Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 2

Executive Summary Lyric Hammersmith has been rated against the IG criteria based on emissions data and evidence submitted by Katie Shahatit, Finance Officer, covering the 2012/13 financial year, with the 2009/10 financial year serving as the baseline year. In recognition of successful IG certification, Lyric Hammersmith is awarded the IG mark (3 stars) to use in its communications for a maximum of twelve months, or whenever its IG certification results are superseded by a 2013/14 certification. Lyric Hammersmith is one of over 45 Industry Green certified organisations, and as such forms part of a collaborative sector-wide response to climate change and environmental sustainability. The Lyric are one of only 7 organisations to achieve 3 stars Industry Green. For more information on who is Industry Green certified please visit www.juliesbicycle.com/industry-green/who-igs

Summary of IG rating

- Commitment

- Understanding

- Improvement

- Communication

- Overall Industry Green rating

Your rating explained: The Lyric is awarded 3 stars Industry Green for all criteria in the report, to include Commitment, Understanding, Improvement and Communication. The Industry Green process requires consistent achievement across all four criteria, e.g. to achieve 2 stars you must achieve this in all four criteria. In order to achieve 2 or 3 stars, all criteria under 1 or 2 star(s) respectively must have already been achieved. Therefore the Lyric is awarded 3 stars Industry Green overall for 2012/13 maintaining its star rating for 2011/12, for which it should be congratulated. This is the third IG certification for Lyric Hammersmith, with the first covering the financial years 2009/10 and 2010/11. This is the second year running that Lyric Hammersmith has been awarded 3 stars Industry Green. There are two people responsible for environmental sustainability at Lyric Hammersmith, and an Environmental Policy and Action Plan in place, under regular review. Lyric Hammersmith has provided data which relates to energy use, water use, sewerage, waste and business travel. They have also provided data for impacts beyond the scope of Industry Green (touring travel). Between 2011/12 and 2012/13 Lyric Hammersmith reduced their overall emissions by 4%. However, their emissions increased by 2% per performance per seat due to the number of performances taking place in 2012/13 significantly decreasing compared to 2011/12 (470 in 2011/12 vs. 443 in 2012/13)1. Lyric Hammersmith has been communicating its environmental initiatives and its most recent Industry Green report in an exceptional manner with its staff, senior management, supply chain and audience.

The reason why there were significantly fewer performances in 2012/13 is because there were some dark periods during which the Lyric was preparing for its capital project. This can be considered as an extenuating circumstance for 2012/13, which Julie’s Bicycle can take into account and therefore make an exception when

1 Please note performance figures have been weighted for comparisons of relative carbon emissions. This is to account for all types of activity taking

place within the venue and to reflect the fact that larger spaces with a higher capacity will consume more resources. For a detailed explanation of the weighting process please see Appendix 2. The weighted performance figures for 2011/12 was 241 and for 2012/13 was 225.

awarding stars for the Improvement criterion thereby maintaining the 3 stars IG rating. This is because the relative emissions increased through no fault of the organisation despite the activities and investment in place.2

Graph Comparison year on year – relative emissions i.e. per performance per seat (kg CO2e)

Key strengths • The Lyric has maintained its 3 stars Industry Green rating for 2012/13, for which it should be

congratulated; • The Lyric has continued reducing its absolute emissions when comparing 2012/13 with 2011/12 by 4%,

including achieving reductions in energy usage, waste production and water usage; • Staff have maintained and built on their exceptional commitment to environmental sustainability, led by

the Green Team, evident by the embedding of environmental sustainability into the capital project works;

• Lyric’s internal and external communications are exceptional and should be shared with the arts world as an example of best practice.

Key areas to develop further

• Update the environmental policy (last update was in October 2011); • Better management of business travel to ensure flights take place only when necessary; • Monitoring and measuring data that go beyond the Industry Green scope and reporting on it separately

on the IG Tools such as touring travel, production and relevant freight, audience travel, staff commuting, paper, merchandise, paper, catering, etc.;

• Creating a dedicated page on the website for environmental issues to host the environmental policy, Green action plan and most recent Industry Green report and/or IG certificate or IG mark logo;

• Working more closely with incoming artists to involve them in the theatre’s initiatives and objectives and help them do their part.

2 Stars would have normally been awarded in the Improvement section based on relative results. For the purposes of this report

‘per performance’ refers to the weighted number of performances that took place in the venue during 2009/10 (i.e. 251), 2010/11 (i.e. 271), 2011/12 (i.e. 241), and 2012/13 (i.e. 225), and ‘per seat’ refers to the fixed seating capacity of that venue (i.e. main house – 519 and studio 112). However due to extenuating circumstances relating to the Lyric’s performance figures for 2012/13, an exception has been made.

1. Results

1.1 Commitment

Criteria

- Commitment 3 stars: Two people responsible for environmental performance - one board member/ director/ senior staff and one at an operational level Gaining commitments to improving environmental performance from at least one of the following: staff, supply chain organisations or incoming artists AND from the audience OR Exceptional commitments from at least one of the following: staff, supply chain or incoming artists AND Environmental or Sustainability Policy in place AND under regular review

Your rating explained: Kim Grant (Director of Finance, Administration and Operations) is the Lyric’s Green Champion and is responsible for improving the Lyric’s environmental performance and reducing its emissions with the support of the Green Team, which comprise members from operational and senior staff, including Jessica Hepburn, Executive Director. The Lyric’s environmental policy is in place (although it was last updated in October 2011), and the action plan is reviewed at Green Team meetings and regularly updated to establish progress on targets. The Lyric has also gained exceptional commitment from its staff and its supply chain to improve their environmental performance. As such the Lyric is awarded 3 stars Industry Green for Commitment. Team members responsible for environmental performance Jessica Hepburn (Executive Director) and Kim Grant (Director of Finance, Administration and Operations) are both fully committed to the Lyric’s green initiatives: Kim is the Green Champion, and Jessica is a member of the Green Team, meaning there is a strong commitment from the leadership of the organisation to environmental sustainability. The Business Plan, updated and signed off by the board annually, includes the Lyric’s mission to produce quality work but also be environmentally friendly.

