About iCASiCAS is the content administration software for the iProMOH music and message announcement platform. It allows an administrator anywhere in the world with an Internet connection to manage, update and control the content of a single iProMOH, a group of iProMOHs or multiple groups of iProMOHs.

iCAS is a server application hosted on a PC and is accessible through a standard web browser using a log-in name and password for security. Using iCAS you can

Overview

The iProMOH content administration software (iCAS) is a web based application that is accessed by the iProMOH units and by the administrator using a typical web browser. The iCAS application is hosted on a workstation PC running Microsoft 2000 or XP.

To allow connection past firewalls and similar IT LAN protection schemes, the iProMOH units will connect to an outbound Internet connection (HTTP using default port 80) to the iCAS server. Once contact is established, the iProMOH will identify itself using a username and password. It will then check for updates to its music and/or message content and also check for changes to its play out schedule. If changes have occurred, the iProMOH will upload the new information and begin playing the new content at the scheduled time and date. During the upload, the iProMOH will continue to play out its current content. No interruptions will occur.

When an iProMOH logs into iCAS, it will be identified by its log-in details, the Group that it belongs to will be determined and the Play List & Schedule for that Group will be transferred to the unit.

In this manner many iProMOHs can belong to the same Group and receive the same Play List & Schedule. This allows mass updates to large numbers of iProMOHs, all of whom require the same music/messages, simply by changing the contents of one Playlist and/or Schedule. iProMOHs that require different Play Lists or Schedules should be placed into a different Group. The Group an iProMOH belongs to can be changed at the click of a button by the iCAS administrator

Basic Concepts

Each iProMOH ‘calls home’ to the PC hosting iCAS over the Internet/LAN, and each iProMOH has a unique log-in based on its MAC address. Within the iCAS structure, every iProMOH must belong to a “Group” (even if it’s a group of one) and every group has Files, Play Lists, Day Types and Schedules. These all relate to one another in a sequential way, and to the group to which they belong. It is important to learn these basic concepts in order for you to correctly configure how you wish the iProMOHs to behave.

Once logged into iCAS you will be able to see these screens.

Groups: A collective name for a group of iProMOHs that will all behave the same way. Typically the group will be named after the customer or company who has the iProMOHs.

iProMOH: The details of every iProMOH within a ‘Group.’

Files: A list of all the audio files for a ‘Group.”

Play List: The configuration of which ‘Files’ will be used for background music, inserted messages and timed Public Address system messages.

Day Types: Weekdays, weekends, holidays, special occasions etc. And which ‘Play List’ will be used for each ‘Day Type.’

Schedule: Put the ‘Day Types’ into the calendar so they play out on the correct days.

The diagram above shows the logical order to follow when creating a new Group and assigning content for it. These basic steps need to be followed and understood in order to successfully configure your iProMOHs.

You must create a Group before you can add iProMOHs to it. You must upload audio files into iCAS before you can arrange them into Play Lists. You must create Play Lists before you can arrange them into Day Types. Finally you must create Day Types before you can Schedule their play-out dates.

IICH

iCAS Initiated Call Home (IICH) can be used if you need to update one or many iProMOHs immediately and cannot wait for their next log-in time to arrive. For this feature to work the iProMOHs must have a fixed IP address that is accessible by the iCAS server. That IP address must be entered into the ‘Device IP Address’ field on the iProMOHs page (see Device IP Address on page 27).

Installation Procedure1. For E-mail notification you will need your SMTP (Simple Mail Transfer Protocol) address. Your network

administrator should have this. A typical format would be mail.yourcompany.com

2. Install iCAS from the supplied CD. Follow instructions on the CD.

3. Now run ‘iCAS Configuration Editor’ from the start menu under Programs \ iCAS \ iCAS Configuration Editor. The following window will open.

4. Fill in all the fields as required.

The port default is 80, if you change this default you will also have to change the port setting on all your iProMOH units to match.Enter your SMTP address in the HOST field.From Email Address - enter the address that will appear in the ‘from’ field of the emails iCAS delivers. (Spam security measure.)Enter the username and password for this email account.Auto Timeout is an inactivity monitor. If iCAS detects no activity from an administrator it will log them out. Default is auto-logout after 10 minutesIf you intend to use the ‘forced call home’ feature of iCAS, you will need to enable it here. Default port is 7878. You must ensure the iProMOH units are configured with the same port number and are assigned a fixed IP address for this feature to work.To enable SSL, iCAS needs to be able to access the following PEM files: root.pem, cert.pem, and key.pem

A free program called SSL Buddy is available from http://www.arcanatech.com can be used to create self signed certificates. The certificates needed are for Indy/IntraWeb server product. The user of SSL

Buddy needs to select the Indy/IntraWeb server option. Any other type of SSL certificates must be converted to pem format before it will work in iCAS.

5. Click Save and the configuration is complete.

Starting iCAS

Click on Start, Programs, iCAS \ iCAS; or double click on the iCAS icon on the desktop. The following screen will appear and iCAS is now running on the PC. (If enabled, the SSL logo will appear in the bottom right corner of this window.)

From this window you can ‘Launch Browser’ which will open an Internet browser window and allow you to access the main web application of iCAS.

Note: It is recommended that general operations and administration of iCAS be done from another PC and not from the iCAS server PC itself. To do this open a browser window and type in the IP address or DNS address of the iCAS server.

Server Info Tab

Displayed on the ‘Server Info’ tab is the length of time the iCAS application has been running, information regarding iProMOH log-ins, CPU and Memory activity, and an indication of when iCAS is sending Email and/or converting audio files into .ogg format.

