Volunteer Handbook What We Believe

JourneyLand VisionWe exist to engage kids and families in the process of knowing Jesus. We accomplish this through helping kids become who God created them to be by teaching the following:

Love God (Belong)We teach kids and families who God is and what it looks like to live in a loving relationship with Him. More so, we help foster an environment that gives kids a place to belong in the body of Christ.

Mark 12:301 Corinthians 12:27

Build Character (Grow)We teach kids and families by word and deed how to individually grow closer to Christ. By modeling for them what it means to be Disciples of Christ, we assist kids in taking steps of spiritual growth through the study of God’s Word, prayer, and the development of spiritual disciplines.

John 15:4Colossians 3:16-17

Connecting with God (Worship)Through small groups and corporate worship, kids and families will experience true worship, which is experiencing and connecting with God. They will learn that worship extends beyond music.

Romans 12:1

Lead (Share)As kids and families grow in their faith, we help them see that they can influence others for Christ, and be a part of fulfilling the “Great Commission.”

Matthew 28:19-20

Be the Body (Serve)We help kids and families realize that they are part of a collective body bigger than themselves, and that by using their unique gifts, talents, and abilities for God, they can make a significant difference in the world for Christ through serving one another.

1 Corinthians 11:3, 12-14Ephesians 4

Volunteer Handbook What We Believe

What We Believe

About GodGod is the Creator and Ruler of the universe. He has eternally existed in three personalities: the Father, the Son, and the Holy Spirit. These three are co-equal and are one God.

(Genesis 1:1, 26-27, 3:22; Psalm 90:2; Matthew 28:19; 1 Peter 1:2; 2 Corinthians 13:14)

About Jesus ChristJesus Christ is the Son of God. He is co-equal with the Father. Jesus lived a sinless human life and offered Himself as the perfect sacrifice for the sins of all people by dying on a cross. He arose from the dead after three days to demonstrate His power over sin and death. He ascended to Heaven’s glory and will return again someday to earth to reign as King of Kings and Lord of Lords.

(Matthew 1:22-23; Isaiah 9:6; John 1:1-5, 14:10-30; Hebrews 4:14, 15; 1 Corinthians 15:3, 4;Romans 1:3, 4; Acts 1:9-11; 1 Timothy 6:14, 15; Titus 2:13)

About the Holy SpiritThe Holy Spirit is co-equal with the Father and the Son of God. He is present in the world to make men aware of their need for Jesus Christ. He also lives in every Christian from the moment of salvation. He provides the Christian with power for living, understanding of spiritual truth, and guidance in doing what is right. As Christians, we seek to live under His control daily. The filling or empowering of the Holy Spirit for ministry is active today. We see the present ministry of the Holy Spirit in the exercise of all the biblical gifts.

(2 Corinthians 3:17; John 16:7-13, 14:16, 17; Acts 1:8; 1 Corinthians 2:12, 3:16; Ephesians 1:13;Galatians 5:25; Ephesians 5:18)

About the BibleThe Bible is God’s Word to us. It was written by human authors, under the supernatural guidance of the Holy Spirit. It is the supreme source of truth for Christian beliefs and living. Because it is inspired by God, it is the truth without any mixture of error.

(2 Timothy 3:16; 2 Peter 1:20-21; 2 Timothy 1:13; Psalm 119:105, 160; Psalm 12:6; Proverbs 30:5)

About Human BeingsPeople are made in the spiritual image of God, to be like Him in character. People are the supreme object of God’s creation. Although every person has tremendous potential for good, all of us are marred by an attitude of disobedience toward God called “sin.” This attitude separates people from God and causes many problems in life.

(Genesis 1:27; Psalm 8:3-6; Isaiah 53:6a; Romans 3:23; Isaiah 59:1-2)

Volunteer Handbook What We Believe

About SalvationSalvation is God’s free gift to us, but we must accept it. We can never make up for our sin by self-improvement or good works. Only by trusting in Jesus Christ as God’s offer of forgiveness can anyone be saved from sin’s penalty. When we turn from our self-ruled life and turn to Jesus in faith we are saved. Eternal life begins the moment one receives Jesus Christ into his life by faith.

