EXECUTIVE SUMMARYA project is a temporary endeavour undertaken to create a unique product, service or
result (PMBOK® Guide 2008).
Project Management is the application of knowledge, skills, tools and techniques to
project activities to meet project objectives and requirements (PMBOK® Guide 2008).
A program is a group of related projects managed in a coordinated way to obtain
benefits and control not available from managing them individually (PMBOK® Guide
2008).
Projects and programs are driven under four related constraints, i.e. scope (or
requirements), time (or schedule), cost (or budget), and quality (or performance):
It is in the light of the above that our study group undertakes the journey that MBL
study programme represents.
We consider our MBL1 study year as a program having our elected study group
leader as program manager, and each MBL1 assignment as a project having the
assignment team leader as project manager responsible for the successful delivery
of the assignment (all questions answered appropriately and on time).
To bind us as a group we chose a group name, established our vision, mission
statement and core values that we shall abide by.
To map our journey ahead we established a project charter or project management
plan including project objectives and requirements, project schedule, project budget,
project performance targets with a reward or incentive system, as well as a penalty
system to control and police our members.

INTRODUCTION
Based on the information provided in MBL1 2008 documentation and the
recommendation made by MBL staff and lecturers during the first study school, our
group identified MBL1 as a program and the group assignments as projects. We
defined roles and responsibilities, listed all human and physical resources available
for the study year, developed our MBL1 program scope of work and associated WBS
(Work Breakdown Structure), assigned resources to all assignments and underwent
a workload / skills balancing exercise, developed our program schedule and
associated Gantt chart, defined assignment project milestones, identified, analysed
and mitigated risks, established and agreed on both project performance (including a
reward or incentive system) and individual non-performance (including a penalty
system), and finally defined a program and project control method and measures.
The first 15 pages of this assignment cover all of the above in detail and the following
Annexures A to R provide for the required supporting documentation.

Besides the abovementioned list of assignments MBL1 group members must attend
two compulsory 1-week study schools, write mid-term tests and finally write year-end
exams.

MBL1 Assignment MilestonesThe assignment project milestone dates have been worked out backwards, starting
from the assignment due dates.
Kindly refer to Annexure M for the planned and actual dates (so far) for MBL1
assignment milestones, as well as variances.
MBL1 CostingThe two main costs identified are study fees to UNISA SBL (R29 580 payable in 3
installments) and Study Group fund contributions (2 x R500 per member).
The group believes there is no need for formal EVM (Earned Value Management).
MBL1 Program Risk ManagementA risk is defined as an uncertain event or condition that, if it occurs, has a positive or
negative impact on a project objective (PMBOK® Guide 2008), or as an uncertain

event or set of circumstances that, if it occurs, will have an effect on the achievement
of the project objectives (APM PRAM Guide).
As noted by Dr. David Hilson (www.risk-doctor.com), a risk can be positive
(opportunity) or negative (threat). But either opportunity or threat, a risk is an
uncertainty that pertain to project objectives.
Project risk management includes the processes of Risk Management Planning (this
paragraph), Risk Identification, Qualitative Risk Analysis, Quantitative Risk Analysis,
Risk Response Planning, Risk Monitoring & Control and Create & Maintain a Risk
Management Database (Meredith J. R. & Mantel S. J. 2006).
Risk IdentificationA SWOT (Strengths/Weaknesses/Opportunities/Threats) analysis and brainstorming
workshop were the main techniques used to identify these risks.
A specific metalanguage has also been adopted to assist the group with the
formulation of the identified risks.
Risk Qualitative AnalysisBelow are the risk probability and impact definitions agreed upon for each of the
three possible values a risk probability or impact can have, i.e. High, Medium and
Low.

Should a risk impact have different ratings across the different impact categories the
highest impact rating shall prevail as overall rating for the risk impact.
Following IRM’s (Institute of Risk Management) definition of a risk as a combination
of the probability of an event and its consequences, once the risk probability and
impact have been determined, the overall risk severity or exposure is determined
according to the PxI (Probability x Impact) risk matrix below:

