After logging into Tk20, your user account opens to your home page. Note: If you are a student who is also a CSC employee, check that you are in the student role. Go to the utility bar at the top right corner of the page, and if a role other than student appears, use the arrow for the dropdown menu to select the student role.

The message and pending task status icons are also located here. The utility bar appears at the top of every Tk20 page in your account.

Notice that this is where you sign out of your Tk20 account. Please, sign out of Tk20 when finished rather than just closing the screen.

Recommended: Familiarize yourself with the steps in this process & Tk20 before you begin to create your e-portfolio.

Locate and click on the Artifacts link in the sidebar menu. You will create the Portfolios Artifact folder in which to place your artifact files.

Click on the Folders link in the sidebar and then on the green (+) icon.

STEP ONE: CREATING ARTIFACTS AND ARTIFACTS FOLDER

On the resulting screen, enter a title for your portfolio artifacts folder and then click the green Add button. Example title shown.

A link for the created folder now appears in the sidebar under Artifacts > Folders, and in a list on the Folders screen.

You will now begin creating artifacts from existing document files on your computer, flash drive, etc.

Requirement: All uploaded files are required to be in PDF file format. The PDF file format allows the reviewer to immediately open the file within PDF Viewer without having to download the file to open it. This makes the process much easier and quicker for the reviewer. It also may prevent a virus infected file from being downloaded onto their computer.

Click on the ARTIFACTS link in the sidebar.

In the resulting screen, click on the green + Create New Artifact button.

On the resulting screen, select the artifact type from the dropdown menu. For your Counseling Graduate Portfolio, select “File” as the type. Then click the green Select button.

The resulting page provides you the functions to select and attach the document file, and to create the artifact.

Enter a title for your artifact before clicking on the green Create button. This is required before the system will create your artifact with the selected file. Giving the file a name that makes its content clear to you and your committee is best practice (i.e. Portfolio_Title Page, Portfolio_Syllabus1).

You can click the green Select File(s) button to open a browser from which to select your file, or you can select a file residing on your computer desktop or in your computer directory, drag it to the gray “Drag and Drop files here” box, and wait for the files to load.

Shown here is the title of the artifact file entered and the name of the selected document file (selected from the browser, or dragged & dropped into the gray box). Now click the green Create button to complete the function of creating the artifact. Wait for the green status bar to complete 100%. This is actually uploading your files to the Tk20 system in order to place them into your Counseling Graduate E-Portfolio.

Repeat these steps until you have attached all your portfolio files creating the artifact file for each. You can check the list of artifacts on the Artifacts screen.

To organize your portfolio artifacts, you will now move these artifacts files to the artifacts portfolio you previously created.

To Move artifacts to the Portfolio Artifacts Folder, click beside the artifact file(s) and select the folder in the Folder icon dropdown menu.

Moved artifacts now reside in the portfolio artifacts folder. You will locate your artifacts here as you add them to the sections of your e-portfolio.

Before you begin working through the steps in this section, it may be helpful for you to review the examples in the COMMITTEE VIEW OF YOUR SHARED E-PORTFOLIO section further in this document that shows you what your advisor/committee members receive from you. It may assist you with naming your files, artifacts, and with what message you send in the share notification. Let’s begin! In the sidebar menu, click on Portfolios> Presentation Portfolios.

Then, click on the green +Create New Presentation Portfolio button.

STEP THREE: CREATING THE PORTFOLIO AND ITS SECTION TABS

Enter the name of your Counseling Graduate E-Portfolio.

Enter the name of each of the required portfolio sections in the numbered text boxes provided. The required sections are provided in your advisor’s portfolio instructions.

After entering all of the section titles, click on the green Next button at the bottom left.

The portfolio screen with the section tabs created will now appear. Click on the green Create button at the bottom right of the screen to create/save your portfolio with section tabs.

If continuing with the portfolio screen open, click on the section tab to which you want to attach the appropriate artifacts. That tab will become highlighted.

If the screen is closed, in the sidebar menu, click on Portfolios>Presentation Portfolios>(link of counseling e-portfolio created). Then select a section tab.

Click on the green (+) icon within that section tab.

Select the type of attachment (select “File”) from the dropdown menu. In the Title box, enter the name for the artifact to be attached as you want it to appear in this section list. For example, enter Portfolio Title Page or Title Page for the artifact Portfolio_Title Page). Click the green Next button.

STEP FOUR: ADDING ARTIFACT FILES TO COUNSELING E-PORTFOLIO FOLDER

Click a section tab where you will attach corresponding artifacts

Next, click on the Add New attachment icon

Locate the artifact file in your artifacts folder to attach at this time.

Consider the order in which you want your files to appear in that section.

Click on the radial button to the left of the selected file (i.e. Portfolio_Title Page).

Click the green Add button at the bottom right of the screen.