Note: If iCAS is unable to send Email, a warning highlighted in red will be shown at the bottom of this screen. See Troubleshooting on page 73

Conversion Tab

Displays information regarding audio file conversion while iCAS is carrying out conversion(s)

Firmware Tab

Displays Firmware version and size of Firmware file.

Checking for ‘missing’ iProMOHs.

iCAS can be configured to scan its database for iProMOHs that should have checked in, but for whatever reason have failed to do so. If iCAS discovers any ‘missing’ iProMOHs, it will generate a report and email it to the administrator.

To configure this feature, select ‘Admin’ from the iCAS Configuration Server window, and click on ‘Configure unsuccessful check-in reporting.

The following window will open.

From here drag the slider to select a time to start scanning its database for ‘missing’ iProMOHs. For example, if you would have expected all your iProMOHs to have contacted the iCAS server by 2 am, you might configure this feature to scan the database at 3 or 4 am.

Note: The slider operates using a 24 hour clock.

Meeting System RequirementsBefore you begin to install the iCAS software, you need to ensure that the PC system requirements are met.

Pentium III - 733 Mhz PC (or better.) Workstation, not Server.Windows 2000 Professional or Windows XP Professional operating system.A network connection with fixed IP Address and Internet access (default access for iProMOHs is via port 80)1 GB RAM20 GB hard disk (more if you have a large number of audio files.)

These system specifications are sufficient to install and operate iCAS. If iCAS will be serving a large number of iProMOHs, with regular ‘check-ins’ and updates with large file sizes, you will need to size your PC and Internet connection accordingly.

If a firewall is in place, and the iCAS PC will be assigned a private IP address (such as 10.0.X.X, or 192.168.X.X), you may require Network Address Translation (NAT) protocol on either your router or firewall. Check with the manufacturer of your router or firewall if you are unsure. It will be necessary to translate the iCAS PC’s internal (private) IP address to an available external IP address. If you do not have any additional external IP addresses to use, contact your Internet Service Provider. Once translated, for maximum security only enable port forwarding on TCP Port 80 for the iCAS PC’s external IP address.

System RecommendationsIt is recommended that you:-

Ensure iCAS is the only application installed on the PCBack up the PC’s power supply with a UPS or similar device.Install a firewall or similar protection for security. (iProMOHs access port 80)When accessing iCAS via the web interface it is recommended you allow each page to load fully before adding or changing content.

Backing Up iCASIt is recommended that you regularly back up your iCAS files. iCAS itself does not have a back-up utility, since many of these are available and used frequently by IT departments. If your company does not already back up its network then it is possible to use Microsoft Backup, which can be found under Start > Programs > Accessories > System tools > Backup.

Microsoft Backup can be used to back-up iCAS to another drive and restore any missing or corrupt files should anything untoward happen to iCAS. It is recommended that you back up the entire iCAS folder and all its contents.

iProMOH ConfigurationIn order for the iProMOH units to be able to ‘call home,’ they require certain information to be stored in their memory before being sent to the customer’s site. To do this you will need a serial cable (supplied with the iCAS software) and a PC or laptop with an available COM port.

1. First connect one end of the serial cable to the iProMOH’s serial port and the other end to an available Com. port on your PC. Power up the iProMOH.

2. On your PC, open HyperTerminal, under Start > Programs > Accessories >Communications > HyperTerminal.

3. In the “new connection” window, enter a name for this connection, e.g. iProMOH and click ‘OK.’

4. In the ‘Connect to’ window change ‘Connect using’ to the COM port you connected the serial cable to in step 1.

5. In the Port Settings window, set the ‘Bits per second’ to 9600, and the ‘Flow control’ none and click OK.

6. Hit Enter on your keyboard and after short delay the following screen will appear.

7. This is the main iProMOH network configuration screen. From here you can change and save the network settings stored on the iProMOH unit. To select a parameter to change, simply ‘tab’ to it.

iCAS Call Home Address: default is blank. Here you must enter the EXTERNAL IP Address of the PC hosting iCAS to which the iProMOH will attempt to connect. If the wrong IP address is entered, or no IP address is entered, the iProMOH will not be able to ‘call home.’ If a Domain Name Server (DNS) is available on your network, a DNS Address can be used instead of the IP Address.

iCAS Call Home Port: default is 80. This is the port most devices on a network use to access the Internet, and is the default for the iProMOH. This port setting must be identical to the port setting for iCAS (see on page 7)

Proxy server Address / Port: settings if required.

iProMOH Address Type: default is dhcp. This is where the iProMOH will automatically be assigned an IP address by the network it is connected to. This is the most common scenario and is therefore the default. If the iProMOH is to be connected to a ‘static’ IP address you will need to change this default and select ‘static.’

Note: A static (fixed) IP address is required if the iCAS Initiated Call Home (IICH) feature is to be used for this iProMOH

If ‘static’ is selected the iProMOH IP Address settings become available and must be entered or the iProMOH will not be able to connect to the network.

Note: iProMOH IICH Port: Default is “Disabled.” When enabled the default is “7878”. For this feature to be used the iProMOH unit must use the same port as iCAS.

8. Save and Reboot: After entering the ‘call home’ address and making any other required changes, it is necessary to save the settings to the iProMOH. To do this press the ‘ctrl’ and ‘R’ key, and choose ‘Yes’ to reboot. The iProMOH is now configured and ready to call home.

Note: Factory Reboot: This option will delete any existing audio files that may be in the iProMOH unit. You would use this option when re-configuring a unit returned from the field. The call home address will also be deleted.

