OverviewLexmark Device Quotas is an embedded application that can be installed on Lexmark printers containing a hard drive.Using Lexmark Device Quotas in conjunction with user credentials on the device, administrators can:

• Define soft and hard quotas for up to 250 individual users

• Display quota-related alerts on the printer touch screen

• Trigger automatic e-mail notices at selected quota thresholds

• Enforce quotas or simply track usage

• Reset quotas on a monthly, quarterly, or yearly basis

Bundled with Lexmark Device Quotas is the Display Quotas application, which places an icon on the printer touch screenthat enables users to view information about their quotas and current usage.

This guide is intended for use by service providers and administrators responsible for the implementation andmanagement of this software in their network environment. It provides instructions for configuring the application andrelated printer settings. For information on physically setting up the printer and installing it on the network, as well ashow to use standard printer features such as Copy, Fax, and basic printing capabilities, see the Software andDocumentation CD or User's Guide that came with the printer.

Note: The terms “printer” and “device” are used interchangeably throughout this guide.

Configuration checklistImplementing Lexmark Device Quotas involves the following tasks:

1 Configuring how users will log in to the device.

2 Creating a security template to control user access to device functions such as Copy, Scan, and Fax.

3 Applying the security template to device functions.

4 Configuring e-mail settings on the device.

5 Selecting application and quota settings for Lexmark Device Quotas.

6 Adding user profiles to Lexmark Device Quotas.

7 Configuring settings for Display Quotas (optional).

8 Configuring the print driver on client workstations to pass user credentials to the device with print jobs.

Accessing the Embedded Web ServerMost configuration tasks will be performed through the Embedded Web Server on the device. To access the EmbeddedWeb Server:

1 Type the device IP address or hostname in the address field of your Web browser.

2 Use the navigation menu on the left to access settings and report menus.

Note: If the device IP address or hostname is not readily apparent, you can find it by printing a network setup page.

Printing a network setup page1 From the printer home screen, touch Menus >Reports >Network Setup Page. After the network setup page prints,

the device will return to the home screen.

2 On the printout under TCP/IP, locate the IP Address or Fully Qualified Domain Name.

Licensing the applicationLexmark Device Quotas must be licensed in order for the application to function correctly. If individual licenses areused, they must be installed locally on each printer. If you plan to use the application with several printers, you mayprefer to install the Lexmark License Server and obtain a network license for the appropriate number of devices.

For information about obtaining a license for the application, contact your Lexmark representative.

Note: The Display Quotas application does not require a license.

Obtaining a license file

For local (individual) licensing

1 From the Embedded Web Server, do one of the following:

• Click Settings > Device Solutions >Solutions (eSF).

• Click Settings or Configuration >Embedded Solutions.

2 Click System.

3 Record the Host ID (serial number).

Record only the string that appears after Serial=.

4 Contact your Lexmark representative, and provide the Host ID to obtain the license file.

For network licensing

The server Host ID is required to generate the license file for network licensing. To collect the Host ID, contact yoursystem support person and request the MAC address of the computer on which the license server resides. Then contactyour Lexmark representative, and provide the Host ID (MAC address) to obtain the license file.

You can also find the Host ID using the Lexmark License Server.

Installing the Lexmark License Server

Note: Lexmark License Server is intended for use with Windows operating systems.

1 From the application package, launch the LicenseServer.exe file.

This executable file is located in <install location>\esf-license-app.

2 Click Next.

3 Select the installation method you want to use, and then click Next.

You have the option to unpack the installation files to a temporary directory from which they will be removed afterthe installation is complete, or to specify a location where the files will remain after the installation is complete.

4 If you do not want the server installed in the default directory, then click Browse to select an alternate location.

5 Click Finish to complete the installation.

6 After the Lexmark License Server installation is complete, click Done.

Collecting the Host ID

1 Click or Start > All Programs or Programs > Lexmark > Lexmark License Server > License AdministrationTools.

2 Click the System Settings tab.

3 Record the Host ID (MAC address).

4 Contact your Lexmark representative, and provide the Host ID.

The Host ID is required to generate the license file.

Licensing the printer

Installing an individual license

1 From the Embedded Web Server, do one of the following:

• Click Settings > Device Solutions >Solutions (eSF).

• Click Settings or Configuration >Embedded Solutions.

2 Under Installed Solutions, click the name of the application you are licensing.

3 Click License >Update License.

4 Make sure Local is selected, and then click Browse to locate the license file.

5 After locating the appropriate license file, click Update License.

Using a network license

Copying the license file to the Lexmark License Server

Note: Before installing a network license, copy the license files to the license server.

1 Copy the license file to the following directory on the network license server:

C:\Program Files\Lexmark\LicenseServer\Licenses

2 On the host computer, open the Control Panel.

3 Under Administrative Tools, click Services.

4 Select License Server.

5 Stop and then restart the License Server service.

Configuring the network license

1 From the Embedded Web Server, do one of the following:

• Click Settings > Device Solutions >Solutions (eSF).

