SSAAFFEEGGUUAARRDDIINNGG CCHHIILLDDRREENNThis school is committed to safeguarding and promoting the welfare of children and all staff and volunteers share this commitment.

This means that we have a Safeguarding Policy and Child Protection procedures in place. All staff (including supply staff, volunteers and governors) are aware of theseprocedures. Parents and carers are welcome to read the Policy on request or to access it from the website.

Sometimes we may need to share information and work in partnership with other agencies when there are concerns about a child’s welfare. We will ensure that ourconcerns about our pupils are discussed with his/her parents/carers first unless we have reason to believe that such a move would be contrary to the child’s welfare.

Term dates 2013/14

FLEXI BOARDERS

Flexi Boarding is a flexible system designed to meet the needs of busy parents and to allow pupils to take full advantage of the manyafter school activities in the evenings and at weekends. Flexi Boarders may arrive in school any time after 7.30 am to have a full break-fast. This is helpful for parents who need to leave early for work. Parents may collect their children any time up until boarders of thesame age group go upstairs to prepare for bed. Flexibility is the key.

Flexi Boarders are expected to stay overnight in a boarding house for 7 - 10 nights a year. We have created an online booking system soyou can book your child in. Login details will be sent to you after the start of term. Any questions about overnight stays should bedirected to the boarding house. The costs of the overnight stays are included in the Flexi Boarding fees.

The fees cover breakfast, lunch and tea Mondays to Fridays and breakfast only onSaturdays. Any Flexi Boarding pupil who stays on for lunch or beyond after Saturday morning school will be charged according to the applied rates.

After lessons during the week, Flexi Boarders are expected to take full advantage of:

INTRODUCTION

BOARDERSNew boarders should arrive at the boarding house between 2pm and 4pm on the Sunday before the start of term. Returning boarders shouldarrive between 4pm and 8pm. This will give you time to help your child settle, speak to the house master/mistress and discuss any medicalmatters that may be important as well as an opportunity to acquaint yourselves with the school.

One of the most important things for new students is that theyjoin in the extra-curricular activities. This means that they settle into the school quickly and gain so much more from theschool.

You should therefore plan for your child to stay for at least thefirst two weekends rather than go home.

We do not recommend frequent daily communication with homein order to discuss every little matter that arises. An anxiousparent can cause an anxious child.

Before setting off from home, we suggest the following mentalchecklist!

• Have you all the required documentation?• Have you all the required school uniform?• Are all your child’s possessions labelled?• Have a checklist of any questions you may have when delivering your child; ie: contact telephone numbers and best time to call your child (NOT during prep or after specified bed times!)

These guidelines are provided with the aim of ensuring thatpupils are well presented, in the correct frame of mind and wellprepared for every lesson.

Informal wearing of uniform is not appropriate for school. All staff and parents have a responsibility to ensure that:

a) pupils leave the house appropriately dressed;b) they remain that way during the school day.

Make-up should be subtle and not obvious, ie no green or similar eye shadow or bright lipstick. Only clear nail varnish andsensible length finger nails. Hair may not be of an extreme fashion or extremely coloured. It may also need to be tied back forsome lessons for health and safety reasons. Facial hair must beshaved or cut in an appropriate manner.

SIXTH FORM DRESS CODE

In recognition of their increased maturity and independence, no uniform is specified for Sixth Form students at the Royal Alexandraand Albert School. In place of this, we ask that boys and girls alikewear ‘business dress’ for working hours at School and elsewhere.

Sixth Form students are role models to younger pupils. We arecounting on their cooperation to send the right messages and buildpositive attitude among earlier years. Our principle is that everyoneat school, adults, pupils, or Sixth Formers, should make an equaleffort with their appearance.

PPOOCCKKEETT MMOONNEEYY FFOORR BBOOAARRDDEERRSSEvery Boarding House has a House Account where the pocket moneyis kept. We believe that all children should have pocket money atschool. It provides a good training in the skill of managing money aswell as allowing your child the opportunity to purchase chosen treats– food, sweets, drinks or a new CD. The boarding houses oftenorganise weekend treats and outings for which it would not beappropriate to make charges on school bills. Payment should be handed to the House Parent on the first day ofterm. Cheques to be made out to the House. The recommendedpocket money, per term, is:

Year 12/13 Parents usually make their own arrangements for pocket money, but a suggestion of £120 per term is given as aguide line.

Everything must be clearly marked with theowner’s nameThe labelling of clothes, shoes and all possessions is theresponsibility of parents.

So-called “indelible markers” for clothes tend to fade after afew washes and we strongly advise parents to use a more permanent system of marking.

Please do not use iron-on labels - they come off very easily!

LLAAUUNNDDRRYY RROOUUTTIINNEEAll PE kits and underwear are “house washing” and usually returned thesame day. Everything else is sent to the school laundry and is normallyreturned the following day.

The boarding provision at the Royal Alexandra and Albert School defines the nature of the School and makes an exceptional contribution tothe overall pastoral care and personal development of all our pupils.

EthosResearch indicates that boarding can play a major role in providing rich experiences to develop soft skills which are necessary for well rounded adults to live fulfilling and enriching lives. Boarding also has more immediate and tangible effects, raising the level of achievementin academic, sporting, musical, creative and dramatic fields.Our boarding ethos is one which supports the achievement and welfare of the individual within the close-knit community of the boardinghouse.

We have two nominated 'Bike It' champions (one in the junior school and one in the senior school) who actively promote cycling to school to help reduce congestion, promote healthy living andlook after our environment. We cannot give special treatment to delicate clothing and wedo not have room to store unlimited quantities of personal possessions.

aa.. Send sufficient coat hangers to keep their clothes tidy. Twelve have been suggested.

bb.. Make sure clothing is machine washable and can be tumble dried.

cc.. Don't send very expensive items of any sort, in particular, expensive trainers.

dd.. Consider the need for insurance cover for your child's possessions.

ee. Make sure all items are labelled with your child’s name (including shoes). This is very important.