The group believes that there is no need to execute a quantitative risk analysis (e.g.
Monte-Carlo simulation) for the identified risks.
Risk Response PlanningThe possible risk responses considered for a threat are Mitigate, Transfer, Avoid and
Accept. The possible risk responses considered for an opportunity are Enhance,
Share, Exploit, and Accept. (PMBOK® Guide 2008)
Kindly refer to Annexure O for the list of program & project negative risks (threats)
and positive risks (opportunities) identified so far, as well as a qualitative analysis and
response planning for each identified risk, including residual and/or secondary risks
where necessary.
Risk Monitoring & ControlRisk Monitoring is included in each group meeting agenda as on-going concern.
MBL1 Program and Project PerformanceFor optimum performance and excellence all world-class companies must monitor
performance and manage non-performance.
Considering MBL1 as our program and each group assignment as a project, our
group decided to adopt the 5 levels below to measure performance:

MBL1 Assignment Team PerformanceOne of the best ways to encourage performance is to agree to and establish a
reward or incentive system.
Amabhubesi Phambili will reward the assignment team members of the group
assignment that scored the highest of the 6 group assignments of the “semester” with the following
weighting system:

The funding for this reward or incentive should be R500 (five hundred rand) per
group member payable in full on or before 15 May (for the first semester) and a
further R500 (five hundred rand) per group member payable on or before 15 August
(for the second semester) to the Group Treasurer.
In the unfortunate event that a group member drops out during the study year such
group member shall not be entitled to any refund.
Should two group assignments receive the same highest mark then the total reward
or incentive amount shall be split into two halves and the above distribution rule shall
be applied to each half.
Example: Let’s assume the assignment team composition of the group assignment
that received the highest mark among all 6 group assignments for the first semester
is as described below. The total reward or incentive amount of R4 500 (for the first
semester) shall then be distributed by the Group Treasurer as follows:

MBL1 Individual Non-Performance
Group Member Non-PerformanceOur group considered that any group member who does not attend any of the
compulsory study school dates, or who misses one or several test dates or who
misses one or several exam dates penalises him/herself so much already that it is
pointless for the group to further penalise such group member.
The group however felt the need for penalising group members for not attending or
for being late at scheduled group meetings as follows:

After a verbal warning on the first occurrence, the penalty shall be collected on the
day of the second occurrence or at the following group meeting by the group
treasurer from the group member at fault, and allocated to the Study Group Fund.
Assignment Team Member Non-PerformanceIt is the responsibility of the Assignment Team Leader whether or not to apply the
above penalty system to his assignment team.
Should an Assignment Team Leader decide to apply it he or she shall apply it fairly
and consistently across all assignment team members.
In case of not showing up or non-contribution of a team member to the assignment
team or non-delivery of an assignment task fairly allocated to him/her by the
assignment team leader, the assignment team leader shall issue a written warning
(e.g. via email) to the team member at fault including an extended deadline for
his/her outstanding task.
Should the same team member still not participate or not contribute or fail to deliver
his/her task for a second time then the assignment task will be reallocated to another
team member and a 5% (five percent) assignment contribution penalty shall be
applied by the assignment team leader to the team member at fault.
The assignment team leader shall notify the guilty team member in writing (e.g.
email) and copy the study group leader who, after having received confirmation from
assignment team leader, shall notify in writing the SBL Programme Administrator of

the contribution reduction to 95% (ninety five percent) for the team member at fault
for this assignment only.
Should the same team member still not contribute or fail to deliver in time another
task fairly allocated to him/her by the assignment team leader for a second time then
a further 10% (ten percent) assignment contribution penalty shall apply as per the
process described here above, hence reducing the contribution of this team member
to this assignment to 85% (eighty five percent).
Should a team member not participate at all or not contribute at all or fail to deliver in
time all the assignment tasks assigned to him or her, the assignment team leader
shall inform the group leader of such non-performance and the possibility of
allocating a 0% (zero) assignment contribution to such team member for the
corresponding assignment shall be discussed (and if necessary voted on) at the next
group meeting.
Penalty for No Assignment Review & FeedbackShould a group member not review or not give written feedback to the assignment
team or assignment team leader on the assignment first draft then such group
member shall be penalised as follows:

Penalty for Late AssignmentShould a group assignment not be submitted on time (i.e. after assignment due date
as per specified by SBL) the assignment Team Leader whose responsibility is to
ensure completion and submission of the assignment in due time shall be personally
and severely liable to the group for a fine of either:
R500 (three hundred rand) if a request for extension has been submitted by
him/her and accepted in writing by SBL Programme Administrator, and
provided that the assignment was submitted by the extended due date and
that the extension acceptance was submitted along with the assignment as
annexure; or:
R1 000 (five hundred rand) in all other cases.