• Click Settings or Configuration >Embedded Solutions.

2 Click Network License.

3 Enter the IP address or hostname and optional port for the network license server where the license is stored. Youcan enter values for up to three separate servers.

4 Specify the Heartbeat Period (2–60 minutes), to designate how often the printer will contact the network licenseserver to check for updates and maintain access to an electronic license.

5 Specify the Number of Retries (1–5), to set the maximum number of times the printer can attempt to obtain alicense before quitting.

6 Click Apply.

Configuring device settingsIn order for Lexmark Device Quotas to track usage and manage quotas, each user added to Lexmark Device Quotasmust also be set up to access the functions of the device. Establishing user access to device functions involves thefollowing tasks:

• Setting up user accounts through the device security settings.

• Setting up a security template to grant access to device functions.

• Assigning the security template to device functions for which quota will be required.

Accessing the device using internal accountsThe printer supports a maximum of 250 user accounts and 32 user groups. Each user is assigned a User ID, password,and Group. The User ID assigned to each user must match the User ID specified in Lexmark Device Quotas for that user.

Step 1: Defining groups

1 From the Embedded Web Server, click Settings > Security > Security Setup.

2 Under Advanced Security Setup, select Internal Accounts.

3 Select Setup groups for use with internal accounts.

4 Type a descriptive Group Name, such as “Quota_Users”.

5 Click Add.

Step 2: Creating user accounts

1 From the Embedded Web Server, click Settings > Security > Security Setup.

2 Under Advanced Security Setup, select Internal Accounts.

3 From the Required User Credentials list, select either User ID and Password, or User ID.

4 Click Submit.

5 Return to Settings > Security > Security Setup > Internal Accounts.

6 Select Add an Internal Account, and then provide the information needed for each account:

• Account Name—Type the user's account name (example: “Jack Smith”).

• User ID—Type an ID for the account (example: “jsmith”).

Note: The Internal Account User ID must match the User ID specified in Lexmark Device Quotas for each user.

• Password —If you selected “User ID and Password” for Required User Credentials, type a password for the user.

• Re-enter Password—Re-type the password entered in the field above.

• E-mail—Type the user's e-mail address (example: “[email protected]”).

• Groups—Select the group set up for quota users.

7 Click Submit.

Security templatesSecurity templates are used to grant or restrict user access to device functions. You will need to set up at least onesecurity template in order for Lexmark Device Quotas to function correctly.

1 From the Embedded Web Server, click Settings > Security > Security Setup.

2 Under Advanced Security Setup, click Security Template.

3 From the Manage Security Templates screen, click Add a Security Template.

4 In the Security Templates Name field, type a descriptive name for the template, such as “Quota_Users”.

5 From the Authentication Setup list, select Internal Accounts Building Block.

6 Click Add authorization, and then select Internal Accounts Building Block from the Authorization Setup list.

7 Click Modify Groups, and then select the group(s) you created when setting up user access to the device. Holddown the Ctrl key to select multiple groups.

8 Click Save Template.

Granting access to device functions1 From the Embedded Web Server, click Settings > Security > Security Setup.

2 Under Advanced Security Setup, click Access Controls.

3 Depending on the printer model, do one of the following:

If directories appear:a Click Function Access.

b For each of the following access controls, select the name of the security template you created for quota users:Flash Drive PrintFlash Drive Color PrintingFlash Drive ScanCopy FunctionCopy Color PrintingE-mail FunctionFax FunctionFTP Function

Note: Your device may not support all of these functions, or it may support additional functions. Assign thequota security template to any function for which users may need quota.

c To require credentials for access to the reports menus and enact quotas for printing of reports, under Edit AccessControls, click Administrative Menus, and then select the name of the security template you created for quotausers for the following:

• Reports Menu at the Device

• Reports Menu Remotely

d Under Edit Access Controls, click Device Solutions. For Display Quotas, select the name of the security templateyou created for quota users.

Note: If the Device Solutions list contains other embedded solutions that support print, copy, scan, or faxfunctions, you must also assign the quota security template to the access control to those applications.

If drop-down menus appear:a For each of the following access controls, select the name of the security template you created for quota users:

Flash Drive PrintFlash Drive Color PrintingFlash Drive ScanCopy FunctionCopy Color PrintingE-mail FunctionFax FunctionFTP FunctionUse profilesCreate profiles

Note: Your device may not support all of these functions, or it may support additional functions. Assign thequota security template to any function for which users may need quota.

b To require credentials for access to the reports menus and enact quotas for printing of reports, select the nameof the security template you created for quota users for the following:

• Reports Menu at the Device

• Reports Menu Remotely

4 Click Submit to save your changes.

Enabling the device to send e-mailSMTP settings must be configured in order for the printer to send quota-related e-mail notices.