IINNSSUURRAANNCCEEYou should note that your child's personal effects are NOTcovered for loss or damage under the school's insurance policies. If you have household contents insurance, you maybe able to extend its cover to include possessions at school, ifnot, suitable policies are available at low cost through insurance companies and brokers. The school also offersinsurance cover for personal property and personal accident.Details will be sent to you.

PPOORRTTAABBLLEE EELLEECCTTRRIICCAALL EEQQUUIIPPMMEENNTT BBEELLOONNGGIINNGG TTOO PPUUPPIILLSSAll pupils (and therefore their parents and guardians) have aresponsibility for the condition of the electrical equipmentthey own. As part of this responsibility, visual inspections of the equipment should be carried out prior to bringing the equipment to School to ensure that it is in goodcondition. The School reserves the right to inspect and testpersonal electrical equipment and to remove or to require tobe removed, any electrical equipment judged not to conform tothe requirements of Health and Safety. Accordingly our maintenance department will be carrying out regular randomchecks of pupils’ electrical equipment each term. You shouldbe aware that we are subject to variable electrical current inGatton Park. All electrical equipment brought onto the site bypupils is done so entirely at their own risk. We would stronglyadvise that all equipment is appropriately insured and, if necessary, devices be added to protect from variations in current.

GGUUIIDDEE TTOO BBRRIINNGGIINNGG VVAALLUUAABBLLEESS IINNTTOO SSCCHHOOOOLLAs per the Classroom Code of Conduct for Pupils, mobile phonesand other similar personal equipment such as iPods and MP3 players MUST be switched off between 8.00am and 3.35pm ifbrought into the school buildings.

ALL such items are brought into school at the pupil’s own risk – theschool cannot take responsibility for any such items. We wouldstrongly advise that all such possessions are appropriately insured.

Pupils and parents should be aware that members of staff (includingthe school office) are NOT able to look after pupils personal possessions. We would strongly advise that if a pupil does bringsuch an item into school then it is locked in the pupil’s locker. Pupilsthat board should not bring such items into school at all but leavethem locked up in their lockers in the boarding house.

This also applies to pupils taking examinations because taking suchan item into an examination room is against the regulations (for full procedures during exams please see AReference Guide for students taking GCSE exams which is on theschool website)

IICCTT AACCCCEEPPTTAABBLLEE UUSSEE PPOOLLIICCYYPlease discuss this with your child (see full policy on our website)

We believe that it is appropriate for people to be allowed a greatdeal of freedom in using ICT for study, work and leisure. With freedom comes responsibility. The RAAS cannot control what isavailable on the internet. A small proportion of the material whichis possible to access is not acceptable in school, while other material must be treated with great sensitivity and care.

Exactly the same standards apply to electronic material, as tomaterial in any other form. If it is considered unacceptable by theschool when presented in a book, magazine, video, audio tape orspoken form, then it is not acceptable on the ICT network.

CCHHIILLDD PPRROOTTEECCTTIIOONN EEDDUUCCAATTIIOONNThere is a programme in school intended to inform and educate pupils about this subject. All new pupils receive an induction session where the following topics are covered in anage appropriate way.1. What is child abuse? 2. Who is likely to abuse children? 3. What to do about it.The emphasis is on the importance of ‘telling’ and who to tellat school. Lessons within the PSHE programme continue toraise pupils’ awareness of their own safety.

We all have to be aware of Health and Safety. Staff and pupilsat the Royal Alexandra and Albert School work within theHealth and Safety at Work Act 1974, together with many of thechanges that have been made since then. These changes mustbe implemented as they affect all of us.

• We have frequent evacuations (fire drills).• We assemble by tutor group in the designated area.• These evacuations take place at least once a term.• The Health and Safety Officer and a member of the Senior Management of the school oversee the evacuations.

• The evacuations are to be conducted in SILENCE. In the event of a real emergency, we as staff need to know where everybody is.

• Foolish behaviour at this point could cost another person’s life.Fire extinguishers are an essential part of safety equipment;they are not to be played with. Likewise a fire alarm must neverbe played with. Any student caught playing with this equipmentwill be punished under the school’s Behaviour Policy.

Pupils should NEVER go into a classroom, changing room, laboratory or workshop without permission. For safety’s sakestay out of a room unless told to enter, leave safety equipment alone and conduct evacuations in SILENCE.

If we all follow these simple rules we will all be able tolive, learn and enjoy our time at school in a safe andhappy environment.

CCCCTTVVWe have CCTV installed in the boarding houses. Monitoring isdone expressly for the protection of pupils, and sensitive consideration is given to the placement of cameras. The CCTVsystems do not intrude unreasonably on the privacy of pupils orstaff. The objectives of having CCTV are:(a) To ensure personal safety of pupils and staff, especially

BBOOAARRDDEERRSSDDooccttoorrssAll boarders are registered with the School Medical officer, Dr R McGilligan of Holmhurst Medical Centre, Redhill. Please letus have your child’s medical card. This helps us register withoutdelay. If your child needs to be seen by a doctor when at homethey can visit your family doctor as a temporary resident quotingthe school address as their permanent address. Please do notregister them. MEDICATIONThe Health Centre keeps a supply of a range of ‘over the counter’ medications, as listed in the new pupils health questionnaire.All medication brought in to school must be in your child’s name, in itsoriginal containers, clearly showing the medication’s name and expirydate, accompanied by a copy of the prescription or doctor’s letter (with a translation if appropriate). You may be asked to take the medication home with you if not supplied correctly.It should not be necessary for pupils to bring non-prescribed medicationin to school, and boarders are not allowed to keep any medication intheir rooms, unless approved by the Health Centre. Boarding houseskeep a supply of paracetamol and throat sweets should a boarder need medication when the Health Centre is closed.

