all of the files on your Desktop and in your Documents folder will be deleted from your computer and devices too, so be sure to drag and drop to copy them from iCloud Drive onto your computer before you make any changes!

To Manage iCloud Drive Storage 1. Tap Settings 2. Tap your name at the top 3. Tap iCloud 4. At the top you’ll see how much iCloud

storage space you have and how much is being used. You’ll also see a list of Apps that are using iCloud to sync between all of your Apple devices.

NOTE: This is not a list of your actual apps. This is the information you’ve created using the app. Be very cautious about deleting anything here.

ALL ABOUT PHOTOS iCloud Photo Library You can now store your entire photo library on iCloud using the new iCloud Photo Library. Depending on how many pictures you have, you may need to buy more iCloud storage space. Photos in iCloud Photo Library are available to all devices that have iCloud Photo Library turned on, and as long as you have internet connection. Albums created on any device are available on all devices.

To set your Photos to use the iCloud Photo Library, so that all photos are accessible from all of your devices,

1. Tap Settings 2. Tap your name at the top for iCloud Settings 3. Tap iCloud 4. Scroll down to Photos and tap 5. Here is where you can choose to turn iCloud Photo Library on.

Note: It may take a long while for all of your photos to transfer up to iCloud.

Be sure this setting is turned on in Photos on your Mac as well. 1. On your Mac, open Photos 2. Under the Photos menu choose Preferences 3. Click the iCloud icon 4. Turn on iCloud Photo Library 5. Choose to Download Originals to Mac if your computer has enough storage

Again, it may take a while for all of your photos to appear.

NOTE: You may need to purchase more storage space on your iCloud Drive to accommodate all of your photos and files.

OR Photo Stream 1.If you choose NOT to use iCloud Photo Library, you can use Photo Stream

to automatically share photos with your Mac. 2.When your iPhone is connected to a wifi network, all photos on the

Camera Roll are uploaded/copied to Photo Stream on iCloud. 3.When you open the Photos app on your Mac, those photos are downloaded

into Photos on your Mac for permanent access.

To set your Photos to use the iCloud Photo Stream to send your Photos to your Mac instead of storing everything in iCloud Photo Library

1. Tap Settings 2. Tap iCloud 3. Scroll down to Photos and tap My Photo Stream 4. Now, in Photos, when you Tap Albums, you’ll see an album called Camera

Roll that has all of the photos you’ve taken with your iPhone Be sure this setting is turned on in Photos on your Mac as well. 1. On your Mac, open Photos 6. Under the Photos menu choose Preferences 7. Click the iCloud icon 8. Turn on iCloud Photo Stream

Very Important Note: If you have an iPhone 7 or newer, photos are now saved in a new HEVC/ HEIF format that takes up much less space. BUT you won’t be able to share the pics with your Mac or PC, because the format is no longer the universal .jpg

To change the setting so that you can still see the photos on your Mac and share with others: 1. Tap Settings 2. Tap Camera 3. Choose Formats 4. Select Most Compatible to save pics in jpg format

As the new format becomes more mainstream, you can then switch back and take advantage of the new technology.

Fastest Way to Take a Picture 1. From the Lock Screen, swipe right to left 2. Choose Photo, Square, Video, Panorama, etc. 3. Tap the big white circle to take picture 4. To see the picture you just took, tap it in the corner

To Review Photos You can tap the image of the last photo taken in the Camera screen or

ALL PHOTOS ARE IN PHOTOS, based on the date and location taken. They are grouped by Years/Collections/Moments

Years Years allows you to quickly navigate to a specific year. Tap on a year to see the Collections of photos from that year.

Collections Collections are groups of photos taken at the same place across several days. Tap on a Collection to see the individual photos. These are called Moments.

Moments Moments groups photos taken on the same day/same place, and offers a summary of “the best” photos as a slide show, and with varied sizes. To see all photos in that Collection, tap Show More. Moments also includes a map of where the photos were taken, and who is in them.

Albums Photos has several set albums that automatically group photos for easier navigation: Camera Roll- all the pictures you’ve taken with the iPhone camera Favorite – photos you’ve marked to go into this album (see editing photos) People – uses face recognition to quickly find photos by who is in them Places – Give the camera permission to use Location Services to use the iPhone’s GPS to tag and group photos by location

You can create your own albums to group favorite photos together so you can find them easily, to share, print, even turn into a photo project. The photos in albums are COPIES of the originals that remain in Photos.

There are several ways to create an Album 1. Tap Photos and find a Moment or Tap Albums and choose Photos (or

tap Camera Roll if you are not using iCloud Photo Library), or wherever the photos are

2. Tap Select, in the top right 3. Tap each of the photos you want to include in this new album or

choose the entire Moment 4. Tap Add To 5. Tap New Album and title it

IMPORTANT!!! If you delete an album or a photo from an Album, the photos are STILL in Camera Roll and Photos. If you put a photo in an album and then delete it from Camera Roll or Photos, it will be deleted from BOTH places!

