Meltwater Mail Reports

Morning Reports:

The Morning Reports are delivered every morning to each user based on their own preferences.

These reports can be customized per user, where one person may receive a report at 06:00am EST

and other users have option receive their reports at alternative time(s).

The reports are just the tip of the iceberg and aim to provide our clients insight to their company,

market,trendsandanythingelseofimportance.

Afternoon Reports

The Afternoon Reports will provide an update to what has happened from when the morning report

was sent.

For example, if a Morning Report is sent at 06:00am EST and an Afternoon Report is sent at 16:00pm

EST, the Afternoon Report will include any articles that appeared from 06:01am until 15:59pm.

AsItHappensAlerts

The“AsItHappens”optionwillsendanemailtotheclientassoonasthearticleispublishedand

pickedupbytheMeltwaterNewssystem.

We recommend using this option when there is a specific topic or crisis management, and not for

everyday use.

Mail report Auto Stats

This feature provides a graphical representation of the data within an agent and can be setup to

sendonceaweekforeachuser.

Meltwater Dashboard

TheDashboarddisplaysavarietyofwidgetsforquickviewsofyouraccountacrossseveralgraphs

and charts, clouds, maps, and tables.

Thesewidgetscanbeviewedbyday,weekandmonth.

Hits and Percentage Widget

The Hits shows the number of articles collected for that particular agent.

The Percentageshowsthedifferencebetweenthepreviousweekandthepresentweek.Itchecks

the articles and sources and calculates the percentage accordingly.

Sentiments Meter and Word Cloud Widget.

The Sentiment meter and word Cloud are made possible with our NLP (Natural Language Processing)

technology.

The Sentiment conveys the dominant tone of voice in articles belonging to an Agent.

The Cloud displays the words that occur most frequently in the articles.

Top Publication Widget

The Top Publication displays sources with the highest contribution of articles to an Agent.

Countries Widget

The Countries widget displays where the news articles are being published.

Meltwater Agents

The AgentsareprobablythemostimportantpartofMeltwater’sUserInterface,asthesearethe

keywordsearchesthataresetuptofindthelatestarticles.Theyarebuiltfromtheuser’skeywordor

boolean specification.

Agentscanbebrokendowninmanydifferentways:

1.BrokendownbyGeographicregion.Insomeplaces(e.g.AustraliaandChina)wehavebroken

down by sub region, such as Australian Capital Territory, New South Wales...etc.

2.Bypercentile,orimportance/significance.WeworkwithNielsenAnalyticsshowhowmanyunique

visitorsasourcehashad,howmanytotalpageviews,etc.Ifyoubreakdownbythismethod,youare

abletopickthetop10%ofsourcesbyviewersandsoon.

3.Bytype.Wecanbreakdownsourcesbytype;forexampleNewssources,Blogsources,Tenders

and Subscription Sources.

4. By language. Each source is manually configured by a technician who chooses a language for that

source. This will be important for many users in localized regions.

QuickTools

The Agents page gives you a selection of QuickTools as below which allow the user to forward

(send) the article to users, archive, hide (delete), or translate that article from the Agent.

Ifanarticleinyourreporthasa+ totheleftofit,youcanclickonthe + to view the multiple sources

thatpickedthatarticleup.

Editing

You are able to add the opening text (otherwise called the ingress), the hit sentence (the part of the

sentencewherethisarticlewaspickedup),thearchivedarticles(theonesthatarebuiltintothe

agent from the archive) and information about the source. Rating is another feature that includes

automatic sentiment based on natural language processing (NLP).

When editing/building an agent, be aware that there are options for case sensitivity. These are

important when searching company names, and will also be an excellent way to filter articles when

searching company mentions.

Source Selection

Asyousawinthepreviousimage,youcanclickSourceSelectiontab.Thisisthemostimportant

partoftheagentstab;thisiswhereyouwillbeabletochooseageographicregionthattheagents

are searching from.

Keywords

Ifyousearchforakeyword,itwillmatchthiskeywordifitappearsasasingleword.Thismeans,

before and after the word are non-word characters. Those can be space, punctuation, special

characters - anything that is not letter or number.

Example: photo

will return: but will not return:

•photo •photos

•www.photo.com •photograph

•photo-camera

Boolean:Information

The Boolean search is part of the Meltwater News user interface under the agents tab that allows us

to construct ‘advanced’ searches.

Priority of Boolean Logic is:

AND - highest

OR - medium

NOT - least

Boolean: Tips

USINGPARENTHESES

Always use ( ) if the search expression contains a combination of more than one of the boolean

keywords(and,or,not,near,onear,xnot).