(Romans 6:23; Ephesians 2:8-9; John 1:12, 14:6; Titus 3:5)

About SecurityBecause God gives us eternal life through Jesus Christ, the true believer is secure in that salvation for eternity. If you have been genuinely saved, you cannot “lose” it. Salvation is maintained by the grace and power of God, not by the self-effort of the Christian. It is the grace and keeping power of God that gives us this security.

(John 10:29; 2 Timothy 1:12; Hebrews 7:25, 10:10, 14; 1 Peter 1:3-5)

About EternityPeople were created to exist forever. We will either exist eternally separated from God by sin, or eternally with God through forgiveness and salvation. To be eternally separated from God is Hell. To be eternally in union with Him is eternal life. Heaven and Hell are real places of eternal existence.

(John 3:16, 14:17; Romans 6:23, 8:17-18; Revelation 20:15; 1 Corinthians 2:7-9)

Volunteer Handbook Volunteers: General Information

Volunteers: General InformationThe following information is important for you to know, regardless of where you serve. JourneyLand is a multi-faceted team serving many families. Please familiarize yourself with this essential information.

DowntownWhat is Downtown?JourneyLand Downtown consists of all children Infant through Kindergarten age. This area is a place where faith is introduced and the goal is low teacher/child ratios. The Bible is taught through Biblical stories, fun worship songs, and videos.

Our Nursery classes are divided by age and developmental levels, and available for children infant through age one. Children in our 2 year old – Kindergarten groups get an opportunity to experience large group worship time in the Clubhouse. The Clubhouse features dancing, singing, Bible lesson videos, and large group fun. These children also get to experience an age-appropriate small group environment. Downtown also features a comfortable area for nursing mothers to be able to privately watch the service and feed their baby.

For Downtown-age children whose parents are soaking and serving, the Downtown Dance Party is available during the 9:00 and 10:45 am services. Children must participate in one of the small groups during a regular service time in order to be eligible to participate in the Downtown Dance Party. Kids will have the opportunity to color, play, dance, sing, and hang out. These children also get a second opportunity to participate in The Clubhouse.

Ministry Roles in Downtown▪ Nursery Room Leaders – Those who serve in one of our nursery classrooms and spend

time sharing the love of Jesus by caring for some of the youngest kids in Downtown.

▪ Small Group Leaders – Those who serve leading a small group of children. Small group leaders are responsible for a classroom of children with fun activities that reinforce the lesson for the week.

▪ Downtown Crew – Students who assist a small group leader in a classroom.

▪ Clubhouse Host – Large group leader who acts as the emcee for the worship time, guides group through the video lesson, and is in charge of large group worship experience.

▪ Tech/Worship Crew – Middle school or high school students who assist during Clubhouse time in the areas of worship or tech. This role is usually filled in conjunction

Volunteer Handbook Volunteers: General Informationwith being a Downtown Crew member.

▪ Service Coordinator – Leader working within Downtown to keep the service running in a smooth and orderly fashion.

▪ Downtown Dance Party Leaders – Paid childcare workers and volunteers that keep the Downtown Dance Party safe and secure during the weekend services.

UptownWhat is Uptown?JourneyLand Uptown consists of 1st-5th graders. High-impact energy, fun and engaging teaching/worship, and intentional small groups characterize this area. A fun environment is the setting for kids to build relationships with each other and their leaders all while learning about God. Our high-energy worship and Bible lesson takes place in the Garage. After worship, our 1st-5th graders split into age-appropriate small groups to participate in activities and discussions that reinforce the lesson.

Kids whose parents are taking the opportunity to soak and serve can participate in the Uptown Gameroom during the first or second service time. The Uptown Gameroom is a great place for kids to relax, hang out, play some games, and have a snack while their parents serve at Journey. We also have a breakroom located in the Uptown portion of JourneyLand that is available for all JourneyLand volunteers serving that weekend.

Ministry Roles in Uptown

▪ Small Group Leaders – Small group leaders work with a group of age-specific kids in a relational way to assist them in growing in their faith and knowledge of Jesus.

▪ Garage Host – Leader who is the main communicator for the large group experience. This person also serves as the Service Coordinator for Uptown, keeping things moving in a smooth and orderly fashion.

▪ Uptown Crew – Students who assist an adult in the Garage or small group room.