1 From the Embedded Web Server, click Settings > Network/Ports > SMTP Setup.

2 Adjust the following settings as needed:

• Primary SMTP Gateway—Type the IP address or hostname of the server the printer will use for sending e-mail.

Note: If Kerberos will be used to authenticate users to the SMTP server, you must use the hostname.

• Primary SMTP Gateway Port—Type the port number of the destination server.

• Secondary SMTP Gateway—If used, type the IP address or hostname of the backup server the printer will usefor sending e-mail.

• Secondary SMTP Gateway Port—If used, type the port number of the backup SMTP server.

• SMTP Timeout—Type the number of seconds the printer will wait for a response from the SMTP server beforetiming out

• Reply Address—If required by the SMTP server, type a return address for e-mail messages sent from the printer.

• Use SSL or Use SSL/TLS—Select whether e-mail will be sent using an encrypted link.

• Validate CA—Select whether to validate the Certificate Authority certificate of the SMTP server when sendinge-mail.

Note: This setting not found in all devices.

• SMTP Server Authentication—Select No Authentication Required if no credentials are needed to send, or selectthe authentication method used by the SMTP server.

Note: If the SMTP server requires user authentication to send e-mail but does not support Kerberos, the IPaddress or hostname of the printer must be added to the SMTP server as a relay.

• Device-Initiated E-mail—Select None or Use Device SMTP Credentials.

Note: If the SMTP server requires credentials to send e-mail, provide the appropriate information under DeviceCredentials.

• User-Initiated E-mail—Select None, or the authentication method used by the SMTP server.

3 Click Submit to save changes.

Configuring the print driverIn order to count print jobs sent from user workstations, the print driver on each workstation must be configured topass user credentials to the device with each print job.

Note: You must use the default PostScript print driver that shipped with the device you are configuring.

1 From Windows click or Start > Printers and Faxes.

2 From the list of installed printers, right-click the printer you want to configure, and then select Properties.

3 From the Properties window, select the Job Accounting tab.

4 From the Job Accounting tab, select Job Accounting Enabled, and then select one of the following:

• Enable job accounting in preferences—To manage job accounting through Printing Preferences.

• Prompt for job accounting settings at print time—To prompt users for credentials with each print job.

• Always use these job accounting settings—To enter fixed credentials that will be sent with all print jobs.

Note: The user ID used to authenticate to the printer is case-sensitive and must match the user ID configured on thedevice.

5 Click OK to save your changes.

Configuring application settings

Setting and enforcing quotasBefore configuring either global (default) or individual quotas settings, it is a good idea to decide how much quota toallocate for each function (or user), and how you want to enforce quotas. Depending on which functions are supportedby a particular device, you can set quotas for the following:

• Mono copy

• Mono copy overage

• Mono print

• Mono print overage

• Mono scan

• Mono scan overage

• Mono sent faxes

• Mono sent faxes overage

• Color copy

• Color copy overage

• Color print

• Color print overage

• Color scan

• Color scan overage

For more information about each of these settings, see “Configuring global settings for Lexmark Device Quotas” onpage 13.

Quota-related notices

The Messaging settings are used to specify when quota-related notices will be displayed and/or e-mailed to users. Userscan be notified when:

• Quota is near (a specified percentage of available quota)

• Quota is reached

• Quota is exceeded (if overages will be allowed)

Enforcing quotas

The Account Defaults settings are used to specify what action will be taken when a user nears, reaches, or exceedsquota. Options include:

• Inform—Notifies the user that the quota limit is near, or has been reached or exceeded (where overage is available),but does not prevent the user from completing the selected action.

• Enforce—Notifies the user that the quota limit is near, or has been reached or exceeded (where overage is available),and also prevents the user from completing the selected action when no quota or overage remains.

• None—The user is not notified when quota is near, reached, or exceeded, and is not prevented from completingthe selected action.

Configuring global settings for Lexmark Device QuotasGlobal settings will be applied to all users by default. For information about customizing settings for individual users,see “Managing users” on page 16.

Note: Lexmark Device Quotas can be used on mono or color, single function or multifunction devices. Settings notapplicable to a particular printer will be ignored by the device.

1 From the Embedded Web Server, do one of the following:

• Click Settings > Device Solutions >Solutions (eSF) > Lexmark Device Quotas.

• Click Settings >Embedded Solutions > Lexmark Device Quotas.

2 Under Global Settings, adjust settings as needed:

Global Settings > Reset Frequency• Business year begins—Specifies the first month of the yearly accounting cycle. Quarterly and Yearly reset

frequencies depend on this setting.

• Select frequencies—Specifies how often to reset quotas; Monthly (the first day of the month), Quarterly (thefirst day of the quarter), or Yearly (the first day of the year).

• Reset time—Specifies when to reset quotas in 24-hour format (hh:mm). The reset time depends on the deviceclock being properly configured. For more information, see the Software and Documentation CD or User'sGuide that came with the printer.

