Executive Summary
An information system is any combination of information technology and
people's activities using that technology to support operations, management, and
decision-making. In a very broad sense, the term information system is frequently
used to refer to the interaction between people, algorithmic processes, data and
technology. A management information system (MIS) is a system or process that
provides the information necessary to manage an organization effectively.
In today’s competitive market to sustain and maximize profitability
organizations are developing internal customized information system. These
information systems help organization to manage, forecast, analyze and build
integrated customer relation. Grameenphone is the leading telecommunication
service provider in Bangladesh with more than 28.7 million subscribers around the
country which is like nearly half of the population using the telecommunication
service. Grameenphone has built and maintaining sophisticated information system
to serve it’s huge customer and maintain all the information in an organized and
proper manner.
In our term paper our focus was to enlighten what sort of information
technology system is being maintained by Grameenphone and we tried to discuss
their features, functionality, advantages and drawbacks.

The preparation of this report is a partial requirement of the course “MIS 305-
Enterprise Management System” instructed by Abu Sadat Mohammad Ashif, Lecturer
of Department of Business Administration, East West University. He has assigned the
students of MIS305 Section 4 (Fall 2010) to present the Implementation of ERP in an
organization. We have selected “Grameenphone" to work and find out how they used
ERP in their organization and presented them accordingly in this term paper
Background of Grameenphone ltd.Background of Grameenphone ltd.
Grameenphone Ltd., the largest Grameenphone communications service provider
in Bangladesh, received its operating license in November 1996 and started its service
from March 26, 1997, the Independence Day of Bangladesh.
Now, after 12 years of successful operations, Grameenphone is the largest mobile
phone service provider in Bangladesh, with more than 23 million subscribers as of
December 2009. The Company was successfully listed in November 2009 – which
was the largest IPO in the history of the Bangladesh capital market.
Grameenphone provides services to rural and urban customers across Bangladesh,
where mobile Grameenphone is acknowledged as a significant driver of socio-
economic development, both for individuals and the nation.

Limitations of Study
The main obstacle in front of us is that most organizations are not willing to
disclose all internal information because of confidentiality which is required to
prepare this report.
Another noticeable limitation of the study is our lack of experience in working
such project. We are new in this field and not skilled about the process required to
present the Information and collect data.
Lastly, we had a very limited time to prepare the term paper. Limited time has
obstructed research to reach perfection. We had to rely vastly on secondary
information resources. Insufficient amount of primary data constrained the quality of
the research work.
In brief the major limitations we encountered are:
Time constraints.
Lack of experience on our part has also acted as constraints in the way of
meticulous exploration on the topic.

Background of Report
Grameenphone Limited is the pioneer in implementing information system in the
Communication sector in Bangladesh. They’re fully taking the benefits of information
system and its related applications to cope with other companies; their MIS
department is one of the best in business arena in Bangladesh. Once it had such a
monopoly business, after implementing MIS that their competitor other companies
were forced to take the help of information system. In this report we will try to seek
Grameenphone’s business process and above all the implication of information
systems on these.
Bangladesh has recently been connected with optical fiber network. This network
will create a revolution in different fields. Nonetheless, business sector will highly be
reflected by this revolutionary change. As we still use different terrestrial network
system to communicate with other suppliers and buyers, it is creating barriers in
effective business process.
Grameenphone invested huge amount of money in last year for development and
maintenance purpose, from below we get an idea how much significance they are
giving to the Information system and technology.

Pulse Code Modulation (PCM)
This represents license fee for channels with BTCL (formerly Bangladesh Telegraph
and Telephone Board - BTTB).
Software and others
Software includes business software and network management software. Business
software includes mainly billing software, oracle financial software and other
business software. Network management software represents PPS, Paso link,
minilink etc.
Telecom License (Spectrum)
Additional 7.4 MHz Spectrum licence @ BDT 800 million per MHz was acquired
from BTRC in September 2008 for subsequent 18 years.
Intangible capital in process (CIP)
Intangible CIP includes software under testing phase awaiting user's acceptance.