The Lyric’s Green Champion, Kim, leads on reducing carbon emissions in line with the commitment set out in the Lyric’s business plan targets:

To achieve a 10% annual decrease in the Lyric’s carbon emissions and BREEAM status of ‘Excellent’ following completion of the capital project.

Kim is supported by the Green Team, made up of staff from across the organisation. Established in October 2010, the team meets monthly and includes the following members:

• Kim Grant, Director of Finance, Administration and Operations (Green Champion); • Laura Pickard, Administration Manager (Minutes and Administration); • Katie Shahatit, Finance Officer (Maternity cover for Laura, Minutes and Administration); • Jessica Hepburn, Executive Director; • Imogen Kinchin, Senior Producer; • Seamus Benson, Head of Production; • Paule Constable, Artistic Associate; • Simon Davis, Head of Visitor Services; • Aurora Lewis, Marketing Officer; • Chris Harris, Head of Lighting;

Page 6: Lyric Industry Green report 2012-13

• Amanda McNair, Café Brera Manager; • Tiffany Powell, Young People’s Producer.

The Green Team works across the key areas of the theatre’s Green Action Plan, working to reduce energy, waste, water and the impact of business and audience travel. Furthermore environmental sustainability is part of the theatres’ mission, as covered in its business plan, which is updated and signed off by the board on an annual basis. This approach to embedding environmental sustainability in the business is an excellent example of good practice in the arts and cultural sector. Environmental Policy The Lyric’s Green Policy states the theatre’s commitment to reducing its impact on the environment and outlines where the theatre currently is in terms of its environmental performance, where it wants to get to (including setting targets for reductions) and how it plans to get there. The policy provided as evidence was last updated in October 2011. The Green Action Plan, also provided as evidence, is a working document, which is reviewed by the Green Team on a monthly basis to update action points and measure progress. It is also saved on a central drive so that all staff members can access it. Commitment from staff and supply chain In addition to having an engaged and active Green Team, which has led on achieving reductions in energy and waste during 2012/13, the wider staff team is also committed and they were quick to support the Green Team during celebrations for the 3 stars Industry Green rating achieved for 2011/12. To minimise the purchase of bottled water, the theatre provides all staff and acting companies with a free Lyric water bottle and encourages them to reuse it. For example, a mini green induction was introduced in 2012/13 during the meet and greet of welcoming a new company, where a member of the Green Team encourages them to be green and always tells them that ‘one bottle of water uses seven bottles’. Furthermore, each new member of salaried staff meets a member of the Green Team for a Green Induction where they are talked through the theatre’s activities, progress and how they can get involved. Posters can be found throughout the theatre encouraging recycling and switching off (see Picture 2 in section 1.4 of the report), and initiative such as ‘Walking Wednesdays’ ensure that environmental sustainability never drops off the agenda (see Picture 1 below).

Page 7: Lyric Industry Green report 2012-13

Picture 1 ‘Walking Wednesdays’ Sign

A new waste contractor, First Mile, has meant that a greater proportion of waste ends up in recycling, and that the Lyric has been able to compost food waste for the first time. What cannot be recycled ends up being incinerated to produce energy. In fact in March 2013 three members of the Green Team attended a Materials Recovery Facility (MRF) visit at the First Mile site, to see what happens to the waste and how it gets recycled. In the field of freight transportations, Luckings are the supplier and they have been working to update their fleet with cleaner and more efficient vehicles. Luckings use ad blue engines, which reduce emissions of nitrogen oxides by 80%. The theatre’s taxi/bike service is now the Greater London Hire, having switched from Addison Lee, because they are the greenest Car and Courier Company in London. The cleaning contractor, The Cleaning Club, use non-toxic, environmentally friendly cleaning products wherever possible, and all of the toilet roll is from FSC sources. Finally Café Brera, the catering franchise who run the cafés on the Lyric Square entrance level and in the Main Foyer, as well as the bars in the Main and Stalls foyers, are fully committed to environmental sustainability and the café manager sits in the Lyric’s Green Team. Café Brera have been very supportive of a number of green schemes introduced over 2012/13, including co-operating fully with using the First Mile collection scheme and separating out food waste. A Green Clause is included in all contracts, both for employees and practitioners, including visiting companies, actors, designers and project leads (evidence has been provided for all). The clause asks all companies presenting work here to consider the environment during their visit and to support the Lyric in minimising its emissions. When sourcing a new supplier, research is undertaken to ensure that they come with good green credentials. For example, the stationery supplier - Harper Office - stocks a range of 100% or majority recycled products, and the Lyric only orders recycled paper and notebooks from them. Furthermore a Green Rider has been included in Lyric’s touring contract during 2012/13 even though the tour didn’t go ahead in the end.

Page 8: Lyric Industry Green report 2012-13

The money saved from the energy reductions during 2011/12 was ring-fenced and used to install LEDs in the rehearsal room studio, the welcome desk and some foyer areas, which is an excellent example of how environmental sustainability can help reduce costs. Other initiatives include the recycling of any used stamps that are then sent off to RNIB who then sell them on with all the profit going to charities. For more information on the initiatives underway at the Lyric see Section 1.3.3. Commitment from audience Efforts have been made to improve the commitment of the audience to these issues. For example, recycling bins were introduced to public areas in September 2011 and are all marked with Lyric branded recycling logos advertising the fact that ‘We recycle everything’.