Deleting Photos Deleting a Single Photo

1. In Photos app, find the photo in Photos or Moments 2. Tap the picture then tap the Trash Can, bottom right

Deleting Several Photos at a Time 1. In Photos app, tap Camera Roll at the bottom 2. Tap Select, in the top right corner 3. Tap each of the pictures you want to delete

OR You can select many photos with a new way to swipe. It takes a little practice to get the angle and the amount of pressure, but once you get it, you'll love it. 1. In Photos, tap the Album or Moment that you are wanting to work with 2. Tap Select

Lightly drag your finger diagonally across the series of photos you want to select. You may want to start with just a screen at a time until you're comfortable with the swiping.

3. The photos will be highlighted with a blue circled check mark 4. Once selected, you can tap the Trash to Delete, or tap Add To to move them to

a new album

Recently Deleted The Recently Deleted Album contains photos you’ve deleted in the past 30 days. To Recover a deleted photo

1. Tap Albums 2. Tap Recently Deleted 3. Tap Select 4. Tap the photo or photos that you want to retrieve or delete 5. Tap Recover or Delete

Memories Photos automatically gathers related pictures and presents them as a video and photos. It’s a fun way to randomly view photos you may have forgotten.

Cropping and Rotating Use this tool that looks the a square with arrows, to rotate, straighten and crop a photo. To maintain proportions, use the constraint tool, the white rectangle above the word Done.

Adjustments Use this tool (that looks like a timer) to manually adjust light, color, grain, etc. You may want to turn your iPhone sideways so that the edit tools and your photo appear on the screen

Add Text and Markups to Photos At the top center of the Edit screen there is a circle with 3 dots. Click this tool for Markup and other 3rd party Photo Editors.

1. Tap Markup 2. Tap to choose a writing tool, 3. Tap the black circle to choose a color, then drag your finger to draw on the

photo 4. Tap the lasso to surround something you’ve drawn in order to move it 5. To add text, tap the + and choose Text 6. A text box will appear on the photo, with the word Text, though it may be

hard to see. It has 2 blue circles on each end. Double-tap on the word TEXT to bring up the keyboard

7. Tap on the photo when done typing (Do not tap on Done—that’s for the whole Edit screen)

8. To make changes to the text (size, font, alignment), tap once on the words so that it has the blue circle handles again

Favorite Photos When reviewing photos individually, you can tap the Heart icon to automatically add it to your Favorites album. This makes it much faster to share your favorite pics. To quickly find them, Tap Albums Tap Favorites and scroll through

SOME TIPS ABOUT MAIL Choose Which Mail Account Mailboxes You See If you have more than one email account, you can choose to see only some of them, or all of them. 1.In Mail, in the top left corner, tap Mailboxes to see a list of all of your accounts 2.At the top, you’ll see the Inboxes 3.Scroll down and you’ll also see all of the Mailboxes or Folders for each of your

accounts, including folders you have created within Mail

Checking For New Mail There is no Get Mail icon, but all you have to do is pull down on the Inbox list and it will check for new Mail

Threads of Incoming Mail There is a feature in Apple Mail that automatically groups emails together that are related, part of the same “conversation.”Some people like to see all related emails grouped together. But for many of us, it’s causing confusion. To turn this feature OFF

Safari Sometimes in Safari, you can easily see the address bar at the top of the screen, and the Navigation tools at the bottom. And sometimes they’re not there.

• To see them, tap at the top of the screen • To type a search word or web address, tap in the gray address bar across

the top and type • To share a website in a text, email, create a bookmark or save it to the

Reading List to read later, tap the Share icon, the square with the up arrow • If it’s a website you go to often, consider saving it as an icon on your Home

WORKING WITH APPS App Switcher: Multitasking Between Open Apps Let’s say you’re writing an email and you need to check an appointment date. Instead of pressing the Home button and then opening the Calendar, checking the date and then returning to Mail and re-opening the Draft you were working on:

1. Tap the Home button to leave Mail 2. Double-tap on the Home button and you’ll see preview panels of each open

app 3. Tap on the one you want 4. Do what you need to do in that app 5. Then tap on the Home button again, double tap again, and return to the

original app exactly where you left it

Quitting Apps that are Running in the Background If things seem slow or stuck, try quitting all of your open Apps.

1. Bring up the multitasking screen by double-taping on the Home button 2. Find the app you want to quit then just swipe up on one of the app preview

panels to quit that app

Rearranging Apps on Your Screen You can rearrange what’s on each screen, based on what you use most frequently. Instead of trying to drag apps from one screen to another, here’s a great trick!

1. Tap and hold on any app to get them wiggling 2. Find a screen with empty space and drag the apps from your Favorites bar

into that space, temporarily 3. Drag an app you want to move to another screen, into your Favorites bar 4. Swipe to the preferred screen 5. Drag the App from the Favorites bar to where you want it on this page 6. Continue moving icons around until you’re satisfied 7. When you’re done, put your Favorites back in the bar, then tap the Home

Fast Searching with Spotlight Are you looking for a person’s phone number? While you might think it’s pretty easy to click on your Contacts and scroll to that person’s name, there is a much faster way.

1. Swipe left to right from the Home screen to access your favorite Widgets. 2. At the top of the screen is a Search box This is Spotlight. 3. Tap in the Search box and begin typing the name of the person you’re

looking for. You can also tap the microphone and talk.

