ABSTRACTThis report is the unofficial, pre-publication
summary of Louisiana 1994 IPEDS (Integrated Post-secondary EducationData System) academic library statistics forms. The primary impetusfor this publication is to provide Louisiana academic librarydirectors a timely and more user-friendly presentaion of IPEDSstatistics. Libraries are grouped according to criteria based on theCarnegie Classification for their institution. Carnegie classesinclude: Research; Doctoral; Medical; Comprehensive; Liberal Arts;Two Year; and Religion and Theology. For simplicity, the libraries inthe "Research" group combine different Carnegie categories: ResearchI, Doctoral II and Medical School. A list of definitions for selectedcolumn headings precedes the statistical information. Statistics areprovided for the following: staffing levels, by Carnegie category;expenditures, by Carnegie category; collections, by Carnegiecategory; services to patrons, by Carnegie category; staffing--FTE(Full-time Equivalent) and expenditures 1994 fiscal year (FY), byindividual college; expenditures--FY 1994, by college;collections--FY 1994, by college; and services--FY 1994, by college.A copy of the 1994 IPEDS Academic Libraries Survey and generalinstructions is included. INTRODUCTION
Louisiana Academic Library Statistics 1994 is the unofficial, pre-publication summary ofLouisiana 1994 IPEDS (Integrated Post-secondary Education Data System) academic librarystatistics forms. This publication is a precursor to the official IPEDS compilation which is to bepublished by the National Center for Education Statistics, a part of the U.S. Department ofEducation. The authors wish to acknowledge Stanley Wilder, Assistant Dean for Technical andFinancial Services, who compiled the 1992 edition and contributed to this edition.
The primary impetus for this publication is to provide Louisiana academic library directors atimely and more user-friendly presentation of IPEDS statistics. For many Louisiana librarydirectors, IPEDS is the primary source of statistics with which to make peer comparisons. Everyeffort has been made to ensure that the data in this document are accurate. However, figuresmay, in some cases, differ from those in the official IPEDS compilation.
The libraries are grouped according to criteria based on the Carnegie Classification for theirinstitution. A Classification of Institutions of Higher Education, 1987 edition, lists thesecategories with a review of category qualifications. Carnegie classes include Research, Doctoral,Medical, Comprehensive, Liberal Arts, Two Year, and Religion and Theology. For simplicity, thelibraries in the "Research" group combines different Carnegie categories. These categories are :Research I (LSU Baton Rouge), Doctoral II (Louisiana Tech, Tulane, and University of NewOrleans), and Medical School (LSU Medical Center).
While working with the data, please note:
* The present document includes Louisiana academic libraries which fall into one ofthe following Carnegie classifications: Research, Doctoral, Medical Library, Liberal Arts,Comprehensive, 2-Year, and Religion and Theology. It excludes institutions which didnot return survey forms, or returned incomplete forms.
* The Loyola library data includes the Loyola University Library and the Loyola LawLibrary.
* The LSU Baton Rouge data combines three administratively distinct libraries, the LSULibraries, the Veterinary Medicine Library, and the Hebert Law Center Library.
* The LSU Medical Center library data combines the New Orleans and Shreveportcampus libraries.
* Holy Cross and Union Baptist were not listed in A Classification of Institutions ofHigher Education.

COLUMN HEADINGS
Total number of librarian and professional staff, includes administrators.
All library staff, except for librarians and students, who are paid wages.Excludes maintanence staff and includes clerical and technical staff.
Those whose services are valued by bookkeeping entries rather than fullcash transactions. Does not include volunteers.
Student assistants who are employed on an hourly basis, includes workstudy programs.
Librarian, Other Staff,and Student Exp.: Expenditures for salaries and wages before deductions.

Ubrary An entity that provides all of the following:
1. An organized collection of printed or other materials, or acombination thereof;
2. A staff trained to provide and interpret such materials asrequired to meet the informational, cultural, recreational,or educational :weeds of clientele;
3. An established schedule in which services of the staff areavailable to clientele;
4. The physical facilities necessary to support suchcollection, staff, and schedule.
This includes libraries that are part of looming resourcecenters.
Branch and independent libraries (lino 1) Report thenumber of branch and independent libraries at yourinstitution that were open all or part of FY 1994. EXCLUDETHE MAIN OR CENTRAL LIBRARY. Branch and independentlibraries are defined as auxiliary library service outlets withquarters separate from the central library of an institutionwhich have a basic collection of books and other materials, aregular staffing level, and an established schedule. Branchand independent libraries are administered either by thecentral library or, as in the case of some libraries (such aslaw, medical, etc.), through the administrative structure ofother units within the university. Departmental study/readingrooms are not included. Include data for all branch andindependent libraries on the campus. Full-time equivalent (FTE) employees Report thenumber of filled or temporarily vacant full-time equivalent(FTE) positions during Fall 1994 paid from funds under librarycontrol. To compute full -time equivalents of part-timeemployees and student assistants, take the TOTAL number ofhours worked per week by part-time employees IN EACHCATEGORY and divide it by the number of hoursCONSIDERED BY THE REPORTING LIBRARY TO BE AFULL-TIME WORK WEEK (e.g., 60 hours per week of part-timework divided by 40 hours per full-time week equals 1.5 FTE).Data should be reported to two decimal places.
Ubrarians and other professional staff (lino 2) Reportthe total FTE of librarians and other professional staff,including administrators. Report staff members doing work
. that requires professional education (the master's degree orits equivalent) in the theoretical and scientific aspects oflibrarianship; also, in some libraries, staff performingprofessional level tasks who, though not librarians, haveequivalent education and training in related fields (e.g.,archives, computer sciences, business administration,education).