With regards to social sustainability, the roof garden, in partnership with Hammersmith London (the local Business Improvement District) and Groundworks (who also designed the garden) opened to the public in the Summer of 2009, transforming an under-used concrete terrace into a garden, contributing to improved air quality and bio-diversity, and also providing a space for the local community to enjoy. The Lyric also runs an extensive programme of work with and for young people. In 2012/13, the use of the Lyric Young Company twitter account was introduced, to inform the current 579 followers of any Green news, and a Green Clause has been added in all young people contacts. The Saturday morning Messy Play sessions (linked to the theatre’s programme of Children’s Shows in the Studio) make extensive use of reclaimed materials, and holiday workshops are run in a range of creative activities for young people in the local area, which regularly include popular fashion up-cycling sessions.

To maintain 3 stars for Commitment, Lyric Hammersmith will need to maintain the exceptional levels of environmental commitment from its staff and supply chain, and ensure its environmental policy is

regularly reviewed and updated (the last update was in October 2011). It could also gain commitment to improve their environmental performance from audience or gain exceptional commitment to

improve environmental performance from incoming artists.

1.2 Understanding

Criteria

- Understanding 3 stars: Measuring at least six sources of environmental impact – this must include energy use, water use, sewerage, waste and business travel and at least one other source of impact

Your rating explained: The Lyric has provided data to Julie’s Bicycle for four consecutive years, 2009/10, 2010/11, 2011/12 and 2012/13, covering electricity, water, sewerage, waste and business travel. The Lyric has also gone beyond the scope of Industry Green to provide data on its touring travel (submitted as part of the business travel data on the IG Tools). As such Lyric Hammersmith is awarded 3 stars Industry Green for Understanding. Please ensure that in the future any travel data collected other than business and audience travel that can be entered directly onto the IG Tools, is submitted separately e.g. use the IG Touring Tool to submit touring travel and production freight. IG data and results are summarised below. Please note that all data submitted for previous years have been re-calculated using the most recent emission conversion factors, and therefore carbon totals might differ from previous Industry Green reports.

1.3 Improvement

Criteria

- Improvement 3 stars: Environmental / sustainability improvement strategy or action plan in place AND Extenuating circumstances can be taken into account if activities and investment have not resulted in measurable improvements through no fault of the organisation

Your rating explained: Lyric Hammersmith has seen an increase in its relative emissions from energy, water, sewerage, waste and business travel per performance per seat of 2% when comparing 2011/12 with 2012/13 due to the number of performances taking place in 2012/13 significantly decreasing compared to 2011/12 (470 in 2011/12 vs. 443 in 2012/13)4.. However absolute emissions from the same sources and in the same timeframe decreased by 4%. Similarly electricity use per performance per seat in the same timeframe increased by 6%, whereas electricity use in absolute terms decreased by 1%. The reason why there were significantly fewer performances in 2012/13 is because there were dark periods during which the Lyric was preparing for its capital project. This can be considered as an extenuating circumstance for 2012/13, which Julie’s Bicycle can take into account and make an exception when awarding stars for the Improvement criterion, thereby maintaining the 3 stars IG rating for Improvement as the Lyric’s relative emissions increased through no fault of the organisation despite the activities and investment in place. The Lyric also has an action plan in place which is regularly reviewed and updated, and sets out aims and objectives for the theatre for the future. As such Lyric Hammersmith is awarded 3 stars Industry Green for Improvement. Stars are usually awarded in the Improvement section based on relative results. For the purposes of this report ‘per performance’ refers to the weighted number of performances that took place in the venue during 2009/10 (i.e. 251), 2010/11 (i.e. 271), 2011/12 (i.e. 241), and 2012/13 (i.e. 225), and ‘per seat’ refers to the fixed seating capacity of that venue (i.e. main house – 519 and studio 112). The ‘per performance per seat’ relative result allows for comparisons with other venues and ensures that a venue is neither rewarded nor penalised because it has had a good or bad season with regards to ticket sales. However in this case an exception has been made.

Total emissions (absolute and relative): When comparing 2012/13 with 2011/12, Lyric Hammersmith’s relative emissions per performance per seat (resulting from energy use, water use, sewerage, waste and business travel) increased by 2%. This is despite absolute emissions over the same timeframe reducing by 4%. The relative increase is by no means indicative of Lyric’s efforts to improve its environmental performance, but can be partly explained by the significant decrease in the number of performances taking place over 2012/13 (443) compared to 2011/12 (470)5. This is due to some dark periods during 2012-2013, due to the forthcoming capital project. When comparing 2012/13 with the first year for which data is available, 2009/10, emissions per performance per seat decreased by 1% over the same time period. In absolute terms emissions decreased by 11% in the same timeframe. Lyric’s long list of initiatives are in no doubt responsible for the absolute decreases in emissions, ranging from better monitoring and measuring, to actions taken to reduce energy usage, waste production and water usage as detailed in section 1.3.3 of this report. Energy use and related emissions: 2011/12 with 2012/13 In terms of total consumption (kWh), the theatre used 1% less electricity in 2012/13 as compared to 2011/12. Emissions resulting from the electricity use decreased by the same amount. The reduction could be due to a number of initiatives in place at Lyric Hammersmith on energy management, such as the replacement of lights with LEDs using the money saved from energy reductions during 2011/12, the reduction of energy intensive equipment such as printers and fridges and their replacement with more energy efficient counterparts as well as a switch off campaign. Electricity use (kWh) per performance per seat increased by 6% when comparing 2012/13 with 2011/12. Emissions resulting from the electricity use increased by the same amount. 2009/10 with 2012/13 In terms of total consumption (kWh), the theatre used 9% less electricity in 2012/13 as compared to when measurement began for Industry Green in 2009/10. Emissions resulting from the electricity use decreased by the same amount.

5 Please note performance figures have been weighted for comparisons of relative carbon emissions. This is to account for all types

of activity taking place within the venue and to reflect the fact that larger spaces with a higher capacity will consume more resources. For a detailed explanation of the weighting process please see Appendix 2. The weighted performance figures for 2011/12 was 241 and for 2012/13 was 225.