CONFIDENTIALITYIn accordance with the school doctor’s/nurse’s professional obligations, medical information about pupils,regardless of age, will remain confidential. However, in providing medical/nursing care it is recognised that the doctor/nurse may liaise with parents or guardians, the headteacher or other academic staff and that information, ideallywith the pupils’ consent will be passed on as appropriate. The school offers a range of lessons covering all abilities frombeginner to competent with the aim of providing fun and enjoyment to happy hackers, social riders and those wishing todevelop an equine career. Whilst the riding school is located onthe school premises, some lessons and training do also takeplace at Littleton Manor Equestrain Centre in Reigate which islisted as a training venue for the 2012 Olympics.

Despite a large number of available spaces for the daily lessons, the school would like to point out that riding is a verypopular activity and there is a waiting list. We would thereforeurge those wishing to participate to register early and for thosewho perhaps decide that riding is not for them after all to givenotice - currently half a term - promptly so that others on the waiting list can fill the vacancy. Please note that failure to attendtwo consecutive lessons without a reasonable explanation willbe deemed as giving notice of termination with the appropriatebalance of fees being due.

EXTRA CURRICULAR ACTIVITIES & SCHOOL TRIPS

YOUNG GATTONIANS &DUKE OF EDINBURGH’S AWARD

These provide enjoyable, challenging and rewardingprogrammes of activities for your child. Young Gattonians isfor pupils age 11 to 14 years and the Duke of Edinburgh’sAward scheme is for pupils aged 14 and upwards.

Both these schemes are non-competitive. By learning newskills, each participant is encouraged to develop self-belief,self-confidence and a sense of responsibility. The challengesare applied in four areas: physical, skills, community serviceand expedition. Participants receive Bronze, Silver and Goldawards.

The activities on offer through these award schemes include:dance, karate, hobbies, horse riding, archery, expedition, FirstAid, Fire Service, watersports, table tennis, PGL camps, expeditioncamps, photography club, visiting the elderly, art clubs,Army Cadets, computer club, film club, basket ball club, iceskating trips, tenpin bowling trips, Art/Craft clubs, cookery club,swimming club, football club to name but a few!.Duke of Edinburgh Award: There is a cost for registration.Please enquire about current fees.

SCHOOL TRIPS

As a school we firmly believe that our role goes beyond thetimetabled day and that a wide range of visits and fieldwork is aninvaluable part of the curriculum. Here are examples of sometrips:

Outside of school we organise a range of recreational visits, somethrough the boarding houses: cinema visits, climbing and ice skating; others through school: Musicals, Plays, Rugby atTwickenham and Pizza Making parties.

For most school organised trips, letters are emailed home fromthe School Office with reply forms and money returned to theFoundation Office. Payment is required to reserve a place. Thereis often a limit on the number of places available, so places areallocated strictly on a first come basis.

Pupils are representing the school and inappropriate behaviour isnot tolerated. Parents are welcome to help (especially day trips).If you can assist on a trip you need to contact the member of staffdoing the organising. A CRB check needs to be carried out forstaff/parents who help on residentials and day trips.

In addition to all of these, the boarding houses organise visits andtrips for students in the evenings and at weekends. Some need tobe paid for, others are free. As the school has its own fleet ofminibuses we are in the fortunate position of being able to offer awide range of educational and fun activities to enrich the lives ofall of our students.

ACTIVITIESExtra curricular activities are compulsory between 4 - 5pm Monday to Friday and there are further optionalactivities from 6.30 - 9.00pm. There is a vast number tochoose from. Details can be found on our website.

• A written or telephone request must be made if your child is travelling to a relative. The name and address of the relative and the mode of travel must be given to the Housemaster/Housemistress. The age rule also applies in this instance.

• If over the age of fourteen, your child may travel to the host home unaccompanied if specific permission is given by you.

For Junior School children visiting Redhill, the procedure is as follows: -

• Member of staff escorts a limited number of Juniors to Redhill.• They are split into groups of three or more and allowed to shop for a given time.

• They are then met at times specified by the staff member during the afternoon.

• They are collected together at a specific time and escorted back to School.

• The member of staff will carry a mobile phone and each child has this phone number as well as the House number.

It has been our practice, unless stated to the contrary by parents ofBoarders, to assume that you would like your child to be a part of this system. However if you object to this practice and wish your child toremain at School please indicate on the form enclosed in your Admissionspack and necessary arrangements will be made according to your wishes.

Sometimes the Royal Alexandra & Albert School takephotographs of children, either at the school or in organisedactivities away from the school site. We use the pictures inschool publications, such as the prospectus, on our website orsocial media. We may also make video recordings for use by theschool. Generally, photographs of children for school and familyuse, and occasionally for publication in the Press, are asource of pleasure and pride and so are to be welcomed.Having taken advice from Surrey Police, Surrey County Council(the Local Education Authority) and other organisations, webelieve that the risk of a child being identified by a stranger issmall provided that reasonable steps are in place in line withthe policy set out below.

The school’s policyOur policy is to follow the Department for Education and Skills(DfES) advice: “If the pupil is named, avoid using thephotograph. If the photograph is used, avoid naming the pupil.” So we will notuse children’s names alongside their photographs in the school’sown printed publications, in video films, social media or on ourwebsite unless we have the express written agreement of theappropriate individual e.g. parent. However, pupils’ full names maybe given in group situations where they cannot be linked to individuals in the photograph.

