I want to make sure you completely understand my processes and the different stages of your project. Although the process may vary slightly depending on the project, and not all steps will be used for every project, this will give you a

general idea of what to expect when you work with me.

G E T I N T O U C HYour wedding is one of the biggest days of your life, and the invitations you’ll be sending to your guests need to be an amazing first look at what your event will be like. The invitations I will be designing for you are completely customized to fit your needs, and I therefore ask you to follow a certain process for reserving time in my schedule. When getting touch with me about designing your wedding invitations, I ask that you send me the following items via the form on my contact page or by sending me a direct email at [email protected]:

• Your name and contact information, as well as where you are located (city/state)• Date of your event• Date you plan to mail your invitations by• The estimated number of invitations you’ll be sending out• Preferred design/printing method (letterpress, flat print, watercolor, gold foil)• If you have an idea of what you are wanting or how you want your invitations to look, please let me know! If not, we can talk about that during our

first call :)• If you will be wanting me to calligraph your invitation envelopes, or if you want me to provide my stuffing & stamping service• Your budget (if you have one)

After you get in touch via my contact page or by sending me an email with the above information, I will reach back out to you via e-mail with any other questions I may have. Once I have all the details I need, I will provide you with my availability and a custom quote.

Q U E S T I O N N A I R E & B O O K I N GOnce you approve the custom quote and we have both agreed that we want to work together (yay!), we will both take a look at our schedules and set a start date. Once you have approved the custom quote for your project and we have set an agreed start date, I will send you your down payment invoice and letter of agreement. I will also be sending a questionnaire for you to fill out that will provide me with all the necessary details of your project in writing as well as help me get a feel for your wedding style and needs.

Y O U R I N V I TAT I O N SOnce you have signed the letter of agreement, completed your questionnaire and paid your down payment invoice, I will go over the full design process with you and share my initial ideas for your invitations. I want to ensure that the process is seamless and stress-free for you from day one, so I want to make sure you understand how I work. To further this goal, I will provide you with a customized timeline for your invitations from start to finish.

Before I send your invitations to print, I will provide you with final PDF proofs of each piece of your invitation suite. You will then need to sign a second letter of agreement stating that approved the designs, as I cannot be held liable for any errors on your part after your invitations have been sent to the printer. If there was an error on my part in the proofing/printing process, I will reprint the invitations at no cost to you.

Your final payment will be due before your suite is sent to the printer. Flat printed items take 2-3 weeks for delivery, and specialty printed items (gold foil, letterpress, etc. ) take 4-6 weeks for delivery.

If you will be having me address your invitation envelopes, I will have you ship your envelopes (or items) to me. If you are local to the Omaha area, we can meet in person to exchange items, letter of agreement and payment (if you prefer to pay by check). If you will be having me address envelopes, I will also need a digital, typed copy of your guest list, in either a Word or Excel document (it will not be accepted in any other format). The document will also need to be completely spelling and grammar error free, as I cannot be held liable for any errors in the document you provide to me. Please let me know if you would like a template for your guest list, as well as an addressing etiquette sheet, as I am happy to provide both to you.

This timeline is geared toward wedding stationery that will include calligraphy, and will vary from wedding planner and stationers. This will serve as a standard guideline that includes at least a full year for planning. Feel free to adjust

accordingly if your wedding planning time is less than a year, and use this timeline as a basic guide.

9 - 1 1 M O N T H S B E F O R E Y O U R W E D D I N GDo a little research on wedding stationers and calligraphers. Reach out to wedding stationers and calligraphers that you love the work of to discuss all of your needs for your big day.

Have an idea of wording ready for your Save-the-Dates, as well as an estimated number of Save-the-Dates and invitations you’ll be wanting to have printed.

4 - 6 M O N T H S B E F O R E Y O U R W E D D I N GSend out your Save-the-Dates! (8 months before for destination weddings!)

Have all wording ready for your stationery designer, and discuss all the options for your invitations.

2 - 3 M O N T H S B E F O R E Y O U R I N V I TAT I O N M A I L I N G D AT EWork with your designer on your wedding invitations. (allow extra time for specialty printing!)

Book a time with your calligrapher for formal calligraphy addressing for your invitations at least 2-3 months before your anticipated mailing date.

2 - 3 M O N T H S B E F O R E Y O U R W E D D I N GSend out your wedding invitations!

Book a time with your stationer/calligrapher to design menus, programs, a monogram, signage, escort cards or any other day-of items, as well as to design your thank you cards.

Send final menu and program wording to stationer/calligrapher.

3 - 4 W E E K S B E F O R E Y O U R W E D D I N GConfirm RSVPs and send your final guest list to your calligrapher so they can get started on your place cards, escort cards and any other day-of items.

Send final wording for signage to your calligrapher, and allow as much extra time as possible.