After the connection of the fiber optical network, technology is expected to be in
our palm and internet and other information system components will have a major
contribution in business field as well as in the other sectors.
Grameenphone fully automated system and other management information
processing tools are greatly helping in their business process.
So in this report we will follow their business trends according to information
system use and other components. It’s effectively in the business environment of
Bangladesh and their future prospects in the fast moving world economy.
Information system in Grameenphone
Information system is a collection of components that work together to provide
information to help in the operation and management of an organization.
Grameenphone ltd. adopted its information system according to its necessity and
complexity of the organization structure. As the information flow works within or
outside the organization of a business organization Grameenphone’s information
system is no exception. When Grameenphone adopted information system to create
organizational efficiency in general operation and management activities it relied its
own IT division for designing system infrastructure and software development and for
the backend support they purchased license from oracle system.
Information processing in different functional units

Grameenphone’s information processing takes place at different functional
departments. As these units work for creating organizational efficiency and
effectiveness is created among them by the adoption of information system. The
operations and the impact of information system on these functional departments have
been briefly described below:
Accounting & Finance:
Information system in the Grameenphone’s Finance dept. works for recording and
reporting financial information about the business. It also keeps track of business
information about the cash, equipment, buildings and its liabilities. The information
system also maintains high profile information about the sources of money about
investments made by business and about loans which has been taken from banks or
other institutions.
Marketing:
Information system in the Grameenphone’s marketing dept. promotes products and
product lines. It is also responsible for making appropriate cost of products by
evaluating other products and its information. Therefore they have to rely on highly
extensive market research on products and promotions.
Operations& logistics:
This department is highly relied on information systems as it has to maintain a
strong control over the whole process. From production of goods to inventory

maintenance and to provide the shipments in due time this department has to maintain
close intimacy with information technology.
Human resource management:
The HRM dept. has to carry out a wide variety of activities from pay roll
maintenance to employee hiring, training, compensating and terminating. To maintain
this job and to monitor the employee’s efficiency information technology is playing an
important part.
The use of information in Grameenphone’s operations and management is made
possible by various information processing activities. The eight (5ta dawa toh) basic
information processing activities of Grameenphone are given below:
Keeping track of inventory:
Grameenphone inventory control dept. keeps track of its inventory (it’s own
branded handset, network equipments) to be sure that there is adequate inventory is on
hand and reports when inventory is low. The input to this activity is the sales order
from the Shipping dept. indicating the quantity of the each item shipped and the
receiving notice from the receiving dept. The output is the Inventory reorder report,
which lists the items that should be reordered because stock is low

3.4 Transcom’s Information processing system
Purchasing stock and materials:
The input to this activity is the inventory reorder report which comes from the
Inventory Control Dept. This report indicates what items and what quantities to
reorder. The output is the purchase order which lists the items that the business wants
to purchase.
Paying Bills:
When purchase orders are sent to the purchasing dept. it contacts with the
suppliers. and receives the invoice from the suppliers. Verifying the receiving notice
from the receiving dept. accounts payable dept. sends the payment to customers by
check and also prepares an account payable report.
Paying employees:
An essential information processing activity in Grameenphone’s HRM dept. is
paying employees and providing payroll reports for the business functions. The input
to this activity is the employees work report. The output to this activity includes the
paycheck the employee receives and the payroll report.
Reporting Financial Information:
The most important information processing activity is the preparation of the
financial report. The information to this activity is reports on revenue, expenses, assets
and liabilities. The accounts receivable report provides information about the accounts

receivable. The inventory value report gives the totals value of the inventory. The
accounts payable report provides information about the accounts payable. The payroll
report gives information about payroll expenses. The output from this activity is the
preparation of the financial statements: the balance sheet, the income statement and
the owner’s equity statement.
Grameenphone’s operation management through information system
Business operations are those activities that provide the goods and services of the
business and that ensure that business makes a profit. Manufacturing products,
processing customer orders, billing customers, keeping track of inventory, purchasing
raw materials and many more activities are all part of business operations.
Grameenphone use computer based information technology for the efficient
management of their business operations. Here are few examples of information
system that we found most important Grameenphone’s business operations:
Transaction Processing System (TPS)
The main type of information system used for operational support in
Grameenphone is the transaction processing system (TPS). This type of system
processes data about transactions, which are events that affect the business in some
way. An example of transaction processing system is an inventory control system.
This system processes data about transactions that affect a business inventory.