To comply with the Data Protection Act 1998, we need yourpermission to photograph or make any recordings of your child,and we will assume that you give your consent to this. Generally photographs and videos for school and family use are asource of innocent pleasure and pride which can enhance self-esteem for children and young people and their families.

By following some simple guidelines we can proceed safely andwith regard to the law.

• Remember that parents and carers attend school events at the invitation of the Head and Governors.

• The Head and Governors have the responsibility to decide if photography and videoing of school performances is permitted.

• The Head and Governors have the responsibility to decide the conditions that will apply in order that children are kept safe and that the performance is not disrupted and children and staff not distracted.

• Parents and carers can use photographs and videos taken at a school event for their own personal use only. Such photos and videos cannot be sold and must not be put on the web/internet because of the Data Protection legislation, which in such circumstance is likely to be contravened.

• Recording or/photographing other than for private use would require the consent of all the other parents whose children may be included in the images.

• Parents and carers must follow guidance from staff as to when photography and videoing is permitted and where to stand in order to minimise disruption to the activity.

• Parents and carers must not photograph or video children changing for performances or events.

• If you are accompanied or represented by people that school staff do not recognise, they may need to check out who they are if they are using a camera or video recorder.

SCHOOL RULES

Most school rules are dictated by courtesy, consideration for othersand common sense. The rules set out below are the most importantbasic rules and others which are most frequently forgotten or misinterpreted.

1. All forms of drugs, including alcohol and cigarettes are not allowed. Pupils should not use them or have them in their possession.

2. Bullying, whether verbal or physical, is not tolerated in the school community.

3. Stealing is not allowed. Borrowing without permission and keeping items which one finds, are all forms of theft.

4. Immoral and anti-social behaviour is not appropriate in school. Included in this are offences such as sexual misconduct, bad manners, graffiti, the use of offensive language and dropping litter.

5. No pupil should leave the grounds without the permission of staff unless engaged in an organised outing or activity.

6. Fighting or any other form of physical misconduct is not allowed.

7. Pupils may not absent themselves from school or from any classes or activity without permission.

8. All pupils must know what to do in the case of a fire.

9. Improper use of the fire alarm system is a very serious matter.

10. For reasons of safety, several areas of the school are out of bounds. These include the woods, lakes, bottom fields, garages and staff accommodation.

11. Damage to buildings, fittings, furniture or school books, must be reported to a member of staff immediately. Deliberate damage of school property is a very serious matter.

12. For reasons of safety, no pupil should be in possession of any dangerous item or offensive weapon.

13. Chewing gum is not allowed in school.

14. Masking white fluid (Tippex) is not allowed in school.

15. All School equipment must be used appropriately. This includes all ICT equipment in accordance with the ICT Acceptable Usage Policy

If your child goes home for the weekend and becomes unwell and sub-sequently is unable to return to school then please ensure that you callthe main school office (01737 649000) and the child’s boarding houseon the first day of absence. The following procedures must be followed:

• Any child whose parents do not live in the UK is required to have a Guardian resident in the UK who can be contacted in case of an emergency (including a medical emergency). Or to make travel and holiday arrangements for your child.

• All travel arrangements to and from the school for your child(ren) are the responsibility of the Parents.

• For ALL children under the age of 14 the Guardian or another nominated responsible adult will be responsible for meeting your child(ren) and accompanying him/her/them to and from the school at the commencement and end of each school term.

• If your child has a brother or sister, over the age of 14, who will be leaving the UK on the same flight, then this older brother or sister can accompany the younger sibling.

• The Guardian or a responsible adult that accompanies any child(ren) under the age of 14 to the airport must be prepared to remain at the airport until the flight has left. ((TThhiiss iiss aann aaiirrlliinnee rreegguullaattiioonn))..

• All travel and guardian arrangements made for your child(ren) at the end of term must be advised IN WRITING to the Housemaster/Housemistress a minimum of a week before the end of term. In the event of a Guardian being unable to carry out the above instructions the responsible nominated adult must be communicated to the Housemaster/Housemistress when notification of end of term travel arrangements are being made

NNootteess::We anticipate children returning to school at the start of term from2pm onwards. We appreciate that this could be difficult for someovernight flights which arrive early in the morning. TTeerrmmss aanndd CCoonnddiittiioonnss –– FFLLEEXXII BBOOAARRDDEERRSS (b) The Acceptance Form, the Schedule of Charges, the Behaviour Management Policies, the Complaints Procedure and these terms and conditions form the terms of a contract between you and the charitable corporation the Royal Alexandra and Albert School and constitute the entire agreement between the parties. It is not intended that the terms of the contract shall be enforceable by your child or by any other third party.

2. Acceptance and Deposit

(a) An offer of a place for your child at the School is accepted by your completing the Acceptance Form and paying the deposit.

(b) The deposit is not refundable if your child does not take up a place at the School. The deposit will form part of the general funds of the School until it is credited without interest to the final payment of the charges or other sums due to the School on your child’s leaving.

3. Charges

(a) All the costs incurred in the usual course of providing flexi boarding facilities (excluding the provision of education which is provided without charge according to the provisions of the relevant Education Acts) shall be met by the charges unless otherwise notified by the School.

(b) Any extra-curricular activities such as private music lessons,riding lessons, trips and visits in which you agree your child may participate shall be deemed to be supplemental to items met by the flexi boarding charges and will be charged for accordingly.

(c) Each person who has signed the Acceptance Form is liable for the whole of the charges and any supplemental charges. The persons who have signed the Acceptance Form remain liable to the School for the whole of the charges and supplemental charges due, unless the School has agreed in writing to look exclusively to any other person for payment of the charges or any part of them.

(d) Where two parents have signed the Acceptance Form, one of them may withdraw from the contract with the School by submitting a term's notice provided they have obtained the prior written consent of both the School and the remaining parent.