How far ahead should I book your services?As soon as possible! As soon as you know you’re going to be needing a calligrapher and hand lettering work, please reach out as soon as you can so that I can block out time in my schedule for your project. Please refer to the timeline provided on the previous page for suggestions of important milestones in your wedding planning for you stationery and calligraphy.

How long does it take you to complete an order?• Standard turn around time for envelope/place card calligraphy is:

• 50 items – 1-2 weeks• 50-150 items – 2-3 weeks• 150-250 items – 3-4 weeks• 250-350 items – 4-5 weeks• 350+ items 5 or more weeks

• Other calligraphy and hand lettering work is dependent on the individual project. Please contact me as soon as you can and I can provide you with an estimated turnaround time. Please refer to the timeline on the previous page for wedding stationery timeline suggestions.

What format should I put my guest list in?Please provide your guest list in either Word or Excel. If you provide it in Word, please format it with each addressed group vertically with each item on a separate line, including the zip code. Also, please make sure that everything is spelled completely and correctly, including names, street names, cities, states, etc., as I cannot be held responsible for errors in the document that you provide me. We will go over all of this again when you place your order, and I can also provide a template for each.

If I need my items quickly, can I have them rushed?Generally I will try to accommodate rush orders {within reason}, depending on my calendar, at an extra charge. Please contact me to check for availability and plan early!

What kind of ink do you use for your envelope calligraphy?I use Sumi and India ink, gouache, metallic inks and watercolor. If for some reason the ink you’ve requested will not work out how you are envisioning it, I will work with you to come up with a solution.

Should I provide the envelopes/place cards/etc. or do you?I do prefer that you provide us with your paper products. However, if you need help choosing, I am happy to take care of this step for you, or I can recommend paper suppliers for you to buy from.

How do I pay for my order with you?I will send you an online invoice once your order and numbers have been finalized. You can either pay by credit card or by mailing a check to my studio. If paying by check, the check will need to be received in the mail and cleared by the bank before your envelopes can be sent back to you.

Do I need to put down a deposit?Yes. If you would like to reserve time in my calendar for your project, and to ensure the completion of that project by your specified due date, a 50% non-refundable down payment is required. A second invoice will be sent once your project is completed and before delivery of your finished items. The second invoice will include the remaining 50% amount for your project, plus any additional charges incurred, such as additions to your guest list, printing and shipping costs, etc.

How do I get my envelopes/items to you?Letter Lane Design Studio is located in Omaha, NE, so if you are local to the area or within an hour away, I am happy to meet up. If you are not local or within an hour away, you can mail them to my studio.

Do I need to provide extra blank envelopes/place cards/ etc.?Yes, please! I ask that you provide me with at least 15% extra envelopes/place cards/etc. above the count of your list to account for ink splatters, errors or last-minute additions to your guest list.

Are you able to copy a font that is used on my invitations?Sometimes. It depends on the font style and the envelopes you’re using.

Can you write with metallic ink?Absolutely! Any metallic ink color your hear desires :)

Can you write on metallic envelopes?Yes, absolutely!

I’ve heard the post office can’t read calligraphy... is that true?This is a tough question, but typically, yes the post can read calligraphy. If an envelope gets kicked out by the machine, a human will inspect it personally for legibility. As long as the zip code is legible, it will be sent to that zip code. From there, if it is still not machine-legible, it will be read by hand and delivered. Unfortunately, any mass mailing, calligraphy or no calligraphy, will always end up with some MIA envelopes that disappear into the “black hole” of the UPS mailing system. Please know that I CANNOT GUARANTEE delivery dates on behalf of USPS, nor can I be held responsible for delays by USPS. Once an item leaves my hands, I have the same tracking information as you and cannot provide updates beyond what is listed on the USPS tracking website. Additionally, I will not provide cancellations or refunds because of delays by USPS. Please message me in the event that something does happen, and I will do my best to help you find a solution.

Do you use waterproof ink?Yes I do!

How do I book your services?You can reach out to me using the contact form on the “Let’s Chat!” page on my website, or via a direct email to [email protected]. I will respond within 48 hours with my availability, a custom quote and an estimated turnaround time. Refer to the timeline two pages back for suggestions on when to book with your stationer and calligrapher.

How do I request a custom project?I love custom projects! Feel free to use the contact form on our “Let’s Chat” page on my website, or send me a direct email at [email protected] and I will get back to you within 48 hours with my availability, a custom quote and an estimated turnaround time.

What if I am already working with another invitation designer, but I would like you to provide calligraphy for part of our invitation and then address our envelopes to match?No problem! I love doing spot calligraphy, and would be thrilled to work with you and your invitation designer.

I want to learn calligraphy! Do you offer workshops?I am hoping to start teaching in-person workshops within the next year or so, and am also in the process of creating an e-course and an e-book on beginner calligraphy and hand lettering.
