1 Introduction

About this apprenticeship occupation This EPA pack has been designed to assess all requirements as stipulated in the Level 3 Advanced and Creative Hair Professional (9014-12) assessment plan ST0214/AP01. Advanced and Creative Hair Professionals are creative, passionate, and driven professionals who work without supervision, managing themselves and others when required. They provide a quality service, whilst working to the highest standards and continuously developing their personal and professional skills. An Advanced and Creative Hair Professional works in the hair industry, which is one of the largest, most trusted and fashion forward professions. They take ownership of their work and client lists, accept responsibility, are proactive, flexible and adaptable, plan their work and time, they aim for excellence by taking exceptional pride in their work and industry. The work environment can be varied in size, style and ambiance, from a bespoke salon, the media industry, cruise ships, product houses and manufacturers to luxury high-end hair salon. They are highly skilled and experienced individual professionals who deliver hair fashion forward trends, which are innovative styles inspired by current images and their own creativity, individual flair, imagination and interpretation. End-point assessments Apprentices are expected to achieve a number of end-point assessments (EPA) to conclude their apprenticeship. All EPAs are formal summative assessments that conclude the apprenticeship programme. The Advanced and Creative Hair Professional apprenticeship is assessed in a number of ways to provide a clear indication of the apprentice’s knowledge and skills. For this apprenticeship the following assessment methods need to be achieved:

Knowledge test Observation and questioning Professional discussion The focus of the EPA is for the apprentice to fully demonstrate the values, knowledge, skills and behaviours set out in the apprenticeship standard and to be able to demonstrate this level of professional competence in authentic workplace contexts.

Grading This apprenticeship is graded Pass/Distinction. EPAs will be assessed and graded by City & Guilds independent end-point assessors (IEPAs), more information about how each assessment is graded and how the overall apprenticeship grade is determined can be found in later sections of this document.

Entry requirements for end-point assessment To be eligible for EPA the apprentice must have successfully achieved the following:

Have completed at least 12 months on programme Achieved level 2 English qualification or equivalent prior to end-point assessment Achieved level 2 Maths qualification or equivalent prior to end-point assessment

o For those with an education, health and care plan or a legacy statement the apprenticeship’s English and maths minimum requirement is Entry Level 3 and British Sign Language qualification is an alternative to English qualifications for whom this is their primary language.

Gateway – prior to end-point assessment On completion of the Gateway process, the apprentice will be required to sign an Apprentice Gateway Declaration Form. This form should be submitted as part of the Gateway process in EPA Pro. A copy of this form can be found in the Support Resources section on EPA Pro. The provider will be required to make a declaration and electronic signature on behalf of the employer and provider/tutor in EPA Pro.

3 End-point assessment guidance for centres/end-point assessment customers

Introducing end-point assessment to the apprentice Employers/training providers should make the apprentice aware of the different assessment methods that make up the end-point assessment (EPA) of the apprenticeship prior to the gateway process. While EPAs will be assessed by the City & Guilds Independent End-point Assessor (IEPA), for this apprenticeship the following assessment methods it is the responsibility of the employer/training provider to introduce the assessments to the apprentice ahead of the EPA visit.

Observation and questioning

Professional discussion The EPA must be completed within an EPA period typically lasting a maximum of three months, beginning when the apprentice has passed the EPA gateway. Further information around what can be shared and the timelines around this can be found in the Task Instructions for Centres/end-point assessment customers/employers sections within this document. When introducing any assessments a realistic timeframe should be set for completion of each task, in line with the timeline agreed with City & Guilds when booking EPA. If tasks are not completed within the agreed timeframe without the Apprentice having a good reason, the timeline for any EPA visit may be reviewed. For any assessments that occur over a longer duration employers/training providers should work with apprentices to develop a submission schedule that aligns with the overall timeline for assessments and with the timelines agreed with City & Guilds when booking EPA.

Health and safety/Codes of practice The importance of safe working practices, the demands of the Health and Safety at Work Act and any Codes of Practice associated with the industry must always be adhered to. The requirement to follow safe working practices is an integral part of all City & Guilds assessments, and it is the responsibility of the tutor/employer to ensure that all relevant health and safety requirements are in place before apprentices begin any practical assessment. Should an apprentice fail to follow correct health and safety practices and procedures during EPA and/or are putting themselves, client or other salon staff members at risk, the assessment must be stopped by the IEPA and the apprentice advised of the reasons why. The apprentice should be informed that they have not reached the standard of assessment required. The IEPA is required to contact their Lead Independent End-point Assessor (LIEPA) and the City & Guilds EPA team before making any decision on whether the EPA can continue. The IEPA must also log the details on the IEPA Assessment Confirmation Form within the Incidents section.