(e) If your child has been awarded a bursary, your liability will be for the amount of charges due after taking account of that award. An award may be withdrawn with immediate effect if, on the recommendation of the Head and ratified by the Bursary Committee, your child’s attendance, progress or behaviour no longer merits the continuation of the award.

(f) Each invoice must be paid either in full before the first day of term or, if charges are paid by standing order or direct debit, in monthly instalments via School Fee Plan with supplemental charges being collected at the start of each term.

(g) We reserve the right to refuse to allow your child access to the boarding facilities and to withhold any references while fees or supplemental charges remain unpaid. We may make an interest charge of 5% per annum on late payment. You consent to our informing any other school or educational establishment to which you propose to send your child of any outstanding charges.

1. Definitions

(a) In these terms and conditions

"Acceptance Form" means the form provided by the School for parents to complete when accepting a place for their child at the School;

"child" means a child of whatever age admitted by the School to be educated and includes any pupil aged 18 or over;

"the Complaints Procedure" is the School’s procedure for handling complaints from parents, as amended from time to time for legal or other substantive reasons or in order to assist the proper administration of the School;

"deposit" means the sum set out in the Schedule of Charges;

"charges" means the charges set out in the Schedule of Charges as amended from time to time;

"Head" means the person appointed to be responsible for the day-to-day management of the School, including anyone to whom such duties have been duly delegated;

"School Rules" means the rules of the School, a copy of the current version of which is provided to each child on entry and is sent to parents with the letter offering a place at the School, as those rules may be amended from time to time for legal, safety or other substantive reasons or in order to assist the proper administration of the School. Parents will be given notice of such amendments;

“Flexi Boarding” means the entitlement to the provision of care in the boarding houses and use of boarding facilities from 7:30am to 9:00pm Mondays to Fridays and 7:30am to midday on Saturdays, excepting attendance at school during school hours, and the provision of all meals each day on Mondays to Fridays and breakfast on Saturdays. Flexi Boarders are required to spend a minimum of seven and a maximum of ten nights in a boarding house per year, on dates determined by the school.

“Behaviour Management Policies” are the detailed policies approved by the Governors encompassing the School’s expectations of pupil behaviour and rewards and sanctions

"term" means a term of the School as notified to parents from time to time;

"a term’s notice" means notice given not later than the first day of the term preceding the term to which the notice relates;

"terms and conditions" means these terms and conditions as amended from time to time;

"we" or the "School" means the legal entity carrying on as the School as identified in Clause 1(b) below, or its duly authorised representative, as the context requires;

"you" or the "parents" means each person who has signed the Acceptance Form as parent or guardian of a child or who with the School's written consent has subsequently assumed parental responsibility for such child.

(h) The charges will be reviewed from time to time (usually annually) and may be increased by such amount as the School considers reasonable. Notice of an increase in the charges will be sent to you prior to the start of the term preceding the term at which the increase is to take effect.

(i) Charges and any prepaid supplemental charges will not normally be reduced as a result of absence due to illness or otherwise. In the event that your child takes study leave at home before or during public examinations or stays at home following those examinations no reduction of charges will be made in respect of such periods spent at home.

4. Notice Requirements

(a) If you wish to withdraw your child from the School (other than at the normal leaving date) you shall either give a term’s notice to that effect or shall pay to the School a term’s charges in lieu of notice, at such rate as would have been charged for the final term of provision if a term’s notice hadbeen given. In cases where notice is not given, the appropriate sum in lieu of notice will become due and owing to the School as a debt on the first day of the term which would have been the final term of provision if a term’s notice had been given.

(b) If you wish to withdraw your child from an activity charged for as supplemental, you shall either give a half term’s notice to that effect or shall pay to the School a half term’s charges for the activity in which your child has ceased to participate.

(c) You acknowledge that the School’s affairs are organised on a termly basis and that it is not possible for you to reduce the amount of charges due or to obtain a refund of charges by withdrawing your child or by your child’s ceasing to participate in an activity part-way through a term.

5. School Rules

(a) It is a condition of remaining at the School that your child complies with the School Rules as amended from time to time. In particular you undertake to ensure that your child attends School punctually and that your child conforms to such rules of appearance, dress and behaviour as shall be issued by the School from time to time.

(b) The School may undertake drugs testing of pupils in accordance with its drugs policy as set out in the Behaviour Management Policies. The drugs policy has been adopted with the aim of safeguarding the health and safety of all pupils.

(c) The School reserves the right, subject to applicable data protection legislation, to monitor your child’s email communication and internet use for the purpose of ensuring compliance with the School’s Behaviour Management Policies.

6. Disciplinary Procedures

(a) In accordance with the Behaviour Management Policies, the Head may in his/her discretion withdraw flexi boarding facilities (either temporarily or permanently) if he/she considers that your child’s behaviour (including behaviour outside school) is seriously unsatisfactory and in the reasonable opinion of the Head the removal is in best interests of your child or other children or of the School.

(b) The Head may in his/her discretion require you to remove your child temporarily or permanently from the boarding facilities if the behaviour of you or either of you is, in the opinion of the Head, unreasonable and affects or is likely to affect adversely the child’s or other children’s well-being at the School or the well-being of School staff or to bring the School into disrepute.

(c) We shall monitor your child's well-being within the Boarding Community and we shall advise you if we have any concerns thereto. You may be asked to withdraw your child without being charged fees in lieu of notice if in the opinion of the Head the School cannot provide adequately for your child's particular needs.

(d) Should the Head exercise his/her right under sub-clause 6(a) above you will not be entitled to any refund or remission of charges or supplemental charges paid or due and the deposit will be forfeited. However, in such circumstances charges in lieu of notice will not be payable and any prepaid charges will be refunded.