▪ Worship/Tech – Adults and students who help to lead worship during the large group time and then step into the role of assisting with or leading a small group.

▪ Uptown Gameroom Leader – Paid childcare workers and volunteers that keep the Gameroom safe and secure during the weekend services.

Check-In and WelcomeThe Check-In and Welcome Team (aka Guest Services) is vital to our success. This is where families are greeted, children are checked in, and everyone is guided to their environments. Our check-in volunteers are warm and friendly and help our families have a safe and great experience.

Admin and Special EventsThese volunteers are individuals that come in throughout the week to help with jobs such as emptying and refilling small group bins, preparing for upcoming events, cleaning toys, and other tasks. This team is vital to the day-to-day running of JourneyLand.

SidekicksThese volunteers can be adults or teenagers who are partnered with a child with special needs to assist them however needed and ensure their safety during the service hour.

* Special Events such as JourneyLand Extreme (JLX) and JourneyLand Outdoors (JLO) follow the JourneyLand Handbook as closely as possible, with the exceptions being site specific.

Volunteer Requirements

Application & Background CheckAll volunteers (18 years and older) that have access to children must complete a JourneyLand volunteer application, a criminal background check, and training specific to their service area.

Volunteer Handbook Volunteers: General Information▪ Adult Volunteer: Adults 18 years or older can serve in any area of JourneyLand as a

volunteer or leader.

Volunteer Expectations

Arrive on TimeAll JourneyLand volunteers should arrive, check-in, and report to their ministry area 30 minutes prior to their volunteer service time (this is the time that appears on the schedule request you receive). This time will allow for a leadership-team prayer, classroom preparation, and connection with those you are serving with.

Be PreparedPlease come fully prepared and ready to go. That means checking JourneyLand.net/crew to review the weekly lesson plans prior to arrival. Verify your room is set and equipped upon arrival and notify the Service Coordinator or a JourneyLand Staff member if it is not.

CommunicateWe want to hear from you. Please direct questions, concerns, comments, and suggestions to Bryon Shaw, Megan Hollars, or Kenny Frame (Contact info is located at the end of the handbook).

▪ AbsencePlease inform a JourneyLand Staff Member as soon as possible

▪ SchedulingIn order to keep our room ratios in check we need to know which volunteers we will have each weekend. There are a certain number of adult and student volunteer spots in each service. If you have not accepted your scheduled request, a replacement will be found. We cannot guarantee service opportunities for adults or students who show up without notice on a Sunday morning.

Accept or decline schedule request(s) ASAP. This allows us time to adjust the schedule as needed. Do not decline a schedule request at the last minute. If you have dates you know you will not be available, you can block them out in advance using CCB.

Partner with JourneyJust as JourneyLand is a place where children are spiritually growing, we expect all of our volunteers to be growing spiritually as well. We expect all volunteers and leaders to grow in the following ways:

▪ Attend a Service (soak)Serving is great, but it doesn’t take the place of attending a service. Stay connected to how God is leading our church by participating in the adult services.

▪ Be ConnectedWe believe that life change happens best in the context of relationships. Join a J-Group (small group) or an Access Group (Bible study or class), or just get connected to

Volunteer Handbook Volunteers: General Informationsomeone who will help you grow spiritually.

▪ Contribute (serve)Christ wants His church body to be fully resourced. We do this through the giving of our time, talent, and treasure so that JourneyLand and the many other ministries of the church can continue to expand and serve others. Be willing to ask God how He wants you to use these to resource the body and then just do what He says. Together, through being the church, we can make a huge impact, that none of us could alone.

FriendsVolunteers may not bring friends who have not been pre-approved to volunteer with them.

DiapersOnly female volunteers 18 years or older may change diapers.

ComputersOur computers are for specific ministry purposes. They are not to be used for personal social media or general web browsing.

Cell Phones and Personal Electronic DevicesAll cell phones must be muted and used for emergencies only. Other personal electronic devices must not be in use while in the room with children.

AppearanceAll volunteers are encouraged to wear their JourneyLand-issued shirt. Additionally we ask that all volunteers wear their JourneyLand nametag for ease of parental identification. Please make sure your clothes are neat in appearance. Slacks, jeans, shorts (of appropriate length), or capris are highly encouraged as well. Ladies, if you wear a skirt or dress please make sure it is of appropriate length. Remember we will likely spend time sitting/playing on the floor!

