Student Leadership Conference Update – Frankie Moore

- The committee is on a role. Nine (9) colleges have sent in registration.

- Lindsay does not have too many presenters just yet; Confirmed are Stephanie Vance, Bruce Bishop, Sesario &

Flor for workshop presenters ; Victoria Worch and Kelly Munson have also said that they will do sessions, but I

have only received one call for programs form from Sesario & Flor; Next Friday is the deadline

- Lindsay is working with Rich Copenhagen, SSCCC President and the 2 SSCCC VP’s.

- Linda Michaelowski will be attending the leadership conference and she has agreed to give a chancellor’s office

update to us advisors.

Professional Conference 2013 - Carlos A. Maldonado

- Napa is $30.00 more per room and the meeting room space was higher than Tahoe option.

- Carlos suggested emailing out the dates for members and making a decision at the next meeting.

Review of 2012-2013 Master Calendar – Sergio Lopez

Email any new information to Tzoler Oukayan and she will update calendar as needed.

CCCSAA By-Laws - Sergio Lopez

- Discussed the conflicting information about how and when scholarship amounts are determined.

- Sergio will revise By-laws Article XIII – Scholarships and send it to the membership for review and approval at

the October 2012 Business Meeting.

CCCSAA Fundraiser - Sergio Lopez

- Date of trip has been determined: June 28-July 8, 2013

- We need to decide on the drawing date so that winner has enough time to ask for the time off.



- Deadline to send in tickets for those not attending Pro-Conference is March 15, 2012

- Have registration for about 100 students & advisors.

- Developing text for the Student Senate Liaison position and reviewing the MOU.

- Last SS meeting went well. The VP of Advocacy gave a very good and extensive presentation.

- March in March structure and format was discussed --- concern over those students actually advocating vs.

those who do nothing.

- General Assembly: information was going to go out this week for registration;

Southern Area Representative: Lindsay Kretchman

- Working on recruitment draft with Flor to send out on list serve. Plan is to get it out before the conference.

- Received just over $3,000 in membership dues; Membership dues have been deposited.

- All checks from membership dues were made out to CCCSAA c/o Carlos Maldonado, College of the Desert. We

should all cross our fingers that the Cabrillo bank doesn't reject them . . . if it does . . . we will have a new

problem.

- Assuming we are going to go through with the Hawaiian Vacation Scholarship Raffle, I want to suggest that we

have all of those checks made out to CCCSAA-Cabrillo College.

Secretary: Tzoler Oukayan

- Sent out the Master Meeting Schedule for 2012-2013 with the dial-In numbers.

- Please email any important dates that come up so that we can update the Master Calendar as needed.

Past President: Carlos A. Maldonado

- Last RFP were mailed out this week and we should be receiving it by this weekend. We have received the RFP to

transfer the remaining balance to Sesario’s college. Scholarship payments will also be coming soon after as

well. Carolos will continue doing memberships and mailing check to Sesario.

- Working on logistical stuff with the conference committee. Very excited about the upcoming conference.

Currently also working on a scholarship timeline for this new year.

o The board would like to take this project on and help the membership get access to the group rate. We

- A conference meeting will be put together for next Thursday, August 2.

- Conference theme: “Student advocating for Students: Our Future Leaders”

- The early-bird incentive: not to do it because it adds another tier to the registration process.

- Frankie Moore was able to connect with the football player but they were unable to work with our budget.

Waiting for Adrienne Thompson to get approval from her campus; she is very willing to serve.

Attended the SSCCC Retreat, there were 23/30 Senators attended. The liaison in attendance: Linda and Kimberly

from Chancellors Office & 2 student representatives from Board of Governors, 1 from Student Trustee Association;

Carlos and Frankie from CCCSAA.

The association elected their Officers. 1 President, 2 Vice Presidents (external & internal), Treasure, Communications

Officer. No parliamentarian.


Thank you Mike and Flor for the help in transitioning me into the position. We met yesterday via conference call and

set our goals for the upcoming year and I was very appreciative of their time and all of the information and

documents that were passed on and that I look forward to working with Flor this year. Flor and I are planning to

continue forward with a lot of what her and Mike worked on last year, to stay consistent with what they had been

working on and talking to the membership about.


I looked forward on working and collaborating with Lindsey. We will strongly outreach to the membership and

make ourselves available. We will also work towards coordinating the webinar one for the fall and spring. We are

hoping to still be allotted $800.00 in the budget in order to hire a presenter. I really appreciate Mike's help,

support and leadership. He is awesome! In our next meeting Lindsey and I will report back on the above with

progress on our outreach, and webinar.

A lot of colleges across the state are currently in risk of losing their accreditation. We need to really put student

affairs professionals and what we do on the front burner in discussion this year. this is a big concern and we should

- Hotel has extended rate date; hotel is completely booked Friday night.