Page 16: Lyric Industry Green report 2012-13

Electricity use (kWh) per performance per seat increased by 1% when comparing 2012/13 with 2009/10. Emissions resulting from the electricity use increased by the same amount. Water and Sewerage use and related emissions: 2011/12 with 2012/13 The theatre used 8% less water and sewerage (cubic metres) in 2012/13 as compared to 2011/12. Both water and sewerage usage (cubic metres) decreased by 8% each. Total emissions from water and sewerage decreased by the same amount. The reduction could be down to better monitoring and management of water use across the building to prevent leaks, and other initiatives in place such as ensuring that the irrigation system does not over water plants or that it’s on during wet spells. Per performance per seat, both water and sewerage usage (cubic metres) decreased by 1% each between 2011/12 and 2012/13. Total emissions from water and sewerage increased by the same amount. Waste production and related emissions: The theatre produced 39% less waste (tonnage to landfill, to recycling and to composting) in 2012/13 as compared to 2011/12. Waste to landfill (tonnage) decreased by 18%, whereas waste to recycling (tonnage) increased by 18%. 63% of total waste tonnage went to recycling in 2012/13 compared to 45% in 2011/12, with the rest going to landfill. Waste to composting was introduced for the first time in 2012/13 for food waste, with 19% of total waste being composted. Total emissions from waste to landfill decreased by 80% when comparing 2011/12 with 2012/13. Emissions from waste to landfill per performance per seat decreased by 79%. The massive reductions in waste could be due to a combination of initiatives at the venue to increase recycling and reusing, and thus reducing waste to landfill, as well as the introduction of composting of food waste, and the new waste contractor coming on board, First Mile, who provide the Lyric with a detailed breakdown of their waste enabling better management. Business travel related emissions: 2011/12 with 2012/13 Total emissions from business travel increased by 63% when comparing 2012/13 with 2011/12. Total relative emissions from business travel (i.e. per performance per seat) increased by 75% over the same time period. This could be due to better quality business travel data being collected, and also due to an increased number of flights taking place between 2012/13, as compared to 2011/12. Other: No usable audience travel data were provided for any year so the Julie’s Bicycle defaults were used. Industry Green stars for Improvement cannot be awarded based on defaults. Industry Green stars for Improvement are awarded based on relative results (i.e. per performance per seat). The per performance per seat relative result allows for comparisons with other venues and ensures that a venue is neither rewarded nor penalised because it has had a good or bad

season with regards to ticket sales. Stars are awarded based on comparison between 2012/13 and 2011/12.

1.3.3 Improvement strategy/action plan

The Lyric’s Green Policy and Action Plan, as evidence, set out its commitment to reduce its emissions by 10% year on year (with an adjustment for the expanded size of the building following completion of the Capital Project). To achieve that, a number of initiatives are in place, as outlined below. Improvements implemented in last 12 months Energy

• Reduced the number of printers and centralised printing as far as possible to one more efficient device (the Lyric’s photocopier);

• Reduced the number of fridges and kettles in individual offices with one tea and coffee station on each level, along with one shared fridge (appliances that were taken out of commission were disposed of via freecycle and local borough electronics recycling points);

• Launched a ‘Switch off’ campaign: added to the building close procedure a switch off check in shared areas, which means that the photocopier, microwave and kettles are switched off overnight and not left on standby; office lights are also checked and switched off; and regular reminders are sent out to all staff members;

• Launched a ‘Walking Wednesday’ campaign: every last Wednesday of the month all staff and the public are encouraged to take the stairs instead of the lift;

• Reviewed the daily lighting levels in the building to ensure that any unnecessary office and front of house lighting are switched off when cleaners leave and enter the building;

• Encouraged all staff members to only fill the kettle to the amount they require to avoid energy being wasted.

Waste

• Reduced the number of printers in individual offices, and set the photocopier as the centralised default printer to reduce the amount of energy and paper used, and set the photocopier to print double-sided as a default => the changes made to the way the staff print have made a significant difference already, whereby in 2009/10 500 reams were ordered compared to 376 in 2012/13, a reduction of 25%;

• Invested in new software for the Communications team to allow coloured proofs to be marked up on screen rather than printed and annotated by hand, and actively encouraged scanning and saving as well as sharing of documents online;

• Encouraged re-use and recycling across a number of areas such as stationery, set materials and props, shopping bags, glasses and mugs, batteries, scrap paper and so forth;

• Distributed reusable water bottles to all members of staff, actors and visiting companies and installed a filtered water tap into the backstage green room where staff and company members can fill up their bottles;

• Used eco friendly hangers and opted for iron free clothing and fabrics when possible to reduce the volume of ironing needed, as well as used eco-friendly products for cleaning;

• Café Brera have agreed that staff members can take their own mugs down to Café Brera when they order a coffee;

• Bins have been moved away from desks and have been centralised, for recycling, composting and general waste;

• Using data provided by First Mile, the Green Team now sets targets for specific areas of waste generation.

Page 20: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 19

Water • Monitored water use via monthly meter readings to identify any increases in usage which

may be due to leaks; • Reviewed the irrigation system in the roof garden to ensure that plants are not over-

watered, particularly during the wet spells.

Business Travel

• Switched to Greater London Hire as opposed to Addison Lee as they are the greenest transport company in London;

• Set up a Skype account which can be used for meetings and recruitment interviews where necessary;

• Facilitated and encouraged the use of public transportation for staff through: o Season ticket loan schemes; o Facilities for secure cycle storage onsite (provision for more cycle racks has been

made as part of the Capital Project plans); o Membership of Cycle To Work; o Onsite showers for staff to use when they have cycled in.

• Introduced the Julie’s Bicycle Green Rider to touring contracts.

