Server Guide – MS-CIT Online Examination Software

MS-CIT Server Guide



Sequence of activities that will be performed by Exam Centers in order to conduct MS-CIT

Online Examination on MS-CIT Sever PC.

Double click on the ‘MS-CIT Server’ icon on the desktop of the Server Computer.



Exam Center Registration



Online Registration

1. Enter the Exam Center Code

and Exam Center Password.

2. Select Login.

3. Software will check the

Center Code and Center

Password for validity with

MSBTE’s remote server and if

found correct it will end the

Online Registration process

here and you will be prompted

to next screen.

Select ‘Cancel’ to cancel the process.

Note – The screen will

display ‘Unregistered’

against Center Name (in

the Top Left corner below

the banner )

Before doing registration

please check that your MS-

CIT Server PC is connected

to internet.

Select ‘Next’ to continue.

Note – The screen will display

‘Center Code and Center

Name’ against Center Name

(in the Top Left corner below

the banner ) as center is now

registered.

1. Select ‘Activate the Center via

Internet’

Software Version is displayed here

1. Upon Activation, Date of

Activation will be displayed

2. Enter Coordinator Password to

continue

Select ‘Next’ to Activate Exam Center through Internet.

Select ‘Back’ to change the Activation Mode.

Important – Once Exam

Center is activated all the

Exam Server processes will

happen from this PC only.

Exam Center can not have

multiple Servers PC in one

center.

Upon Successful Activation,

following screen will be

displayed.

Select ‘Next’ to Continue.

Important – If Exam Center

tries to create on more MS-CIT

Server at exam center,

following message will appear.

Alternate Backup Path



Alternate Backup

Path (Mandatory)

1. Many a times because of some

technical issues, System

database gets corrupted. In

order to handle this database

backup is required to be kept

at safe location.

2. Alternate Backup Path is the

option with which database

backup is kept on some other

client PC.

3. Alternate Backup Path must be

a mapped drive of some other

client PC in the Server

Computer. (Read Note)

4. To specify the path select

“Select Alternate Backup Path”

5. Select “Check Alternate

Backup Path” to check whether

the specified path is valid or

not.

5. If the path I valid system will

display this screen.



Note – Giving Alternate

Backup Path is compulsory.

How to change Alternate

Backup Path?

You can change the Alternate

Backup Path if required in

case there is any problem with

the computer whose drive is

mapped.

To change the Alternate

Backup path use :

1. Tools Menu from

Controllers screen and

2. Opening Menu

Once Registration, Activation and Alternate Path is set Opening Menu will appear

Once Exam Center is Registered,

Activated and Alternate Backup

Path is specified system will

provide with Opening Menu.

The New Opening Menu is now

dived into four groups

1. Conduct Examination

2. Update Examination Data

3. Surrender Examination

4. Backup

5. Exam Support Nos.

Select Appropriate Option and then select ‘Ok’ to Continue.

Conduct Examination

Conduct Examination has four

sub options.

1. Mock Test – This option is

useful to check the exam

setup, network connectivity

etc. Conducting mock test is

compulsory henceforth

because based on the mock

data uploading exam centers

will get First Day Password.

2. Start Examination (Regular)

– Conduct regular

examination after updating

the system Online or Offline.

3. Start Examination

(Physically Challenged) -

Conduct examination for

physically challenged

students after updating the

system Online or Offline

Select Appropriate Option and then select ‘Ok’ to Continue.

Conduct Mock Test

Note - Mock Test can be

conducted without data

update.

Mock Test and First Day

Password

1. Before every exam event

conducting Mock Test

(on 10 Computers) will be

compulsory henceforth.

2. After Conducting Mock

Test Exam Center will

have to upload the Mock

Test Data to MSBTE

Server.

3. Only after uploading the

Mock Test Data Exam

Center will be provided

with First Day Password.

To conduct mock Test

1. Select Mock Test from

Opening Menu.

2. Select Ok.



First Day Password To get first day password You can conduct Mock Test (Dummy Test) once the Exam

Center is Activated.

Select ‘Conduct Mock Test’ option from the Opening Menu to start Mock

Examination. Select ‘OK’ to Continue.

1. Select Examination Tab

2. Select Start Registration

3. Select the Predefined Exam

Date and Exam Time.

4. Enter Daily Password as

‘mscit’ and select OK.

5. Select Ok.

Note - To conduct MOCK Test

you will have to enter following

MKCL Learner ID’s on Client PC

12345671 To 123456730

Note – Mock Test must be

conducted on 10 (Ten)

computers.

