Module ThreeAdding Cardholders and Credentials

Once you have opened AccessBase 2000, you will be directed to the cardholder screen. You can see that two cardholder set’s have already been created. All Access and No Access. If you add someone to the All Access cardholder set, they will have access to every place on the property. If you add someone to the No Access cardholder set, they will not have access to any place on the property.

We are now ready to add a cardholder. Please note the single yellow figure with the green plus sign. This is the button to add cardholders. Using your mouse simply “left click” on this button and a green figure will appear in the cardholder set.

The data fields required for a Telephone Entry System are “First Name” and “Last Name” as the names appearing on the phone unit appear last name followed by first name. Also the “Home Phone” number as that is the number the unit will dial when accessed by a visitor.
Now that we have our cardholder entered, we are ready to assign Credentials.
Credentials.
• Credentials are considered a type of media assigned to a Cardholder. They consist of:
1) Transmitters2) Cards3) Entry Codes or4) Directory Codes
First we will assign a Transmitter. Using your mouse, “left click” on the Transmitter button

On the back or on the bottom of the Block Coded Transmitter, there will be a white label with a 1 to 5 digit number printed on it. That is the code that is programmed into the transmitter. Enter that number in the “Transmitter ID” window

The code on this transmitter is 12345. As far as “Facility Codes”. They will be covered in another module. After entering the Transmitter ID number, Left Click OK.

We now can see that this individual has a Transmitter assigned to them, and we can see what the code of the Transmitter is.

The second method is to enter the Transmitters or Cards as a Block and assign them from the Assign button

Block Coding
• Block Coded Transmitters or Cards are issued in sequential numbers. The box that the Transmitters or Cards come in, have the numeric block printed on it.• An example might be a block of 10 Transmitters, and the block might be 25,100 - 25,109. That is a block of 10 Transmitters or Cards. The codes for the transmitters are 25,100 through 25,109. Ten total.
To enter a Block of Transmitters or Cards. “Left Click” on the tool icon and the “Left click “on “Credentials”.

This will bring us to the “Credentials” screen. To enter a block of Transmitters, “Left Click” on the “Block Transmitters” button.

Next, “Left Click” on the “Add Xmtr Block” button.

You can name the block if you wish. Our block was 25100 through 25109. Enter the low number of the block,(25100) into “Transmitter Block Start” window, and then enter the high number of the block,(25109) in the “Transmitter Block End” window and Left Click the “OK” button.

Now we can see in the “All Transmitters” window, the block of Transmitters we have just entered as well as the Individual Transmitter we entered earlier.
NOTE: Entering Transmitters or Cards in Blocks will not make the Transmitters or Cards active. To become active, they must be assigned to a cardholder.
Now, if we go back to our Cardholder screen, the two yellow figures

We will see our Cardholder Set, (Residents) as well as the number of Cardholders in that set,(1).
Left Click on the plus sign next to the Cardholder Set to access Cardholders

Left Click on the Cardholder you are working with, or Left Click the single yellow figure with the green plus sign in order to add another Cardholder. In this case we are working with John Linear.

Now, to add a second Transmitter to John Linear, Left click on “Transmitters”.
And using the drop down window under the, ”Assign” button

We can now see the Transmitters we entered as a Block.
Just Left Click on the desired Transmitter.
And Left Click the, “Assign” button. A Cardholder can have numerous Credentials, but is not recommended for tracking purposes.
Cards are entered in the same manner as Transmitters. Block or Individually.

Next we will program an “Entry Code” , and then a “Directory Code”.
Entry Codes and Directory Codes• On a Telephone Entry Panel, there is a
keypad on the front of the unit. That keypad is there for a resident to enter a code and be granted access. That is an “Entry Code”• However, if a visitor wants to contact a
resident, they will scroll through the residents names until the resident is located. Once located, there will be a code next to the name of the resident. The visitor will enter that code to contact resident. That is a “Directory Code”
To add an “Entry Code to a Cardholder, just “Left Click” the “Entry Code” button

And type in the desired “Entry Code”. The entry code length using this software can be 2 to 8 digits in length. We have used Entry Code 1234.

After the desired Entry Code is entered, Left Click the “Assign” button

To add a “Directory Code”, Left Click on the “Directory Code” button and you will see the next Directory Code available. You can use that one, or type in the desired Directory Code.
Next, Left Click the “Assign” button. At this point, you can Apply all the changes, or Left Click the single yellow figure with the green plus sign to add the next Cardholder.

Finally, connect with the panel and upload changes!
