EVENTS AND LOGISTICS SUMMER INTERNSHIP/RUPA DIRECTOR This application has two parts and eligible candidates must commit in full to both leadership positions:

• Major Events and Programs Events and Logistics Summer Intern (Summer 2018)

• RUPA Director (Fall 2018-Spring 2019)

Specific job responsibilities for each position are outlined on the following pages.

QUALIFICATIONS:

• This position is open to all majors

• A cumulative GPA of 2.5 or higher

• Able to commit to both positions (summer intern and RUPA Director)

• A Rutgers–New Brunswick full-time undergraduate student who will be attending classes on campus at Rutgers for the 2018-2019 academic year

• Ability to meet deadlines, be flexible, and adjust to changing priorities in a fast-paced environment

• Motivated and hard-working

• Problem solver

• Positive and friendly

• Creative and detail oriented

• Enthusiastic learner

• Team player with an appreciation for different perspectives

SKILLS TO BE DEVELOPED:

• Planning large and small scale events

• Developing and overseeing a budget

• Public speaking and communication skills

• Delegation and leading a group of peers

• Work with various University stakeholders

• Enhance interpersonal skills

TIMELINE FOR APPLICATIONS

• Applications Available: Tuesday, January 16

• Information Sessions: Every applicant must attend one of the three information sessions

• Location: College Avenue Student Center, Room 431 Friday, January 26 at 4pm Monday, January 29 at 7pm Tuesday, January 30 at 9:30pm

EVENTS AND LOGISTICS INTERNSHIP [SUMMER 2018] Major Events and Programsprograms.rutgers.edu

The Department of Major Events and Programs is seeking top level, organized, team oriented and innovative student leaders to assist with the preparation and implementation of large, signature campus events. Interns will gain valuable experience in event management, logistics, budgeting, marketing and communication.

RESPONSIBILITIES

• Assist with the planning and execution of events and/or special projects as assigned. These include; Involvement Fair, New Student Orientation Social, Snack Pack Service Project, Resource Fair, RUPA/MEAP Marketing, Inventory and Space Management, Convocation and Carnivale

• Work with a team of RUPA Directors and Advisers to make decisions that move the organization forward

• Attend two internship meetings per week

• Participate in training sessions throughout the summer

• Complete needed RUPA Committee responsibilities

• Planning fall events

• Communicating with committee members

• Budgeting

• Complete a weekly reflection on your internship experience

• Other duties as assigned

HOURS AND COMPENSATION: SUMMER 2018

• Attend Intern Training on Friday, March 2 from 3pm-8pm

• Staff Senior Days Events: Wednesday, May 9—Saturday, May 12 (ALL DAY including evenings—you are excused for exams on May 9)

• June 4-August 17: Available Mondays, Wednesdays and Thursdays (ALL DAY, including evenings) each week for office hours, training and staffing NSO events. See below for more detail.

• Students are able to take summer classes alongside their commitment to this position

• Two Weeks OFF: Each Intern will have the weeks of July 2 and August 20 off

• Any conflicts with the above dates and times must be communicated when applying

• Weekly Commitment

• Office hours (to be completed in the CASC RUPA office)

• Internship Meetings (two meetings per week, two hours each - meeting will include training that will prepare you for the Director position)

• NSO Socials (Schedule TBD)

• NSO Resource Fairs (Schedule TBD)

• Interns will be paid $12 per hour for every hour worked, approximately $3,600 for 10 weeks during the summer

• Rutgers summer parking pass will be provided

DIRECTOR [FALL 2018-SPRING 2019] Rutgers University Programming Associationrupa.rutgers.edu

The Rutgers University Programming Association (RUPA) is looking for seven student leaders who are passionate about giving back to Rutgers to be a part of the RUPA Executive Board. Each position oversees a committee within the organization. Directors have a chance to develop many skills including: delegation, leading a group of your peers, event planning and marketing.

There are seven director positions available with the Rutgers University Programming Association (RUPA). There is one director position for each of the committees below:

• Community Service

• Concerts and Coffeehouse

• Human Resources

• Marketing

• Media and Culture

• Outreach

• Traditions and Community

RESPONSIBILITIES

• Develop and plan events for your designated committee for the fall and spring semester

• Lead a group of four to six Assistant Directors (excludes Outreach)

• Participate in training sessions throughout the year

• Work with a team of RUPA Directors and Advisers to make decisions to move the organization forward

• Evaluate programs and complete an End of Year report

• Other duties as assigned

HOURS AND COMPENSATION

• RUPA Council Training: Sunday, March 25, 2018 from 10am-5pm

• RUPA Council Friday Meetings: March 23 and April 20 from 4pm-7pm

• RUPA Council Training: August 25-September 3 (hold all day, each day)

• RUPA January Retreat: Saturday, January 26, 2019

• Weekly Commitment

• Fall 2018 and Spring 2019 semesters: Weekly executive board meetings on Mondays from 7:00pm-8:30pm followed by weekly council meetings on Mondays from 9pm-10:30pm

• Maintain five office hours per week during the fall and spring semesters to complete program planning

• Staff weekly events

• Attend one on one meetings with adviser

• $100 in RU Express cards per semester (paid in monthly increments of $25)

RUPA COMMITTEES

COMMUNITY SERVICE

The Community Service Committee provides a variety of volunteer opportunities that focus on the importance of giving back to the New Brunswick community and surrounding areas. This committee aims to provide meaningful service experiences to students that address different social issues, community partners, and forms of service.

CONCERTS AND COFFEEHOUSE

The Concerts and Coffeehouses Committee organizes large and small scale events providing access to different genres of music. Larger events like Beats on the Banks require ticketing while the smaller coffeehouses allow you to come and go as you please.

HUMAN RESOURCES

The Human Resources Committee oversees the professional development of all members on RUPA. They ensure members are having fun while learning skills that will better prepare RUPA students for their leadership role within RUPA and for their careers following graduation. This committee manages the recruitment and selection of students to the organization and spreads awareness about how to get involved.

MARKETING

The Marketing Committee oversees all aspects of promotion for all RUPA events and passionately works to fully establish the RUPA brand within the Rutgers community. This committee is responsible for formulating strategic plans for advertising campaigns to ensure information about RUPA is fully communicated. The creativity and inventiveness of this committee pushes promotion through various outlets including: social media, the RUPA web page, brochures, RUTV, campus radio, informational displays, semester calendars, promotional events, flyers and posters.

MEDIA AND CULTURE

The Media and Culture Committee provides a diverse selection of educational and entertaining events including, but not limited to: lectures, comedy shows, watch parties, and craft projects. Events sponsored by this committee seek to entertain students and to expand their exposure to discussions around trending and relevant topics in pop culture, politics, and humanity.

OUTREACH

The Outreach Committee works to promote RUPA programs, values, and goals to others at the university. This committee is responsible for working with other directly advised student groups, student organizations, university departments, university administrators, and members of the New Brunswick community to provide a greater understanding of RUPA’s role and to promote opportunities for partnership. This committee represents RUPA to peers and administrators, and expands RUPA’s audience by identifying student organizations that may be able to direct their members to RUPA programs that best align with that group’s respective interests.

TRADITIONS AND COMMUNITY Traditions and Community keeps a constantly changing student body connected with creative and engaging traditional events. Certain events may be annual, but this committee is dedicated to making each tradition fresh year after year via creative new additions and immersive themes and experiences. Traditions and Community seeks to provide events that pull the entire university community together through shared experiences and school pride.