This means that both of these are OK:

cat and dog and mouse

cat or dog or mouse

But do not use:

cat and dog or mouse

Insteaduseoneofthefollowing:

(cat and dog) or mouse

cat and (dog or mouse)

... depending on what you mean.

Here’s another example where it’s easy to forget all the parentheses — do not use:

(cat and dog) or (mouse and cheese) and not rat

Depending on what you mean, use one of the following:

((cat and dog) or (mouse and cheese)) and not rat

(cat and dog) or ((mouse and cheese) and not rat)

The main point here is: if in doubt, always use parentheses. They never hurt (provided, of course, that

they are used logically correct according to what you mean). The only exception is when using near

— this is explained next.

USINGNEARANDPARENTHESESTOGETHER

Thenearkeywords(near,near/N,onearandonear/N)canonlybeusedbetweenwords,phrasesand

subexpressions which includes or and near, not with subexpressions which include and.

This means that you cannot use:

cat near (dog and mouse)

But you can use:

(cat or dog) near (mouse or rat)

USINGONEAR

Usingthisfunctionalityitcanworktomatchyourkeywordswhentheyarementionedtwoormore

times in an article.

Ifyouwanttomatch‘companyname’whenitoccurstwoormoretimesinadocument,onecanuse:

(companyname onear companyname)

USINGTHE^CHARACTER

The^character(aka:Hi-hatorCircumflex)isusedtoboostorreducethescoreofaword,phraseor

subexpressionanddecidewhatismorelikelytoappearinthehitsentence.

The default score is 1, so greater numbers can be used to boost the score, while decimal numbers

between 0 and 1 can be used to reduce the score.

Forexample:catand(dog 2̂ormouse^0.5)saysthatdogshouldbepreferredinthehitsentence

before cat, and that cat should be preferred before mouse.

USINGXNOT

Thexnotkeywordistypicallyusedwhenyouwanttosearchforawordorphrase,butyouwantto

ignore it in special combinations with other words and phrases.

For example:

(billxnot“billgates”)

willhit“BillMurreyhatesBillGates”and“BilllikesLinux”butnot“BillGateswearsawig”.

or

dogxnot“hotdog”

Thiswillnotgivehitsinarticleswhere“dog”isonlyfoundinthephrase“hotdog”.

Butarticleswhichcontain“dog”inothercombinations(forexample“nicedog”)willgivehits,

evenifthesearticlesalsocontainthephrase“hotdog”.

Note the difference here to the search:

dognot“hotdog”

Thiswillnotgivehitsforarticlesthatcontain“nicedog”(oranyothercombinationof“dog”)if

thesearticlesalsocontainthephrase“hotdog”.

xnotcanbeusedseveraltimesafteraword/phrase,theyareall“tied”totheword/phrasetothe

leftofthefirstxnot.Sothisignores“dog”foundinboththephrases“hotdog”and“dogeatdog”:

And it is exactly the same as this (using parentheses is always a better idea anyway):

Near used between two compulsory words/phrases that has to occur with maximum 4 words

between them (when using near), or maximum N words between them (when using near/N, where N

is a positive number). May also be used between subexpressions which contains words, phrases and

the boolean operators OR, NEAR or ONEAR.

Onear ordered near - similar to near, but the words also has to occur in the given order

account’s pre-existing searches. They can also be drilled down geographically or by other criteria.

Meltwater Archive

Use the Meltwater Archive to save critical articles into categorized folders for private or shared use

among you and your team. This feature is a copyright compliant way of storing news and using it in

yourworkflow

IntheArchivetool,youwillhaveunlimitedfolderstocreatewithyourchoiceofcategory.Article

linksremainstoredindefinitely.ThesecanbeaccessibletoyourMeltwaterusersfromanyinternet-

enabled computer anywhere. You also have the option to create private folders, or collaborate with

your colleagues. All users will have an unlimited number of private Archive folders and may access a

shared pool, allowing them to collaborate.

Meltwater Newsfeed

TheNewsfeedallowsyoutopickandchoosearticlesfromyourAgents,andstreamthemdirectly

to your website, intranet, social media pages. The articles (from your Agent) can auto-fill to your

Newsfeed based on pre-existing Meltwater searches, or you can decide which articles to include on

a case-by-case basis. This allows you to post up to date information in a matter of minutes, with no

associated copyright implications.

The Newsfeed is available in several standard web implementations, including HTML, JavaScript,

XML,andRSS.

