Introduction Cascade Server is the University of North Carolina Wilmington’s Web Content Management System (WCMS), which allows for the organization and management of website content across the organization.

Helpful Information

Session Timeout If your WCMS session is inactive for 60 minutes you will be automatically logged out by the system. Auto-Save WCMS will auto-save a draft of your work when you briefly pauses from editing or adding content. Recycle Bin WCMS includes a Recycle Bin which will temporarily store deleted files. Storage is not permanent and all items will be purged after 15 days. Assets are permanently deleted after 15 days.

Navigating Cascade Server

General Overview & Helpful Terms

Site List Users can navigate between sites utilizing the Site List dropdown found at the top of the Cascade Server interface.

*Note: In order to edit you must select “uncw.edu” Asset Tree The WCMS is organized in folders that can be easily navigated by using the Asset Tree found on the left side of your screen. In the Asset Tree, you are able to view folders and pages. Navigating the Asset Tree is simple. Use the plus signs to expand folders and the minus sign to collapse folders. To view a folder or page, click on the asset name. The Menu Bar There are four options on the main menu bar:

Home – Returns you to your Dashboard. New – The dropdown menu contains all of the assets you are authorized to create. History – Links to the History page. You can click on any of the assets listed on the history page by

clicking on its system name in the list. You can only view assets that you have visited during the current session.

The Dashboard

The Dashboard provides a high-level overview of all activities happening inside the current Site that are relevant to the current user. The dashboard overview can be reached at any time by clicking the “Home” tab on the top menu bar. The dashboard overview is composed of customizable widgets that can be configured and rearranged. Each dashboard is unique for a user and site.

Dashboard Widgets The WCMS Dashboard delivers useful content management information via widgets. The dashboard provides rapid access to data and frequent tasks. Customization is available since each widget may be relocated via drag-and-drop.

System Messages System Messages contain Publish Reports which detail the successful and unsuccessful issues of published content. If the publish was unsuccessful the message will summarize jobs that failed, were skipped, and/or detail broken links.

Creating New Content

Uploading a File (image, pdf, doc, etc.)

1. Within your main folder (inside the Base Folder) select the “images” folder in your Asset Tree

3. Click “Choose File” or drag your image from your computer into the area defined by the dashed-lines.

4. Browse to the location of your image and hit “Open.” a. The image should upload into the viewing screen and the “System Name” should auto-populate.

5. You can now either submit (see below) or edit your image (next page).

6. To submit please click the “Submit” button in the lower right hand side of your screen

Editing an Image

WCMS has the ability to edit images after they have been uploaded. The image tool supports the following operations: Resize (with maintain aspect ratio pre-selected), Rotate, Flip (horizontal/vertical), Crop, Undo, and Redo. The tool is available when editing for the following image types:

Home – Returns you to your Dashboard. .jpg .jpeg .png .bmp .gif

Tip: Hold down Shift while cropping to retain a perfect square.

Once you are finished editing your image you can click the “Submit” button located in the bottom right hand corner (see step 6 of “Uploading a file).

Deleting a File or Folder

WCMS has the ability to easily delete files and folders in two ways. If you need to delete an asset please follow one of these instructions:

Deleting a file or folder: Method 1

1. Hover over the file or folder that you wish to delete. 2. An arrow will appear to the right of the file or folder name 3. Click the arrow and a menu will appear 4. Click “Delete”

5. Click “Submit.” If the delete was success the system will tell you.

Deleting a file or folder: Method 2 1. Click on the file or folder that you wish to delete 2. In the tabs located below your Menu Bar, select “More” 3. A list containing “Delete, Reference, and Versions” will appear

4. Select “Delete” and a Warning screen will appear. 5. Click “Submit” if you are positive that you want to delete the asset.