9. SNMP Configuration: From here you can configure Trap Destination, Port Number and Community Name.

iProMOH Software Upgrades

Should it become necessary to update the software running on the iProMOH units, this can be carried out using iCAS. It can only be done from the PC running the iCAS server application, and cannot be done from a browser on another PC.

1. To do this, from the PC running iCAS, click on Start > Programs > iCAS > Update iProMOH software to open the following window.

2. Click on the ‘Browse’ button and locate where the new software file is stored on the PC and click open.

Note: You can browse to your iCAS CD for iProMOH software if required.

3. Click ‘Install’ to see the following confirmation window.

4. iCAS now has the new iProMOH software stored within it and all the iProMOHs that check in and are configured to accept software updates (see Allow Software Update on page 27) will upgrade to this new file.

Audio File Parameters

The iProMOH’s hardware and software have been optimized to work with audio files that have been normalized to -6 dB peak.

iCAS supports multiple audio file formats and automatically converts them to .ogg format. The following is a list of supported formats.

About GroupsThe first page you come to after logging in, is the Groups page. From here you can create a new group or change the parameters of an existing group.

Page Set upFirst there are some links that are common to all the pages within iCAS. In the top left of the page is the version of iCAS you are connected to. On the left of the page, under ‘Config,’ are link buttons to the iProMOH, File, Play List, Day Types and Schedule pages. Also the Admin, Reports and Plug-ins pages. Top right is the log out button.

On this pageLet’s examine this page in detail. The large pane area in this window displays a list of all the Groups which have been created, their name and a description. Also there is a column called “SELECT” which must be checked before you can ‘delete’ or ‘update’ a Group. When selected the changeable fields will appear in blue and you can edit them.

Name Field

Underneath the Groups list you will find a field called “Name.” When a Group is highlighted in the list, the name of that Group will be displayed here. Should you need to change the name of a Group you can do that here, then click the “UPDATE” button at the bottom of the page.

Description Field

Underneath the Name field you will find the “Description” field. When a Group is highlighted in the list, the description of that Group will be displayed here. Should you need to change the description of a Group you can do that here, then click the “UPDATE” button at the bottom of the page.

Call Home Address

To the right of the Name and Description fields, you will find the “Call Home Address” field. Enter the static IP Address of the PC hosting iCAS for all the iProMOHs in the highlighted group. Should you need to change the IP address, this is where you can do it, then click the “UPDATE” button at the bottom of the page.

Update Interval

The large pane near the bottom of the page is where information is stored regarding the time, date and frequency all the iProMOHs in the highlighted Group will ‘call home’ to update their message(s) and configuration.

Start. Here you can see / alter the start date and time all the iProMOHs in the highlighted Group will begin to call home.

Type. Here you can see / alter the interval period. (Daily, Weekly, Monthly etc.)

Frequency. Here you can see / alter how many interval periods must occur before the iProMOHs for the highlighted Group call home.

For example:

In this example all the iProMOHs in the highlighted group will call into the iCAS server every two (2) days, starting on the 18th May, 2005, at 1:30 AM.

How to add a groupNow you know what all the fields on the Groups page do, you’ll find adding a Group is very simple. First enter the name of the new Group in the Name field, then enter a description for the Group. Now enter the Call Home Address. In most cases this will be the same IP address as the PC hosting iCAS. Next you need to select the “Update Interval” parameters to suit the requirements for this new Group. Finally click on the “ADD” button at the bottom of the page and you’re done!

How to Edit a GroupTo edit a Group first select the Group to be edited from the list of Groups displayed by checking the relevant ‘SELECT” box. Next change any of the fields as required and then click on the “UPDATE” button at the bottom of the page.

From the iProMOHs page we can view all the individual iProMOHs in the chosen Group. We can select an individual iProMOH and check its MAC address, output volume, time zone etc.

On This Page

The large pane area at the top of this page displays a list of all the iProMOHs in the chosen Group. It shows their MAC address, Device description and when they last checked in (called home.) There is also a ‘SELECT’ column when updating or deleting an iProMOH should you wish to do so.

MAC Address Field

Underneath the iProMOHs list you will find a field called “MAC Address.” This displays the unique MAC address of an iProMOH highlighted in the list.

Note: The MAC address of the iProMOH unit is located on the label on the backside of the unit. It is a 12 digit hexadecimal code. An example of an iProMOH MAC address is 000707001342

Group Name

To the right of the MAC Address field you will find the Group Name. From here you can change which Group an iProMOH (SELECTed in the list) belongs to, should you need to do so. This could be used if an iProMOH at a certain location requires a different Playlist from the rest of the Group, for example a promotional message unique to that store for the weekend, after which it can be moved back into its regular group.

Device IP Address

If you intend to use the iCAS Initiated Call Home (IICH) feature, you must enter the fixed IP address of the iProMOH unit here.

Description Field

Next we come to the Description field. Here you can enter something to easily identify the iProMOH highlighted in the list, e.g. its physical location.

Allow Software Update

Software is the code running in the iProMOH that tells it how to behave, similar to software running on a PC. Using iCAS it is possible to update the software on each iProMOH. These updates could be to fix a weakness that may be discovered or to deliver new functionality to the iProMOH. Some customers may wish to ‘lock in’ on one version of software and never upgrade, and some upgrades could be a chargeable feature. With this in mind, iCAS has the ability to allow or block software updates to iProMOHs on an individual basis. The default is ‘Yes’ to allow iProMOH to have their software updated automatically when they check in, should a software update be available. Change this to ‘No’ to block updates. For information on how to carry out a software update (see iProMOH Software Upgrades on page 16.)