Penalty for PlagiarismShould the UNISA Disciplinary Committee find a group member guilty of plagiarism
such group member shall be personally and severely liable to the group for a fine of
R1 000 (one thousand rand).
The onus is on the assignment team leader to keep track or record of the team
members’ contributions. If the guilty team member cannot be clearly identified the
assignment team leader shall be liable for the penalty.
Penalty PaymentAny penalty is to be paid by the guilty group or team member to the Study Group
Treasurer within 7 (seven) days of such group or team member being found guilty.
Penalty RefundIn the unfortunate event that a group member drops out during the study year such
group member shall not be entitled to any penalty refund.
MBL1 Project Control and MeasurementControl, monitoring and measurement needs to take place for each MBL1 project, as
well for overall MBL1 program.
MBL1 Group Meeting ProjectAll our group members (including our group leader) are required to sign an
attendance register for each group meeting. (See Annexure P)
The Minutes are taken by the group leader for each group meeting, including late
arrival / early departure and absence, Decision Log and Action List with an Owner
and a Due Date for each action. (See Annexure Q)
MBL1 Study School ProjectUNISA SBL already put in place an attendance register to be signed daily by each
group member (student) during the duration of the study school. Our group leader
ensures and verifies signing of the register by each of his group members.
MBL1 Assignments ProjectThe Assignment Milestones – Variance matrix (see Annexure M) enables the group
to control and monitor project assignment milestones.

By capturing the actual milestone/delivery dates the group can track and measure
the assignment team’s performance against agreed assignment milestones and
timelines.
MBL1 Test ProjectThe group leader must send a reminder to the group 48 hours ahead of a test date,
as well as the morning of a test date to ensure 100% attendance on that day.
MBL1 Exam ProjectThe group leader must send a reminder to the group 48 hours ahead of an exam
date, as well as the morning of an exam date to ensure 100% attendance on that
day.
MBL1 ProgramBefore writing the exams in October the group leader shall calculate the minimum
score required per subject/module (40% or higher) for each group member, given the
group assignments marked so far and the individual test scores.
MBL1 Program Lessons Learned

group.
As recorded lessons learned are only useful if taken into consideration and acted
upon, the Annexure R is divided into two parts, the first one being the lessons
learned descriptions, positive or negative, with their categories, and the second one
being the recommended actions or solutions with their priorities
((Low/Medium/High/Critical), owners and statuses.

ANNEXURE A – MBL1 GROUP RESPONSIBILITIES PER ROLE
Study Group Team Leader To be a study group member.
To serve as formal liaison between the SBL and the study group.
To notify the Programme Administrator of any changes within the group.
To substantiate a request of a group member to join/leave the group in a letter to the Programme Delivery Manager, stating that the
group members have discussed the case, have reached consensus on the matter and have indicated their willingness to accept the
change (or otherwise) of group membership.
To represent the group at Group Leaders’ meetings during study schools.
To ensure effective and efficient communication amongst the study group members.
To ensure distribution to all study group members of the lecturer’s comments, upon receipt of marked group assignments.
To facilitate the establishment of a study group schedule for group meetings (including dates, times, venues etc.) for the duration of the
programme, at the start of the academic year.
To maintain and update the study group schedule with input from the group.
To keep an attendance register of all meetings held.
To establish an assignment schedule (including milestone dates for each assignment) for the duration of the programme, at the start of
the academic year.
To keep track of study group commitments.
To report on overall study group performance and apply corrective measure(s) or action(s) where and when necessary.
To organise the appointment of a Chairperson or Team Leader for each group assignment, so as to spread the workload evenly within
the study group.
To ensure fair, open and democratic conflict resolution when necessary.

To discuss and address a group member’s poor performance (e.g. group member not actively participating in group meetings and
discussions and/or not contributing to group assignments) with the assignment Chairperson or Team Leader first, then with rest of the
study group if unresolved; and if decided upon by the group, notify the Programme Administrator that the said group member should be
partially or totally excluded from the corresponding group assignment mark.
To notify the affected member in writing of such penalty and send a copy of the letter (this may be done electronically) to the
Programme Administrator.
Study Group Treasurer To be a study group member.
Not to be the study group leader (to ensure segregation of duties).
To be personally and severely responsible for money collection, storage (e.g. savings account) and redistribution, as decided by the
study group.
To be accountable for keeping a record of all transactions (pay-in and pay-out), e.g. for group social events, team building events,
penalties, rewards, etc.
To step up as temporary group leader, should the current group leader be unavailable for a group meeting.
Study Group Member To be a member of the "Amabhubesi Phambili" MID0108A study group, as finalised by the MBL1 Programme Administrator.
Assignment Team Leader (= Assignment Chairperson) To be a member of the assignment team.
To manage the assignment project lifecycle and adherence to assignment milestones and activity dates.
To report on the assignment progress at study group meetings.
To assign responsibilities and tasks to the assignment team members.
To appoint a Secretariat person for the assignment.
To communicate with the study group leader when necessary.