Future plans Energy

• Investigating replacing the plasma screens on the welcome desk with a ‘raspberry pi’ which is a low energy alternative;

• Replacing 91% of lighting with LEDs as part of the Capital Project due to start on site in the summer of 2013. Other priorities include the installation of photovoltaic panels for electricity generation, and lighting which is both motion sensitive and responds to external light levels;

• Replacing all of the front of house lighting with low energy alternatives, and eventually switch all of the lighting to LED;

• Exploring the feasibility of installing GDS’s Arc System in the Main House; • Installing a gas supply to the building (also as part of the Capital Project), with new, energy

efficient boilers. All of the ovens in Café Brera’s kitchens will then have the capacity to run on gas, which is significantly more efficient, and the Lyric will be able to control its own heating supply (which currently comes via Kings Mall’s central oil based heating system, the shopping centre next door, which means no data is available).

Waste

• Planning to make extensive use of reclaimed or recycled materials as part of the Capital Project, and build in the most sustainable way possible;

• Investigating emailing permanent staff payslips, to reduce the amount of paper used each month.

Water

• Installing low water sanitary ware in the toilet blocks and install urinals with washroom control system for water conservation, as part of the Capital Project.

Business Travel

• Wherever possible, tours will bear the environment in mind and every effort will be made

Page 21: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 20

to ensure that touring is as geographically proximate as possible; • Investigating appropriate ways of offsetting the carbon emissions generated through flights; • Devising ways of measuring and reducing emissions from audience travel.

To maintain 3 stars Industry Green for Improvement, Lyric Hammersmith must continue having an Environmental / sustainability improvement strategy or action plan in place, which is regularly reviewed and revised, as well as achieve a reduction of at least 6% in annual relative GHG emissions (covering as

a minimum emissions related to energy use, water use, sewerage, waste and business travel), or stabilise its emissions, and comparison to Julie’s Bicycle benchmarks as they emerge.

1.4 Communication

Criteria

- Communication 3 stars: Communicating environmental impacts and improvements with directors and staff AND at least two of the following: supply chain organisations, incoming artists, audience INCLUDING Exceptional communication with at least one of the following: directors and staff, supply chain organisations, incoming artists, audience AND Exceptional communication of your Industry Green report with at least one of the following: directors and staff, supply chain organisations, incoming artists, audience

Your rating explained: The Lyric has been communicating its environmental initiatives and its most recent Industry Green report in an exceptional manner with its staff, senior management, supply chain and audience (e.g. through the use of tweets, emails, and newsletters). As such Lyric is awarded 3 stars Industry Green for Communication. Current communications Staff Staff are regularly emailed with updates on the theatre’s progress and new green plans. There are also a series of successful poster campaigns around the building to encourage and remind people to get on board with the Green Team’s efforts on recycling and switching off for example (see Picture 2 below). The Green Team also held a Green ‘Fancy Piece’ to celebrate the 3 stars Industry Green for 2011/12, using the event to provide green updates to the team. Other events include two clothes swap days, where Lyric Staff bring in any unwanted items of clothes and trade them. Staff were also asked to bring in any books to form a small library in the Admin and Finance Office.

The Lyric uses a polar bear mascot (see Picture 3 below) on most of internal communications, to make people smile and keep the message consistent. Regular reminders are also sent out to staff, especially over any bank holidays and Christmas holidays to remind them to switch off everything before the holidays. Staff (and any members of the public who would like to join in) are also encouraged to take part in ‘Walking Wednesday’, a monthly campaign through advocating the use of the stairs instead of the lift (see Picture 1 in section 1.1 of this report).

Picture 3 Lyric Hammersmith Mascot

Supply chain The Lyric regularly communicates with key partners, including the cleaners, café franchise (Café Brera) and stationery providers to ensure that waste is being minimised in all areas and everyone is working together to reduce emissions via meetings and the use of contracts. Audiences Lyric has done extensive work on communicating with its audiences:

• The theatre’s commitment to green issues is published on the ‘About Us’ page of the website;

• The green mission is printed in programmes and season leaflets. There was also a green statement in the Cinderella programme (November 2012- January 2013) (see Picture 4 below) and in the Lyric Blog;

• The Julie’s Bicycle Greenest Venue certificate is displayed at the Welcome Desk, so everyone coming into the building through the main public entrance on Lyric Square can see it;

• Twitter is used to communicate regularly with the Lyric’s twitter followers about all aspects of Lyric life, including its Green activities. For example the Lyrics tweeted about the Clothes Swapping party, the MRF visit, the 3 stars Industry Green certificate and its monthly emission reductions (see Picture 5 below). Facebook and Twitter are also used to inform all the Young People participating in projects;

• Tweets also go out after every monthly Green Team meeting informing the audiences of the Lyric’s monthly emissions, any improvements and future plans discussed at the meeting.

Board of Directors The Board of Directors is kept up to date on all green issues including any stars awarded through IG reports at the quarterly meetings. The Lyric’s green aspirations are a key part of its Business Plan, which is reviewed annually. Industry Green communications Internally, the 2012/13 IG report was saved on the central shared drive and a link was sent to all staff to access it. It has also been reviewed and discussed at Green Team meetings. Externally the 2011/12 IG rating was tweeted and had fantastic press coverage e.g. the Lyric published an article in ‘Arts Professional’ as well as issued a joint press release with Julie’s Bicycle. Furthermore the Green Clause in the venue’s contracts has been revised to mention the 3 stars IG rating for 2011/12 All contracts for Staff, Visiting Companies, Actors and Practitioners have also been revised accordingly.

Page 25: Lyric Industry Green report 2012-13

Future communication plans The Lyric aims to continue using the same variety of media as currently being used to communicate its environmental aims, improvements and IG results internally i.e. to staff and board, and externally i.e. to supply chain, audience and stakeholders.