HygienePlease help us prevent the spread of illnesses by keeping classroom surfaces sanitized and by washing your hands as appropriate:

▪ When you first arrive in a room (washing your hands)▪ After a diaper change▪ After accompanying a child to the restroom▪ After contact with body fluid (wiping a child’s nose, etc.)▪ Before handling food▪ Before leaving the classroom at the end each the service

Please instruct children to wash their hands:▪ After using the restroom▪ Wiping their nose▪ Before eating

Volunteer Handbook Volunteers: General Information

JourneyLand Policies & ProceduresThe following pages contain the policies and procedures for JourneyLand. It is imperative that all JourneyLand leaders and volunteers carry out the policies below.

Safety and Hygiene

Basic Safety Guidelines▪ Never be alone with a child.▪ Never leave a child unattended.

Appropriate TouchIt is our hope that JourneyLand is a warm, welcoming, and friendly place. We greatly value the safety of our kids! Failure to comply with these guidelines is grounds for immediate dismissal.

Physical contact should be age and developmentally appropriate and is only appropriate when done publicly.

▪ Extended hugging, tickling, or prolonged physical contact of any kind is not appropriate.▪ A light touch to a hand, shoulder, or back when encouraging is acceptable.▪ Lap sitting is only appropriate for children under two years old (babies). If a child is

insistent on sitting in your lap, move them to sit next to you or sit on your knees so they are not able to sit in your lap.

▪ Many children who are sad or upset can be comforted best by being held. Holding children is only appropriate in Downtown (Infant through Pre-kindergarten). Adults only.

▪ Never touch a child in any area that would be covered by a bathing suit ( except when changing a diaper or properly assisting a child in the restroom).

▪ Never kiss a child or coax a child to kiss you.▪ Never allow a child to touch you in a way that is inappropriate.▪ Our appropriate touch policies are for the protection of our children, volunteers, and

the church. When serving as a volunteer, you must observe these policies even with your own children who may be in your class (other observers may not know that you are the parent and we want to display excellence even in appearances).

Diaper Changes Only female adults are permitted to change a diaper. Wash hands before and after a diaper change. The use of gloves is strongly recommended. Prepare the table and gather supplies before bringing a child to the table. Disposable changing pads are available in nursery

Volunteer Handbook Volunteers: General Informationclassrooms. Use straps to secure the child. If straps are not present one hand must remain on

the child at all times. Never leave a child unattended on the table even if straps are in place. The changing table must be sanitized after EVERY diaper change. Diaper wipes, waterless hand sanitizer, and sanitizing spray will be available in each classroom. Bathroom AccidentsIf a child has a bathroom accident, two volunteers should take him or her to the nearest restroom to assist in cleaning up. If assistance is needed, send a volunteer to find the Service Coordinator. Volunteers are encouraged to use gloves in the child clean-up process. If needed, spare clothes are located at the Downtown check-in desk. Soiled clothes should be bagged up in a plastic bag to be sent home with the child. Both child and volunteers should wash their hands.

Accidents & EmergenciesPlease review our policies and procedures regarding accidents, incidents, and allergies, especially how we document both for occurrences and prevention.

Emergency Procedures▪ Fire – Follow classroom evacuation procedures and await instructions.▪ Tornado – Relocate all children to specified tornado zones and await instructions.▪ Abduction – Notify a staff member immediately; they will contact police.▪ Intruder – Secure children in room away from intruder and notify a staff

member immediately; they will contact police.

Classroom Evacuation▪ Our evacuation zone is directly across the back parking lot in the back field.▪ Before evacuating, count the number of children in your group/class. Verify roll

again when you arrive safely in the evacuation zone.▪ Babies: Place in evacuation cribs (four per crib) or carry only two per volunteer.▪ Downtown: Evacuation ropes will be used in each classroom for children to hang on to.▪ Once evacuated, please wait for further instructions from a member of the Journey staff.▪ Please stay with your group at all times. Do not leave to get your own children, to

obtain first aid, or for any other reason. First aid kits are located in your emergency bags. Additional help will be brought to the evacuation zone.