Time Zone

Every time an iProMOH checks in to iCAS it updates its time and date from the server. Since the iProMOHs can be updated from anywhere on the globe with Internet access, it is necessary to enter the time zone the SELECTed iProMOH is in. A drop down box provides all the time zones on the globe.

Memory

Under the Time Zone field is a Memory selection. Choose either 1 hour or 3 hour depending on how much memory is installed in this iProMOH unit.

Note: A group is limited to memory based on the unit with the smallest memory size in that group. For example, if you have a group of 3 hour iProMOH units, and you add even a single 1 hour unit, the whole group will be restricted to 1 hours worth of content.

Stale Date

Beneath the Software Update section is an important field called the “Stale Date.” From here you can set when the iProMOH will stop playing out the Playlists it has downloaded and stored within it. This field must be set. It can be used to prevent an individual iProMOH from playing out should a customer become delinquent and stop paying for their music and/or message content. Or it can be set to when a customer’s contract expires. Of course if a contract is renewed this date must be reset accordingly. Should an iProMOH reach its ‘Stale Date’ it will fall silent. The iProMOH will however, continue to check in with iCAS to see if the Stale Date has been reset. If it has the iProMOH will download its new content and begin playing out as usual.

Contacts

Next we come to the Contacts field. From here you can select whom will receive E-mail updates of the highlighted iProMOHs activity, i.e. when new music and/or message files are transferred to the unit. The E-mail addresses in the Contacts drop down box are configured on the “Contacts” page (see on page 43)

Channel 1; Channel 2

Beneath the Time Zone section, you will find a window called “Channel 1;Channel 2.” From here you can change the play out volume, treble and bass for each output channel of the SELECTed iProMOH. You can even select -9 or -15 which relates to -9 dB and -15 dB, should you require the iProMOH to be restricted to these volume levels.

How to Add an iProMOH to a Group

Adding an iProMOH to a Group is a simple affair, but you must know the MAC address of the unit. Enter this MAC address into the relevant field, then select which Group this unit will belong to. Next enter a description for this unit and set the time zone it resides in. Be sure to set the ‘Stale Date’ appropriately - this should be a suitable date in the future otherwise the iProMOH could become “stale” the first time it checks in! Now select whom is to be contacted via E-mail with update activity for this unit, and finally click on the “ADD” button at the bottom of the page.

How to Edit an iProMOH’s Details

First ‘SELECT’ the iProMOH to be edited from the list. Next change any of the fields as required and click the “UPDATE” button at the bottom of the page.

How to Delete an iProMOH

To delete an iProMOH, simply check the relevant box in the “SELECT” column of the iProMOHs list and click on the “REMOVE” button at the bottom of the page.

How to Add an Audio File

To add an Audio File click on one of the “Browse” buttons in the lower part of the screen. In the window that opens, navigate to the audio file you wish to add and click open. Use all five ‘Browse” buttons to add up to five files at a time if necessary. Finally click the “Upload” button and the files will be added to this Group within iCAS.

How to Delete an Audio File

To delete an audio file simply check the relevant box in the “SELECT” column of the Files list and click on the “REMOVE” button.

Note: A warning will be displayed if you attempt to load more audio files than the memory in the iProMOHs can hold.

About PlaylistsAfter selecting a particular Group on the “Groups” page, we can then click on the “Playlists” link in the left hand column of the page. From this page we can create Music lists, Message lists and PA (Public Address) lists.

On This Page

This page is split into two areas. The upper portion is where you create Music, Message and PA lists. The lower portion is where you pick and add which audio files will be in that list. In a music list you would usually add multiple music files (or maybe one long music file) to be used as your music bed. In a message list you would usually add multiple promotional or information messages to be inserted into the music bed at regular intervals. In a PA list you would add any message(s) that need to be played out at a specified time, e.g. store opening and closing messages, or maybe a lunch time special announcement message to customers in a store.

Playlist Type

From this drop-down box you can select if you wish to create a MUSIC LIST, a MSG LIST, or a PA LIST.

Playlist Label

Add a descriptive label to the list you are creating.

Fade Level

MSG LIST & PA LIST only. Use this setting to determine what level the music bed will be faded to before the inserted message is played out.

Fade Duration

Is the time it takes the volume to fade from normal levels to the ‘Fade Level.’

Interval

Is the amount of time between each inserted message being played out.

Interrupt Message

MSG Lists only. Check this box to allow the messages in this Playlist to be interrupted by a PA message should a conflict occur. (The MSG LIST message will be faded down to silence before the PA message begins.) This effectively gives PA messages priority over MSG LIST messages and ensures they are played out at the correct time. Not checking this box will allow the MSG LIST message to finish playing out before the PA message will play out. This will delay the time the PA message will start by the duration of the remainder of the MSG LIST message. Be aware that if the iProMOH is currently playing a long MSG LIST message, and a PA message is scheduled to begin, the PA message could be delayed beyond an acceptable period.

Checking this box will also allow a MSG LIST message to be interrupted by the ‘Stop Time’ configured on the Day Types page (see How to Create a Day Type. on page 37.) Should a MSG LIST message be playing out when the iProMOH has been configured to stop playing, the MSG LIST message will be faded down to silence.

How to Create a Music, Message and PA List.

First highlight a line from the upper part of the screen, they are all set to MSG (message) LIST as default. Next select which type of list you wish to make from the ‘Playlist’ drop-down box, add a label and set the Fade and interval settings to the required parameters.

