Call Controls During a Video Conference – Client Once you are in a call, you will hover over the active video window and the Call Controls will appear.

• Microphone – Mutes and unmutes your microphone. • Person in the TV – Mutes and unmutes your video. • Laptop – Sends your content into the calls. (aka sharing your desktop) • Record Button – Click to record the session using Lifesize Amplify. (Video can be downloaded

and saved locally.) Recordings belong to the VMR. If no VMR, then belong to user. • Person with a Camera – If the far site is using a Pan-Tilt-Zoom camera AND has far site access

enabled, you can move the other sites camera. • Numeric Keypad – This enables you to enter numbers. (You can also use the keypad on your

computer or laptop.) • Phone – Hangs up the call. Make sure to always hang up a call. Minimizing the application does

NOT hang up the call. Only this button or completely closing the application will disconnect the call.

Call Controls During a Video Conference – Chrome or IE

Connecting with a web browser (Chrome and IE are supported) is also known as using the web app for a connection.

• Microphone – Mutes and unmutes your microphone. • Person in the TV – Mutes and unmutes your video. • Laptop – Sends your content into the calls. (aka sharing your desktop) • Record Button – Click to record the session using Lifesize Amplify. (Video can be downloaded

Navigation Bar - Features

Add frequently called meetings or people to this list for quick reference.

Registered users can create meetings. Optional settings: set a passcode, enter description, select a lecturer, and select a moderator. You can select the meeting and send email or calendar invites for others to join.

All of the contacts in your Lifesize Cloud account will appear here, including any video systems that are connected to Cloud. New users are automatically added. (Administrators can add third party systems and Group Contacts.)

List of your most recent calls, including date, time, and duration. You can reconnect to calls from here also.

See who is available to chat. Only available to other registered Cloud users, not guests.

View recordings created using Lifesize Cloud Amplify service. Enterprise account includes unlimited recording and storage. Files are downloadable in .mp4 format for local storage.

Invite people either by email or calendar invites to connect directly to you or to a specific virtual meeting room.

These icons are consistent throughout all versions of the Lifesize Cloud solution. Familiarize yourself with the functionality of navigation and you will be able to use any interface.

Call Someone Using the Directory (Note: Both people and video conference systems will be listed in your directory.)

Click the icon.

Use the search box at the top.

Single-click the entry and click the dial as video icon.

NOTE: Click the icon to join as video or the to join as audio from your computer.

Four Ways to Initiate a Call The four most popular are by using Favorites, Meetings, Directory, or Recents. It is as easy as 1-2-3.

1. Click any of these methods (Favorites, Meetings, Directory, or Recents). 2. Locate the person or virtual meeting room to join.

3. Click dial as video icon. In the full client, double-click the directory or virtual meeting room name to quickly connect with video. (See screenshot at right for an example of this.)

Create and Use Meetings (also called Virtual Meeting Rooms, VMRs)

To create a meeting room NOTE: Moderator and Lecturer functions are currently available via full client only. (4 and 5 below)

Click the icon.

Near the bottom of the screen, click

1. Enter a name for the room. Tip: Make the meeting room name a location name, not a person’s name only. (i.e. Tina Salguin’s Meeting Room.)

2. Enter a description. Tip: Use this for additional information like “Contact Robert for the passcode.”

3. Set a passcode for additional security. This is numeric only.

4. Select a Moderator for additional meeting room controls. A moderator can be yourself or another named user or even a video conference system that is registered to Cloud. Whoever is set as the moderator has the power to mute all participants or disconnect participants from the call. Moderators will have an additional icon*.

5. Set Lecturer mode to host a “town hall”

type event where all participants will view ONLY the lecturer. The lecturer will view all participants (up to 13 and then others as they interact).

Notice below the call controls, the meeting room name and number of participants is displayed.

Share Content (Start Presentation) Another common phrase for this is “presenting content” and it means that you will be able to show what is on your computer to others who are connected with you. The process is the same for guests and registered users. The difference is in how you are connecting to Lifesize Cloud.

Resize Content Single monitor

If you are using a single monitor for your Lifesize Cloud calls, you will be able to resize any content that is shared with you by clicking d dragging the arrows that tween the presentation and the call window.

Dual monitor

If you are using multiple monitors, you will have the choice to show the content in a separate window allowing one display for content and another for the video call. To do this, click the arrow that is in the square below the File menu. This will only show if you are able to perform this function.

Chrome or Internet Explorer

Resizing content is not a feature supported in browser-based connections (i.e. Chrome or Internet Explorer) at this time.

Add Someone to Favorites

Click to view your favorites.

To add people, systems or virtual meeting rooms to Favorites, locate the item to add.

Single click on the item. Then click the green plus sign.

Chat To begin a new chat (Chat is only available for registered users, not for guests.)

Click the icon. Use the search box at the top to find a contact to chat with.

Click once to get additional dialing options and click the option.

To view all chats

Click to view the list of all your chats. Search by name or meeting room to refine your list.

Create Invitations via Email or Calendar Invitations are a simple way to let others know how to join you in a Lifesize Cloud call. Each invitation will include all of the information needed for participants to join in from a traditional video conference system, a desktop computer, or a phone. (See next page for an example of the Lifesize Cloud Call Page.)

There are three options when an invitation is generated.

• Email an Invitation. • Schedule an Invitation • Copy an Invitation to the Clipboard

NOTE: How to open email link in Gmail.

To Invite Someone to Meet (Call me directly or via Meeting Room)

Click Invite à Click the Invite button to generate the invitation.

NOTE: You can also generate an invitation to a virtual meeting room or for an Icon system that is paired with Cloud from this menu.

How to Use the Lifesize Cloud Call Page

This is the page that guests will see when they click the link in the invitation to join Lifesize Cloud video conferences. It contains information for every way to join a Lifesize Cloud video conference and will guide guests through this process.

This example is what the call page looks like in Chrome and IE. Firefox or Safari will automatically prompt users to download the application on their computer.

The Difference Between Guests and Registered Users

Lifesize Cloud makes it easy to connect with people outside of your organization without them having to create an account. Guests can connect with the same technologies that registered users access.

From Chrome or IE - Guests can enter their name and click Go to be connected.

From the downloaded client – Guests can enter their name and the extension information and connect with video and audio or audio only.

Guests have full call controls, but no access to navigation bar. They can present slides and content.

How To Test Your Computer Before a Video Conference

Test Your Camera and Microphone

Launch the Lifesize Cloud application on your

laptop or desktop.

1. Go to FILEà PREFERENCESàClick DEVICES.

2. Make sure you have selected the correct

camera, microphone, and speaker.

Open webapp.lifesize.com in Chrome or Internet

Explorer.

1. Click the gear to access the Settings Menu.

2. Make sure you have selected the correct camera

and microphone.

Make a Test Call

1. To make a test call, go to CALLàTest Call.

2. Be sure to talk and have your camera turned

on so that a recording of your audio and

video will be created.

When you see this screen, be sure to talk so you can test that you are sending audio!


Recommended