You will now see the title of the artifact attachment listed in the section tab you selected.

Proceed with this process of attaching each of the artifact files that are required in this section.

Then click the green Update button at the bottom right of the screen. This saves the section with the attached artifacts in the portfolio.

For each of the sections required for your e-portfolio, repeat this process by clicking on each section tab and attaching/adding the artifact files required by your advisor’s portfolio instructions.

Remember to click the green UPDATE button at the bottom right of the screen before leaving this screen to make sure all your additions are attached/saved.

Displayed is an example of a Section 2 with its attached artifacts. Check your advisor’s portfolio instructions to make sure you have attached all required contents for each section before proceeding to the step of sharing your portfolio.

To Share Your Portfolio with your Graduate Committee Members:

In the sidebar menu, click on the Presentation Portfolios link.

In the resulting screen, click on your counseling graduate portfolio link to open the portfolio (example shown at left).

Click on the Share button in the right top corner.

In the Share Portfolio window that opens, complete the required information in order to send your portfolio to your Advisor/Graduate Committee Members for review. According to your Advisor’s Portfolio Instructions, you will share your portfolio with your advisor first. Check your instructions or contact your advisor with any questions about that. Your advisor will tell you when to share your portfolio with the entire graduate committee. Any topic heading with an asterisk requires information from you. Some initial text appears in the Message box; add to this message as you wish. Using the window scroll bar on the right, scroll down to the URL Expiration Date:* section. Click on the gray calendar icon that will open the calendar for your use. Select the expiration date that your advisor/committee will have access to your portfolio from this sharing (provided by your advisor). Once you have completed all the required information, click the green Share button at the bottom of the Share Portfolio window to send the notification to your advisor/committee members. The screen will change and briefly a red banner will appear letting you know that the email was sent.

Your advisor and committee members will receive a Tk20 notification email that you have shared your e-portfolio with them. The message entered in the Share Portfolio Message box is what they will see + the URL link to your Tk20 portfolio.. Displayed to the left is the automatic message received from the action taken in Step 5 of these instructions.

When your advisor/committee members click on the portfolio URL link in the notification email, your portfolio will open to a screen with the section tabs. One will be highlighted with the contents listed. Within each section they will click on the artifact links to view the documents you attached.

If your Advisor/Graduate Committee Chair advises you to edit your e-portfolio before sharing it with all of the committee members, follow the steps below.

1. Deleting Artifacts (Documents) from the Portfolio: If recommended that you delete a “document” from your portfolio with no replacement,

a. In the sidebar menu, click on Portfolios>Portfolios>Presentation Portfolios> link to your Counseling Graduate E-Portfolio b. Open the section from which you are to delete the artifact attachment c. Select the box to the left of the Title to be deleted d. The Delete icon (trashcan) will darken; click on that icon e. On the resulting screen, the title has disappeared. Click on the green Update button to update/save that action to your portfolio.

2. Adding Additional Artifacts (Documents) to the Portfolio: If recommended that you add additional work to your portfolio, follow the steps above for creating an artifact from your computer files, and attaching/adding it to the appropriate portfolio section. Make sure you use the Add and Update buttons when appropriate to attach/add artifacts, and to Update/Save your portfolio.

3. Replacing Artifacts (Documents) to the Portfolio: If recommended that you revise an existing artifact file in your portfolio which will require replacing it or replacing it with a different document, you will need to include the steps for deleting the existing file.

a. Following the steps in #1 above, delete the existing artifact file in artifacts, if revising the file, and delete the existing artifact file in your portfolio section.

b. If revising the existing artifact file, i. complete your revisions to the original file on your computer, then ii. follow the steps in this document for creating an artifact and attaching/adding the artifact to the appropriate section of your

portfolio. iii. If replacing the deleted artifact file with a different document, follow the steps in this document for creating an artifact and

attaching/adding the artifact to the appropriate section of your portfolio. After making the recommended changes to your portfolio, follow Step Five Sharing Your E-Portfolio w/ Your Advisor/Graduate Committee. Follow your Advisor’s Portfolio Instructions for

1. the open date to use for sharing access, 2. to whom you are to share the portfolio with at this time, and 3. the date/timeframe by which you are to share your portfolio before your scheduled Oral Exam.

Tk20 Help Resources

For issues logging into Tk20, below are the most frequent causes. Check the following: 1) Make sure that it is Tk20 you need to log into for an assessment, and not into CSC Online (Sakai) for your online course assignments.

2) For your username, do not use the "@eagles.csc.edu" portion (i.e. smith. john)

3) Make sure there are no extra spaces before and after what you type.

4) Check for typos...it happens! 5) Still can't log in? To reset your campus password (used for Tk20) using self-service, go to https://campuspassword.csc.edu/ or contact the CSC IT Helpdesk (308-432-6311) for assistance.