To add audio files to your list you need to click on the ‘add button’ in the lower part of the screen. A new line with a drop-down box will appear. From this drop-down box you can choose from any of the file available to this Group. (See About the Files page on page 30.) Select a file to add and click the ‘Save’ button. Click the add button again to add more files to this list. Repeat as many times as required.

How to Edit an Audio File in a Play list

Highlight the file you wish to edit and click the ‘Edit’ button. You can now switch this file for a different one from the Files list, then save your changes. Next time the iProMOHs for this Group check in, the new audio file will replace the previous file in the Playlist.

Removing an audio file from a play list is simple. First highlight the relevant MUSIC, MSG or PA LIST, the audio files will be displayed in the lower portion of the screen. Next click in the box next to the file you wish to remove and click the ‘Remove’ button. Next time the iProMOHs for this Group check in, this audio file will be deleted from their Playlists.

Note: You cannot edit a P.A. list that is currently in use. To edit a P.A. list, you must first remove it from the Day Type it is assigned to, then edit it and add it back to the Day Type again. (See How to Edit a Day Type. on page 37)

On this page we can create those different ‘Day Types’, their start and finish hours and the ‘Play Lists’ that will be played out during those hours.

How to Create a Day Type.

In the ‘Day Type List’ pane, click the ‘Add’ button. An entry will appear in the pane. Give this ‘Day Type’ a name, e.g. ‘Weekdays’ and a description, e.g. ‘Company name Mon - Fri.’ Click the save button.

Next click on the new Day Type you just created to highlight it, now we can add play lists to this Day Type. In the lower pane, click the ‘Add’ button and a new entry will appear. Click on the drop-down box in the ‘Play List’ column and you can select from any of the Play Lists you created to add to this Day Type. (See How to Create a Music, Message and PA List. on page 33) Next use the other two drop down boxes to set the start and end time for this Play List to play out. Typically this will match the customers hours of operation for overhead use, or 24 hours for MOH. Click the ‘Save’ button. To add more Play Lists to this Day Type just click the Add button again and repeat the process.

A typical entry for a weekday at a retail store, where the iProMOH is providing in-store music and messages, might look like this.

In this example the iProMOH will start playing out music at 8 am, it will also begin to insert the messages from the MSGLIST at the same time. In addition the iProMOH will play out the ‘PA’ messages at the assigned times. At 6 pm the iProMOH will fall silent until the following weekday.

To create a ‘Weekend’ Day Type the process is exactly the same except the store opening hours may be different and you may wish to use different Play Lists or PA messages.

You may also wish to create a Day Type for Statutory holidays, when the hours of operation and messages may be different again.

How to Edit a Day Type.

First highlight the Day Type you wish to edit by clicking on it. Then click the ‘Edit’ button. Make any required changes and click the ‘Save’ button.

How to Delete a Day Type.

First check the box next to the Day Type you wish to delete by clicking in it. Then click the ‘Delete’ button, or you can just delete Playlists within a Day Type by checking the box next to the Playlist you wish to delete and clicking the remove button.

About the Schedule pageThe Schedule page is where we tell the iProMOH which days to play the Day Types on. We can also select how often we wish the schedule to reoccur.

On This Page

This page is basically a calendar plus some scheduling options. Start and end dates and recurrence patterns can also be set here.

Start Date, Stop Date

The top left hand corner of this page has two drop-down boxes which contain a calendar each. Use these to set the start and stop dates for a particular Day Type. (The Day Type is selected from the drop-down box above these two calendars or by selecting a row from the main calendar.)

Recurrence Pattern

With the Recurrence Pattern you can set how a schedule will reoccur. It can happen just once, every week, every month or every year (until the Stop Date of course.) If setting a weekly recurrence you will also need to set which days of the week the recurrence will happen. If setting a monthly recurrence you will also need to select which part of the month it will reoccur, e.g. 1st Monday of every month.

Main Calendar

The main calendar on this page is where you assign the dates for the Day Types to play out on. You also set which output channel of the iProMOH this schedule will play on. The ‘Previous’ ‘Next’ and drop-down button allows you to quickly skip through the months.

How to Schedule a Day Type.

On the main calendar you can see all the days for the displayed month plus a row for each Day Type you have created (see How to Create a Day Type. on page 37.) If you wanted to create a weekday schedule click on the first Monday in the relevant row and drag the pointer with the mouse button still depressed until you reach the first Friday. Release the mouse button and click ‘OK’ in the confirmation window that pops up. The days you selected should now be coloured blue. Click on the first Monday again and it will turn green. Click on it a second time and the all the blue squares will turn green. This means you have selected the whole week and can now set the start and stop dates and the recurrence pattern.

Use the Start Date and Stop Date drop down boxes to configure how long you wish this schedule to run. Next check the recurrence pattern that suits your needs. For this example click the ‘Weekly’ pattern and then select Monday through to Friday from the ‘Weekly Recurrence Pattern.”

Finally click the ‘Update’ button (below the Start & Stop Dates) and every Monday - Friday from your Start and Stop Dates will turn blue. The iProMOHs in this Group will now play whatever the contents of the Play List is for that Day Type on those days.

Repeat this process for every Day Type schedule you require, for example Weekends, holidays, special occasions, etc.

If a conflict occurs (i.e. two Day Types being scheduled for the same date) the conflicting days will be highlighted in red for easy identification. To resolve a conflict simply click on the offending square and either delete or modify it.

