Newsroom Overview

Mission: To provide GIG users with categorized headlines from major news sources around the country. Function: To obtain and categorize information from major media sources, allowing GIG users to access and customize information from their desktop. Process:

1. Obtain and categorize headlines from major news sources 2. Enter headlines / articles into GIG news database 3. Update news information on a periodic basis

In the following pages, the procedure for acquiring headlines from major online news sources and entering them into a database is detailed in an illustrated, step-by-step fashion. The headlines are stored in the database for retrieval by end users of Preference Technology's Global Information Gateway ("GIG") products, such as MyMoneyGIG and MySportsGIG. The headline producer uses an Internal Application (custom software) built by Preference Technologies, Inc., to obtain and enter headlines. Individuals responsible for headline entry must know the procedure and be aware of issues that may arise during the process. We have anticipated the most common issues you may encounter and provided solutions. Because the headline entry process is very detailed, extensive user support and guidance is provided. After a short practice period, only two minutes on average is required to acquire and enter a single headline into the database. The Newsroom plays a crucial role in the use of Preference Technology's products, as the News Scroller is the signature component of the Global Information Gateway. You are a valued member of our team. Welcome to the Newsroom!

Introduction

Procedure Synopsis

Step 1: Sign on and enter the Headline Entry Database

o Open a new media source

Step 2: Verify headlines and link accuracy of all listed headlines on media source

o Correct the headline in database if it differs from actual article headline o Assign Purge Date to article o Categorize and, if applicable, subcategorize article o Confirm link of each edited headline to make sure the links are accurate o Delete headline if link is no good (unable to bring up page or you receive an error message)

Step 3: Enter current headlines from media source's homepage

o Scan media source's homepage and/or pertinent news sections for current, especially "breaking" news

o Add headlines with specific article URLs to database o Assign Purge Date to article o Categorize and, if applicable, subcategorize article o Limit headline additions to 15 current headlines o Confirm link of each added headline to make sure the links are accurate

Repeat process with additional media source if time and source supply permit.

Step 2: Update Headlines and Verify Article Links

At the top of the Article Listing window, you will see:

At this stage of the headline entry process, (1) Filter, (2) search parameters, (3) text field for search and (4) Search button to activate search will not be used.

o The Requery button (5) can be used to refresh the Article Listing window when you update or enter a

current headline. o The Enter Articles button (6) will be used when you enter current headlines that are not on the

database. (Instructions to follow.)

Filter: Default selection is "Article Headline." Drop-down list displays options: Article URL (currently non-functional) and Category (Arts and Entertainment, etc.).

Search parameters only pertain to a Category search. Text field to enter term only when performing a category search. Search button would activate search requested by 1-3. Requery: Refreshes the Article Listing window. Enter Articles: Provides entry point for current headlines on media

source site that have not yet been incorporated into the database.

The headline listings for the provided media source begin underneath the Filter fields and Search option buttons. Each headline listing is followed by an Edit and Delete button.

Example:

Headline: Headlines from the specified source that are listed in the Headline Entry Database. These headlines will be verified and updated, if necessary, in steps to follow.

Category: Headlines are categorized by subject matter, such as Arts, Culture, Ent.; Crime, Law, Justice; Education; Environment; Lifestyle, Leisure; etc.

EnteredDate: The date that is automatically set when the specific headline is originally entered into the database.

PurgeDate: The date you set for the specific headline to be deleted from the database. Edit Button: In the headline updating process, the Edit button will be used if a headline link (in blue text on the computer screen) links to an article or headline different from that specified by the blue headline listing. Selecting Edit will produce a window in which the headline and/or link can be corrected. Delete Button: In the headline updating process, the Delete button will be used if a headline link (in blue text) does not work (i.e., if the link produces a message "This page cannot be displayed" or the equivalent).

If the window does NOT name a media source, this means that the news

sources are finished for the day.

Should an Article Listing window appear without any headlines listed:

If the Article Listing window names a media source (in blue type after "Entering Headlines for"):

o Proceed to "Entering Current Headlines"

(beginning on Page 10).

Select (single-click) headline of first article on the list.

Article will appear in its own browser window.

Compare headline on article that appears with the headline listed on the Article Listing screen.

If headline is the same in the article window as it is in the Article Listing screen, close the article window (single-click X in the top right corner of the window) to return to the Article Listing screen.

Select next headline on the list and repeat the process.

NOTE: If all headline links on the Article Listing screen link correctly to the corresponding Headlines on the media source site, proceed to "Entering Current Headlines" (beginning on Page 10).