Salaries and wages (lines 7 -9) Report expenditures forfull-time and part-time salaries and wages before deductions.Exclude employee fringe benefits provided by your institutionfor all regular library staff which may be reported on line 23.Include salaries and wages from all sources paid to studentsserving on an hourly basis. Federal funds paid to students inthe College Work Study Program should be reported here.Exclude contributed services and maintenance and custodialstaff.
Books, serial beckfilos, and other print materials(lino 10) Report expenditures for all materials consistingprimarily of words and usually produced by making animpression with ink on paper. Included in this category arematerials that do not require magnification: books,government documents, braille materials, ephemeral printmaterials, and the like. Exclude current serial subscriptionsand microforms.
Current serials (line 11) Report expenditures for currentsubscriptions to serials. These are publications issued insuccessive parts, usually at regular intervals, and, as a rule,intended to be continued indefinitely. Serials includeperiodicals, newspapers, annuals (reports, yearbooks, etc.),memoirs, proceedings, and transactions of societies. Excludeexpenditures for microforms, audiovisual materials, andmachine-readable materials.
Microform* (line 12) Report expenditures for allphotographic reproductions of textual, tabular, or graphicmaterials reduced in size so that they can be used only withmagnification. Examples of microforms are roll microfilm,microcard, microfiche, and ultrafiche. Include current serials.
Audiovisual materials (line 13) Report expenditures forall library materials that are displayed by visual projection ormagnification or through sound reproduction, or both,including graphic materials, audio materials, motion pictures,video materials, and special visual materials such asthree-dimensional materials. Include current serials.
Computer files and search services (line 14) Reportexpenditures for materials considered part of the collection,whether purchased or leased, such as CD-ROMs, magnetictapes, and magnetic disks, that are designed to be processedby a computer or similar machine. Examples are U.S. Censusdata tapes, locally-mounted databases, and reference tools onCD-ROM, tape, or disk. Include current serials. Includeexpenditures for online searches of remote databases. Includeexpenditures for equipment when the cost is inseparablybundled into the price of the information service product.Exclude expenses for library system software andmicrocomputer software used only by the library staff whichare reported on line 19.
Document delivery/Interlibrary loan (line 15) Reportexpenditures for document delivery and interlibrary loanservices. Include fees paid for photocopies, costs oftelefacsimile transmission, royaltitis and access fees paid toprovide document delivery or interlibrary loan. Include feespaid to bibliographic utilities if the portion paid for interlibraryloan can be separately counted. Do not count expendituresrelated to transactions between the main or central libraryand any libraries reported in Part A, transactions betweenlibraries reported in Part A, or expenditures for on campusdelivery.

Titles (lime 2E, 27, 29, 31, 38, 38, 40) Report thenumber of titles of publications which form a separatebibliographic whole, whether issued in one or severalvolumes, reels, disks, slides, or parts. The term 'title' appliesequally to priiited materials, such as books and periodicals, aswell as to audiovisual materials, microforms, andmachine-readable materials. Usually, but not always, therewill be a separate shelflist entry for each title. (SHELFLIST: Arecord of materials in a library, arranged in the order in whichthe materials stand when they are shelved or stored.) Thus,six copies of the same edition of a title count as one title; twoeditions of the same title which have been cataloged orrecorded separately count as two titles; a set of sixmonographs for which six shelflist entries have been madecount as six titles; and two multi-volume sets of the sameedition for which one shelflist entry has been made count asone title.
Government documents (lines 26 and 27) Forgovernment documents not accessible through the librarycatalog and not reported on other lines, report the number ofunits and titles of materials in all formats.
Current serials (lines 28 and 29) RepoWthe totalnumber of current serials received including those that arepaid for and those received without payment. Includegovernment documents issued serially. Exclude microforms,audiovisual materials, and machine- readable materials.
Microform* (lines 30 and 31) Report the number of unitsof microforms and the number of different titles of materialsthat have been photographically reduced in size for storage,protection and inexpensive publication purposes, and whichmust be read with the help of enlarging instruments.Examples of microforms are: roll microfilm, microcard,microfiche, and ultrafiche. Include government documents.
Manuscripts and archives (line 32) Report the linearfeet of shelf space occupied by these materials. Manuscriptsare handwritten or typed documents, including carbon copies.Archives are non-current records of an organization orinstitution preserved because of their continuing value.Include government documents.
Cartographic materials Ohm 33) Report the number ofunits of materials representing in whole or in part the earth orany celestial body at any scale. These materials include two-and three-dimensional maps and globes. include governmentdocuments.
Graphic materiels (line 34) Report the number of units ofmaterials for viewing without sound. The materials may ormay not be projected or magnified. They include art originals,art prints, art reproductions, slides, transparencies, filmstrips,photographs, pictures, postcards, posters, study prints, andthe like. Filmstrips that also include sound should be includedon this line. Include government documents.
Sound recordings (lines 35 end 36) Report the numberof units and titles of materials on which sounds (only) arestored (recorded) and that can be reproduced (played back)mechanically, electronically, or both. These materials includeaudio cassettes, audio cartridges, audio discs, audio reels,talking books, and other sound recordings. Includegovernment documents.
Film and video materials (lines 37 and 38) Report thenumber of units and titles of materials on film or video media.Films are produced in a variety of sizes (8, super 8, 16, 35, 55,and 70 mm) and a variety of formats (cartridge, cassette, loop,reel). Video materials include videotapes and laser disks onwhich pictures and sound are recorded. Include governmentdocuments.