How to Edit a Schedule

To edit a single day, simply click on it - it will turn green, then change which ever settings you wish and click the update button. To edit an entire schedule simply click on any day within that schedule, it will turn green, then click it again and the whole schedule will turn green. You can now edit the settings for that schedule. If you don’t want to change any setting just click on it a third time and the schedule will return to blue.

How to Delete a Schedule

To delete a single day, simply click on it - it will turn green, then click the delete button. To delete an entire schedule simply click on any day within that schedule, it will turn green, then click it again and the whole schedule will turn green. You can now delete the entire schedule. If you don’t want to change anything just click on it a third time and the schedule will return to blue.

Alternative Scheduling Methods.

It is also possible to schedule Day Types in slightly different manners:

Highlight the first Monday, select stop date, select weekly, choose Monday - Sunday in recurrence pattern and click ‘Insert.’Or, don’t highlight any boxes, just set start and stop dates and click ‘Insert.’

Use whichever method you find easiest.

About ContactsOn the iProMOHs page there is an option to email information regarding the traffic and updates between iProMOHs in a Group and the iCAS server. This information can be emailed to up to three (3) ‘contacts’ from the drop down boxes at the bottom of the page. To add contacts to this list you need to use the “Contact info” page under the ‘Admin’ menu on the left of every iCAS screen.

About Statistical ReportsiCAS will generate statistical reports for any Group at the click of a button. The reports produced can be saved in an easy to read HTML file.

On This Page

There are only four (4) buttons on the Reports page. There is a drop down box from which to select a Group. There is a ‘Generate’ button to produce the statistics for the chosen group, a ‘Save’ button to save the Statistics you have just produced to a HTML file, and a ‘Clear’ button.

How to Create and Save Reports

First choose the Group you wish to produce statistics for from the drop down box. Next click on the ‘Generate’ button. Finally click on the ‘Save’ button.

What Information is on the Reports?

The Statistics can be broken into two (2) sections, “Group Info” and “iProMOH Info.”

Group Info.

Under the Group Info section there are two (2) headings

Number of iProMOHs. This shows the number of Active, inactive and Stale dated iProMOHs within the Group.

Number of files in each play list. This shows how many audio files are contained within each playlist.

iProMOH Info

Under the iProMOH info section is a table that shows a list of all the iProMOHs in the Group. The ‘Average Session’ time (duration of connection between the iProMOH unit and the iCAS server) for each unit, also the number of successful log-ins to the iCAS server. In the event of a log-in failure, the iProMOH unit will retry until it is successful.

About iCAS Initiated Call HomeIn some situations it may be necessary to have an iProMOH or a group of iProMOHs updated on demand, without waiting for their next scheduled log-in time. iCAS can do this by using the iCAS Initiated Call Home (IICH) feature.

To use the IICH feature three important steps must have been completed:-

1. IICH must have been enabled within the iCAS Configuration Editor (see Installation Procedure on page 8)

2. The iProMOH(s) to be ‘forced’ to call home must have been configured for, and installed on a static IP address (see iProMOH Configuration on page 14)

3. The static IP address(es) of the iProMOH(s) must have been entered into the information required on the iProMOHs page (see Device IP Address on page 27)

Click on the ‘Call Home’ button (under the Plug-ins link) to see the following screen.

On This Page

The large pane area at the top of this page shows a list of all the groups and their descriptions. Click on any of the groups to see a list of the iProMOHs within that group in the pane below.

How To Initiate an Immediate Call Home

Once you have highlighted a group from the list, you can select one or many iProMOHs within that group, then click on the right arrow to move the selected units into the ‘Forced Remote Call-in’ list. The single arrow moves one iProMOH at a time, the double arrow moves all the iProMOHs in the selected group.

Note: You can remove iProMOHs from the Call Home list by highlighting them and clicking on the left arrow.

Once the Forced Remote Call-in list is populated with your chosen units, simply click on the “Activate Call Home” button at the bottom of this screen. The selected iProMOHs will now be issued a command to call home immediately.

Single iProMOH with MOH loop.In this example we will set up a single iProMOH to play out a (regular) audio file (studio mixed music and messages) and also to have another (seasonal) audio file downloaded with holiday music and messages, ready to replace the first file on 12th. December.

Step 1: Configure the iProMOH

First we need to ensure the iProMOH unit has been configured with the IP address of the iCAS server. Follow the instructions in iProMOH Configuration on page 14. Make a note of the MAC address of the iProMOH

Step 2: Create a Group1. Log-in to iCAS with your username and password. You will first come to the Groups page. From here

enter a name for the Group. Choose any suitable name you like, for this example I’ll use “ABC Company.”

2. Now enter a description for this Group. For our purposes I’ll use “Example 1.”

3. Next enter the Call Home Address using the iCAS Server’s IP Address.

4. Set whatever is appropriate for the Update Interval. Here I’ll set it to tell the iProMOH to check in for updates once a day at midnight.

5. Finally click the ‘ADD’ button at the bottom of the page.

Step 3: Add the iProMOH to the Group1. Click on the “iProMOH” link on the left of the page to take you to the iProMOH’s page. From here enter

the MAC address of the iProMOH that you made a note of in step 1.

2. Choose the Group name you just created from the ‘Group Name’ drop down box.

3. You only need to enter the ‘Device IP’ if you intend to use IICH.

4. Optional. Enter a description for this iProMOH in the ‘Description’ field. In this example I’ve used “New location.”

5. Select the Time Zone for the location the iProMOH will reside in.

6. Set the Stale Date for this iProMOH (See Stale Date on page 27 for more details.)

7. Optional. Select a contact to receive email updates of this iProMOHs activity from the ‘Contacts’ drop down box (See How To Add a Contact on page 44 for more details.)