(e) The Behaviour Management Policies set out examples of offences likely to be punishable by the withdrawal of flexi boarding facilities. These examples are not exhaustive, and in particular the Head may decide that withdrawal of flexi boarding facilities for a lesser offence is justified where there has been previous misbehaviour. All aspects of the pupil’s record at the School may be taken into account.

(f) The School will act in a way which is fair in all the circumstances when taking decisions under this Clause 6.

7. The School's Obligations

(a) Subject to these terms and conditions, the School undertakes to accept your child as a member of the flexi boarding community from the time of joining the School until the end of his or her junior or secondary schooling. However, the School shall not be obliged to permit your child to enter the sixth form unless satisfied that it is appropriate to do so having regard to his or her academic attainments and all other relevant circumstances. The School may make a decision as to whether your child may join the sixth form after the results of GCSE or equivalent examinations are known, and may make entry to the sixth form conditional upon the results of such examinations.

(b) While your child remains a pupil of the School, we undertake to exercise reasonable skill and care in respect of his or her welfare. This obligation will apply at all times when your child is permitted to be on School premises or is participating in activities organised by the School.

(c) In order to fulfil our obligations, we need your co-operation, in particular by: fulfilling your own obligations under these terms and conditions; encouraging your child in his or her studies, and giving appropriate support at home; keeping the School informed of matters which affect your child; maintaining a courteous and constructive relationship with School staff; and attending meetings and otherwise keeping in touch with the School where your child’s interests so require.

(d) In accordance with the law, we will not subject your child to corporal punishment. We will not subject your child to physical contact except where such contact may be deemed appropriate in order to avert an immediate danger of personal injury to, or an immediate danger to the property of, a person (including your child). Unless you notify us to the contrary, you consent to your child participating, under proper supervision, in contact sports and in other normal sports and activities which may entail some risk of physical injury.

(e) If your child requires urgent medical attention while under the School’s care, we will if practicable attempt to obtain your prior consent. However, should we be unable to contact you we shall be authorised to make the decision on your behalf should consent be required for urgent treatment (including anaesthetic or operation) recommended by a doctor. You give consent for the administration of first aid and appropriate non-prescription medicine.

(f) The School’s website describes the broad principles on which the School is presently run. However, from time to time it may be necessary to make changes to any aspects of the School, and we reserve the right to do so. For this reason, please notify the School if there is anything of particular concern to you contained on the website, as it may be that recent changes are not reflected in the current version. We will give parents notice of any changes at the School that we regard as significant to your child prior to the end of the penultimate term before the change is to take effect, and where practicable will consult with parents on such changes.

(g) Religious observance at the School shall be conducted in accordance with the School’s Collective Worship Policy.

8. The Parents’ Obligations

(a) It is a condition of your child joining the School that you complete the application form honestly and without wilful and material omission or inaccuracy. The Head reserves the right to withdraw flexi boarding facilities without prior notice in the event of a material omission or inaccuracy. Should the Head exercise this right you will not be entitled to any refund or remission of charges or supplemental charges paid or due and the deposit will be forfeited. However, in such circumstances charges in lieu of notice will not be payable.

(b) It is a condition of your child’s joining the School that you complete and submit to the School a medical questionnaire in respect of your child. You undertake to inform the School of any health or medical condition, disability or allergy that your child has or subsequently develops, whether long-term or short-term, including any infections. If the School so requires due to a health risk either presented by your child to others or presented to your child by others or by reason of a virus, pandemic, epidemic or other health risk, you undertake to keep your child at home and not permit him/her to return to the School until such time as the health risk has been averted.

(c) You undertake to inform the School of any situations where special arrangements may be needed in relation to your child.

(d) The School is entitled to treat any instruction, authority, request or prohibition received from any person who has signed the Acceptance Form as having been given on behalf of both or all such persons.

(e) The Head must be informed in writing of any reason for your child’s absence from School. Wherever possible the Head’s prior consent should be sought for absence from the School.

(f) We cannot accept any responsibility for the welfare of your child while off the School premises unless he is taking part in a school activity or otherwise under the supervision of a member of the School staff.

(g) If you have cause for concern as to a matter of safety, care, discipline or progress of your child you must inform the School without delay. Complaints should be made in accordance with the School’s complaints procedure.

9. Insurance

You must make your own insurance arrangements if you require cover for your child's person or property while at School.

10. Confidentiality and References

(a) You consent to our supplying information and a reference in respect of your child to any educational institution which you propose your child may attend. Any reference supplied by us shall be confidential. We will take care to ensure that all information that is supplied relating to your child is accurate and any opinion given on his/her ability, aptitude for certain courses and character is fair. However, we cannot be liable for any loss you or your child is alleged to have suffered resulting from opinions reasonably given in or correct statements of fact contained in any reference or report given by us.

(b) You consent to us making use of information relating to your child whilst he or she is at the School and after he or she has left for the purposes of managing relationships between the School and current pupils, providing references and communicating with the body of former pupils.

(c) You consent to the School making enquiries of your child’s current or previous schools for confirmation that all sums due and owing to such school/s have been paid and you consent to us informing any other schoolor educational establishment to which you propose sending your child if any fees of this School are unpaid.

11. Intellectual Property Rights

We shall recognise any intellectual property rights vested in your child.

12. Changes in Ownership etc

For the purposes of constitutional changes to the School or amalgamation we reserve the right to transfer the undertaking of the School to any other natural or legal person, and to assign the benefit of this contract in connection with any such transfer, and/or to amalgamate the School with any other educational institution. Where appropriate we will inform and consult with all parents in relation to such changes.

13 Termination

(a) The School shall be entitled to terminate this agreement forthwith by notice in writing without prejudice to its other remedies and without any obligation to return any deposit or charges paid to you if you are in material breach of any of your obligations and have not (in the case of a breach which is capable of remedy) remedied the same within (14) days of a notice from the School requiring it to be remedied (including for the avoidance of doubt persistent non-payment or material default under these terms and conditions).