• Reset all quotas now—To reset all user quotas immediately, select the check box, and then click Apply at thebottom of the page.

Global Settings > Messaging• Start displaying warning messages when—Specifies the point at which the device will begin displaying

quota-related notices on the device touch screen; When quota is reached, When quota is near, or When quotais exceeded.

• Quota near threshold—The percentage of available quota that will trigger a warning message to the user; 5%remaining, 10% remaining, 15% remaining, or 20% remaining.

• Quota near message—Message to display when the user is close to reaching quota. If a custom message is notspecified, the default message, “You are near your quota,” will be displayed.

• Quota reached message—Message to display when the user has reached quota. If a custom message is notspecified, the default message, “You have reached your quota,” will be displayed.

• Quota exceeded message—Message to display when the user exceeds quota. If a custom message is notspecified, the default message, “You have exceeded your quota,” will be displayed.

• Admin e-mail address—Enter one or more e-mail addresses to use for administrator notifications. Use a commato separate multiple e-mail addresses. Leave blank to disable notices to the administrator.

Global Settings > Application Settings• Allow non-credentialed jobs to print—Allows print jobs to be sent without user ID and password. This option

must be selected if you use certain embedded applications such as Orders Routing (Clinical Assistant) or theRemote Copy application, or applications that print via FTP or Port 9100. For more information aboutnon-credentialed print jobs, see “Printing via FTP or port 9100” on page 26 or “Printing from the device Reportsmenu” on page 26.

Note: If printing of non-credentialed jobs is enabled, any user without credentials will be able to print. Userswith credentials will be allowed to print based on available quota.

Account Defaults > Mono Quota Defaults• Copy quota—The default number of black and white pages users are allowed to copy.

• Copy overage—The default number of pages users are allowed to exceed the quota. Leave blank if users willnot be permitted to exceed quota.

• Count larger paper sizes as two pages—For devices that support larger paper sizes, copied pages larger thanLegal size (8.5 in x 14 in or 216 mm x 356 mm) will be counted as two pages.

• Copy enforcement—Provides three options for what will happen when a user nears, reaches, or exceeds quota:Inform—Displays the appropriate quota-related notice, but does not prevent the user from copying.Enforce—Displays the appropriate quota-related notice, and also prevents the user from copying.None—Displays no quota-related notices, and the user is not prevented from copying.

• Print quota—The default number of black and white pages users are allowed to print.

• Print overage—The default number of pages users are allowed to exceed the quota. Leave blank if users willnot be permitted to exceed quota.

• Count larger paper sizes as two pages—For devices that support larger paper sizes, printed pages larger thanLegal size (8.5 in x 14 in or 216 mm x 356 mm) will be counted as two pages.

• Print enforcement—Provides three options for what will happen when a user nears, reaches or exceeds quota:Inform—Displays the appropriate quota-related notice, but does not prevent the user from printing.Enforce—Displays the appropriate quota-related notice, and also prevents the user from printing.None—Displays no quota-related notices, and the user is not prevented from printing.

• Count larger paper sizes as two pages—For devices that support larger paper sizes, scanned pages larger thanLegal size (8.5 in x 14 in or 216 mm x 356 mm) will be counted as two pages.

• Scan enforcement—Provides three options for what will happen when a user nears, reaches, or exceeds quota:Inform—Displays the appropriate quota-related notice, but does not prevent the user from scanning.Enforce—Displays the appropriate quota-related notice, and also prevents the user from scanning.None—Displays no quota-related notices, and the user is not prevented from scanning.

• Sent faxes quota—The default number of black and white fax pages users are allowed to send.

Note: If outbound faxes are configured to send to a fax server, the pages will be counted towards the Scanquota instead of the Sent faxes quota.

• Sent faxes overage—The default number of pages users are allowed to exceed the quota. Leave blank if userswill not be permitted to exceed quota.

• Sent faxes enforcement—Provides three options for what will happen when a user nears, reaches, or exceedsquota:

Inform—Displays the appropriate quota-related notice, but does not prevent the user from sending faxes.Enforce—Displays the appropriate quota-related notice, and also prevents the user from sending faxes.None—Displays no quota-related notices, and the user is not prevented from sending faxes.

Account Defaults > Color Quota Defaults• Copy quota—The default number of pages users are allowed to copy using color.

• Copy overage—The default number of pages users are allowed to exceed the quota. Leave blank if users willnot be permitted to exceed quota.

• Count larger paper sizes as two pages—For devices that support larger paper sizes, copied pages larger thanLegal size (8.5 in x 14 in or 216 mm x 356 mm) will be counted as two pages.

• Copy enforcement—Provides three options for what will happen when a user nears, reaches, or exceeds quota:Inform—Displays the appropriate quota-related notice, but does not prevent the user from copying.Enforce—Displays the appropriate quota-related notice, and also prevents the user from copying.None—Displays no quota-related notices, and the user is not prevented from copying.