1. Mock Test must be

conducted on 10 computers.

2. Otherwise it shows the

following message

3. Also now Server PC should

have Web Camera attached

Get First Day Password



First Day Password

1. Once Mock Test is conducted,

go to Tools Tab to get First Day

Password.

2. Select Get First Day Password




First Day Password

1. Upon selecting Get First Day

Password, if Mock Exam is

conducted on 10 PC’s, then

and only then First Day

Password will be given to

Exam Center.




First Day Password

1. In case Mock test is not

conducted on 10 PC’s First

Day Password will be denied

and following message will be

displayed.

Select ‘OK’ to Continue.




Conduct Regular/Physically Challenged Exam

1. In order to conduct Regular or

Physically Challenged

Examination, Exam Center will

need to Update Examination

Data in the system

Note - In case Exam Center

selects Start Examination

without Updating

Examination Data, then they

will get following error

message .

1. There must be internet

connection available to Update

Data Online

2. Select Update Data – Online

from the opening menu

3. Select Ok button.

Select ‘Back’ to go one step behind.

4. Select Exam Event from

available exam events.

5. Select Start Download button.

6. On selecting Start Download

button system will download all

required data to conduct the

exam for selected event.

7. Once the download is

complete system will display

following message.

8. Once data is downloaded

system is ready to conduct

examination for the selected

event.

1. Once the system is updated

with required data Exam

Controller can start exam.

2. Select Start Examination –

Regular from Conduct

Examination Group.

3. Select Ok button

1. Select Exam Event

2. Select Next





Enter Password

1. Enter Coordinator Password

2. Enter Controller Password



Select ‘Next’ to go to next screen.




Last Slot Details

1. Before you start conducting

exam for every next slot, the

details of last slot in which

exam is conducted will be

displayed on the screen.

2. If the slot you are conducting is

very first slot then, last slot

details will not appear.


Select ‘Next’ to go Continue.

Select ‘Opening Menu’ to go back to main menu.



Attendance Report

1. On selecting next you will be

presented with Controllers

Menu.

2. Before starting the actual

exam, after data is updated,

Exam Center should print

Attendance Report

3. Attendance report will show the

exam schedule of all the

candidate whose exam is

scheduled at the exam center.

Conduct Examination

1. Now to begin the

examination Select Start

Registration from

Examination Tab

2. Select Exam Date and Exam

slot

3. Enter Daily Password

4. Select Ok.


New Slot: Select New Slot

option to conduct the

examination of

Rescheduled Candidates

only. No regular candidate

can appear for the

examination using these

slots.



Cancel Registration

1. After Selecting Start Registration

candidate registration process can

start from the client PC.

2. Once candidate start registering

from client PC their details will

appear on server PC

3. Please notice the change that Start

Registration button now changes to

Cancel Registration

4. Once all the candidates completes

the registration process, Select

End Registration to end the

registration process.

5. After End Registration is confirmed,

no other candidate will be allowed

to register.

Cancel Registration: This option

can be used now to stop

conducting the exam of selected

slot for any reason.



End Registration

Contd…

1. Select Yes to continue End

Registration process.

2. Select No to cancel End

Registration process. Selecting

No will still allow to register any

other candidate.


End Registration: Once End

Registration is confirmed, all the

candidates who are present can

give exam but those who are not

present will be marked as a

‘Absent’ in the system and will not

able to give exam.



Start and End Examination

1. Once the Registration process ends,

Exam can be started.

2. To start exam Select Start

Examination from server PC.

3. Only after selecting Start

Examination from server PC, Exam

will begin on client PC.

4. Once exam is started from client

PC, their progress will be updated

on Server PC.

5. Once the exam of all the candidates

is complete, Select End Examination

to stop the exam slot.


End Examination: While doing End

Examination, if the exam of any

candidate is going on and still

controller end the examination,

such candidate will be marked as

Rescheduled in the system and will

be asked to appear for the exam

again.



End Examination

1. Selecting End Examination will display

below message on server PC.

2. Selecting ’Yes’ will end examination

and no one will be allowed to continue

exam on client PC after that.

3. Selecting ‘No’ will still allow exam to

be continued on client PC, provided

time is remaining with the candidate.

complete, Database Backup

will be taken on the server

PC.

1. Result and Collage Upload

alert is displayed. It is the

duty of Exam Controller to

upload the result and collage

at the end of every slot to

MSBTE server using Result

Upload option.