(b) Either party may terminate this agreement forthwith by notice in writing without prejudice to its other remedies if the other (in your case) is unable to pay its debts or is declared bankrupt or (in the School's case) becomes insolvent or goes into liquidation or receivership or administrative receivership or is wound-up for any reason.

(c) For the avoidance of doubt, this agreement shall terminate at the end of your child's schooling which may be at the end of Year 11 if your child does not meet any requirements imposed under Clause 7(a) for entry to the sixth form.

14. Force Majeure

(a) In this agreement "force majeure" shall mean any cause beyond a party's control (including for the avoidance of doubt strikes, other industrial disputes, act of God, war, riot, civil commotion, compliance with any law or governmental order, rule, regulation or direction (including that of a local authority), accident, fire, flood, storm, pandemic or epidemic of any disease, terrorist attack, chemical or biological contamination).

(b) In the event of a force majeure arising which prevents or delays the School's performance of any of its obligations under this agreement, the School shall forthwith give you notice in writing specifying the nature and extent of the circumstances giving rise to the force majeure. Provided that the School has acted reasonably and prudently to prevent and minimise the effect of the force majeure, the School will have no liability in respect of the performance of such of its obligations as are prevented by the force majeure while it continues. The School shall use its best endeavours during the continuance of the force majeure to provide educational services.

(c) If the School is prevented from performance of its obligations for a continuous period greater than four months, the School shall notify you of the steps it shall take to ensure performance of the agreement.

(d) In the event of a force majeure which affects your ability to perform any of your obligations under this agreement, you shall give the School notice in writing of the force majeure. You shall not be liable for non-performance of such obligations during the continuance of the force majeure but in the event of the force majeure continuing for more than four months, you shall discuss with the School a solution by which this agreement may be performed.

15. Communications

All notices required to be given under these terms and conditions must be given in writing. You undertake to notify the School of any change of address of any person who has signed the Acceptance Form. Communications (including notices) will be sent by the School to the address shown in its records. Notices that you are required to give under these terms and conditions must be addressed to the Head and sent to the School’s address. If sent by first class post, notice shall be deemed to have been given on the second day after posting.

16. Interpretation

Headings in these terms and conditions are for ease of understanding only and do not form part of these terms and conditions.

17. Jurisdiction and Governing Law

The contract between you and the School is governed by English Law. You agree with us to submit to the exclusive jurisdiction of the English courts.

18. Variations

We reserve the right to change or add to these terms and conditions from time to time for legal, safety or other substantive reasons or in order to assist the proper delivery of education at the School. The School will send you notice of any such modifications prior to the end of the penultimate term before the modifications are to take effect.

1. Definitions

(a) In these terms and conditions

"Acceptance Form" means the form provided by the School for parents to complete when accepting a place for their child at the School;

"child" means a child of whatever age admitted by the School to be educated and includes any pupil aged 18 or over;

"the Complaints Procedure" is the School’s procedure for handling complaints from parents, as amended from time to time for legal or other substantive reasons or in order to assist the proper administration of the School;

"deposit" means the sum set out in the Schedule of Charges;

"charges" means the charges set out in the Schedule of Charges as amended from time to time;

"Head" means the person appointed to be responsible for the day-to-day management of the School, including anyone to whom such duties have been duly delegated;

"School Rules" means the rules of the School, a copy of the current version of which is provided to each child on entry and is sent to parents with the letter offering a place at the School, as those rules may be amended from time to time for legal, safety or other substantive reasons or in order to assist the proper administration of the School. Parents will be given notice of such amendments;

“Behaviour Management Policies” are the detailed policies approved by the Governors encompassing the School’s expectations of pupil behaviour and rewards and sanctions

"term" means a term of the School as notified to parents from time to time;

"a term’s notice" means written notice given not later than the first day of the term preceding the term to which the notice relates;

"terms and conditions" means these terms and conditions as amended from time to time;

"we" or the "School" means the legal entity carrying on as the School as identified in Clause 1(b) below, or its duly authorised representative, as the context requires;

"you" or the "parents" means each person who has signed the Acceptance Form as parent or guardian of a child or a person who with the School’s written consent replaces a person who has signed the Acceptance Form.

(b) The Acceptance Form, the Schedule of Charges, the Behaviour Management Policies, the Complaints Procedure and these terms and conditions form the terms of a contract between you and the charitable corporation the Royal Alexandra and Albert School and constitute the entire agreement between the parties. It is not intended that the terms of the contract shall be enforceable by your child or by any other third party.

2. Acceptance and Deposit

(a) An offer of a place for your child at the School is accepted by your submitting the Acceptance Form and paying the deposit.

(b) The deposit is not refundable if your child does not take up a place at the School (except where the School fills the vacancy created by your child’s withdrawal, in which case the School shall refund the deposit to you less its costs in administering your dealings with the School or a reasonable estimate of those costs). The deposit will form part of the general funds of the School until it is credited without interest to the final payment of the fees or other sums due to the School on your child’s leaving.*

(c) If you wish to withdraw your acceptance of a place after submitting the Acceptance Form and paying the deposit but before your child starts at the School you shall give written notice to that effect prior to the first day of the term immediately preceding the term in which your child was due to start. If such notice is received by the School by that time the deposit will be forfeited in accordance with Clause 2(b) above but no further fees will be payable. If such notice is received on or after that date, a term's fees (charged at the rate applicable for the term immediately preceding the term when your child was due to start) shall be payable and shall become due and owing to the School as a debt.

3. Charges

(a) All the costs of the provision of boarding school facilities (except the cost of the provision of education which is provided without charge according to the provisions of the relevant Education Acts) shall be met by the charges unless otherwise notified by the School.