• Print quota—The default number of pages users are allowed to print using color.

• Print overage—The default number of pages users are allowed to exceed the quota. Leave blank if users willnot be permitted to exceed quota.

Adding users

Users can be managed individually through the application interface on the Embedded Web Server. If you have a numberof users, it might be more practical to manage them collectively with a User Settings file. For information about theUser Settings file, see “Managing multiple users” on page 18.

2 Click Device Solutions > Solutions (eSF), or click Embedded Solutions.

3 Click Lexmark Device Quotas.

4 Under Accounts, click Add.

5 Under User Options, type a unique User ID and one or more e-mail addresses for the user you want to add. Use acomma to separate multiple e-mail addresses.

Notes:

• User ID and password are case sensitive.

• The User ID assigned in Lexmark Device Quotas must be identical to the one set up through the device securitysettings and used in the security template assigned to function access controls. For information about useraccounts and access controls, see “Configuring device settings” on page 9.

• The specified e-mail address(es) will be used by the application to send quota-related notices to the user. Leavethe e-mail address blank to disable e-mail notices to the user.

6 Do one of the following to finish adding the user:

• To create a custom profile for the user, adjust the settings as needed, and then click Apply. To learn more abouta setting, position your cursor over the question mark next to that setting.

• To use the default settings from the Global Settings page, simply click Apply.

Note: For any setting that uses a numeric value, -1 indicates the default value from the Global Settings pagewill be used.

7 Repeat as needed to add more users.

Editing users

1 From the Embedded Web Server, do one of the following:

Managing multiple usersTo make it easier to manage quotas for multiple users or to copy users to another device, Lexmark Device Quotas allowsyou to import and export a Comma-Separated Values (CSV) file containing user settings. A User Settings templatecontaining the appropriate headings can be downloaded from the application interface on the device.

Notes:

• Importing a User Settings file will overwrite changes made to user settings through the Embedded Web Server. Topreserve changes made through the Embedded Web Server, export the User Settings file to your computer andthen modify that file.

• If a User Settings file is copied to more than one device, each device will maintain a separate running total forindividual users. Quotas are not shared across devices.

• If you are managing multiple devices, you can copy the same User Settings file to each device, or customize thefile for each device.

• A User Settings file created on a multifunction device can be imported to a single function device. Single functionprinters will ignore settings for functions not supported by the device.

• A User Settings file created on a single function printer can be imported to a multifunction device, however,additional configuration will be required to enact quotas for other functions supported by the device.

Downloading a user file template from the device

1 From the Embedded Web Server, click Applications > Lexmark Device Quotas.

2 Under User Settings file, click Download, and then follow the prompts to save the template to your computer asa .csv file.

Filling in the user template

1 After downloading the user template from a device running Lexmark Device Quotas, open the file using anapplication capable of reading and editing .csv files.

2 Fill in the fields as needed to create a profile for each user. The header rows indicate the setting being configuredin each column, and correspond to the user settings found in the Embedded Web Server interface for the application.To use the default setting for a field, leave that field blank in the template. For information about individual settings,see “Configuring global settings for Lexmark Device Quotas” on page 13.

Note: User ID and password are case sensitive.

3 When finished adding users, be sure to save your changes in .csv format.

Importing a users file

After you have downloaded and filled in or updated the template, you can import the file to one or more devices runningLexmark Device Quotas.

Note: Importing a user file overwrites the existing user file.

3 Edit the user file as needed to add, remove, or change users, and then save the file (be sure to maintain .csv format).

4 From the Embedded Web Server, click Applications >Lexmark Device Quotas.

Using the application from the printer control panelThe Display Quota application installs automatically when Lexmark Device Quotas is installed. The only administrativetask associated with this application is changing the display icon and text that appear on the printer touch screen.

Displaying quota information on the touch screenSelecting the Display Quotas icon on the printer touch screen enables users to view information about their quotas andcurrent usage. Users have the option to print their quotas and current usage or e-mail this information to the e-mailaddress associated with the user ID.

Note: When a user selects Display Quotas on the touch screen, the information presented may include headings forfunctions not supported by some devices. For example, if the quota application has been installed on a single functiondevice, users selecting Display Quotas may also see headings for Copy, Scan, and Fax, even though printing is the onlyfunction available. Functions not available on a device should display usage of zero, even if quota settings exist forthose functions.

Changing display icons and labelsYou can change the icons and associated text that appear on the printer home screen. If you do not want to use thedefault icons for an application, you can import new icons to be used for both the pressed and unpressed button states.

Note: For information about compatible image file types and recommended file sizes, see the mouse-over help nextto each field.

1 From the Embedded Web Server, click Settings or Configuration.

No usage information has been stored for a userIf no usage information has been stored for a particular user, check the following:

• Verify the user has not been deleted from Lexmark Device Quotas. A list of user accounts can be found under“Accounts” in the application Embedded Web Server interface, or in the User Settings file.