Enterprise Recourse Planning (ERP)
Grameenphone’s ERP system is an information system that supports several areas
of its business operations by combining several applications with a single database
that stores all the data used by the applications. Many applications could be fit into
ERP systems which can make the business operations more efficient.
Customer Relationship management (CRM)
Grameenphone’s CRM is the software GP maintains to have better communication
and clearly understands overview of every single subscriber. With the help of CRM
Grameenphone regulate and organize it’s huge subscriber base and provide them with
their individual services as per their wish.
Information System for Management Support of Grameenphone:
In Grameenphone Limited information systems provide information to help the
managers make decisions at each of the three levels of decision making. The
information is derived from a number of internal and external sources and presents at
different levels of detail or summarization. The information helps the manager make
decisions, but does not for the manager.
Information systems support management in all the functions of Grameenphone
and at all levels. Accounting information systems provide accounting information at

operational, tactical, and strategic levels. Financial information systems help in
financial decision making at all level. Marketing information systems provide
information to marketing managers at different levels. Manufacturing information
systems assists in making decisions related to manufacturing and production at all
levels. Finally human recourse information systems support personal decision making
at operational, tactical, and strategic levels. So several types of information systems
for management support are in Grameenphone Limited.
Management Information System of Grameenphone:
The management information system (MIS) supports management decision
making by providing information in the form of reports and responses to queries to the
managers at different levels of Grameenphone Limited. This type of system is
sometimes called information reporting system or a management reporting system.
The term MIS is also used to refer to all types of information systems, including
transaction processing system (TPS), although in this report we use it only for the type
of system described in this section.
Management Information System Structure of Grameenphone:
The following figure shows the general structure of management information
systems and their relationship to transaction processing systems. The users of MIS are
managers of Grameenphone. At each of the three levels of decision making.
Grameenphone request information from the system and the information are returned
in the form of reports and query rezones. The MIS databases contain data that is

processed to provide the information to the managers. The MIS software consists of
application software to manipulate the data in the database. The software accepts
requests for information from the software also updates the data in the database as
needed.
The data in the MIS database comes from both inside and outside the
organization. Some internal data may be earned by manager, but most comes directly
from the stored data of transaction processing systems, Grameenphone that has a
transaction processing system for inventory control. this system keeps track 0of
inventory in an inventory control file. Each day the quantity data in this file is passed
to the MIS database. Then, the MIS software uses the data to help make the
operational decision of whether to order more inventory that day. Data at lower levels
in the MIS database is passed up through the database, Where it is summarized for
higher level decisions. Thus, daily inventory quantities used for operational decisions
are summed to get weekly and monthly figures for tactical decisions and summarized
again to get yearly figures for strategic decisions.
Data from outside the organization comes from many sources. Periodicals,
government publications, and research company reports often contain data that is
useful in the management decisions making. This type of data is entered into the MIS
database by managers or their assistants, or downloaded from external databases.
Useful data can also be found on the internet. The data can be retrieved from the
internet & stored in the MIS database. Push technology can automatically provide
important data found on the internet for sorting in the MIS database.

In Grameenphone management information system, consider one that supports
inventory decisions at all three levels in Grameenphone. This system would contain a
database of daily inventory for each item the store sells. The inventory control system,
a transaction processing system, would supply the data at the operational level; MIS
software would produce output with inventory figure for each item. These figures
would help a decision maker determine whether to order more of certain items. The
inventory data would be summarized by the MIS for the tactical level decision
makers. This data would be used to decide what types of items were overstocked so
that appropriate actions, such as dropping them from the product line, could be taken.
Finally, inventory data would be summarized further for strategic managers to help
determine policies, such as whether another store should be opened.