To resolve conflict within the assignment team fairly, openly, and democratically.
To escalate unresolved issues to the study group leader when necessary.
To evaluate non-performance and decide on penalties for assignment team members.

member.
To schedule assignment team meetings (i.e. date, time, venue and agenda).
To define the structure of the assignment response.
To incorporate inputs from all assignment team members.
To ensure that the assignment first draft is submitted to the whole study group for review and feedback on or before due date.
To ensure the feedback received from the study group is reviewed by the assignment team and included into the assignment, as
appropriate.
To ensure that the assignment is submitted on the EDS Online in the prescribed format and on or preferably before due date.

Strategy & ApproachThe division of the group in team for each assignment has been discussed and adopted.
The roles with an assignment team have been discussed. The responsibilities for each assignment team role have been discussed, but not finalised. The assignment milestones and dates have been discussed. The assignments requiring a company interview have been identified. The company identification must be based on relationship and give preference to BBE SME where business feedback would be most

ScheduleThe Group Year Planner has been presented and reviewed.The best approach for scheduling group meeting was subsequently discussed.
Discussion followed regarding the best approach to assignment milestones. The possibility of MBL Alumni interviews has been presented and well received by the group.8 Group Member Skills Group members rated themselves across the 6 MBL1 subjects/modules (from 6 - highest to 1 - lowest). Group members expressed their preferences regarding the different assignment participation. Once the group member preferences were captured on a spreadsheet, a workload balancing exercise followed by a skills balancing
exercise took place. All group members participated in a flexible manner.9 Group Building Event The idea of a team building event has been discussed and adopted. Date of social event for Study School 1 discussed and confirmed for Wednesday 20/02 evening (6:00 p.m. to 8:00 p.m.)

8 Study Group Preparation
The group reviewed the Study School 1 To-Do list prepared by Patti.Only a few amendments were made ("Slides" column added and prescribed book chapters updated for Economics).
Christine explained to all that the Study School preparation for HR module includes HR Manager and/or Director interview. Francois distributed to all group members' memory sticks the latest information downloaded from EDS Online. Francois recommended to all that due to time constraints, slides should be given priority w.r.t. Study School preparation.
9a Assignment Teams Kagiso provided Francois with his module ranking. Archie updated her module ranking. Francois mentioned the need for redoing the balancing exercise, once Kagiso had read through the assignment description.
9b Assignment Roles & Responsibilities
Assignment responsibilities reviewed and accepted.Francois recommended updating them to include the instance of a team leader or team member leaving.The group discussed the different possible scenarios and agreed on the default actions to be taken.
There is no need for Group Chairperson and Group Secretary roles.These roles are actually at assignment level (called respectively Assignment Team Leader and Assignment Team Secretary).
The group questioned one of the decisions made at the previous group meeting, i.e. responsibility to submit an assignment final copy on time lies with the assignment team lead, mentioning that UNISA SBL's instruction is that it is the group leader's responsibility.
10 Assignment Milestones The new Assignment Milestone Dates sheet has been presented and reviewed.Francois explained the color coding for each of the 3 sections (Plan, Actual & Variance).
K1 ON TRACK - Christine reported that the company selection is done and first draft started. L1 ON TRACK - Francois recommended the L1 assignment team to meet one evening during the Study School.

The members' input were tabled by the Group Leader and read by Jean.Amabhubesi Phambili vision, mission statement and core values came out from the brainstorming session and were adopted by the group. (See Decision Log for detail)
Sylvester proposed the acronym PRIDE LTD to represent our core value initials. All group members agreed.6 Group Treasurer Sylvester unanimously elected as Group Treasurer. He accepted the role and responsibilities.7 Plagiarism Group members unanimously agreed to not to do plagiarism.
Sylvester accepted to draft a non-plagiarism pledge (1 page) to be signed by all group members.
8 Performance Rules The draft performance rules were read by Christine, discussed and adopted without amendments.A total funding amount of R1 000 per group member (R500 per member per "semester") was accepted by all.