8. Optional. Alter the volume settings in the ‘Channel 1’ box, should the default setting not be suitable.

9. Click the ‘ADD’ button at the bottom of the page.

2. You will see the current month displayed with a row for each Day Type you created, in this example we have Holiday MOH and Standard MOH. In the Standard MOH row, click on the first Monday of the month and drag the mouse to the following Sunday. The whole week will be highlighted in green Click ‘OK’ in the confirmation window and the highlighted week will turn blue.

3. This week is now scheduled to play the Standard MOH production, however we want this production to play until December 11th. We can select this schedule and adjust the start and stop dates. Click on the first Monday again, it will turn green. Click one more time and the whole week will turn green.

4. Now using the Stop Date drop-down box, scroll through the calendar and select December 11th. Click the ‘Insert’ button.

5. You now see the Standard MOH row has been Scheduled for the whole month, and using the Previous/Next buttons you can see this row remains blue until December 11th.

6. Next, in the Holiday MOH row, click on December 12th and drag the mouse through to the 18th. The whole week will be highlighted in green. Click ‘OK’ in the confirmation window and the highlighted week will turn blue.

7. This week is now scheduled to play the Holiday MOH production, however we want this production to play until January 1st. We can select this schedule and adjust the start and stop dates. Click on the 12th again, it will turn green. Click one more time and the whole week will turn green.

8. Now using the Stop Date drop-down box, scroll through the calendar and select January 1st. Click the ‘Update’ button.

9. You now see the Holiday MOH row has been Scheduled for the remainder of the month, and using the Previous/Next buttons you can see this row remains blue until January 1st.

10. To revert back to the Standard MOH production after the holidays, simply click on January 2nd in the Standard MOH row and repeat the highlight, select, adjust and update steps.

Summary.

In this example we created a Group called “ABC Company.’ Into this Group we added an iProMOH which we described as “New location.” Then we uploaded two audio files. We added audio files into Play Lists. Next we created two Day Types, which we called ‘Standard MOH’ and ‘Holiday MOH’ and we added the relevant Play List to each Day Type. Finally we scheduled when these two Day Types would play out using the calendar.

Both files are transferred to the iProMOH at the same time on the next occasion the iProMOH checks in, and the Standard MOH production will begin playing out. Once December 12th is reached, the Holiday MOH production will replace the Standard one. Holiday MOH will continue to play out until January 2nd when it will be replaced with either the Standard production, or anything else you wish to upload and play.

Every iProMOH you add to this Group will receive the same audio files and schedules, however their time zones, stale dates, and contacts can all be different where required.

The message files will be mixed into the music bed to present a seamless MOH or Over-Head production of music and messages.

Summary.

In this example we uploaded several message files into a MSG LIST, and we uploaded a music bed into a MUSIC LIST. We set the Start date for both files and we also set the parameters for the crossing fading. In this example on 1st August all the iProMOHs in this group will start playing the music file we loaded into the MUSIC LIST. Then every 15 seconds that music file will be faded down to fade level 2 and one of the message files we loaded into the MSG LIST will be played out. Then the music will fade back up to normal levels and the cycle will repeat over and over using the next message file in the list each time. After all the message files have been played, the iProMOH will start from the first message again.

Multiple iProMOHs with Multiple Messages Cross-faded with External Music Source.This example is much the same as the last one, except there is no need to create a music bed by uploading a file(s) to a MUSIC LIST. This is because the music bed will be supplied by an external feed (e.g. satellite, radio, CD etc.) connected to the “MUSIC IN” jack on the iProMOH.

To tell the iProMOHs in the group to use their ‘MUSIC IN’ jack, on the Play List page select Play List 999. This is dedicated as the External Feed and cannot be modified for other uses.

Multiple iProMOHs with Multiple Messages Cross-faded with Internal Music Bed and with timed PA AnnouncementsThis example will be identical the previous example (see on page 58) except we are going to add 3 timed messages; a “store opening” message, a “lunch time special” message and a “store closing in 10 minutes” message.

First create a group and add all the iProMOH units to it as shown in the previous examples. Now for this group we’ll upload several message files into a MSG LIST, a music bed file into a MUSIC LIST, and 3 timed messages in PA lists. The message files will be mixed into the music bed to present a seamless Over-Head production of music and messages, and the PA announcements will play out at their specified times.

Step 1: Upload the Audio files1. Click on the “Files” link on the left of the page to take you to the Files page.

2. Next click on a ‘Browse’ button and navigate to where the music bed audio file you wish the iProMOH to play is stored on your PC. Click ‘Open.

3. Now click on another ‘Browse’ button and navigate to where the message audio files you wish the iProMOH to play is stored on your PC. Click ‘Open. Repeat until all the message files have been selected. Click the ‘Upload’ button.

4. Click a Browse button again and navigate to where the 3 timed messages you wish to use are stored. Click the ‘Upload’ button.

Step 2: Create the Playlists1. Click on the “Playlists” link on the left of the page to take you to the Playlists page.

2. In the upper pane, click on the first MSG LIST to highlight it.

3. Change the Playlist Type to MUSIC LIST. Add a Playlist Label, e.g. ‘Music Bed.’ Click the Save button.

4. In the lower pane, click the ‘Insert button.’ From the drop-down box choose your Music Bed audio file and click Save.

5. Next we need to add the second Play List. In the upper pane, click on the second MSG LIST to highlight it.

6. Add a Playlist label, e.g. ‘Inserted Messages.’ Set the Fade Level, Fade Duration and Interval time as required. (See Fade Level on page 33 for more detail.) Click the Save button.