An RSS feed can be also be implemented for target audience and we also allow for the ability to see

which articles are receiving the most views and how much traffic is being directed to the section.

integrates smoothly with the overall website design.

The news section can be region specific to display news within each of your operating region.

Meltwater Analyze TheAnalyzetoolisaquickandeffectivewayofanalyzingmediacoverageandcreatingtailored

reports.

Meltwater’sAnalyzefeatureoffersasuiteofhighlycustomizableandprofessionallookinggraphs,

and a matrix (tabular) view of relevant media outlets. This is an ideal way to review coverage based

TheGraphmeasurestheoveralltrendsoveraperiodoftime,showinghitsbyday,week,ormonth.

Quantitative results can be exported via Excel, .jpg, .png, or PDF (icons for export located above your

graph in your account).

Belowgraphisshowingusabreakdownoverathreemonthperiod,weekbyweek.

GeographicCoverageAnalysis

TheGeographicalCoverageAnalysisgraphillustratesthegeographicalregionsofthepublications

accordingtoyourAgent(s)overaperiodoftime.Itaggregatesthecoverageandcanbreakitdown

by different categories (under Split By).

Article Clip Reports Comprehensive Excel report that collects the total number of articles (national and international)

published about your company, brand, projects and products.

Informationcanbecategorizedby:Date,publication,country,title,URLlink

Thisisanidealwaytoseewhichpublicationsarepickingupyourpressreleasesandwhichones

should be. You can determine which publications are writing about you the most and are your

biggest evangelists.

Whenonsingleagentview,youwillseeabuttonaboveyouragentgridcalled‘export’.Clickthis,

andmakeyourselectionbetweenexportingthedisplayedpage(ie,15,25,50,or100articles)or

exporting the displayed month.

Ifyouareonweekview,andyourweekisontheborderbetweentwomonths,youmaybeaskedto

makeanotherviewperiodselectionbeforecontinuing.

Once you’ve made a choice, please wait a few moments, and your excel sheet will begin download

in the browser.

At this time, you cannot adjust the format of the exported clips, but once exported, you may delete

any columns you do not need.

Meltwater NewsletterThe Newsletter is a formal way to share information/articles with your colleagues internally or

externally. The Meltwater tech team designs custom templates to match your brand and image.

Toaddrelevantbusinesscriticalinformation,clickontheNewslettertabatthetopofyour

Dashboard and select Newsletter from the options in your account to add relevant articles to your

branded template.

Newsletterscanbesentoutdaily,weeklyorasoftenasneeded.

YouhavetheoptiontocreatetargetedrecipientsliststosendtoyourExecutiveTeam,Marketing

Department, Sponsors, etc. This is tool is also used to spread information through out the company

andkeepallemployeesintunewiththelatestnews.

You have unlimited distributions of your Newsletters, as well as store a database of all recipients.

Archiving is also available and these articles can separate your news into folders/categories for easy

organization.

SMU: Social Media

The Social Media Upgrade allows you to monitor social media through the Meltwater News

platform. This means a fully integrated product offering allowing you to stay on top of both news

media and social media within the same platform.

You can see what volume of buzz there is surrounding your mentions, competitors and industry, and

use the Social Media Upgrade as the first step to monitoring this revolutionary space in social media

conversationsonmorethan200millionblogs,Twitter,Weibo,FacebookandYouTube.Findoutwho

Meltwater Media ContactThe Media Contacts page allows you to search for journalists and build media lists within the

Meltwater News application.

You have the ability to search 180,000 US journalists based on a multitude of filters, including – the

topicsthatjournalistswriteabout,associatedpublications,location,andcirculationfigures.Click

throughjournalistprofilescontainingalistofthekeytopicsthatjournalistswriteaboutandalso

their contact information. This is powerful for additional pitching tips for certain journalists that give

youextrainformationsuchasadditionaldetailsonwhatthejournalistcovers,andalsohowtheylike

to be pitched.

The Media Contacts tool gives you the ability to create and update custom media lists which can

easily be exported.

The Media Contacts service is a simplified version of the Meltwater Press product offering, which

is Meltwater’s comprehensive media planning and engagement tool. Meltwater Press is for

professionals who need additional information on journalists, and also the ability to send and

analyze distributions within a single tool.

This is because saved statistics must be randomly sampled when arriving at an automatic sentiment

rating, to improve performance.

So, since not every article in the saved statistic will be assigned its own rating, it is not as valuable to

display partial rated results.
