Overview
This document describes fourteen (14) different MARC templates for use within NC Cardinal. The goal of these MARC
templates is to provide a guideline for NC Cardinal Catalogers when importing cataloging records or creating original
cataloging. The fourteen templates are:
• Audio Fiction
• Audio Nonfiction
• Blu-ray Disc
• Book Fiction
• Book Nonfiction
• Book Large Print Fiction
• Book Large Print Nonfiction

Each MARC template is divided into fixed fields and tags. LDR fields are auto-generated within Evergreen. Upon
importing a record, review the associated MARC template for the recommended tags and fixed fields. If a tag is missing
from an imported record, add the tag/fixed field or edit it as recommended within the MARC template.
Special tags, for example the 082/092, are highlighted in a separate section within this document. The document also
includes a field mapping section which identifies the tags and fixed fields that are used for searching versus display
within Evergreen. It is important to be aware of these tags and fixed fields. For example, the fixed field information is
used by the search filters on the Advanced Search window. To display publisher and publication date information, the
264 tag must have specific indicators.

Blu-ray Disc (template name = NC_Blu_ray)
Blu-ray video recordings are cataloged much the same way as DVDs, with some important differences in the 007, 250
and 538 fields. Since DVDs and Blu-ray discs do not play on the same type of equipment and are formatted differently,
they cannot share the same MARC record. Please do not attach a Blu-ray video recording to a DVD record.

Using the MARC Editor There are two main parts of the MARC Record,
• Fixed Fields
• Tags
Unlike some integrated library systems (ILS), Evergreen has both a fixed field grid and a 008 field. In Evergreen, the fixed
fields are displayed as a grid at the top of the record as well as in the 008 field. It’s generally easier to make edits using
the grid than in the 008 field. When information is changed in the fixed field grid, those changes are also reflected in the
008 field.
It’s important to check these fields and make sure the information included is accurate since they affect searching and
display within Evergreen. The Type field is particularly important. It affects both the type icons displayed in the OPAC
and the type search filters. Other fields which relate to Search filters include Audn, Lang, Blvl, Form, Date1, and LitF.

• Stack subfields = This checkbox displays each subfield on its own line. This is a preference which you turn off or
on by clicking and unclicking the checkbox.
• Flat-Text Editor = This checkbox switches to a plain-text (mnemonic) MARC format. In this view you have the
ability to copy and paste multiple lines. It also enables the use of tools like MarcEdit. Click or unclick the check
box next to the “Flat-Text Editor” to switch back and forth between this preference.
• Fast Item Add = This checkbox enables you to attach items quickly with call number and barcode.
Working in the MARC Editor window (default view)
• Right click into a tag field (for example, click on the word “245” for the 245 tag) to add/remove rows or
replace tags.
• When a field is active, it will turn blue and what you type will appear in the box.
• With the cursor at the end of a subfield, click Control + D (Control + I in Mac OSX) to insert a new
subfield.
• To remove a subfield, click Shift + Delete
• To work with the data in a tag or indicator, click or Tab into the required field. Right click to view
acceptable tags or indicators.
• Parts of the leader and the 008 field can be edited with the fixed field box displayed above the MARC
record. Click into any box to edit the contents. (Information about the leader and the 008 can be found
on the Library of Congress's MARC Standards page

• Some of the fixed fields are longer than one character. All the characters must be filled in for
the information in these fields to save. These fields include Lang, Ctry, Cont, Ills, Date1, Date2,
Time, Ltxt, Accm, and Comp. If the appropriate codes for the record do not fill the field, press
the space bar to fill in the remaining spaces. When the field is filled the information will display
in the 008 field.
• LDR fields are auto-generated within Evergreen.
Special Tags
Note on Dates and Sorting
A date should always be entered in the Date1 fixed field if possible. The Date1 fixed field affects sorting especially when
conducting a search using the sort criterion Newest to Oldest.
The sort, Newest to Oldest, uses the fixed field Date1. Although the 260 tag displays in the Search Results window, it is
not used for sorting. If the Date1 fixed field is left blank, it appears as if the sort is not working since the titles with blank
Date1 fields display at the top of the list.
To resolve this issue, enter a year in Date1.

020 – ISBN
RDA prefers the price to be in $c field. You can enter the price in $c but this should be the RETAIL price. Any local
pricing should be entered in the record.

082 – Dewey Decimal Call Number (DDC)
The 082 tag is the recommended Dewey Decimal Number. Do not DELETE or EDIT this tag.
092 – Local DDC Number
It is recommended not to use the 092 tag. The information in the 092 tag is stored in the volume record within
Evergreen. This field is redundant.
245 – GMD ($h)
The $h subfield (GMD) is replaced in RDA with the 33x tags. It is recommended to use the GMD when it is defined
within one of the recommended templates. In the future, Evergreen will be using the 33x fields.
260/264 – Publication, Distribution Information
The 260/264 tags identify the place of publication, the publisher, distributor, etc., and the copyright date and/or the
date of publication.
Information in field 260 is similar to information in field 264 (Production, Publication, Distribution, Manufacture, and
Copyright Notice).
For NC Cardinal:
• Use the 264 tag instead of the 260 tag; The 264 tag is becoming the standard practice for RDA.
• If an imported record includes a 260 tag but NOT a 264 tag, add the 264 tag. You do not have to delete out the
260 tag. Those tags can be taken out at a later date for NC Cardinal, as a whole.
• If an imported record includes the 264 tag, make sure that the 264 $b_1 includes publisher name and either
the 264 $c_1 and 264 $c_4 tags have the publisher date. (See Evergreen tag display rules below.)
Evergreen 264/260 Display rules:
For the publisher name to be displayed, Evergreen looks in the:

• 260 $b field and if nothing is there, it looks in the 264 $b_1 (subfield b, SECOND indicator = 1 with no first
indicator) field
For the publisher date to be displayed, Evergreen looks in the:
• 260 $c field; If nothing is in the 260 $c tag, then it looks at both the 264 $c_1 and 264 $c_4 subfields.

490/8xx – Series Statements
The 440 tag is now obsolete. Use the 490/8xx tags for SERIES information. Within Evergreen, the ability to search on
SERIES depends upon information within an 8xx tag.
For NC Cardinal:
• Use the 490/8xx tag instead of the 440 tag:
o 490 IND1 = 1; 830 IND2=0 (example)
• If your imported record includes a 440 tag, create relevant 490/8xx tags
• If Series is not traced, use the 490 Ind1=0 so that SERIES can be searched via the OPAC

856 - Electronic Location and Access
All electronic resources, for example eBooks, should include an 856 tag within NC Cardinal. The tag should have the

6xx – Subject Added Entry All 6xx tags display or are used for searching within NC Cardinal. For example, the 651 tag (Subject
added entry – Geographic name) tag, displays in the OPAC view if it is added during cataloging.

The information from the 651 tag is appended to the “Subjects” row within the OPAC view or, if the 651 tag was entered
before the 650 tag, it would appear in front of the 650 tag information – but still under the Subjects heading.
Circulation-related Cataloging Fields
Age Hold Protection Rule
With the start of resource sharing at the consortium level within NC Cardinal, who can place holds becomes very
important. Within Evergreen, the Age Hold Protection Rule provides libraries with a means to control who is
authorized to place holds and the timing of those holds. Age protection rules are attached directly to an ITEM
record and are not designated at the MARC record level. This rule prevents new items from filling holds requested
for pickup at a library other than the owning library for a specified period of time. Age Hold Protection rules apply
once an item is assigned a copy status which is active. Please note that the Age Hold Protection Rule does not
automatically change and remains on an item record after the Protection period has expired.