Computer files (lines 39 and 40) Report the number ofunits and titles of materials such as CD-ROMs, magnetic tapesand magnetic disks, that are designed to be processed by acomputer or similar machine. Examples are U.S. Census datatapes, locally-mounted databases, and reference tools onCD-ROM, tape, or floppy disk. Exclude bibliographic recordsused to manage the collection, library system software, andmicrocomputer software used only by the library staff. Includecurrent serials. Include government documents. If a CD-ROMsubscription for a title is contained on one disc that is updated(i.e., replaced) once a mdnth, count as one unit, not twelve.
Other library materials (line 41) Report here the numberof units of any materials not already included on lines 24-40.Include government documents.

Circulation transactions (lines 42 and 43) Report thenumber of items lent from the general collection on line 42and from the reserve collection on line 43 for use usually(although not always) outside the library. These activitiesinclude initial charges, either manual or electronic, and alsorenewals, each of which is reported as a circulationtransaction.
Reserve collection (line 43) Those materials that havebeen removed from the general library collection and setaside in a library so they will be on hand for a certain courseof study or activity in process. Usually, the circulation andlength of loan of items in a reserve collection are restricted sothat these items will be available to many users who haveneed of them within a limited time period.
Document delivery/Interlibrary loans (lines 44 and 45)On line 44, report the number of filled requests for materialprovided to other libraries. On line 45, report the number offilled requests for material received from other libraries ordocument delivery services. On both lines, include bothoriginals and copies and materials sent by telefacsimile orother forms of electronic transmission. Do not includetransactions between the main or central library and anylibraries-reported in Part A or transactions between librariesreported in Part A.
Information services to groups (lines 48 and 47)Report the total number of presentations (line 46) and thetotal number of persons served by those presentations (line47). Information services to groups are presentations at whicha staff member or person invited by a staff member providesinformation intended for a number of persons and planned inadvance. These services may be either bibliographicinstruction or library use presentations, or cultural,recreational, or educational presentations. Presentations bothon and off the library premises should be included, as long asthey are sponsored by the library. Do not include meetingssponsored by other groups LL:ing library meeting rooms.

Public service hours (line 48) Report an unduplicatedcount of public service hours for both main library andbranches reported on line 1 using the following method. If alibrary is open from 9:00 a.m. to 5:00 p.m. Monday throughFriday, it should report 40 hours per week. If several of itsbranches are also open during those hours, the figureremains 40 hours per week. Should Branch A also be openone evening from 7:00 to 9:00, the total hours during whichusers can find service becomes 42. If Branch B is open thesame hours on the same evening, the total remains 42, but ifit is open 2 hours on another evening, or from 5:00 to 7:00 onthe evening when Branch A is open later, the total becomes44 hours during which users can find service.
Gate count (line 49) Report the number of persons whophysically enter library facilities. It is understood that a singleperson may be counted more than once.
Reference transactions (line 50) Report the totalnumber of reference transactions. A reference transaction isan information contact that involves the knowledge, use,recommendation, interpretation, or instruction in the use ofone or more information sources by a member of the library

staff. Information sources include printed and non-printedmaterials, machine-readable databases (including assistancewith computer searching) catalogs and other holdingsrecords, and, through communication or referral, otherlibraries and institutions, and persons both inside and outsidethe library. Include information and referral services. If acontact includes both reference and directional services, itshould be reported as one reference transaction. When a staffmember utilizes information gained from a previous use ofinformation sources to answer a question, report as areference transaction, even if the source is not consultedagain during this transaction. Duration should not be anelement in determining whether a transaction is a referencetransaction.
Do not report directional transactions here. A directionaltransaction is an information contact which facilitates the useof the library in which the contact occurs and which does NOTinvolve the knowledge, use, recommendation, interpretation,or instruction in the use of any information sources other thanthose which describe the library, such as schedules, floorplans, handbooks, and policy statements. Examples ofdirectional transactions include giving instruction in locating,within the library, staff, library users, or physical features, etc.,and giving assistance of a nonbibliographic nature withmachines.