- Casino Night & DJ confirmed; working on Hypnotist; need someone to work on Ice Breakers;

- Complimentary Self-parking for our Staff

- Programs/Workshop:

o Trickling in and doing well with numbers with the final push

o 20-21 total presenters


- Sesario has sent the email.

- Will be voted on by the membership at the fall conference


- Decided that all tickets and money will be sent to Sesario

2013 CCCSAA Student Leadership Conference – Discussion Item - The General Assembly is scheduled for November 8-10, 2013 & November 1-3, 2013. If we stick to our

original dates in October, we should be okay. We will be sending out the RFP. - Primary date for CCCSAA: October 18-20,2013… followed by October 25-27, 2013

2013 CCCSAA Professional Conference- Discussion Item - March 26-28, 2013 were approved - Carlos Maldonado will have a contract to consider by the next board meeting

New Business

Issues related to 2012 Student Leadership Conference - Discussion Item - It seemed everyone had a good time, thank you to everyone who were so flexible and helpful. It ran as

smoothly as logistics can. - We only needed to cancel 2 of the workshops, which worked out fine. - Frankie has requested refunds for those who did not attend; we do need a refund clause in the future

registration forms - We do have outstanding money from advisors - Napa Valley is trying to justify refund funds in regards to food poisoning, needs to follow up with the

college - Thank you Frankie for all the hard work and putting p with the challenges. - We have a few more outstanding expenses that came up including extra audio/visual, printing, meals, etc. - Looking at approx. profit of about $36,000 - West Valley Mission College sent a check, but we have NO paperwork submitted for the conference. The

advisor is also NOT a paid member. We need to get this cleared up. Their check reads CCCSAA, post-conference dues.

- Issues: o We have advisors who have not paid their membership dues, but they have paid membership fee.

They are not new advisors, they are regular advisors. o Sesario suggests to send an invoice for what is outstanding and note that until the outstanding

fee is paid they will not be able to participate in CCCSAA activities.



o Board needs to take this issue to the membership at the Professional Conference and make a decision on how we want to handle such issues in the future; We can understand if the issue was with new members, but the majority are veteran members.

o We will use membership not paid as of October 31, 2012 as those we will invoice non-member/member registration difference.

Recruitment goal for 2012-13 - Registered 51/83 colleges; recruitment should be on the front burner - We need to increase recruitment at the General Assembly. It is definitely something to invest in.

2013 Scholarship – Discussion Item o November 26, 2012 applications will be emailed; March 8, 2013 will be the deadline deadline o Michael will form the scholarship review committee between January and February. o Announcement of recipients will be released on April 10, 2013.

- Attended GA this weekend. 57 colleges present; not many resolutions presented.

- Frankie has the evaluations from the conference and will be sending them to Michael this week.





- We have ~$91,000.00 balance

- About $15,000.00 in payments needs to be issued according to Frankie.

March in March 2013 – Sergio Lopez - Is CCCSAA interested in assisting with SSCCC? Frankie has been serving on the committee voluntarily, to

see if we can assist them.

Lost two VPs in the last few weeks, they are trying to overcome challenges and moving forward.


Working on membership list with Flor and start contacting individuals once list is complete


Working on paid membership list which there seems to be issues with. The exec board will try and double check on

the individuals who should be on the list and are not.


He is trying to finalize the budget/actuals from last year before sending it to the accountants. The deadline is

February 13, 2013 so that we can file our taxes.


No report, but would like to take on some extra projects


Working with Lindsay and Flor on recruitment list. Working on verifying names from colleges, making sure we have

updated contacts. Need board’s assistance in reconnecting with individuals we may have lost.

Will be recruiting scholarship application readers soon.


Fundraiser tickets have been distributed. There will be a list serve announcement reminding people to order books

to sell as well as return funds; $600.00 has been deposited; deadline is March 15, 2013; $5.00 a ticket.

- Mr. Escoto reported on the 2012-2013 budget as balanced.

b) CCCSAA 2012-2013 Budget – Mr. Escoto

- Mr. Escoto updated membership on current budget status.

- The Association has filed its tax return for 2012 and it is available for anyone.

- Important note: ~$147,000 generated income & $102,000 expense for Fall Student Leadership Conference

- Due to not having actuals from 2012-2013, the board has projected an estimated budget for 2013-2014

- Based on a dissertation of Anthony Gutierrez, a committee will be formed to update CCCSAA’s Professional

Standards from 1994.

- 600 students registered at this conference, their largest ever; 87 delegates/118 ASOs

- Students are in the process of creating an Advisors Digest

- Working with Julie Moore to figure out the conference dates for the next 2-3 years.

b) Northern Area Representative: Flor Chacon

- Finished updating the membership list and send out the roster to the membership

- Working to outreach in order to reach goal of 100 membership



c) Communications Officer: Julie Osborne

- Thank you to the board for all their support throughout the years

- Working with Michael Morvice on the functionality of the website.

- If there are concerns regarding the list serve, please send an emailing informing us.

- Membership is coming up and the forms should be ready shortly.