▪ Release children only to their parents and only after you have been given the okay to dismiss by a JourneyLand staff member; they will first verify all children are accounted for. Do not dismiss any children, of any age, to go on their own. Do not allow parents to take their child from your care during an evacuation process. Remind the parents they can walk with you but you cannot release a child until you have been authorized to release children.

▪ The lead will verify all rooms are empty before exiting the evacuation zone.

InjuriesIn the case of an accident, regardless of child or adult, inform a service coordinator or staff member right away. All classrooms are equipped with small first aid kits. If the injury requires minor aid such as a band-aid, a “Boo-Boo report” can be filled out. Along with care for larger

Volunteer Handbook Volunteers: General Informationinjuries, an incident form will need to be filled out and signed by the volunteer that witnessed

the event. The incident report also requires a parent and staff signature. If there is a spill of body fluid (due to cuts, nosebleeds, vomit, etc.), protective gloves must be worn.

Volunteer Handbook Volunteers: General Information

In case of a serious emergency have the Service Coordinator call 911, then notify a member of the JourneyLand staff: Bryon Shaw, Megan Hollars, or Kenny Frame.

Location of all First Aid KitsFirst aid kits can be found at the following locations:

▪ Downstairs check-in desk▪ All Downtown classrooms▪ All Uptown classrooms, break room, and the Garage (audio/video desk)

EmergenciesWe are not authorized to administer any over-the-counter or prescription medications. In the event a child needs more attention than we can provide, the parent will be notified. Exceptions will be made for Epi-pens and similar medications administered by specified JourneyLand Staff or volunteers.

Serious injuries involving broken bones, convulsions, fainting, unconsciousness or other serious bodily injury should be treated as follows:

▪ Remain calm and keep the children and the injured person as calm as possible. Speak calmly to the child.

▪ Do not move or leave the injured child alone.▪ Send a fellow volunteer to find a coordinator or staff member for assistance.▪ The coordinator or staff member will call 911 if necessary.▪ The coordinator or staff member will contact the parents.▪ If the child is to be transported to a hospital and the parent cannot be located in time,

a staff member will accompany the child to the hospital.▪ The staff member will follow up with the parent as needed.▪ All volunteers and staff members involved in the emergency will write out a report

of what happened immediately following the emergency.

Well Child PolicyIn order to promote health and wellness in all children, JourneyLand is for well children only. Therefore, if you become aware that a child has had any of the following symptoms within the past 24 hours, please do not admit him or her into your classroom.

Fever over 100 degrees Chronic coughVomiting Pink eyeDiarrhea Parasites (nits, lice, mites, ring worms, etc.) Unexplained or contagious skin rash Bleeding/wet diaper rashRunny nose (yellow/green discharge)

If a child enters JourneyLand, and one of the above symptoms is found, contact the check-in counter and have them page the parent immediately. A service coordinator or staff member will tactfully explain why they are being paged and invite the child back when

Volunteer Handbook Volunteers: General Informationhe/she is well.

IncidentsIn the case of any non-accident or injury incident that is a cause for concern, please inform Service Coordinator or a JourneyLand Staff member right away. This may include behavior that indicates possible abuse, inappropriate talk or touch from one child to another, or any other incident that a parent or JourneyLand staff needs to know. In addition to a conversation with a Service Coordinator/Staff Member, an incident form will need to be filled out.

Incidents that require a parent to be alerted during the service include:▪ Extreme emotion by a young one who cannot be calmed▪ Moderate and severe injuries▪ Repetitive discipline issues

o First Disturbance: Use a firm gentle voice to give a warning and redirect the child. Voices are never to be raised.

o Second Disturbance: Leader discusses the inappropriate behavior with child away from other children. The child is removed from the activity and age-appropriate discipline is applied (e.g. calming down by themselves or time out)

o Third Disturbance: Request assistance from Service Coordinator or Staff Member for appropriate discipline including the possibility of contacting the parents.

Other JourneyLand PoliciesSpecial Needs

JourneyLand desires to provide an opportunity for children with different abilities to learn about God’s love for them in practical ways. Currently this is accomplished by incorporating them into our normal JourneyLand services, enabling them to interact with their peers and teachers in their respective environment. JourneyLand volunteers strive to specifically serve those children who have special needs by providing buddy (aka a “Sidekick”) in the classroom if possible, and by facilitating the child’s involvement, so that the child may get the most possible benefit out of his/her time at JourneyLand.

