INTRODUCTION This is one of a series of guides available from the Teaching, Learning & Assessment with Technology series.  Please note, your faculty may have other approaches or use different tools, contact your Faculty TEL Officer for more information on local provision.

This guide looks at the steps of moving a Quiz in KEATS using two different methods. One is the Sharing cart and the other is the exporting the Quiz bank and importing them in another KEATS area.

Important information

These instructions assume you have created a quiz with a specific question bank(s) attached.

Accessibility considerations

Through the Atto text editor users can utilise the Accessibility checker and the Screen reader helper for entries. The use of images in Quiz questions should have alt text added to allow for Screen readers to describe the image to those visually impaired.

QUICK GUIDE

Moving a Quiz using the sharing cart

1. Log into KEATS (https://keats.kcl.ac.uk) with your usual k-number and password.

2. Navigate to your KEATS course area which has the Quiz you wish to bring across to your other KEATS area.

3. Click the Cog on the right and from the context menu, click Turn editing on.

4. Under the ‘Add a block’ menu click the drop down and select Sharing Cart.

5. Navigate to the section that houses the Quiz you want to take over to the other course and click Edit. From the context menu that appears, click on Copy to sharing cart.

6. A dialogue will appear asking you want to copy over the user data with the Quiz. Click Cancel not to copy the user data.

7. On the next dialogue, you will be prompted to confirm you want to copy the activity/resource to the Sharing cart. Click OK.

8. The Quiz will now appear under the Sharing cart.

9. Now, navigate to the destination course you want to add your Quiz to.

10. From the Sharing cart, you will see the Quiz that was added and 4 grey icons next to it. Click on Copy to course, the 4th icon, which looks like a box with an arrow pointing down.

11. Once clicked, ‘Copy here’ boxes with grey dotted lines and an arrow in them will appear under the different sections in the course. Click in the box where you want to add the Quiz to.

12. The Quiz is now copied into the course area, along with the associated question banks. Categories remain intact.

QUICK GUIDE

Moving a Quiz by exporting the questions and importing them into another KEATS course

1. Log into KEATS (https://keats.kcl.ac.uk) with your usual k-number and password.

2. Navigate to your KEATS course area which has the Quiz you wish to bring across to your other KEATS area.

3. Click the Cog on the right and from the context menu, click Turn editing on.

4. Under the Administration block on the left of the screen click on the Question bank option to open the sub menu.

5. Click on the Export option.

6. Here, click on the file format that the questions that make up the Quiz will use. In this case, click on the radio button next Moodle XML format.

7. Under the General section, for the Export category, use the drop-down menu to find the category holding your questions.

8. Once selected, click the Export questions to file button. The quiz questions will be downloaded to your computer into the Downloads folder as an .xml file.

9. Click the Continue button to return to the Question bank page.

10. Navigate to the destination KEATS course area you want to bring the questions into.

11. Under the Administration block, click on the Question bank option to open the sub menu.

12. Click on the Import option.

13. Under the ‘File format’ section, click the radio button next to the Moodle XML format option.

14. Under the ‘Import questions from file’ section, the .xml file you exported from the original KEATS course needs to be brought in here. It is possible to either drag your file into the import box or simply locate the file using the Choose a file button.

15. Once you have selected the right file, click the Import button.

16. The next screen will show you the questions that have been imported and a confirmation of the number of questions that have been imported.

17. Click the Continue button.

18. Once you have imported your questions, a Quiz needs to be created.

19. Head to the section of the KEATS area you want to add the Quiz to. Click Add and activity or resource.

20. On the activity or resource picker that appears, choose the Quiz activity and click the Add button.

21. Enter the appropriate settings mirroring the settings of the Quiz as it was in the previous KEATS course.

NB: it is recommended that the settings are noted down before creating the Quiz in the new KEATS area. This will make things easier when configuring the settings.

22. Once done, click on the Save and display button.

23. Now we need to add the questions you imported. Click the Edit Quiz button.

24. Here you will see the empty Quiz. Click the Add link and from the context menu that appears, select from a Question bank.

25. Under the ‘Select a category’ drop-down menu, choose the category you imported for the Quiz previously.

26. Select the questions you like to add from the question bank by clicking the check box next to them. Click the Add selected question to the Quiz button. This will bring you back to the ‘Editing quiz’ screen.

27. If the quiz questions need to be randomly ordered for each attempt, click the checkbox next to Shuffle.

28. Amend the Marks per question if required by entering the value and pressing return.

29. Set the ‘Maximum grade’ in the box and click the Save button.

30. If question needs to be moved, click and drag the cross icons on the questions up or down to the desired order.

31. Finally, preview your Quiz to make sure the Quiz operates as it is supposed to.

DETAILED GUIDE

Moving a Quiz using the sharing cart

1. Log into KEATS (https://keats.kcl.ac.uk) with your usual k-number and password.

2. Navigate to your KEATS course area which has the Quiz you wish to bring across to your other KEATS area.

3. Click the Cog on the right and from the context menu, click Turn editing on.

4. Under the ‘Add a block’ menu click the drop down and select Sharing Cart.

5. The Sharing cart block should now appear on the right.

6. Navigate to the section that houses the Quiz you want to take over to the destination course and click Edit. From the context menu that appears, click on Copy to sharing cart.