Combine Data

This tab has one option:

1. Combined Data

This option is generally required

when candidate Ends Exam on

client but still his marks are not

shown on server computer. This

usually happens because of

network issues/loss of network

connectivity. So in order to get his

marks on server computer one

can use this option.

1. Select Browse.

3. Go to the client computer from

which marks are not updated

to server.

4. In the C:\Prgrams folder there

is a file with the name

“Client.mdb”. Select that file.

5. Name of the .mdb file will

appear on the screen

6. Select Import to start the

processing. This will import the

required data to server

computer.

7. On successfully importing it will

display this message

8. Select Exit to come out of this

option.




Result Upload This tab has the option

Upload Result Now to

upload the candidate

result along with collage to

MSBTE server

1. Select Exam Date

2. Select Direct Upload

3. This will upload required data

to MSBTE site and once all the

data is uploaded, system will

provide with next day

password.


Using this option controller will

be allowed to upload the result

after every batch or at the end

of the day directly from the

server machine. This option is

also used to upload collage

data to MSBTE server.

1. Once Result is uploaded

successfully Exam Center will get

password for next day.


If it is a last scheduled day at

exam center, no next day

password will be provided.

In case there are still some

candidates pending to give

exam due to Reschedule,

system will provide Extra Day

to conduct exam of such

candidates.

Password for such system

generated next day will be

provided by selecting

‘Additional Day Password’



Tools This tab has four options:

1. Alternate Backup Path

2. Exam Support Nos

3. Reallocate Candidate

4. Last Slot Details

5. Additional Day Password


We already explained

‘Alternate Backup Path’

option earlier in this guide.

‘Exam Support Nos’ will

display the number of support

executives in your region.

‘Last Slot Details’ is already

explained earlier in this guide.

‘Additional Day Password’

will be available when system

generated extra day to conduct

exam.



Reallocate Candidate


This option will be used by

Controller for those candidates

who are not able to attend MS-

CIT exam in the scheduled

slot due to some other exam.

In this case controller will be

allowed to change Exam Date

and Exam Time of such

candidate provided:

1. He approaches exam

centers at least 1 day

prior to his actual MS-CIT

exam.

2. He submits valid support

documents.



Reallocate Candidate


On selecting Ok Re-Allocation

details will be printed in two

parts:

1. Exam Center Copy

2. Learner Copy

These details must be

submitted to RBTE with all the

valid proofs given by the

candidate.



Last Slot Details

Details of last slot

conducted will be displayed

here.




Additional Day Password


This password will be available only

when there is an extra day

generated by system.

In case there are no extra day

generated, which means there are

no candidates exam is pending, no

extra day password will be

generated.

2. Go to Opening Menu




Surrender Examination



Surrender Examination 1. Once the examination of all

the candidates is over, exam

centre has to surrender the

exam event as per MSBTE’s

guidelines.


Note – This option will work

only if exam centers has

uploaded the result of all the

learners to MSBTE web site

either Online.



Surrender - Online 1. Select Surrender – Online

2. Select Ok.




Surrender - Online 1. Select Exam Event to

surrender

2. Select Next

3. System will ask for

confirmation.

4. Once confirmed system will

ask for Coordinator and

Controller password.




Surrender - Online 1. After Exam center confirms

Surrender, very first system will

process result of Rescheduled

candidates and rescheduled status of

the candidates will change to ‘Pass’

or ‘Fail’.

2. System then prepares list of such

Rescheduled Candidates whose

result is processed and saves it on

MS-CIT Server PC.

3. The location of the file is displayed

on the screen.




Surrender - Online 1. Once you select ‘Ok’, PDF file is open

on the screen.

2. This report is to printed and submitted

to MSBTE.




Surrender - Online 1. After that system will display

list of candidates whose

‘Examination not taken’ with

a warning that, if you continue

surrender, these candidates

will be marked as Absent.

2. If Exam Center continues

Surrender by selecting

‘Surrender Exam’ these

candidates will be marked

Absent.

3. Selecting ‘Cancel’ will allow

Exam Center to take exam of

these candidates.




Surrender - Online 1. After processing Rescheduled

candidates and marking

Absent candidates, system

will cleanup unwanted data

from local MS-CIT Server PC

2. System will display this

message once surrender is

done successfully.

3. Selecting Ok will open the

Conclusion Certificate which

exam center has to print and

submit to MSBTE.

This Conclusion Certificate is to

submitted to MSBTE



Surrender - Online 1. After Surrender, Exam Center can

only conduct Mock Test

2. No Regular Examination can be

taken till next event.