While we believe that all children, regardless of ability, need to hear of God’s love for them, we may not currently be able to provide a developmentally appropriate environment for all children at this time due to limitations beyond our control. We apologize and ask for your understanding if this should occur.

Snack Policy We do not promise that we will be able to feed the children in our care. Snacks such as puffs, cheerios, and goldfish are available for children in our Nursery

classrooms. Tags should be checked for allergies before giving snacks to a child.

Volunteer Handbook Volunteers: General Information Snacks are available for children participating in the Downtown Dance Party and

Uptown Game Room. Tags should be checked for allergies before giving snacks to a child.

Picture PolicyPlease do not post pictures of the children to social media unless a JourneyLand Staff member first approves it.

Locked Door Policy

For the safety of our children, and to eliminate distractions to the large group and small group experiences, the doors to Downtown and Uptown will be locked 15 minutes after the start of the service. The doors will be re-opened at the end of service. Any parents needing to pick up their children early should report to the Downtown check-in desk for assistance.

Break Room Policy

The break room is stocked with snacks and drinks available for volunteers who are serving that Sunday.

Because the break room is a great place for our volunteers to be able to watch the service, we ask that once service begins traffic in and out of the break room be kept to a minimum.

Children are not allowed in the break room. Snacks and drinks are for JourneyLand volunteers only.

Bathroom PoliciesBelow are bathroom policies for the various bathrooms our kids use on a regular basis. Never allow yourself to be in a bathroom with a child alone. If a child needs assistance in the restroom, one volunteer is to take the child from the classroom to the bathroom located in Downtown hallway or the Garage, where more volunteers should be available to assist if needed.

Bathrooms within Downtown If a child can go on their own, let them (just stand by the door ready to help if needed) If a child needs help or hasn’t finished up after some time, talk through the door or

slightly crack the door so you can talk without looking. If your assistance is required, another volunteer can watch you; you are not to be alone

with a child in the bathroom. Do not let the children close the door all the way or lock the door (Keep the door slightly

ajar so you can hear what is going on).

Bathrooms within UptownPlease use only the restrooms located in the Garage.

Before allowing kids into the bathroom, check to make sure there are not adults

Volunteer Handbook Volunteers: General Informationteenagers in the room. While kids are using the bathroom, do not allow adults or

teenagers to enter. Line kids up along the wall outside the bathroom allowing them to take turns

(if the bathroom can accommodate multiple kids, let a few in at a time). If a child needs assistance, only enter the bathroom with another adult in the doorway

watching you. If the bathroom is within line of site of the classroom, elementary children may walk

to the bathroom in a group of two to three. Before letting children leave the room, a volunteer must first sweep the bathroom to ensure that another adult or teenager is not in the bathroom.

or Volunteer Identification and Visiting Adults We make every effort to keep JourneyLand secure and safe. Below are our policies concerning adults in JourneyLand.

Volunteer Identification All volunteers are required to wear a nametag while in a classroom. Volunteer

nametags can be picked up at the check-in computer each week. If you are unable to print a nametag, notify someone at the Check-In Desk. All volunteers should wear a JourneyLand T-shirt while serving.

Visiting Adults Unauthorized adults are never allowed into a classroom. If an adult is interested in observing, they must register as a visitor at the check-in

area where we will keep their photo ID and they will wear a visitor tag (these visitors are not allowed to interact with children in the classrooms).

Fifteen minutes after service begins, only authorized adults are permitted in the JourneyLand area (volunteers with nametags, adults with claim tickets, Identifiable Jouney Staff members, and authorized visitors with visitor tags).

Any adult or teenager seen in the hallways without proper identification must be asked to leave the area (also contact a staff member).

Parents Parents are discouraged from entering early childhood classrooms (on some

occasions a parent can stay for a few minutes to help their child settle in – this must be approved by the Lead or a staff member)

Once the service is over, parents with a claim ticket are allowed to enter the hallways to get their children. Volunteers will check the tags and bring their children to them.