Management Information System Functions:
Management information systems perform the four main functions of an
information system: the input function, the output function, the storage function, and
the processing function. The functions together provide the capabilities of the system
for the user.
The Input Function:
In Grameenphone little data is required for the MIS. As noted earlier, the internal
data for the system comes mainly from transaction processing systems. Those systems
provide data capture, data entry, and data validation steps necessary to get data into
the organization’s information systems. External data is often transferred into the MIS
by using data communications techniques.
After data is in MIS, Grameenphone want to inquire about the data. A query or an
inquiry is request for information from a system. Before a system can respond to a
quarry, the query must be entered into a computer.
The Output Function:
The output functions of an MIS products reports and responses to queries. Report
can be detail reports or summary reports, two types of reports. MISs that support
operational decisions making require mainly detail reports. Those that support
strategic decision making require mostly summary reports. Systems that affect tactical
decision making need some detail reports and some summary reports.

In Grameenphone exception reports are also produced by MISs. They are very
common because that provide information for an approach to management called
management by exception, which involves taking action only if the business is not
functioning as expected. An exception report provides information about exceptions to
some rule or standard. A manager who receives such a report take the necessary step
to correct the situation and return the business to normal functioning.
The Storage Function:
In Grameenphone data for MIS is stored in files, which are usually master files,
but more often the MIS data is stored in a database. Storing data in a database makes it
easier to access related data and to produce ad hoc reports and query response.
The data for MIS database comes from the transaction processing system and from
external sources. This data is used to create and update the database; the database can
then be accessed to provide information the decision makers. The relationships
between the data in the database can be used to join related data to produce reports to
the quires.
The Processing Function:
In Grameenphone processing in MIS normally involves simple computations. A
report gives the value of an item in inventory. This value is found by simply
multiplying the quality on hand by the price per item. Most computing in the MIS is
not much more complex than this one.

The main computing that is performed by Grameenphone MIS involves
accumulating totals for reporting at different levels of decision making. Totals of
groups of data may be computed for one level, and totals of all data may be produce
for a higher level.
Management Information system Software:On above we discussed about the MIS software and their use in different
functional departments. Now in below we discussed briefly about the major software
that are being used in Grameenphone ltd.
GP-ERP
ERP stands for “Enterprise Resource Planning”. An Enterprise Resource Planning
(ERP) system is an integrated computer-based application used to manage internal and
external resources, including tangible assets, financial resources, materials, and human
resources. ERP is a type of information system or software that supports several areas of a
business by combining a number of applications that use a single database to store all the
data used by the application.

The two key components of an ERP system are a common database and a modular
software design. A common database is the system that allows every department of a
company to store and retrieve information in real-time. Using a common database allows
information to be more reliable, accessible, and easily shared, so that all of the information
between the departments is accessible in real time.
In Grameenphone ltd. They use the
ERP system exclusively for their
human resource department. The
whole organization and all the
departments are not connected by the
ERP system for the sack of data
confidentiality and to maintain data
authenticity. The GP ERP is accessed through a web interface and the database is
maintained and built based on Oracle. GP ERP can be accessed through internal domain
and typing “http://gperpappl:8000” in IE. Then users are prompted to login to the
database. In the screenshots we can see the interface of GP-ERP.
In GP-ERP all information regarding an employee are stored. The data are updated both
through end user and admin group. Through GP ERP employees can input personal
information, contact information, employment status, qualification and other documents are
preserved. Through this system employees can also submit their leave status, schedule and

make requisition for their business card, mobile Sim and other facilities. This system also
permits user to apply for new vacant position in the organization according to their
qualification. In the system the organizational hierarchy is also stored in a database form
where employees can search for specific person and find all details and his position in the
organization.

Drawbacks:
ERP is connected and working only for human resource department so it is not
utilizing its full potential. So we can say that the Full ERP system is not being
maintained
All users can submit their own information and requests but they are required to
approve before they can utilize the full benefit of it, since GP maintains a huge
manpower so it often takes time to get approval from admin.
Once any information is submitted through ERP there is no way to call it back. Users
don’t have any access to the information once it is submitted. Hence it often creates
problem, as only administrator can change the information once it is submitted.

CRM
Another Extension of Grameenphone’s ERP system is their CRM Module. The CRM
module is a standalone Software which is not fully integrated with the ERP itself but
rather it works as it’s own to serve and maintain information regarding the subscriber of
Grameenphone.

