• Waiters and barmen for a minimum 8 hour shift for a wedding (shift starts 1½ hours before the wedding and ends ½ hour after the wedding).

• For a plated menu, one waiter for every 10 guests.

• For buffet menu, one waiter for every 15 guests.

• Menu tastings every quarter. Two people can book at no charge. A surcharge for any extra people will be charged.

PLEASE NOTE THAT THE RATES ABOVE INCLUDE A FULL ENGLISH BREAKFAST. ALL ACCOMMODATION PRICES INCLUDE VAT BUT EXCLUDE 1% TOURISM LEVY THAT WILL BE ADDED TO THE ACCOMMODATION INVOICE.

Please note that no outside catering is permitted at Kleinkaap. Food may not be taken off the premises. Annual food increase will be of immediate effect in

January of every year for the year ahead.

Menu prices remain subject to change due to economic factors during the course of the year.

Children between 3 and 11 will be charged for the kiddies menu. Children under the age of three (3) years will not be charged.

Children will not be considered part of the total amount of the minimum guests’ amount.

Please note that your entire guest amount must be catered for; applicable to all menu options available on our menu selector.

Catering for 3rd party operators (DJ, photographer, etc.) Will be charged at a 50% discounted adult rate for a maximum 3 pax (see price package per person).

If not arranged, the amount will be deducted from the deposit.

Should your actual number of guests on the day of your wedding, exceed the number confirmed you will be charged the quoted menu plus a 50% surcharge.

Bookings

Bookings will only be considered secured upon receipt of a wedding deposit of R5000 and a signed contract. The deposit will be refunded within 21 working days after the wedding date (terms and conditions apply).

By paying a deposit you indicate your acceptance of the terms and conditions of the wedding package and as per your signed wedding agreement.

We have a garden chapel and banquet hall that can accommodate up to 400 guests banquet style comfortably (without a dance floor).

Appointments

5 weeks prior to the wedding the following must be confirmed with your wedding co-ordinator:

• Menu choice

• Running order

• Number of guests

• Special requests

• Confirmation of suppliers as well as their contact details

• Hall layout

• Bar requirements as well as table wines

• Special dietary requirement

• Accommodation requirements

• Song selections

A final appointment is scheduled no later than 5 weeks prior to the wedding to finalize arrangements.

Please note that final meetings can only be done on weekdays.

The final number of guest will not be decreased after two weeks prior to the wedding. The number can increase and will be charged accordingly.

Kleinkaap must be informed two weeks before the wedding date regarding payment of extra guests with your deposit.

Unfortunately we do not schedule appointments on Sundays or Saturday afternoons.

GENERAL TERMS AND CONDITIONS

Payments

Kleinkaap requires a 50% payment of the pro-forma invoice 4 months prior to the wedding date. The balance of the pro-forma invoice is payable at least 30 days prior to the wedding date.

If your wedding is booked more than 4 months in advance, you may prefer to split the payment of the bill (excluding bar bill) over the months prior to the wedding.

By paying a deposit you indicate your acceptance of the terms and conditions of Kleinkaap regardless of the signed contract received or not.

Bookings will only be considered secured upon receipt of a wedding deposit of r5000 and signed contract. The deposit will be refunded within 15 working days after wedding date (terms and conditions apply).

Service fees

Plated menus require one waitron per table for up to 10 guests. Buffet menus require one waitron per table for up to 15 guests. One bar attendant will be hired for every 50 guests.

Bar attendants are compulsory for alcoholic as well as non-alcoholic weddings.

Service charges are subject to change without prior notice.

Should the waiters and bar attendants work longer than 8 hours for weddings, the standard hourly rate per waiter/barmen will be charged, R88 per hour per waiter and R95 per hour per bar attendant. These prices are subject to change.

The venue is available for 8 hours on your wedding day; extensions may be made with prior arrangement. A fee of R2160 per hour as well as additional hours of the waiters and barmen will be charged. This price is subject to change.

Bar service

Bar attendants are charged a minimum of an 8 hour shift. All beverage requirements should be arranged prior to the wedding date.

Full bar facilities are available on request during wedding hours. Kleinkaap bar closes an hour before the venue closes, however it may be hired after set time for a fee of R1015.00 per hour.

The bar is fully licensed; therefore all beverages must be purchased from Kleinkaap. Should you wish to provide wine or champagne; a corkage fee of R88 per 750 ml bottle will be charged. Prices subject to change.

No shooters, spirits, beers, soft drinks or food may be brought onto the premises.

We require clients to brief us with regard to their requirements for the provision of a full bar or wine and malt, for guest account or bridal party account.

Specific beverages can be included or excluded from the bar and should be arranged prior to the wedding date.

A limit may be stipulated for an account bar. In order to monitor the accumulative total, Kleinkaap will supply a regular reconciliation of the account for the duration of the wedding.

Any changes to beverage requirements at any stage are to be done so in writing.

Wine list and bar menu is available on request. On the day of the wedding the balance of the bar account must be settled as costs or overtime costs. All prices are subject to change without prior notice.

Smoking

No smoking is permitted in the banquet halls, in the garden near the tables or in the guest rooms.

Ashtrays are provided outdoors in the designated areas. Legislation prohibits smoking in public areas.