– For information about accessing the application interface using the Embedded Web Server, see “Accessing theEmbedded Web Server” on page 6.

– For information about accessing the User Settings file, see “Managing multiple users” on page 18.

• Verify the user ID shown in Lexmark Device Quotas matches the one used to access device functions. For informationabout user access to device functions, see “Configuring device settings” on page 9.

Note: User ID and password are case-sensitive.

User already exists or duplicate user IDWhen configuring users, each User ID must be unique.

• If the administrator uploads a .csv file containing duplicate user IDs, the application accepts the first instance only,and a message appears listing the duplicate user IDs and the rows in which they can be found.

• If an administrator enters user IDs individually, a message may appear telling the administrator that the user alreadyexists. This feature is not available for all devices. We recommend verifying that each user ID is unique. Duplicateuser IDs may cause unpredictable results.

To edit or delete existing user IDs, see “Managing users individually” on page 16.

Error when importing a .csv fileIf an error occurs when importing a .csv file, the error message specifies the user ID and row where the error occurred.Open the .csv file, and then troubleshoot the problem at the indicated location.

User is unable to copyIf an individual user is unable to use the Copy functions of the device:

• Verify that the user is supplying correct credentials.

• Verify that the user has quota available for Copy functions.

• Verify that the user is set up to access the device using an internal account.

• Verify that the user is a member of a Group included in the security template used to restrict access to Copy functions.

Note: The user ID and password used to authenticate to the device are case-sensitive.

If all users are unable to use the Copy functions of the device:

• Verify that the correct security template has been applied to Copy functions.

User is unable to printIf an individual user is unable to print to the device:

• Verify that the user is supplying correct credentials.

Note: The user ID and password used to authenticate to the device are case-sensitive. The print driver must beconfigured to pass credentials with the correct capitalization.

• Verify that the user has quota available for Print functions.

• Verify that the user is set up to access the device using an internal account.

• Verify that the user is a member of a Group included in the security template used to restrict access to Print functions.

Note: If a user exceeds print quota and submits another print job, that job will be cancelled. The cancelled job may belisted in the print queue with a status of “Sent to printer” for up to five minutes before it times out and is removedfrom the queue. Other users with available quota will not be prevented from printing in the meantime.

If all users are unable to use the Print functions of the device:

• Verify that the correct print driver is installed and properly configured. This should be the default PostScript driverthat shipped with the device.

• Verify that the correct security template has been applied to Print functions, including those for flash drive printing(if permitted).

User is unable to scanIf an individual user is unable to scan:

• Verify that the user is supplying correct credentials.

• Verify that the user is set up to access the device using an internal account.

• Verify that the user is a member of a Group included in the security template used to restrict access to Scan functions.

Note: The user ID and password used to authenticate to the device are case-sensitive.

If all users are unable to scan:

• Verify that the correct security template has been applied to Scan, E-mail, Fax, and FTP functions.

User is unable to send faxesIf an individual user is unable to send faxes:

• Verify that the user is supplying correct credentials.

• Verify that the user is set up to access the device using an internal account.

• Verify that the user is a member of a Group included in the security template used to restrict access to Fax functions.

Note: The user ID and password used to authenticate to the device are case-sensitive.

If all users are unable to send faxes:

• Verify that the fax module is attached and correctly configured. For information about attaching and setting up faxfunctions, see the User's Guide that came with the printer.

• Verify that the correct security template has been applied to Fax functions.

User not receiving quota-related e-mail messagesIf an individual user is not receiving e-mail messages from Lexmark Device Quotas:

• Verify that the correct e-mail address has been specified in the account set up for the user in Lexmark Device Quotas.

• If global quota settings have been applied to the user, verify that the “enforcement” settings are set to eitherEnforce, or Inform.

• If custom quota settings have been applied to the user, verify that the “enforcement” settings are set to eitherEnforce, or Inform.

Note: Enforcement settings include settings such as “Copy enforcement”, “Print enforcement”, and “Scanenforcement”.

• Verify that e-mail messages are not being blocked by a spam filter.

If no users are receiving e-mail messages from Lexmark Device Quotas, verify that the SMTP settings on the device havebeen configured correctly. For information about configuring SMTP settings, see “Enabling the device to send e-mail”on page 11.

Administrator not receiving quota-related e-mail messagesIf administrator e-mail messages are not being received from Lexmark Device Quotas:

• Verify that the correct e-mail address has been specified in Admin e-mail address under Global Settings > Messaging.

• Verify that the SMTP settings on the device have been configured correctly. For information about configuring SMTPsettings, see “Enabling the device to send e-mail” on page 11.

• Verify that e-mail messages are not being blocked by a spam filter.