Should an IEPA identify something, when assessing evidence submitted for the apprenticeship or pick up on something during an oral assessment that indicates that health and safety practices and procedures may not have been adhered to, they will feed this back to City & Guilds EPA team.

Authenticating the apprentices work When making judgements on evidence of unobserved tasks, IEPAs must ensure all decision satisfy VACS. For evidence produced outside controlled conditions the apprentice will be required to

sign a declaration that the work is their own

reference all sources.

The training provider/employer should also aid authentication by:

supplementary (oral) questioning to gauge familiarity with the topic

looking out for any changes to the apprentices usual writing style, unusual sources/examples or the use of e.g. US spellings or phrases that might indicate cutting and pasting from the internet

requiring access to evidence of steps in the process e.g. drafts, notes, planning etc. City & Guilds have produced evidence reference forms for both apprentices and IEPAs to use when reviewing evidence produced outside of controlled conditions. These forms include a declaration of authenticity form and must be completed when submitting evidence. These forms can be found in the 9014-12 EPA recording forms for customers document. These should be completed and signed by both the tutor/employer and the apprentice.

Recording forms City & Guilds have designed specific recording forms for apprentices and centres / EPA customers / employers to use for this apprenticeship. These can be found in 9014-12 EPA Recording Forms for customers document.

Capturing evidence City & Guilds IEPAs will capture photographic evidence of precision cut and finish and the advanced creative colour conversion.

Notes on the grading criteria Each assessment will be individually assessed and graded by a City & Guilds IEPA. The grade will be determined using the grading criteria detailed in the tasks.

Determining the overall apprenticeship grade The IEPA will be responsible for completing grading for all tasks, and in communicating these outcomes to City & Guilds for overall grading of the apprenticeship. The overall grade will be based on the grades achieved in the three end-point assessment methods; Knowledge Test, Observation and questioning and Professional discussion. All methods must be achieved at a minimum of a pass in order for the apprenticeship to be achieved. Grades from individual assessment methods should be combined in the following way to determine the grade of the EPA as a whole:

Feedback The IEPA will not provide any feedback to the apprentice during or immediately following the end assessment process. Feedback (if given) will only be provided to fail apprentices, following submission of evidence to City & Guilds and after any grade determination has been carried out.

Results submission and Certification The City & Guilds IEPA will submit the apprentice results to City & Guilds. City & Guilds will issue the End Assessment record of achievement confirming the grade achieved and will notify the appropriate body who will issue the Apprenticeship certificate.

Opportunities to retake/resit or improve results for end-point assessments Apprentices who fail one or more assessment method will be offered the opportunity to take a re-sit or a re-take. A re-sit does not require further learning, whereas a re-take does. Apprentices should have a supportive action plan to prepare for the re-sit or a re-take. The apprentice’s employer will need to agree that either a re-sit or re-take is an appropriate course of action. An apprentice who fails an assessment method, and therefore the EPA in the first instance, will be required to re-sit or re-take any failed assessment methods only. Any assessment method re-sit or re-take must be taken during the maximum EPA period, otherwise the entire EPA must be taken again, unless in the opinion of the EPAO exceptional circumstances apply outside the control of the apprentice or their employer.

EPA Observation and questioning environment The EPA can take place at the employer’s salon, a training provider’s salon. As far as reasonably practicable the location of End-point Assessment should match conditions of a real work environment. The salon or other End-point assessment location is responsible for meeting the requirements of a real work environment. The realistic work environment must meet the following principles:

All End-point Assessments must be carried out under realistic commercial conditions

Any potential conflicts of interest must be declared, if the independent assessor is employed by an employer organisation which is also on the EPAO register

The space per working area conforms to current health and safety legislation and commercial practice

The range of services, professional products, tools, materials and equipment must be current and available for use.

All byelaws, legislation or local authority requirements that have been set down in relation to the type of work that is being carried out must be taken into full account

the EPAO should ensure that the assessment location provides all relevant large items of equipment, for example chairs, backwashes plus towels

the employer and apprentice are responsible for providing tools and equipment such as scissors, clippers, hairdryers, brushes and the products they will be using

all equipment must be in good working order.