Rooms and all wedding venues are non-smoking. Guests are required by law to smoke in designated smoking areas.

Set up and cut off times

Set up time is during office hours 08h00-18h00 prior to weddings if available in each venue. The ceremony area and venue will be ready/ set up 2 hours prior to the start time of the ceremony.

Anyone making alternative arrangements must ensure that these are documented on the function sheet at the final appointment.

The venue hire fee covers the venue for the following: one wedding a day (8 hours)

Kleinkaap reserves the right to show a venue to potential customers during the set-up time of all private functions.

Furniture and equipment

Décor and props must be removed between 08h00 and 16h00 on the Monday following the wedding. Any item not removed within 7 days of being placed in storage will be discarded.

Kleinkaap does not accept liability for loss or damage of any item during this period. No permanent alterations are allowed, that includes damage to property, plants, flowers, nails and hooks in the walls, roof or frames. Flowers may not be arranged on the premises, and must be brought in their containers and placed. Carpets are not included in the package.

Each venue has been fitted with a sound monitor to ensure that an acceptable level of sound is maintained during the wedding. Please note that your DJ must have a music licence. Music can be played till 24h00 but from 23h00 music must be exceptionally softer and kept under 60 decibels, seeing that Kleinkaap is in a residential area.

Patio doors will be closed from 22h00 to avoid sound from travelling to neighbouring properties.

Should clients require the folding of our napkins completed with detail (e.g. Ribbon, raffia) supplied by the client, a fee of R3.50 per napkin will be charged.

All supplier details must be made known to Kleinkaap no later than the final appointment (4 weeks prior to the wedding).

No live animals will be allowed at Kleinkaap property.

Any damage to Kleinkaap property including linen, beyond reasonable wear and tear, will be charged accordingly and deducted from the deposit.

Candles may not be placed directly on linen. Candleholders must be wide enough to ensure no wax on the linen and Kleinkaap has the right to remove the candles if necessary. Damages will be charged accordingly and deducted from the damage fee.

Please ensure that any equipment requirements are requested well in advance of your wedding. Any additional items should be supplied or hired by the client at the client’s cost. This will be confirmed and charged for two weeks prior to the wedding date.

Cancelation policy

In terms of chapter 2, section 1 of the consumer protection act 68 of 2008, Kleinkaap is committed to best practice and as such has aligned its refunds policy to be in line with the consumer protection act [section 17]

A) Any wedding cancellation made more than 12 months before of the date of the wedding will be subject to a cancellation fee equal to the deposit amount.

B) Any wedding cancellation made within 4 months of the date of the wedding will be subject to a 50% cancellation fee of the total wedding charges.

C) Any wedding cancellation made within 2 months of the date of the wedding will be subject to a 75% cancellation fee of the total wedding charges.

D) In the case where a wedding is cancelled within 1 month or less from the date of the wedding it will be subject to a 100% cancellation fee of the total wedding charges.

E) All changes and cancellations must be confirmed in writing.

F) In the event of non-payment of the venue hire fees within the time specified, Kleinkaap shall be entitled to cancel a booking without further notice or liability to the client.

G) Kleinkaap reserves the right to cancel a booking forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of Kleinkaap, which shall prevent it from performing its obligations.

In these circumstances every effort will be made to find an alternative venue. H) should the wedding be postponed within 6 (six) months of the wedding date,

The deposit will be subject to a cancellation fee equal to the deposit amount. .

Rescheduling of a date

The postponement or rescheduling of a wedding date is considered a cancellation.

Please refer to cancellation policy.

Risk/loss/damages/general

No foreign materials are permitted at Kleinkaap. For confetti you are welcome to use fresh flower petals, bubbles or potpourri.

No Chinese lanterns with candles may be released on the property due to the fire hazard they cause with the overlying trees.

No sparklers or fireworks are allowed to be used. These cause undue damage to the table linen and are a fire hazard in the venue.

While Kleinkaap does feature emergency water tanks and a full backup generator installation, we shall not be held liable for interruptions of services (water, electricity, sanitary services).

Whilst every precaution will be taken to ensure the safeguarding of your belongings, Kleinkaap will not be liable for loss or damage to any property whatsoever (décor props, wedding gifts, valuables, etc.)

We recommend that all personal and valuable property be removed directly after the wedding.

Draping of the banqueting halls may only be done by our preferred suppliers. In the case of draping a certificate of flame retardancy must be provided.

Please note that draping that has not been removed at the end of the wedding or by the Monday followed, it will be taken down.

Kleinkaap does not accept liability for loss or damage of any item during this period.

Restaurant bookings, functions and/or conferences may take place during the wedding but will not interfere with the wedding.

Should the Kleinkaap hotel, hall, surrounding gardens, décor or linen be damaged during the set-up, the course of the wedding or break down operations, the client shall be held responsible and will be charged accordingly.

The customer shall not be entitled to:

• Paint, affix or attach any matter to the walls in the function room.

• Drive into the walls, floor, partitions, doors of the function room any screws, nails or the like.

• Kleinkaap, and its employees or any person employed at any wedding will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever. Kleinkaap reserves the right to refurbish and upgrade the venues from time to time.

Kleinkaap reserves the right to cancel any booking forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of Kleinkaap, which shall prevent it from performing its obligations.

In these circumstances every effort will be made to find an alternative venue.