7. In the lower pane, click the ‘Insert button.’ From the drop-down box choose your first message file and click Save. Repeat this step until all the message files have been added to this same MSG LIST.

8. Now we need to add the timed messages. In the upper pane, click on the next MSG LIST to highlight it. Change the Play List type to PA LIST. Add a Play List label e.g. ‘First timed msg.’ Click the save button.

9. In the lower pane, click the ‘Insert button.’ From the drop-down box choose your ‘Store opening’ message file and click Save.

10. Repeat steps 8 and 9 until all the timed message files have been added to their own individual PA LIST.

Note: iCAS will automatically set the Stop Time for PA messages based on the file length.

6. Repeat step 5 for the other 2 timed messages making sure to set the time you’d like each message to start.

From the above screen shot you can see we have created just one Day Type, but that Day Type contains a Music Bed, several messages files that will be cross faded into that music for the whole day, and 3 announcement that

Email NotificationSelected people can be updated of an iProMOH’s ‘call home’ activity and of any file transfers that took place. These people must be added to the Contacts list (see on page 43) and then selected on the iProMOH page (see Contacts on page 28)

Also an email update can be sent to an administrator after they have logged into iCAS.

For email notification to be sent, you must enter your SMTP address at installation. See Installation Procedure on page 8

Should you forget your username and password it can be reset back to the default of admin, admin. This can only be done via the iCAS Configuration Server window on the Work Station running iCAS. Under the ‘Admin’ menu select ‘Change Admin Password.’

‘200 OK’ error.When adding content or making changes within iCAS before the page has fully loaded, you may see a “200 OK” error. Simply click the ‘Refresh’ button on your browser to return to the iCAS screen. (See System Recommendations on page 12)

COM. Port

Communications Port. See - Serial Port.

Cross Fading

To seamlessly mix messages with background music.

Day Type

A descriptive name given to a collection of MUSIC LISTS, and/or MSG LISTS, and/or PA LISTS with configured start & stop times. The Day Type can then be assigned start & stop dates and repeating patterns in the Scheduler.

DHCP

Dynamic Host Configuration Protocol. Used to automate the assignment of IP addresses on a network.

External Feed

A music source injected into the iProMOH unit from a third party device, for example satellite, CD, radio etc.

Files

Audio files uploaded into iCAS which can then be arranged into Play Lists for a chosen Group.

Firewall

A piece of hardware or software that provides a barrier from unauthorized access to a LAN.

iCAS

iProMOH Content Administration Software. The server application used to manage and update iProMOH devices over the Internet or LAN

IICH

iCAS Initiated Call Home. A feature used to force iProMOHs to call home on demand.

iProMOH

Music and message announcement device installed at a customer’s site and updated via iCAS software.

LAN

Local Area Network.

Log in

To gain access to iCAS via a username and password.

Log out

To terminate an administration session with iCAS.

MAC Address

Media Access Control Address. The unique hardware address of a device connected to a network.

MOH

Music On Hold.

MSG LIST

Message List. Audio file(s) that can be cross-faded into a MUSIC LIST.

Music Bed

The background music into which messages are mixed. This can be a file(s) in a MUSIC LIST or an external feed of music.

MUSIC LIST

Audio file(s) used to make up a Play list. Usually a music bed into which MSG LIST files are cross faded with.

NAT

Network Address Translation protocol. A process, usually performed within a firewall or router, which translates the LAN address to an external IP address accessible from the Internet.

PA LIST

Public Address List. Audio files that need to played at a specified time (not inserted in a loop.) For example, a store closing message.

Play list

One or many audio files selected to be downloaded to all the iProMOHs in a chosen Group. A Play list is made up of a MUSIC LIST, MSG LIST and/or a PA LIST

Port Forwarding

Allowing network traffic of a specific port to be passed through a firewall.

Scheduler

A calender within iCAS used to set start and stop times and repeating patterns for Day Types.

Serial Port

General purpose communication port. Used for sending and receiving serial data transmissions.

Server

A computer or software application that provides a specific service to a client or clients.

Static IP Address

An assigned IP address that does not change. Also known as ‘fixed IP address.’

All commercially recorded music is controlled by Copyright Law and the use of this music without permission infringes copyright and is a criminal offence.

To seek clearance on this music can be expensive and time consuming. The media producer will need to approach the owner of the composition and the sound recording.

Different jurisdictions have different bodies to enforce and licence the use of music on the telephone or over a public address system and you should familiarize yourself with the local laws and obtain the appropriate licences before you use the iProMOH.

MP3 files are subject to the same laws. These are compressed software files made from a standard music CD. MP3 as an application is not illegal but the recording of musical works protected by copyright is.

The iProMOH device and iCAS software is licensed only for the reproduction and use of non-copyrighted materials or materials the user is legally permitted to reproduce and use.

We strongly recommend that you use the services of a reputable Music on Hold provider. Please do not download copyright files or transfer from CDs or other media. Files downloaded from the Internet or P2P networks may contain viruses or trojans that may damage the iCAS server and the use of such invalidates this licence. They are used entirely at your own risk.

Remember to consult the terms of use for all files that you use with this equipment. Files designated for ‘private’ or ‘domestic’ use should not be used with the iProMOH. The use of these files will infringe the copyright of the licence holder and render you liable for a fine and, in certain jurisdictions, a term of imprisonment.