If headline in the article window differs

from that in the Article Listing screen:

o Highlight the article's headline (single-click, and while holding down the left mouse button, drag the mouse pointer over the headline)

o With mouse pointer within the

highlit area, right-click and select (left-click on) Copy from the pop-up menu that appears

o Scan the article to determine

the most appropriate category and subcategory. (What's the article's primary topic?).

o Close the article window

(single-click X in top right corner of article's screen).

You should now be back in the Article Listing Screen.

Click the Edit button next to the headline listing.

In the Category field, left-click the down arrow, then single-click the category that BEST fits the article's PRIMARY theme.

In the SubCategory field, select a maximum of 2 subcategories that correspond to the subject article. If no subcategories apply, select nothing from that section.

o To select more than one subcategory, single-

click the first choice, hold down the Ctrl key, single-click the second choice.

Single-click the Submit Article button to complete the updating process. (You may need to scroll vertically down the window until the Submit Article button appears on the screen.)

The Article Update window will appear.

Paste the new headline in the Headline field. (Right-click in the Headline field and select Paste from the drop-down menu.)

Single-click the small square check box after "Use Purge Date:" (so that a appears in that box).

Determine the purge date:

o Daily newspapers = 1 business day following o Magazines = publication frequency date

[1 month, etc.] o Web sites = [Brian to confirm]

Enter that date in the rectangular box next to the Purge Date check box . (Ex.: 6/19/00)

The Article Update Confirmation window will appear when the article is updated successfully, then it should automatically close.

If an error message appears, write down the exact text of the message and notify your supervisor.

On the Article Listing page, find the article you just finished editing and single-click on the title to confirm that the link is good and leads back to the correct article and headline.

Follow the steps from the top of Page 7 through and including the Article Update

Confirmation step above for each headline on the list. *

* NOTE

If you click on a headline and receive a message such as "page cannot be displayed" or "page error":

Close the error window (single-click the X at the upper right corner of the error window).

You will then be returned to the Article Listing window.

Single-click the Delete button to the right of the pertinent headline to delete that headline/article from the list.

Step 3: Enter Current Headlines

In the Article Listing window, single-click on the news source name (in blue text) at the top of the window.

The media source's Web site will open in its own window.

Look for current headlines on the media source's Web site that were not on the headline database.

o Comparing the Article Listing window and the media source's Web site will require EITHER:

Switching back-and-forth between the two windows by single-clicking the pertinent icons on the Windows task bar

OR tiling the windows you currently have open so that the Article Listing window and the

media source's Web site are both on your screen, scrollable side-by-side. (To tile windows, see Page 11.)

Be aware of the following:

o Dateline of the article: Is this a current article (today's date)? If the article has a date prior to today's date, it should NOT be added to the database.

o Is the article a reprint from a previous date/issue? (Reprint indication usually is noted at the top or

bottom of an article. If article is a reprint, it should NOT be added to the database.)

After you have completed the steps on Pages 7-9 for all headlines listed in the Article Listing window for the assigned media source, you are ready to enter current headlines into the headline database.

TIP -- TO TILE WINDOWS:

To more easily compare the headlines on the Article Listing page to the source's Web site

window, tile the windows vertically:

If you have multiple windows open, you will end up with a "patchwork" effect similar to the above screen shot.

Minimize (single-click the in the upper right corner of) any windows that may be showing other than the Article Listing window and the news source's Web site.

Minimizing every window except the Article Listing window and the news source's Web site from Figure 2 produced the resulting view in Figure 3 above.

Repeat the steps you performed with Figure 1 (right-click the time in task bar, Tile Windows Vertically).

You now should have only the Article Listing window and the news source's Web site window showing side-by-side on your screen, as shown in Figure 4 above.

You now can scroll in each window independently and compare headlines on the Article Listing window to the source's Web site without switching back-and-forth between the two windows.

TAKE A CLOSE LOOK AT THE URL !!

If the URL (Web address) ends in ".com", the address is the media source's homepage, NOT the URL of the specific article itself. Compare the two sample URLs above and below:

Above is an example of the full URL address of a specified current article, displayed when you single-click its headline link on the media source's main page.

Below is an example of the URL of a media source's homepage, distinctive by the ".com" at the very end of the address.

If you were to copy and paste the address below into the headline database, the headline link would lead to the media's homepage when users clicked on the headline -- not the article itself.

On the media source's Web site, single-click on headline of current article.

Article will open in its own browser window.

Right-click in the Address field at the top of the article's screen. This will highlight the article's URL and produce a drop-down option menu at the same time.

Select (single-click) Copy from the drop-down menu.