To maintain 3 stars for Communication, the Lyric will need to continue exceptionally communicating environmental aims and improvements and its most recent Industry Green report with at least one of

the following: directors and staff, supply chain organisations, incoming artists, audience.

2. Recommendations

2.1 Commitment Kim Grant (Director of Finance, Administration and Operations) is the Lyric’s Green Champion and is responsible for improving the Lyric’s environmental performance and reducing its emissions with the support of the green team, which comprise members from operational and senior staff, including Jessica Hepburn, Executive Director. To maintain 3 stars for Commitment, Lyric Hammersmith will need to maintain the exceptional levels of environmental commitment from its staff and supply chain, and ensure its environmental policy is regularly reviewed and updated (the last update was in October 2011). It could also gain commitment to improve their environmental performance from audience or gain exceptional commitment to improve environmental performance for incoming artists. Julie’s Bicycle would further recommend that the theatre:

• Update its environmental policy (last update was in October 2011); • Share its environmental policy and action plan with all staff and senior management, and

add the policy to the website for the public and the supply chain to view; • Work with its incoming artists further to involve them in the theatre’s initiatives and

objectives and help them do their part.

2.2 Understanding The Lyric has provided data to Julie’s Bicycle for four consecutive years, 2009/10, 2010/11, 2011/12 and 2012/13, covering electricity, water, sewerage, waste and business travel. The Lyric has also gone beyond the scope of Industry Green to provide data on its touring travel (submitted as part of the business travel data on the IG Tools). As such Lyric Hammersmith is awarded 3 stars Industry Green for Understanding. To maintain 3 stars for the Understanding criterion, the Lyric should continue measuring its environmental impacts beyond those covered by Industry Green, to include for example, audience travel, merchandise, commuting, productions, production transport, paper use and tours. Please ensure that in the future any travel data collected other than business and audience travel that can be entered directly onto the IG Tools, is submitted separately e.g. use the IG Touring Tool to submit touring travel and production freight. Julie’s Bicycle would further recommend that the theatre:

• Improve the quality and accuracy of data gathered for the Industry Green report with regards to audience travel for example through conducting audience surveys to understand how they travel and where from, and what would make them travel more sustainably;

• Start collecting data that goes beyond the Industry Green scope to include touring travel, production freight, merchandise, catering, paper, staff commuting, etc.

2.3 Improvement Lyric Hammersmith has seen an increase in its emissions from energy, water, sewerage, waste and business travel per performance per seat of 2% when comparing 2011/12 with 2012/13 due to the number of performances taking place in 2012/13 significantly decreasing compared to 2011/12

Page 27: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 26

(470 in 2011/12 vs. 443 in 2012/13)7. However absolute emissions in the same timeframe decreased by 4%. Similarly energy use from electricity per performance per seat in the same timeframe increased by 6%, and in absolute terms it decreased by 1%. The reason why there were significantly fewer performances in 2012/13 is because there were dark periods during which the Lyric was preparing for its capital project. Therefore, given that the Lyric achieved a 12% reduction in its relative emissions in the 2011/12 IG report, this can be considered as an extenuating circumstance for 2012/13, which Julie’s Bicycle can take into account when awarding stars for the Improvement criterion, whereby relative emissions increased through no fault of the organisation despite the activities and investment in place. The Lyric also has an action plan in place which is regularly reviewed and updated, and sets out aims and objectives for the theatre for the future. As such Lyric Hammersmith is awarded 3 stars Industry Green for Improvement. To maintain 3 stars Industry Green for Improvement, Lyric Hammersmith must continue having an Environmental / sustainability improvement strategy or action plan in place, which is regularly reviewed and revised, as well as achieve a reduction of at least 6% in annual relative GHG emissions (covering as a minimum emissions related to energy use, water use, sewerage, waste and business travel), or stabilise its emissions, and comparison to Julie’s Bicycle benchmarks as they emerge. For more details on the Lyric’s action plan and capital project objectives see section 1.3 of this report. Julie’s Bicycle would further recommend that the Lyric:

• Monitor and evaluate progress on targets set (e.g. 10% reduction in emissions year on year for 5 years);

• Use its website and ticketing to offer incentives/rewards to those travelling via public transportation; car-/lift-sharing; and/or travelling with a full car occupancy – both to and from and within London;

• Keep up the great work already underway through its business plan, Green Action Plan and capital project.

Appendix 1 provides a range of tips on possible environmental improvement actions, based on Julie’s Bicycle experience in working with hundreds of arts and cultural organisations, as well as links to further resources and guidance, which can help in identifying and implementing environmental improvements.

2.4 Communication The Lyric has been communicating its environmental initiatives and its most recent Industry Green report in an exceptional manner with its staff, senior management, supply chain and audience (e.g. through the use of tweets, emails, and newsletters). As such Lyric is awarded 3 stars Industry Green for Communication. To maintain 3 stars for Communication, the Lyric will need to continue exceptionally communicating environmental aims and improvements and its most recent Industry Green report with at least one of the following: directors and staff, supply chain organisations, incoming artists, audience.

7 Please note performance figures have been weighted for comparisons of relative carbon emissions.

Page 28: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 27

Julie’s Bicycle would further recommend that the Lyric:

• Creates a dedicated page on its website for environmental issues, and uploads its most recent Industry Green report or an excerpt onto that page for its stakeholders to be able to view it, as well as its most recent IG mark logo;

• Uploads its environmental policy and green action plan on the dedicated page; • Produces short videos or films discussing its environmental improvements and

achievements, as well as its capital project plans to be displayed throughout the venue for informing its audience, incoming artists and wider constituency;

• Given the exemplary approach, which the Lyric is taking to improving its environmental performance and engaging staff, supply-chain, audiences and the public, Julie’s Bicycle would further recommend that the Lyric share its experience and what it has learnt within the arts sector.