Not only will the person’s name appear next to the icon of the Contacts, but you’ll also see all emails related to that person, any calendar events, text messages and more. Click on any entry and you’re there.

Spotlight is great for finding files, websites, apps, songs and more.

Quick Type Suggestions The new Quick Type keyboard in iOS 11 suggests words so you don’t have to type them. To hide the Quick Type keyboard simply swipe down on the new gray bar to hide it. To show it again, just swipe back up.

How To Take A Picture of What’s on the Screen Sometimes you need to take a snapshot of what’s on your screen. Maybe to report an odd problem. Maybe to brag about a high score on Scrabble.To take a picture of the screen, hold down the On/Off button at the same time that you press the Home button. You’ll hear a shutter sound. To find the picture, click on Photos and look in the camera roll. Now you can email the picture or save it for future use.

TELEPHONE CALLING TIPS Last Number Dialed One place to find the last number you dialed is in Recents. Or you can try this shortcut:

Adding an Extension to a Contact’s Phone Number If you frequently dial a phone number that includes an extension, it’s easy to add that extension into the person’s contact information.

1. Tap Contacts 2. Find the person 3. Tap Edit 4. Tap the phone number you want to add the extension to 5. Tap the +*# key 6. A set of new options appears. Make sure the cursor is at the end of the

phone number 7. Tap PAUSE. This adds a comma 8. Type the extension number and tap Done

The next time you call that person, it will dial the phone number and pause, then dial the extension when prompted.

Reminder to Return a Phone Call Have you ever rejected a call from a person and then forgotten to call them back? When a call comes in from a person you want to call back, tap Remind Me. You'll be given the option to be reminded to return the call in an hour, when you leave your current location, when you get home, or when you get to work.

Ask Siri Sure, you can do everything from the screen, but so often, it’s easier to just ask Siri. You can ask her to make a phone call, add something to the calendar, send a text, write a note. And now, with iOS 11, Siri can also translate English into several languages, and learn your music preferences.

Conserving Battery Life 1. Tap Settings 2. Tap Wallpaper and be sure to choose from Stills, not Dynamic, which are

always moving 3. Tap General, Tap Background App Refresh and turn it off, or selectively

choose which to turn on 4. Tap Accounts and Passwords, scroll to the bottom and tap Fetch New Data.

Instead of having your device Push new data to your device all of the time, turn Push off, and then select Fetch mail for each account. Then, scroll down and choose how often it will go and check for new data.

5. In Settings, turning off Bluetooth, Wifi, and Airdrop when not in use will also save battery

6. You can also tap Battery and turn on Low Power Mode. Your battery indicator will turn yellow

One More Important Battery Saver Once a month, fully charge your iPhone to 100% and then use it, use it, use it until the iPhone warns you that you are running on reserve power. Then charge it fully.

Keychain And Passwords iCloud Keychain keeps your Safari website usernames and passwords, credit card information (if you choose), and Wi-Fi network information up to date across all of your approved devices.

iCloud Keychain can also keep the accounts you use in Mail, Contacts, Calendar, and Messages up to date across all of your Mac computers. And when you sign in to Facebook, your bank, a member site or other internet accounts, iCloud automatically can save those usernames and passwords too, as you choose.

To turn iCloud Keychain on 1. Tap Settings 2. Tap your name at the top to access iCloud settings 3. Tap iCloud 4. Be sure Keychain is on 5. If not follow the prompts to turn it on

To actually SEE those passwords, you need to first turn on the Safari Password Setting

Tips for Creating a Secure Password When choosing a new password, consider something more cryptic, even if it’s hard to remember. I suggest choosing a sentence or phrase, and taking the first letters of each word, combining capital and lowercase letters and also including some numbers. For example, the phrase: take me to the beach in Novembercould be the password tM2tB11 And every time you type it, you’ll think about taking yourself to the beach.

Security experts recommend having four different user names and passwords… one for low level usage, like when you have to give out an email address, one for your email accounts, one for high level things like banking and purchases, and one in the middle for everything else. I think having one for low level and one for high level is safe enough.

I strongly recommend that you write everything down in a notebook. And if you need it online, you can save it in a password-protected Pages document on your iCloud Drive.

If you’re looking for an online password solution, 1PASSWORD and Last Pass get high marks from many of my clients.

Backing Up If you lose or replace your iPhone, you’ll be so glad you had a backup, to easily restore all of your settings, apps and information. Your iPhone should automatically backup to iCloud whenever you are connected to wifi.

To confirm that your iPhone is being backed up: 1. Tap Settings 2. Tap your name at the top to see all of your iCloud settings 3. Tap iCloud 4. Scroll down and tap iCloud Backup 5. Confirm that iCloud Backup is turned on 6. At the bottom you’ll see when it was last backed up 7. If it’s longer than a few days ago, tap Backup Now

Keeping Up With Updates It is very important to stay current with software updates as Apple continues to improve and fix the iOS. Software Updates can be found in Settings under General. Be sure to check the App Store regularly to update your apps too, to keep everything working smoothly.