Nursing moms are not allowed to nurse in the classroom. Moms need to check out their child using normal procedures before taking their child out of the room to nurse. They are more than welcome to use our Downtown nursing room

Volunteer Handbook Volunteers: General InformationChild Drop-Off

Downtown▪ Children should be dropped off at the child’s classroom.▪ Small Group Leaders should be at the door, checking in children and greeting parents.

Downtown Crew members are to be available to receive the children as they come into the room. Small Group Leaders need to be attentive to parents at the door dropping off children later in the service.

▪ Never let unauthorized adults in the room.▪ If you suspect a child is in the wrong age group, or you are concerned with the amount

of children in your class, admit them to your room and then contact the Service Coordinator, who will work out the details and alert the parents if the child needs to be moved.

Uptown▪ Greet families at the door and ensure that children have been assigned to the

correct group (get down to their level and say, “Hey there, so you’re in the first grade, huh?” This will ensure that they were assigned to the correct group).

▪ Never let unauthorized adults in the room.▪ Check-in volunteers will escort new children to their appropriate classroom.

Child Pick-Up

Downtown▪ Small Group Leaders greet parents at the door. All classroom volunteers must oversee

the departure of children.▪ Small Group Leaders must check the parent’s security tag and match it to the child’s

tag number. Once this match has been made, they are to mark the attendance sheet verifying the child has been picked up.

▪ Never allow access to a child until the security tag match has been made.▪ Children’s nametags are to be collected at the door and left on the roll sheet

(Children are not permitted to keep their nametag after leaving their room).▪ If a parent does not have their security tag, and cannot find it, advise them to return to

the check-in desk, where a lead will verify their ID and help them reprint their tag.▪ If anyone ever pushes their way in at any time, or takes a child without permission,

call for help immediately.▪ After most of the children have been picked up and you have tidied up and collected

your belongings, any children left in your classroom can be taken to the Downtown Dance Party to await their parents.

Uptown▪ When the service is over, parents are permitted to enter the hallway of the Garage

and pick up their child from one of the checkout volunteers.

Volunteer Handbook Volunteers: General Information▪ One volunteer is stationed at the entrance checking that every adult entering the room

has a claim ticket. Another volunteer is stationed at the exit matching claim ticket to children’s nametags. Children’s nametags are to be collected at the door. (Children are not permitted to keep their nametag after leaving their room.)

▪ Children remaining in the Garage after most of other children have been picked up can be taken to the Uptown Game Room to await their parents.

Paging ParentsIf you should need to call a parent at any time during a service, bring the child (if possible) to the Guest Services coordinator at the check-in desk. The Service Coordinators will take the security tag number found on their nametag and page the parent.

Lost Tag ProcedureIf a parent or guardian has lost his/her tag, contact a Service Coordinator or Staff member. Your initial response can be something like:

“I am not authorized to release children to parents without a receipt. We have security processes in place to protect your children and I am sure you understand the importance of your child’s safety. Please return to the check-in desk where a volunteer will help reprint your tag.”

At the check-in computer:▪ Search for the name of the child.▪ Verify that the name on the ID is an authorized person to pick up the children in

that household.▪ If the person’s name is not listed, contact the authorized person by phone, email, or text.▪ Take all necessary measures to verify that child can be released to this person.▪ If attempts at contact are unsuccessful, escalate to higher authorities in the church

(staff) so the decision to release can be made by them.

ID Verification with no Photo ID▪ Follow the previous verification procedure. If everything appears correct, then proceed.▪ Ask the person to verify the child’s date of birth.▪ Ask them to verify the home address, phone number, mobile phone, etc.▪ Ask them to verify the other members listed in the household and their position in

the family.▪ If they are not present in the child’s household, search for them to verify

the information.▪ If the above information can be provided accurately and confidently, the child may

be released to that person.

Volunteer Handbook Volunteers: General InformationChild Release

Once the person has been verified, the child can be released. Only a staff member can escort the verified parent back to the classroom and verbally authorize release of the child.

ConsistencyThis procedure is designed to protect children, volunteers, and the church. Volunteers sometimes compromise on this procedure when facing an impatient/angry parent or if they know the parent. Compromise once and you’ll end up compromising every time. Hold the line and we will have a safe environment that our parents can trust.