Assessment 700: Observation and questioning

Task instructions for centres/end-point assessment customers

Overview The apprentice will be observed by a City & Guilds Independent End-point Assessor (IEPA) completing work in their normal workplace, in which they will demonstrate the Knowledge, Skills and Behaviours assigned to this assessment method. The apprentice will undertake two services: Create one precision cut and finish from their personal collection of hair style looks Complete one advanced creative colour conversion service on previously coloured hair One assessor may observe up to a maximum of two apprentices at any one time, to allow for quality and rigour.

Venue The Observation and questioning can take place in:

Preparation for observation Effective planning for assessment by the apprentice and their employer/training provider is essential if the apprentice is to succeed within an appropriate timescale. The purpose of assessment planning is to help apprentices identify how and when they will provide the evidence required to demonstrate their competence. The apprentice must produce an appointment schedule, this schedule should highlight the running order of the day as well as which clients are being used for which techniques. The IEPA should receive a copy of each apprentice’s appointment schedule on the day of the assessment.

Clients The apprentice will work on a minimum of one client: The employer and apprentice are responsible for providing suitable client(s) that allows the

apprentice to demonstrate the KSBs mapped to this assessment method. Wherever practicable the EPAO, in liaison with the employer and or training provider, must ensure

the following factors have been considered before using customers/clients for the observation and questioning: o the client availability related to the services required (the client must be available for the

whole duration of the observation) o the client meeting the requirements of the EPA - if the client is not suitable for the purposes of

the EPA and must be substituted o health and safety requirements, restrictions and limitations, (infections, infestations,

contraindications) The employer and apprentice are responsible for providing clients for contingency purposes (in the event of any factors rendering the observation and questioning void). The client still needs to be from the collection of looks. If any of the factors listed above become apparent during the observation and questioning, the apprentice must notify the independent assessor immediately, explaining the contributing factors and a contingency client should be utilised. Questions may be asked during the observation for clarification purposes only, when a natural pause occurs.

Timings The observation and questioning should take five hours. The observation and questioning may be split into discrete sections (per service) held over a maximum of one working day. The length of a working day is typically considered to be 7.5 hours. The assessor has the discretion to increase the time of the observation and questioning by up to 10% to allow the apprentice to complete the final task that they are working on or complete the answer to a question. In advance of the observation and questioning, apprentices must be provided with information on the format of the observation and questioning, including timescales.

Questioning Questioning will happen following each of the two services; a total of four questions will be asked, split in the following way: two questions within a maximum of five minutes after the precision cut and finish service two questions within a maximum of five minutes after the advanced creative colour conversion

service These four questions must be asked within the time period permitted above which is in addition to the five hours allowed for the observation. The independent assessor will use their professional judgement to create appropriate questions. The KSBs observed, and answers to questions, must be documented by the independent assessor. The independent assessor will make all grading decisions. Questions may be asked during the observation for clarification purposes only, when a natural pause occurs.

At the start of the observation for the advanced colour conversion service, you will discuss briefly and confirm with your client the prior in-depth consultation and complex analysis of the client’s hair and scalp. You will also discuss and show the outcome of tests that have been completed. This brief discussion will form part of the observation period and should last a maximum of 5 minutes. The 5-minute consultation is included in the overall 5-hour observation time. Evidence must be provided that you have:

completed an in-depth consultation and complex analysis of the client’s hair and scalp including the outcome of tests

analysed factors influencing the selection of the advanced colour conversion technique used.

You must complete one advanced creative colour conversion service on previously coloured hair (over 30% of the hair) to include:

effective and safe methods of working and effective communication changed the depth and tone of the hair in accordance with legal requirements and manufacturer’s

instructions the use of creative sectioning techniques to personalise the colour result and enhance the finished

Assessment 701 Professional Discussion

Task instructions for centres/End-point Assessment customers/employers

Overview This assessment will take the form of a professional discussion, which must be appropriately structured to draw out the best of the apprentice’s competence and excellence and cover the KSBs assigned to this assessment method. It will involve questions that will focus on coverage of prior learning or activity and problem solving. The professional discussion can take place in any of the following: employer’s premises a suitable venue selected by the EPAO (e.g. a training provider's premises) The rationale for this assessment method is:

The occupation involves extensive practical activity; a professional discussion will allow some KSBs which may not naturally occur in every workplace or may take too long to observe to be assessed and the assessment of a disparate set of KSBs. The apprentice will use the Collection of hairstyle looks to support the professional discussion.

The Collection of hairstyle looks is not assessed or graded by the Independent assessor but is used to inform the professional discussion.

