1 General

Thank you for purchasing IPS-ENERGY™ Asset Performance Management Software.

This user documentation should introduce you to all necessary information to get best use out of this application.

IPS-ENERGY™ is programmed in a dynamic way which means that more (or less) features are available to you depending on configuration and licensing.

1.1 How to read the documentation

Texts written in italics indicate Names in the software (Windows, Fields, Tables, Columns, etc.).

Texts written in bold indicate Function in the software (Buttons, Menu Options, Tabs, anything you can click on).

Instructions to follow are indicated with numbers:

2 Maintenance Analysis

2.1 Introduction

This module group is optional, and can be purchased and configured according to your needs, or delivered as part of the IPS-ENERGY™ Enterprise Package.

As the name says, the Maintenance Analysis module group is the place to analyze and evaluate your maintenance processes. You can also document improvement steps here.

The Maintenance Analysis module group consists of the two modules Maintenance Evaluation and Maintenance Improvements.

2.2 Maintenance Evaluation

This module has been developed mostly for managers, so they can simply supervise and control maintenance activities.

Cross Reference: This overview provides statistics about work recorded mostly in the Work Execution module group (some originates in the Planning module group).

With the buttons on top of the workspace you can filter for the following results in this module:

Planned Actions - Not executed (on tab 1)

Planned Actions – Executed (on tab 1)

Action(s) - Not planned but executed (on tab 2)

Click on the corresponding button to filter the results.

NOTE: The red filter symbol indicates that a filter is active.

In the above screenshot the Planned Actions Overview shows planned but not executed maintenance actions.

You also have the option to activate a filter for actions further on a yearly basis:

Tick the Year Filter, and set the required year in the neighboring field. We filtered for all (planned but not executed) actions in 2013.

Common standard filter functions are also available in this section, including the Customize Filter option.

2.3 Maintenance Improvements

The Maintenance Improvements module was specifically developed for documentation of the maintenance process improvements. This module collects improvement notifications and handles the follow-up actions.

2.3.1 Maintenance in Compliance with the VDE 0109 Standard

This is a specific norm developed by VDE, the Association for Electrical, Electronic & Information Technologies in Germany. This norm regulates the maintenance of installations and equipment of electrical energy supply networks, and consists of a catalogue in two parts stating prerequisites and procedures for such measures. These standards can be implemented in your maintenance concepts, and/or improvements within this section.

2.3.2 Create a new Improvement

Use the context menu in the Improvements workspace to create a New improvement for your maintenance processes.

A new window opens:

Here, you have several fields to insert a Description, a Comment, attach reference files, set a user responsible to implement the improvement, set the Importance, the Type, the Class, the Work Center and other useful entries.

2.3.2.1 Source Object Asset

Click on the Attach… button to attach a Source Object. You see the two options, so you can either attach an Asset or a Location.

First, we click on Asset… to open the Select Asset Object window.

In the Location Explorer section you select the location of the assets you want to set the improvement process for. All Assets of the selected location will be listed on the right. Click on a single asset in that list to mark it, and click on OK.

Your selection will be attached as the source asset to the new improvement.

If you click on Open, the Asset Object window opens where you can view or edit (depending on your user rights) the asset’s properties. Click Close or Update when you are finished.

You also have the option to Detach the attached asset again. Click on Yes to confirm the below message:

2.3.2.2 Source Object Location

If you need to attach a location as a Source Object click on Location.

The Location Explorer opens; select the required location, and click OK.

As with the asset, you can then view or edit the location properties (choose Open).

You can also Detach the location again.

2.3.2.3 Mail and Message List

On the right side you have a list view displaying Mails and Messages in relation to the improvement process. Using the context menu here gives you the options to set up a New Mail template or a New Internal Message which can be send to a Selected Group or a Selected User as displayed below:

After selecting a group and user(s) you can create your message from an existing template, or you can create a new template. There is an option to attach one or multiple files.

When you are finished, click on Save, and your message (or email) appears in the list.

In the last step you update the new Improvement. The window closes, and your entry will be listed in the Improvements workspace.

Existing improvements can be edited or deleted (context menu).

2.3.3 Follow-up Actions

In the lower section of the workspace you can create Follow-up Actions. Use the context menu to see the options:

Click on each option of the context menu to see your choices; you can use already existing actions, plans or work order, etc. as follow-up actions.