Restoring a Deleted File or Folder

WCMS includes a Recycle Bin which will temporarily store deleted files. Storage is not permanent and all items will be purged after 15 days. Assets are permanently deleted after 15 days and cannot be recovered. There are two ways to access the Recycling Bin through quicklinks and your dashboard. Method 1 will be using the Quicklinks versions.

Restoring a file or folder: Method 1

1. Click on “Quicklinks” in the top right hand corner 2. Select “Recycle Bin.” This will take you to the Recycle Bin (where your dashboard tab is) displaying

any content that you have deleted.

3. To restore a deleted file, select the box next to the file. A check mark will appear showing that the content has been selected.

4. At the bottom of the Recycle Bin click on the drop down box marked “Select One”

5. Select “Restore”

6. You will be taken to a confirmation screen. If you are sure that you want to restore the deleted

content then click, “Submit.”

7. When the item has been restored a Green Bar will appear at the top to confirm the restore.

Foundation Templates WCMS has 4 UNCW Templates: Group 1, Group 2, Group 3, and Template A. These templates are flexible, allowing users the freedom to customize each page easily.

Group 2:

The Group 2 template is the same as Templates H, I, J, L, and O. Below are a few examples of the variety of pages that can be made using Group 2 Foundation Template:

Creating a New Page: Group 2

1. In the Asset Tree, navigate to the location where you would like to add a new page. 2. Then click on, New > Foundation > Group 2. This will open a “New Page” to edit.

3. The “Display Name” is what your page will be called inside Cascade server and will be part of your URL. Your url will be: uncw.edu/department/displayname.html If you put spaces in the Display Name then Cascade will place dashes (-) between each word (see below). For example, if you named your page “Housing contact Information” then your page will be named Housing-contact-information and your url will be: uncw.edu/housing/housing-contact-information.html.

a. Helpful page naming information: if you are creating a page with content about your department, then you may want to input the display name as “about.” You want to keep the display names simple since they are part of your URL.

4. The title of the page is what appears in a browser tab. For example:

Please Note: UNCW current policy for Page Titles is as follows: Page Name: Department: UNCW. For example, About Us: Housing: UNCW

5. For “Include in Navigation” please select “Yes”

6. Next, if you wish to have a banner image on your page, select “banner.” Please know that a banner is not

required. If you choose not to have a Banner Image, that is the same thing as using Template H.

7. This will display two options: Slideshow and Single Image. a. Slideshow: Allows for up to seven rotating images on a page. b. Single Image: One static image on a page.

8. For now, we’ll just work with Single Images. When you select “Single Image” you will receive 3 aditional options: 3 column, 2 column, and 1 column.

a. 3 Column: Means that the image expands over three columns (the navigation, the main content, and the side bar content) as seen below.

b. 2 Column: Means that the image expands over two columns () as seen below.

c. 1 Column: Means that the image expands over one column (the main content) as seen below.

9. Please give the image appropriate Alternative Text. The Alternative Text helps UNCW be ADA compliant.

a. If you would like the image to link to another page, you may do that with the “link” section.

10. Please input the appropriate “Main Content” 11. If you would like a Sidebar, please select “Yes.” A new Content Pane will open for you to input content.

12. For “Left Navigation,” please select “automatic” 13. Input the content manager information into the “Maintained By” section.

a. The standard is: A. Name i. For example, Sammy Seahawk would be S. Seahawk

14. Please ignore “imported Banners” this is used solely in the migration process. 15. Select “Submit” at the bottom right when you are finished inputting your content.

16. This will submit a draft of your page. This does not make your page “live.” If you wish to “Publish” your page (i.e. make it live on the web server) please go to page

Foundation – Moving Assets

Before creating a new page please ensure that you are in the in the correct folder. It is important to note that assets (i.e. images, news articles, folders, etc.) will be created depending on where you are navigationally in the Asset Tree. For example, if I am in the “Housing” folder and I want to create a page in the “about” folder, then my “Test Page” will be created in the “Housing” folder.