3. Promoting your IG certification Lyric Hammersmith has been awarded the IG mark (3 stars) based on an assessment of its approach to managing and reducing its carbon and environmental impacts during the 2012/13 financial year and developments in its emissions between 2009/10 and 2012/13. It may use the IG mark in its communications for up to twelve months or until the current certification results are superseded by the 2013/14 certification. The IG mark logo files and certificate are provided alongside this report. Industry Green certification provides a powerful tool for communicating your commitment, achievements and progress to your stakeholders, such as staff, artists, audiences, suppliers, funders, donors and local community. Julie’s Bicycle recommends the following for communicating Industry Green certification, acknowledging the Lyric’s internal and external environmental communications to date:

• Include the IG mark on marketing and communications tools and materials, e.g. website, event programmes, pre-performance emails, print marketing materials, environmental operations manual, procurement policy, etc.

• Provide an explanation of Industry Green on the organisation website (on a dedicated environmental/sustainability website page if there is one) and a link to the full Industry Green report for download.

• Display the Industry Green certificate in a public place, e.g. in the building reception, throughout the festival site.

Julie’s Bicycle recommends the following text for use in communications relating to Industry Green and the IG mark:

“Lyric Hammersmith has achieved Industry Green certification in 2012/13 and is awarded 3 stars in recognition of its commitment to managing its carbon and improving its environmental impacts.

Industry Green certification is developed by Julie's Bicycle for music, theatre and the wider creative industries. By achieving Industry Green certification Lyric Hammersmith is joining the UK creative industries' response to climate change and environmental sustainability.

For more information please download the Industry Green report provided here [PROVIDE DOWNLOAD LINK]. The assessment of Lyric Hammersmith’s carbon emissions covered data from 2009/10 to 2012/13 and includes emissions from energy, water, sewerage, waste and business travel. Touring travel data were also provided for 2012/13. This assessment excludes the emissions deriving from audience travel, event logistics, artist travel, staff commuting, catering, concessions and merchandise.

4. Future IG certification The timeline for reporting for the next IG assessment and certification will be:

• April to June 2014 – for the Lyric to submit the data, evidence and application form for the 2013/14 financial year;

• July to August 2014 – for Julie’s Bicycle to deliver the 2013/14 Industry Green report including progress on reductions and the Lyric’s Industry Green status for that year.

If data and evidence for 2013/14 is not submitted by June 2014 (i.e. 3 months following the end of the 2013/14 financial year), Julie’s Bicycle will be unable to conduct a full Industry Green certification for the Lyric for that accounting period. This is order to ensure that the Industry Green report and its recommendations are as useful and applicable as possible for the organisation and its business cycle, with regards to planning and reporting. We will discuss your reporting cycle with you to agree a satisfactory timeline, as keeping to the time plan is crucial to ensure that the results provided can be useful for informing your action planning, target-setting etc.

5. Background on Industry Green

5.1 Legislation and science Climate change is the defining environmental issue for the 21st Century. It will require a radical transformation of society’s relationship to energy use and resource consumption. The best estimates of action needed to prevent catastrophic climate change require that the UK’s CO2 emissions – the principle greenhouse gas (GHG) – must be reduced by 80-90% by 2030; these emissions are mainly generated by the combustion of fossil fuels.8 The United Kingdom has committed to legally binding reduction targets through its Climate Change Act. The UK will reduce emissions by at least 34% by 2020 and 80% by 2050 from 1990 levels. Transforming to a low carbon society will involve:

• Energy conservation and efficiency; • Switching to renewable/non fossil fuel based energy sources; • Embracing innovative, low carbon technologies; • Regulatory and market instruments.

Emerging international and national legislation is clearly signalling a global policy commitment to shift energy use so that citizens from all countries understand the environmental and social costs of GHG emissions. This in itself, however, is unlikely to be radical or fast enough to deliver the scale of emissions reductions needed. Progressive companies are already acknowledging this by taking climate mitigation actions unilaterally and voluntarily.

5.2 Industry Green certification Industry Green (IG) certification has been developed by Julie's Bicycle for music, theatre and the wider creative industries to recognise commitment and achievement in managing, reducing and improving carbon and environmental impacts. The Industry Green certification programme as a whole has seen rollout across a wide range of creative organisations - currently 45 organisations hold a valid Industry Green certification - with hundreds more undertaking entry-level use of the online IG tools. Certification using the Industry Green Framework means using a system designed specifically for music, theatre and the wider creative industries. This system will record your actions relating to GHG emissions Commitment, Understanding, Improvement and Communication. This results in a transparent assessment, enabling comparison with other organisations. Complying with the requirements for Industry Green certification demonstrates your commitment and achievements, provides recommendations for next steps, can save money and reduce the risk of increased future costs, while protecting company reputation and helping to attract and retain staff and customers. By working with Julie’s Bicycle you also join an industry collaboration that is catalysing a sector-wide strategic response. Appendix 1: Improvement Tips and Further Resources Our top three tips for reducing your impact beyond just reducing your direct carbon emissions are:

1. Choose environmental and ethical merchandise; 2. Use sustainable materials and efficient technologies; 3. Build environmental sustainability clauses into contracts.

A range of further options and tips, developed on the basis of Julie’s Bicycle’s experience in working with hundreds of arts and cultural organisations, is provided below. Buildings (i) Heating, cooling and ventilation

• Develop understanding of electricity and gas use by area and end use (e.g. lighting, air-conditioning, heating, hot water, IT) to better identify options for efficiency.

• Reduce excessive heating and cooling by relaxing temperature controls for a wider dead-band (i.e. 18-24OC) and setting fan speeds below 80%.

• Check zonal control and timers are set correctly. • Replace air conditioning filters regularly and use energy efficient filters.