“User quota account not found. Please contact the systemadministrator” error messageThis error message occurs after a user has initiated a device function such as Copy or Fax and has entered a correctUser ID and password, but has not been added to Lexmark Device Quotas. To correct this problem, add the user toLexmark Device Quotas. For information about adding users, see “Managing users” on page 16.

“Unable to display quota information because Lexmark DeviceQuotas is not running” error messageThis error message occurs when a user selects the Display Quotas icon on the printer touch screen, and Lexmark DeviceQuotas either has not been installed on the device, has not been properly licensed, or is not in a Running state. Tocorrect this problem, try one or more of the following:

Special cases

Incoming faxesBecause incoming faxes do not have credentials associated with them, they are not counted towards the quota of anyindividual user. To track incoming faxes, the application maintains a user profile called “FaxesReceived”, that will displaythe appropriate page count in usage reports. No application or quota settings can be applied to the FaxesReceivedprofile.

Printing via FTP or port 9100Because user credentials are not passed with print jobs sent via FTP or port 9100, those jobs are not counted towardsthe quota of any individual user. To track usage for print jobs sent via FTP or port 9100, the application maintains auser profile called “NonCredentialed”, that will display the appropriate page count in usage reports. No application orquota settings can be applied to the NonCredentialed profile.

Administrators can restrict FTP and port 9100 print jobs by clearing the Allow non-credentialed jobs to print checkbox under Application Settings in the Embedded Web Server. For information about configuring application settings,see “Configuring global settings for Lexmark Device Quotas” on page 13.

Note: Non-credentialed print jobs must be allowed in environments using certain embedded applications such as OrdersRouting (Clinical Assistant), and Remote Copy.

Printing from the device Reports menuJobs printed from the device Reports menu may be associated with an authenticated user, in which case the pageswould be counted against that user's quota. They can also be printed as non-credentialed print jobs if no user is loggedin, which might happen if the device is being serviced or maintained.

To require user credentials for printing of reports, clear the Allow non-credentialed jobs to print check box underApplication Settings in the Embedded Web Server, and assign the quota security template to access controls associatedwith the reports menus.

To allow printing of reports not associated with a specific user, select the Allow non-credentialed jobs to print checkbox under Application Settings in the Embedded Web Server. To track usage for print jobs not associated with a specificuser, the application maintains a user profile called “NonCredentialed”, that will display the appropriate page count inusage reports. No application or quota settings can be applied to the NonCredentialed profile.

Notwithstanding the terms and conditions of this License Agreement, all or any portion of theSoftware Program that constitutes software provided under public license by third parties ("Freeware") islicensed to you subject to the terms and conditions of the software license agreement accompanying suchFreeware, whether in the form of a discrete agreement, shrink-wrap license, or electronic license terms at thetime of download. Use of the Freeware by you shall be governed entirely by the terms and conditions of suchlicense.

4 TRANSFER. You may transfer the Software Program to another end-user. Any transfer must include all softwarecomponents, media, printed materials, and this License Agreement and you may not retain copies of the SoftwareProgram or components thereof. The transfer may not be an indirect transfer, such as a consignment. Prior to thetransfer, the end-user receiving the transferred Software Program must agree to all these License Agreement terms.Upon transfer of the Software Program, your license is automatically terminated. You may not rent, sublicense, orassign the Software Program except to the extent provided in this License Agreement.

5 UPGRADES. To Use a Software Program identified as an upgrade, you must first be licensed to the original SoftwareProgram identified by Lexmark as eligible for the upgrade. After upgrading, you may no longer use the originalSoftware Program that formed the basis for your upgrade eligibility.

6 LIMITATION ON REVERSE ENGINEERING. You may not alter, reverse engineer, reverse assemble, reverse compileor otherwise translate the Software Program, except as and to the extent expressly permitted to do so by applicablelaw for the purposes of inter-operability, error correction, and security testing. If you have such statutory rights,you will notify Lexmark in writing of any intended reverse engineering, reverse assembly, or reverse compilation.You may not decrypt the Software Program unless necessary for the legitimate Use of the Software Program.

7 ADDITIONAL SOFTWARE. This License Agreement applies to updates or supplements to the original SoftwareProgram provided by Lexmark unless Lexmark provides other terms along with the update or supplement.

8 LIMITATION OF REMEDIES. To the maximum extent permitted by applicable law, the entire liability of Lexmark, itssuppliers, affiliates, and resellers, and your exclusive remedy shall be as follows: Lexmark will provide the expresslimited warranty described above. If Lexmark does not remedy defective media as warranted, you may terminateyour license and your money will be refunded upon the return of all of your copies of the Software Program.

9 LIMITATION OF LIABILITY. To the maximum extent permitted by applicable law, for any claim arising out of Lexmark'slimited warranty, or for any other claim whatsoever related to the subject matter of this Agreement, Lexmark'sliability for all types of damages, regardless of the form of action or basis (including contract, breach, estoppel,negligence, misrepresentation, or tort), shall be limited to the greater of $5,000 or the money paid to Lexmark orits authorized remarketers for the license hereunder for the Software Program that caused the damages or that isthe subject matter of, or is directly related to, the cause of action.