Fortunately, it is easy to relocate this new page to its correct location. Simply, find the correct folder where you want to place the page and drag it there. A warning screen appears asking if this is the correct location. If it is click, “Submit.”

After hitting submit the asset/file you moved it will appear in the correct folder and a green bar will appear below the Menu Bar indicating it was a successful move.

Foundation – Publishing Your Content

In order to make your new Page live on the web you have to publish the content. Every time you make a change to any page or file you must publish it, otherwise the updated content will not appear visible on the web. When you are ready to publish your content: 1. Select the Publish tab at the top.

2. A screen similar to the one below will appear. As for the Destination, you will only have to worry about the Test Server and the Live UNCW Site.

a. The “Live UNCW Site” will publish to uncw.edu domain b. The “Test Server” will publish to webtestnew.uncw.edu

Selecting both “Live UNCW Site” and “Test Server” will keep both locations in sync, for now we recommend that you do this. Ensure that “html All Destination” in the “Output section is selected and that both “Live UNCW Site” and “Test Server” are selected in the “Destination” Section and then click “Submit.”

3. If the publish was successful you will see a green notification bar at the top that states, “Publish message sent successfully” (see below).

Foundation – Editing your Content 1. If there is something wrong or you wish to make changes to your content in any way you can edit the

page by selecting the “edit” tab at the top.

The Content Pane The content pane is where you will input the Main Content and Sidebar Content. In this box you have many editing features similar to Word.

The Content Editor Toolbar Editing your content with the Content Editor is very similar to editing a word document. Most of the tools are those that you will recognize from Microsoft Word; however, a few may be new to you.

5. Navigate to your images folder and select “Upload”

6. Select, “Choose File” then browse to the location of the image on your computer and then click “Open.”

7. One you have located the correct image, select “Upload.”

8. After a Green bar appears that says, “File Uploaded Successfully.” Click Confirm.

9. Provide the required “Alternate Text” and if you need to, adjust the width and height. Then select, “Insert.”

2. When the popup window appears select the “advanced” tab 3. You will then see the “Alignment” category where you can choose the desired alignment for your image

Inserting a Link You can input links and even create linked images. 1. Ensure that your image (or text if you are creating hyperlink) is highlighted 2. Click on the “Insert Edit Link” button

3. At the top select if the link will be “internal” or “external”

4. Select “Same Window” if the link will open in the current window or “New Window” if the link will open

in a new window. Once you are finished select, “Insert.”

Foundation – Comparing and Activing Different Versions

As changes are made to any asset in the system, UNCW WCMS tracks the changes in separate copies of the asset called Versions. 1. Versions are accessed by clicking “More” and selecting “Versions.”

2. The versions list for each asset shows a list of each version, the author for each change, including the original creator of the asset, as well as the time and date of the change and any notes available. Users may navigate through the various versions, compare them with the current version, and activate any version desired. Each version has a timestamp that allows the user to see when the change was made.

The Green check mark indicates the current version. Select any previous version by clicking the asset’s name, i.e. in this example the asset’s name is, “index.”

Version Compare Since WCMS saves a version of your asset each time you click Submit, you can utilize the Compare function’s ability to color-code to easily identify changes. 1. To compare one version with the most recent, select “Compare with Current.”

2. WCMS will display both versions of the page and highlight any differences with the following rules:

• Text that has been added is highlighted in green.

• Text that has been removed is highlighted in pink and is struck-through.

• Modifying text is considered as old text removed and new text added.

• Changes and updates to markup (i.e. change from bold to italic) is highlighted in purple.

3. If no changes are detected a yellow bar will appear at the top of the page that indicates, “No Changes

Detected.”

Activate a Previous Version Be cautious when activating a previous version, no warning screen will appear, WCMS will automatically revert your current version to the previous version.

1. To activate a previous version of your page, simple select, “Activate.” You page will automatically revert

to that version.

2. If you are satisfied with that version, don’t forget to publish your page (see page 13 for information on Publishing your page).