* NOTE: MOUSE POINTER SHAPES

On a Web page, if the mouse pointer is:

when you copy the specified article's URL by following the steps above (copying the URL from the Properties menu), you inadvertently will be "grabbing" a graphic, a banner ad, another link, etc. -- not the article.

The updated headline link would then lead to the graphic, etc., instead of the article itself.

The "hand"-shaped mouse pointer indicates a link of some kind. By ensuring that the mouse pointer is an "arrow," you are specifying the article page.

If the URL in the address bar is the same as the media source's homepage (i.e., the address ends in ".com" -- see diagram at the bottom of Page 12):

o Position the mouse pointer within a BLANK

area of the Web site window. At this point, the mouse pointer must be

an arrow:

NOT a hand*:

o Right-click and select (single-click on)

Properties on the drop-down menu.

Left-click and hold down the left mouse button while dragging the mouse pointer over the entire URL [http://...] in the "Address: URL" area of the Properties menu.

Release the left mouse button.

Position the mouse pointer within the highlit area.

Right-click and select (single-click on) Copy from the drop-down menu.

Single-click the Cancel button to close the Properties menu.

After you copy the article's URL (by whichever step necessary as outlined previously):

o Return to the Article Listing window.

o Single-click the Enter Articles button near

the top of the window.

The Article Creation window will appear.

Paste the article's URL into the URL field of the Article Creation screen.

Return to the article's Web site.

Highlight and copy the headline from the article page.

Return to the Article Creation screen.

Paste the headline into the Headline field of the Article Creation screen.

o NOTE: If, for any reason, you are unable to

highlight and copy the headline in the article's Web site, CAREFULLY type the headline manually into the Headline field in the Article Creation window.

Single-click the check box in front of "Use Purge Date:" (so that a appears in that box). (Ex.: 6/19/00)

Determine the purge date:

o Daily newspapers = 1 business day following o Magazines = publication frequency date

When current article has been successfully added to the headline database, the Article Creation Confirmation window will open briefly, then it should automatically close.

o If the confirmation message window does

not close on its own, single-click on the X in the upper right corner of the confirmation screen to close it.

o If you receive any form of error message

instead of the Article Creation Confirmation, write down the exact text of

the message and notify your supervisor.

In the Category field, left-click on the down arrow, then single-click the category that BEST fits the article's PRIMARY theme.

In the SubCategory field, select a maximum of 2 subcategories that correspond to the subject article. If no subcategories apply, select nothing from that section.

Follow the steps from the top of Page 12 through and including the Article Creation Confirmation step on Page 15 for each of the "top 10" current headlines on the media source's site.

NOTE: Pull a maximum of 15 current headlines for the day. Focus on the most current, breaking news for the day.

o If there are fewer than 15 current,

"breaking" headlines on the main page of the media source's Web site (especially a large news source), browse in different categories for headlines to add to the headline database (such as sports, health, business, etc.).

o If there are fewer than 15 current

headlines total within the media source's Web site, add what current headlines there are available.

On the Article Listing page, find the article you just entered and single-click on the title to confirm that the link is good and leads back to the correct article and headline.

NOTE: If you scroll through the list of headlines on the Article Listing page and you do not find the headline of the article you just added to the headline database:

o Single-click the Requery button near the top of

the window. o Requery should "refresh" the window, thereby

displaying your newest headline within the headline listing.

You will be returned to the Internal Applications Main Menu window.

When you are finished adding all 15 (or fewer) of the current headline listings for a specific news source:

o Single-click the Finished button at the top of

the Article Listing screen.

The Headline Storage Confirmation window will indicate that the assigned news source is completed for the day.

You should receive the message: "The Web page you are viewing is trying to close the window. Do you want to close this window?"

Single-click on Yes.

o Single-click on "Get a site to enter headlines for" on the Internal Applications Main Menu window.

o A new Article Listing window will open.

Repeat the steps outlined on Pages 6-17 for each assigned media source in a given day.

You will likely encounter these terms on a regular basis throughout your normal everyday work in updating, editing, and adding headlines to the Headline Database. Each term is followed by its definition as it relates specifically to the Newsroom and the work produced therein. Bold type indicates other terms defined elsewhere in the glossary. Most terms are followed by one or more numbers in bold italicized brackets -- [ ]. These numbers refer to the page or pages on which the topic term can be found, appearing in the context in which it will most often be used in the course of your work. Address ............................................................... An Internet address or IP address is a unique computer (host) location

on the Internet (expressed either as a unique string of numbers or as its associated domain name). A file (or homepage) address is expressed as the defining directory path to the file on a particular server. (A Web page address is also called a Uniform Resource Locator, or URL.) [2,12,13]