7. A dialogue will appear asking you want to copy over the user data with the Quiz. Click OK to do so or Cancel not to copy the user data.

8. In this guide, click Cancel. On the next dialogue, you will be prompted to confirm you want to copy the activity/resource to the Sharing cart. Click OK.

9. The Quiz will now appear under the Sharing cart.

10. Now, navigate to the course you want to add your Quiz to.

11. From the Sharing cart, you will see the Quiz that was added and 4 grey icons next to it. Click on the 4th icon, which looks like a box with an arrow pointing down. This is the Copy to course option.

NB: It is to be noted that when a Quiz is copied from a Sharing cart, all the questions in the original course where the Quiz was copied from will be copied to the new course. Categories are maintained however, and the Quiz will have the same questions as it had in the original course. It is therefore important to make sure Categories are appropriately named from the outset before the Quiz is copied to the Sharing cart.

Once the quiz is copied from Sharing cart to the destination course, any changes done to the Quiz bank and questions will not affect the original Quiz and questions.

DETAILED GUIDE

Moving a Quiz by exporting the questions and importing them into another KEATS course

1. Log into KEATS (https://keats.kcl.ac.uk) with your usual k-number and password.

2. Navigate to your KEATS course area which has the Quiz you wish to bring across to your other KEATS area.

3. Click the Cog on the right and from the context menu, click Turn editing on.

4. Navigate to the Administration block on the left of the screen.

5. Click on the Question bank option to open the sub menu.

6. Click on the Export option.

7. Here, click on the file format that the questions that make up the Quiz will use. In this case, click on the radio button next Moodle XML format.

8. Under the General section, for the Export category, use the drop-down menu to find the category holding your questions.

9. Once selected, click the Export questions to file button. The quiz questions will be downloaded to your computer into the Downloads folder as an .xml file. The date of the download is part of the filename in the format of YYYYMMDD. (for example: questions-RTSBOX-Test Quiz Category-20200408-1512.xml)

Repeat steps 6-9 if you have more than 1 question bank you need to bring across to the new KEATS course area.

10. Click the Continue button to return to the Question bank page.

11. Navigate to the destination KEATS course area you want to bring the questions into.

12. Navigate to the Administration block on the left of the screen.

13. Click on the Question bank option to open the sub menu.

14. Click on the Import option.

15. Under the ‘File format’ section, click the radio button next to the Moodle XML format option.

16. Under the ‘Import questions from file’ section, the .xml file you exported from the original KEATS course needs to be brought in here. It is possible to either drag your file into the import box or simply locate the file using the Choose a file button. This will open a mini explorer window for you to find your quiz XML file to bring in.

17. Once you have selected the right file, click the Import button.

18. The next screen will show you the questions that have been imported and a confirmation of the number of questions that have been imported.

19. Click the Continue button.

Repeat steps 13-19 if you have more than 1 question bank to bring across to the new KEATS course area.

20. Once you have imported your questions, a Quiz needs to be created.

21. Head to the section of the KEATS area you want to add the Quiz to. Click Add and activity or resource.

22. On the activity or resource picker that appears, choose the Quiz activity and click the Add button.

23. Enter the appropriate settings mirroring the settings of the Quiz as it was in the previous KEATS course.

a. NB: It is recommended that the settings are noted down before creating the Quiz in the new KEATS area. This will make things easier when configuring the settings.

24. Once done, click on the Save and display button.

25. Now we need to add the questions you imported. Click the Edit Quiz button.

26. Here you will see the empty Quiz. Click the Add link and from the context menu that appears, select from a Question bank.

27. Under the ‘Select a category’ drop-down menu, choose the category you imported for the Quiz previously.

28. The questions that are in this category should appear.

29. Select the questions you like to add from the question bank by clicking the check box next to them. Click the Add selected question to the Quiz button. This will bring you back to the ‘Editing quiz’ screen.

If you want to add more questions from the different question banks you have imported, repeat steps 26-29

30. If the quiz questions need to be randomly ordered for each attempt, click the checkbox next to Shuffle.

31. Amend the Marks per question if required by entering the value and pressing return.

32. Set the ‘Maximum grade’ in the box and click the Save button.

33. If question needs to be moved, click and drag the cross icons on the questions up or down to the desired order.

34. Finally, preview your Quiz to make sure the Quiz operates as it is supposed to.