(ii) Lighting

• Switch to energy efficient light bulbs and LED lighting. • Install daylight and occupancy sensors or timers on lighting. • Reduce exterior lighting and consider switching off during the day.

(iii) Equipment

• Switch to rechargeable batteries. • Turn off appliances whenever you can, especially fridges.

(iv) Explore alternative energy sources

• Consider options for on-site renewable or low-carbon energy installations • Explore options for linking with existing district or community renewable or low-carbon

energy schemes, if relevant. (v) Reduce waste, reuse and recycle

• Focus efforts on monitoring and measuring waste and introduce targets for reducing the volume of waste and for increasing recycling e.g. by increasing recycling skips on site and reducing general waste skips on site.

• Introduce composting of food waste. • Work with contractors to audit waste, including the quantities being recycled, composted

and incinerated, if applicable. • Require caterers to only use reusable, recyclable or compostable supplies. • Work actively with contractors such as catering and cleaning on identifying and

implementing waste prevention and recycling measures (vi) Reduce water use

• Ensure that all toilets, sinks and urinals are up to date to minimise water use.

Page 34: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 33

Business travel (i) Reduce travel

• Reduce the use of taxis and cars where possible. • Actively promote the use of virtual communications e.g. Skype, tele-conferencing, video-

conferencing, webinars. • Allow mobile working arrangements, such as allowing staff to work while on the move and

from home, or to work flexible hours. (ii) Reduce impact of travel

• Encourage switching to rail from air or car. • Encourage switching to economy from business or first class. • Encourage switching to public transport from cars. • Provide season ticket loans to encourage staff to use public transport for meetings. • Encourage staff to walk. • Make it easy for staff to cycle by installing secure cycle storage and provide shower

facilities. Reduce impact of freight and touring

• Use a JB Green Rider for touring productions, with environmental guidelines to host venues and festivals to reduce environmental impacts.

• Opt for less carbon intensive modes of freight, such as sea or rail as opposed to air. • Embed environmental sustainability into planning early on to allow for touring schedules

that follow a logical order across the country and internationally, to minimise need for travel.

Audience travel

• Educate audiences about their own impacts and why they matter. • Carry out audience travel surveys to find out how they travel, where they come from, why

and what might make them travel differently. • Encourage walking and cycling. • Use websites and ticketing to offer incentives/rewards to those using lower carbon travel

options e.g. public transport, car or lift-sharing, travelling with a full car occupancy. • Work with travel operators to promote sustainable transport options.

Incoming events and shows

• Share environmental commitments and information with the teams of incoming productions, and encourage them to use the IG Tool for Production; Office; Venue; and/or Touring, if relevant to their activity.

• Work with incoming productions to reduce their environmental impacts and support productions with a demonstrable commitment to sustainability and to the monitoring and reduction of their emissions as much as possible.

Suppliers and procurement

• Choose suppliers and products with strong social and environmental credentials.

Page 35: Lyric Industry Green report 2012-13

Industry Green Venue and Cultural Building Report – Lyric Hammersmith 2012/13 CONFIDENTIAL 34

• Encourage suppliers to embed environmental considerations into their operational activities e.g. work with caterers to promote food composting, sustainable food sourcing, using filtered water in jugs or glass bottles instead of plastic bottles, etc.

• Consider developing an ethical procurement policy. • Check out the Food Sustainability Guidelines from Sustain at: http://www.sustainweb.org

Awareness-raising and communication

• Create a green team to engage staff and implement environmental policy and actions; • Initiate staff competitions on environmental issues, to raise awareness and engagement • Develop staff campaigns such as ‘switch off’ to reduce impacts. • Integrate information on your environmental impacts, policy and initiatives into existing

communication channels, which work well e.g. social networking sites. • Exchange environmental experience and learnings with wider networks.

Appendix 2: Weighting Cultural Activity at Venue/Cultural Building In order to fully represent all cultural activity taking place in a venue or cultural building, Industry Green applicants can provide Julie's Bicycle with the number of performances and/or events and/or workshops, etc. taking place across different performance spaces in the venue, for each assessment year. Relevant cultural activity that should be included in the performance figures is detailed in the table below. Applicants must provide the number of performances (or other measures of cultural activity such as workshops, events, etc.) by performance space, and provide the seating capacity of each space. This allows Julie’s Bicycle to apply a weighting formula to the activity numbers which gives greater weighting towards activities that take place in larger capacity room, recognising that generally larger occupied rooms will have a greater energy demand than smaller capacity rooms. This also ensures that all cultural activity within your building is captured such as hires and educational workshops.

Table 1-1 What is considered as cultural activity

Weighting formula: The result of this calculation is then summed for each individual performance space to give an overall weighted performance/ cultural activity figure for the venue. Worked example – Lyirc Hammersmith 2012/13:

Included Excluded

Concert Meetings (board meetings, team meetings) Exhibitions Residential rehearsals External conferences Your production performances that take place in

external venues External company rehearsals Events (incl. private hire) Presentation Productions Public Performance Readings for young people Workshops (educational)

examples Exceptions

For organisations with fewer than 10 staff, one person with responsibility will be sufficient, as long as they can demonstrate they have a role both in senior level decisions and in operations.

Incomplete data (for example water or waste missing) can be submitted to gain 1* or 2*, as long as energy data is complete.

Emissions based on default or estimated data, or unverified, poor quality data which Julie’s Bicycle assessors deem unreliable are not considered when calculating overall reductions and awarding the Improvement rating. If 2* and 3* criteria for Improvement, Industry Green have already been met, 3* can be awarded for stabilisation of relative emissions. Extenuating circumstances can be taken into account if activities and investment have not resulted in measurable improvements through no fault of the organisation. Such circumstances should be explained, e.g. using the notes on the IG tool. Purchasing green tariff electricity or carbon offsets will not constitute a measurable improvement in emissions, unless there are changes to the regulation of these markets.