IN NO EVENT WILL LEXMARK, ITS SUPPLIERS, SUBSIDIARIES, OR RESELLERS BE LIABLE FOR ANY SPECIAL, INCIDENTAL,INDIRECT, EXEMPLARY, PUNITIVE, OR CONSEQUENTIAL DAMAGES (INCLUDING BUT NOT LIMITED TO LOST PROFITSOR REVENUES, LOST SAVINGS, INTERRUPTION OF USE OR ANY LOSS OF, INACCURACY IN, OR DAMAGE TO, DATAOR RECORDS, FOR CLAIMS OF THIRD PARTIES, OR DAMAGE TO REAL OR TANGIBLE PROPERTY, FOR LOSS OF PRIVACYARISING OUT OR IN ANY WAY RELATED TO THE USE OF OR INABILITY TO USE THE SOFTWARE PROGRAM, OROTHERWISE IN CONNECTION WITH ANY PROVISION OF THIS LICENCE AGREEMENT), REGARDLESS OF THE NATUREOF THE CLAIM, INCLUDING BUT NOT LIMITED TO BREACH OF WARRANTY OR CONTRACT, TORT (INCLUDINGNEGLIGENCE OR STRICT LIABILITY), AND EVEN IF LEXMARK, OR ITS SUPPLIERS, AFFILIATES, OR REMARKETERS HAVEBEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES, OR FOR ANY CLAIM BY YOU BASED ON A THIRD-PARTYCLAIM, EXCEPT TO THE EXTENT THIS EXCLUSION OF DAMAGES IS DETERMINED LEGALLY INVALID. THE FOREGOINGLIMITATIONS APPLY EVEN IF THE ABOVE-STATED REMEDIES FAIL OF THEIR ESSENTIAL PURPOSE.

10 TERM. This License Agreement is effective unless terminated or rejected. You may reject or terminate this licenseat any time by destroying all copies of the Software Program, together with all modifications, documentation, andmerged portions in any form, or as otherwise described herein. Lexmark may terminate your license upon noticeif you fail to comply with any of the terms of this License Agreement. Upon such termination, you agree to destroy

11 TAXES. You agree that you are responsible for payment of any taxes including, without limitation, any goods andservices and personal property taxes, resulting from this Agreement or your Use of the Software Program.

12 LIMITATION ON ACTIONS. No action, regardless of form, arising out of this Agreement may be brought by eitherparty more than two years after the cause of action has arisen, except as provided under applicable law.

13 APPLICABLE LAW. This Agreement is governed non-exclusively by the laws of the country in which you acquired theSoftware Program (or, if that country has a federal system of government, then this Agreement will be governedby the laws of the political subdivision in which you acquired the Software). If you acquired the Software in theUnited States, the laws of the Commonwealth of Kentucky shall govern. No choice of law rules in any jurisdictionwill apply.

14 UNITED STATES GOVERNMENT RESTRICTED RIGHTS. The Software has been developed entirely at private expenseand is provided with RESTRICTED RIGHTS. Use, duplication and disclosure by the Government is subject torestrictions as set forth in subparagraph (c) (1) (ii) of the Rights in Technical Data and Computer Software clause atDFARS 252.227-7013 and in similar FAR provisions (or any equivalent agency regulation or contract clause).

15 CONSENT TO USE OF DATA. You agree that Lexmark, its affiliates, and agents may collect and use information youprovide in relation to support services performed with respect to the Software Program and requested by you.Lexmark agrees not to use this information in a form that personally identifies you except to the extent necessaryto provide such services.

16 EXPORT RESTRICTIONS. You may not (a) acquire, ship, transfer, or reexport, directly or indirectly, the SoftwareProgram or any direct product therefrom, in violation of any applicable export laws or (b) permit the SoftwareProgram to be used for any purpose prohibited by such export laws, including, without limitation, nuclear, chemical,or biological weapons proliferation.

17 CAPACITY AND AUTHORITY TO CONTRACT. You represent that you are of the legal age of majority in the place yousign this License Agreement and, if applicable, you are duly authorized by your employer or principal to enter intothis contract.

18 ENTIRE AGREEMENT. This License Agreement (including any addendum or amendment to this License Agreementthat is included with the Software Program) is the entire agreement between you and Lexmark relating to theSoftware Program. Except as otherwise provided for herein, these terms and conditions supersede all prior orcontemporaneous oral or written communications, proposals, and representations with respect to the SoftwareProgram or any other subject matter covered by this License Agreement (except to the extent such extraneousterms do not conflict with the terms of this License Agreement, any other written agreement signed by you andLexmark relating to your Use of the Software Program). To the extent any Lexmark policies or programs for supportservices conflict with the terms of this License Agreement, the terms of this License Agreement shall control.