CRM means “Customer relationship management”. Customer relationship
management (CRM) is a widely-implemented strategy for managing a company’s
interactions with customers,
clients and sales prospects.
The overall goals are to find,
attract, and win new clients,
nurture and retain those the
company already has, entice
former clients back into the
fold, and reduce the costs of marketing and client service.

Grameenphone uses CRM to maintain and organize a total database for all its
individual customers. The CRM software which Grameenphone uses is also a web based
application built on oracle platform and Siebel telecommunication .The CRM application
connects and works as an interface for all other different software that manages and
collects subscriber’s (ie: Mobile Phone numbers) data and presents a overview known as
360° view. Once logged in user can manage and see all his activities, sales prospect,
orders status, special campaigns and other information.
The 360° view consists overall summery of a subscriber. Once a cell phone number is
inputted into the CRM it gathers all the information regarding that subscriber. All his active
promotions (Personalized Promotions that are catered for individual subscriber), records
regarding previous calls/contacts to the customer service, active Value added service, billing
information, personal information, due/ advance amount, open/completed orders executed for
the subscriber. Different notes taken for subscribers etc all these information are combined
together in CRM.

Management System).

Separately maintained log for all sorts of value added service (activation,
deactivation, execution status , time, date, usage) which helps determine which
subscriber prefer what sort of VAS and thus increase sales.
Checking customer loyalty status (depending on duration of usage and amount used)

Drawbacks:
Since the application is still on development process it often works slowly.
Maintaining huge database and the cost of the software itself is extremely expensive
(More than 12 Million dollars).
During the maintenance process no information can be inputted to CRM thus
subscriber’s information during that period of time are not updated in real-time.
The interface itself is easy to use and user friendly but new users and users without
proper training will find it difficult to understand.
Once any execution is executed it goes on the processing and it can’t be canceled.
Although it is possible to adjust incase of wrong execution but that takes extra time
and those are done by other backend software.

Infocube
Infocube is the web based interface that Grameenphone uses in their marketing and
performance management division. In Infocube all the information regarding new products
and existing products and services are stored. Not only that in the Infocube they have the
ability to check schedule, newsletter (Both internal & external publication) performance
tracking and monitoring for self assessment and other valuable information. Infocube works
as a guideline and Outline for internal use and it helps employees to manage organize and
create new projects and concepts and it collects all previous information for its reference. It
also contains training module of different software used internally inside Grameenphone. So
it also lets users to train themselves and helps self-learning.

Drawbacks:
Since information is updated and stored manually it takes a little extra time to update
the information
Due to manual data input sometime it is found that there are contradictory and
inconsistent information in two separate area of Infocube
The information is secured at minimal level which means almost everyone has access
over this particular database.

Since there are too many questions clustered around everywhere in the Infocube, so it
is nearly impossible to memorize all the places where certain type of question is
answered
No scope of using the search function so at times it is difficult to locate specific piece
of information on urgent basis.
No backend software is used so data are not updated automatically.

All the computer in the domain area of Grameenphone are connected with each other. For
instance all the main offices, branchs, and sub branches in each district have a pc which is
connected through a special domain from which an employee can access to any database any
time he wants. They have designed a cost effective, efficient and strong way to maintain and
utilize this domain. The maintenance of this whole domain was previously left for
Grameenphone IT division which is currently a separate entity of Grameenphone and now
Grameenphone IT Ltd. Acts independently and maintains the whole operations even more
efficiently than before. Like an ideal organization they do check the following criteria to see
if the operations are running smoothly.
Bandwidth and traffic shaping ( WAN & LAN )
Network, system ( IP ) and application/service monitoring
Problem history and event logging.
Alerts and notifications via email
Brower interface

Less resource utilization
Even after regular checking if they get any specific information/complaints regarding any
problem they resolve it on emergency basis.
In Grameenphone ltd. They are using client server database. All the PCs are connected with
the central server which has over 200 TB memory. The Network topology they are using is
the combination of Star and Bus network which means they are currently using the Mash
topology. They did combine and utilize their resources to with the FTP system. The special
