Hand carry any orientation documents or maps found in
your Pre-Departure Checklist (PDC).
Review the program calendar and make reservations to
arrive by the official start date.
Financial Aid students need to determine how to
purchase a plane ticket prior to receiving financial aid.
Obtain your visa as required. Follow the visa instructions sent to you by the host university.
Complete all health-related forms by the appropriate deadlines and according to your
campus and host university instructions.
Print your UCEAP insurance card, read both sides, and place it in your wallet.
Attend all campus pre-departure orientations, and contact returnees and current
participants through the Israel program’s Facebook page.

You are covered by the UCEAP Travel Insurance Plan. If you are sick or
injured while abroad, the UCEAP Travel Insurance Plan allows you to
go to any licensed health provider or hospital, pay up front, then
submit a claim to be considered by the UCEAP insurance provider for
reimbursement of eligible expenses.
Review the details of the UCEAP travel insurance coverage before
departure. Preventive care is not covered, and other policy limitations
and exclusions apply. The insurance policy booklet is available under
the “Insurance” tab of your Pre-Departure Checklist
Research any required medication to find out if you can obtain it in
Israel, or if it is even legal to have in your possession while in the
country. Remember, all medication must be carried in their original,
labeled containers.
If you become ill while abroad:
Notify the International Office at your host university; they are
there to help, and having mentioned your illness can be
important, should it eventually affect your grades.

There are occasions once you are abroad when you may feel that UCEAP just isn’t working for you. It is normal to feel homesick, isolated, have family or breakup issues, or money concerns.
You might even consider withdrawing, but be sure to seek advice to explore all other solutions before reaching this important decision. Consult with the International Office and if necessary an onsite counselor before filing paperwork to leave.

Grades Take Time – Plan Ahead
Partner university grades go through several steps. It is often 2-3 months before UCEAP receives them to begin final processing and transmission to your Registrar.
After 90 days (from the official program end date), you may request advance grade processing, but that will depend on if one is available at the partner.
Before You Go
Consult your department advisor to understand which courses may satisfy requirements – UCEAP cannot advise on this.
Take your advisors’ email addresses to contact them if needed while abroad.
Print out your major requirements for your reference abroad.
Make arrangements to register for the term following EAP. Can you complete registration yourself or do you need to designate a proxy?
For Seniors • Consult senior residency rules. • Do not plan to apply for graduation in the same term as your final EAP term. Seniors can
walk at Commencement but will not receive a diploma until grades are final. • Determine where you can take the GRE or other exams abroad. • Consider the length of time grades take in planning graduate school applications.

While Abroad
It is your responsibility to meet all Program Requirements. The only exceptions are:
If you have obtained an exemption due to a disability (prior to departure), or
If you obtain approval for a petition during your time abroad.
Obtain extra syllabi and course materials, and bring back completed coursework to help you petition faculty when you return.
If you feel you cannot complete your work, discuss an “Incomplete” with faculty and with the International Office/OSP. Incomplete Contract petitions must be submitted before the program ends.

• You must take a full-time course of study in Israel: • BGU: 18 UC quarter units per term. • HU: 22.5 UC quarter units per term. • Technion: 32.5 quarter units per term.
• Language Study* • All Fall and Year students must enroll in the Ulpan (Intensive Hebrew Language), which takes place prior
to the beginning of the regular term. Spring students must enroll in the Winter Ulpan.
• You must also enroll in Hebrew language study during the semester. Fall and Year students are required to take Hebrew in the Fall. Spring students take it in the Spring
• * Language Study not required, but is encouraged for Technion students
• You must enroll with your Host University AND with UCEAP (via MyEAP) in order to obtain UC credit.
• You must complete your UCEAP study list in MyEAP by the date specified in the study list instructions, which will be sent to you by your UCEAP Program Advisor at a later date (after you arrive in Israel). Review departmental requirements as you finalize and submit your study list.
• In order to receive UC credit for the courses you take while abroad you must enter your courses in your MyEAP Study List!

Always let the International Office at your host university know about anything that negatively affects your academic performance – they often have solutions or resources.
Make sure your MyEAP Study List is complete and accurate.
UCEAP cannot help advise on applying your units to your degree requirements – that is up to your home department.
Remember that while we do want you to enjoy and experience what Israel has to offer – UCEAP is first and foremost an academic program.
Grades will take time – and, they will not be released if you have financial obligations to your host university or to UCEAP.

Checklist for an itemized budget of your program expenses,
and an estimation of other fees not included in the program
cost.
• Review the Student Budget and note which expenses you
pay directly and which are included in your program cost.
• Review the “Money Matters” section of the EAP Guide To
Study Abroad for information on your MyEAP account and
financial aid.
• Check your financial account in MyEAP and make payments
before the deadline.
• If another person will be making your payments, show them
the Student Budget and payment coupons so that they

Mount Scopus campus. Students are housed in
the Student Village, Resnick dormitories, or
Idelson apartment building.
• You must make your dormitory reservation and

Rothberg International School (RIS).* If you
receive financial aid, make plans to secure
housing before you receive a disbursement.
*UCEAP fees cover the Ulpan housing cost, but RIS will

this is a program requirement. • Most theft occurs at the airport and during
move-in. Be particularly aware at these times
and trust your instinct should you sense
danger.

Students participating in a Fall program can extend participation to Year. Refer to the
Guide to Study Abroad, located in your Pre-Departure Checklist, for detailed
information.
Steps in the Extension Process
(1) Obtain approval to extend before departure
Complete and submit an approved Departmental/College Preliminary Approval to Extend form (DPA) at the
time of UCEAP application or during the pre-departure period. The DPA must include a “yes” response and
must be approved by your departmental/college advisor.
(2) Request final approval to extend by the deadline
Complete a Request for Final Approval to Extend form (RFA). The
RFA can be used only if you submitted an approved DPA. Submit the RFA to your International Office. Alternate Step: If
you did not submit an approved DPA you must complete a Petition to Extend form (PTE) instead of an RFA. The petition
process can be lengthy. It is best to avoid the frustrations and delays associated with this process by getting
preapproved with a DPA before departure—even if you do not expect to extend your participation at that time.
(3) Final approval of your request
If approved by the Study Center or Liaison Office, the RFA will be forwarded to UCEAP for final
approval. Your home Campus Registrar’s Office, Campus Financial Aid Office, and Campus EAP Office will be notified.

Pay all outstanding fees in Israel and to UCEAP.
Program costs, housing charges, library fines, utility
bills, or phone charges could delay the release of
your grades and result in a block on your UC
registration.
Read about reverse culture shock and be aware of
common reactions to returning home.
Plan ahead to ship items home that may not fit in
your luggage.