Delivery Apprentices will have developed and maintained throughout their apprenticeship a portfolio of examples of their work. This portfolio will have been used by the apprentice to demonstrate to the employer that they are ready for EPA. Some evidence (which has not been assessed by the IEPA) from this portfolio will be used by the apprentice to support the professional discussion. The apprentice will extract, from their portfolio, evidence which is suitable for supporting them in their professional discussion. For the professional discussion the apprentice is required submit a portfolio which covers a collection of looks (a collection consists of more than two looks): The content must be sufficient to evidence that you can demonstrate all of the Knowledge, Skills

and Behaviours required as mapped to the professional discussion assessment method and will typically contain 17 pieces of evidence.

One piece of evidence can be mapped against more than one Knowledge, Skill or Behavioural requirement.

The collection of looks o can be in any format, as long as it is legible and can be uploaded electronically to the

chosen EPAO o should contain written accounts of activities that have been completed and mapped

against the Knowledge, Skills and Behaviours, supported by appropriate evidence, including photographic evidence and work products.

In exceptional circumstances it may be required to move the EPA date to accommodate the submission of portfolio evidence and allow the IEPA to review the portfolio in preparation for the EPA event. This evidence is not directly assessed, however it will be considered by the IEPA and used for planning of the professional discussion. Guidance on submitting evidence in a portfolio The portfolio is a concise collection of the apprentice’s best pieces of evidence selected from the breadth of available evidence. It efficiently demonstrates the apprentice’s performance in relation to the specified criteria and showcases their highest quality work. The IEPA uses it to familiarise themselves with the apprentice’s work in preparation for the professional discussion, and the apprentice can use it to provide tangible evidence to support the professional discussion. Types of evidence Ideally the evidence should be produced in electronic format, or scanned/photographed to give a clear electronic representation, as it must be submitted electronically for EPA. The evidence in the portfolio must be chosen to provide valid evidence for the specified criteria being assessed. For examples of the type of evidence refer to Appendix 1. All evidence must be of the apprentice’s own work and, for any team work, must clarify and focus only on their contribution. Where necessary, confidentiality and data protection requirements must be adhered to eg permissions for use of video/images containing identifiable 3rd parties (eg customers), anonymising of documentation and permissions obtained from customers when submitting documents relating to them. Confirming the evidence selection When the apprentice has selected the evidence to form their portfolio, this must be reviewed by the employer/training provider to ensure: all assessment requirements have been met it is in line with any requirements relating to the type and amount of evidence required and when

the evidence should have originated there is no unnecessary duplication of evidence against the same criteria the work selected represents the best evidence available in relation to the criteria requirements for

the professional discussion the clarity of any images or scanned evidence is sufficient to determine the quality of the original

evidence authenticity of evidence has been established. Preparing evidence for submission Evidence being uploaded for EPA must be presented as follows: Each piece of evidence must have a header containing the name of the apprentice together with

the date the evidence was produced and an evidence reference number. It is good practice, where possible, to add a handwritten/e-signature although this is not mandatory.

Assessment Environment The professional discussion can be either face-to-face or via online video- conference, if appropriate. EPAO must ensure that it is conducted in a suitable controlled environment, which should be agreed during the booking process with the EPA team. It is anticipated that EPAO will use the apprentice’s employer’s premises, wherever possible, to minimise costs. It is the responsibility of the customer to ensure appropriate signposting and other arrangements are in place to maintain a suitable environment throughout the duration of the assessment activity. Time allowed for Professional Discussion The Professional Discussion will last for 45 minutes, the IEPA has the discretion to increase the time of the professional discussion by up to 10% to allow the apprentice to complete their last answer. Further time may be granted by the EPAO for apprentices with appropriate needs in line with the EPAOs Reasonable Adjustment Policy (+/- 10%).

The professional discussion The IEPA will record your responses during the professional discussion, they will ask you a minimum of eight questions which will have been generated by the IEPA. However, you will be expected to lead the professional discussion and make reference to your collection of hairstyle looks. The professional discussion will be conducted as set out here: this is a 1:1 conversation, with no other parties involved completed in an appropriate environment which is free from distractions and interruptions both yourself and the IEPA may refer to the collection of hairstyle looks to support the discussion. When completing the professional discussion, you will: describe services you have completed for your collection of hairstyle looks from consultation to

finish and aftercare advice, covering all applicable KSB. (This accurately reflects a service delivery in a salon and would ensure all KSB are covered).

describe how you have considered the client’s individual characteristics, influencing factors, hair classifications and characteristics, products, tools equipment, application, techniques, technical skills and services selected.