(b) Any extra-curricular activities such as private music lessons, riding lessons, trips and visits in which you agree in advance your child may participate shall be deemed to be supplemental to items met by the boarding charges and charged for accordingly.

(c) Each person who has signed the Acceptance Form is liable for the whole of the charges due and any supplemental charges. The persons who have signed the Acceptance Form remain liable to the School for the whole of the charges and supplemental charges due, unless the School has agreed in writing to look exclusively to any other person for payment of the fees or any part of them.

(d) Where two parents have signed the Acceptance Form, one of them may withdraw from the contract with the School by submitting a term's notice provided they have obtained the prior written consent of both the School and the remaining parent.

(e) If your child has been awarded a bursary, your liability will be for the amount of charges due after taking account of that award. An award may be withdrawn if, in the opinion of the Head, your child’s attendance, progress or behaviour no longer merits the continuation of the award but any such withdrawal of an award will not operate so as to increase the charges due in respect of a term which has already commenced. If, within 14 days following the withdrawal of a bursary, a child is withdrawn from the School, no charges in lieu of notice will be payable.

(f) Each invoice must be paid either in full before the first day of term or, by monthly instalments via School Fee Plan if charges are paid by standing order or direct debit. Supplemental charges will be collected at the start of each term.

(g) We reserve the right to refuse to allow your child to access the Boarding facilities and to withhold any references while fees remain unpaid or there is a persistent default in relation to supplemental charges.We may make an interest charge of 5% per annum on late payment. You consent to our informing any other school or educational establishment to which you propose to send your child of any outstanding fees.

(h) The charges will be reviewed from time to time (usually annually) and may be increased by such amount as the School considers reasonable. Notice of an increase in the charges will be sent to you prior to the start ofthe term preceding the term at which the increase is to take effect.

(i) Charges and any prepaid supplemental charges will not normally be reduced as a result of absence due to illness or otherwise. In the event that your child takes study leave at home before or during public examinations or stays at home following those examinations no reduction of charges will be made in respect of such periods spent at home.

4. Notice Requirements

(a) If you wish to withdraw your child from the School (other than at the normal leaving date) you shall either give a term’s notice to that effect or shall pay to the School a term’s charges in lieu of notice, at such rate as would have been charged for the final term of provision if a term’s notice had been given. In cases where notice is not given, the appropriate sum inlieu of notice will become due and owing to the School as a debt on the first day of the term which would have been the final term of provision if a term’s notice had been given.

(b) If you wish to withdraw your child from an activity charged for as supplemental, you shall either give a half term’s notice to that effect or shall pay to the School a half term’s charges for the activity in which your child has ceased to participate.

(c) The School’s affairs are organised on a termly basis and it is not possible for you to reduce the amount of charges due or to obtain a refund of charges by withdrawing your child or by your child’s ceasing to participate in an activity part-way through a term.

5. School Rules

(a) It is a condition of remaining at the School that your child complies with the School Rules as amended from time to time. In particular you undertake to ensure that your child attends School punctually and that your child conforms to such rules of appearance, dress and behaviour as shall be issued by the School from time to time.

(b) The School may undertake drugs testing of pupils in accordance with its drugs policy as set out in the Behaviour Management Policies. The drugs policy has been adopted with the aim of safeguarding the health and safety of all pupils.

(c) The School reserves the right, subject to applicable data protection legislation, to monitor your child’s email communication and internet use for the purpose of ensuring compliance with the School’s Behaviour Management Policies.

6. Disciplinary Procedures

(a) In accordance with the Behaviour Management Policies, the Head may in his/her discretion withdraw the boarding place (either temporarily or permanently) if he/she considers that your child’s attendance, progress or behaviour (including behaviour outside school) is unsatisfactory and in the reasonable opinion of the Head the removal is in the School’s best interests or those of your child or other children.

(b) The Head may in his/her discretion require you to remove your child temporarily or permanently from the boarding facilities if the behaviour of you or either of you is, in the opinion of the Head, unreasonable and affects or is likely to affect adversely the child’s or other children’s wellbeing at the School or the wellbeing of School staff or to bring the School into disrepute.

(c) We shall monitor your child's wellbeing within the Boarding Community and we shall advise you if we have any concerns thereto. You may be asked to withdraw your child without being charged fees in lieu of notice if in the opinion of the Head the School cannot provide adequately for your child's particular needs.

(d) Should the Head exercise his/her right under sub-clause 6(a) or 6(b) above you will not be entitled to any refund or remission of charges or supplemental charges due (whether paid or payable) and the deposit will be forfeited. However, in such circumstances charges in lieu of notice will not be payable and any prepaid charges will be refunded.

(e) The Behaviour Management Policies set out examples of offences likely to be punishable by the withdrawal of boarding facilities. These examples are not exhaustive, and in particular the Head may decide that withdrawal of boarding facilities for a lesser offence is justified where there has been previous misbehaviour. All aspects of the pupil’s record at the School may be taken into account.

(f) The School will act in a way which is fair in all the circumstances when taking decisions under this Clause 6.

7. The School's Obligations

(a) Subject to these terms and conditions, the School undertakes to acceptyour child as a member of the boarding community from the time ofjoining the School until the end of his or her secondary schooling.However, the School shall not be obliged to permit your child to enterthe sixth form boarding house unless satisfied that it is appropriate todo so having regard to his or her academic attainments and all otherrelevant circumstances. The School may make a decision as to whetheryour child may join the sixth form boarding house after the results ofGCSE or equivalent examinations are known, and may make entry tothe sixth form boarding house conditional upon the results of suchexaminations.

(b) While your child remains a pupil of the School, we undertake toexercise reasonable skill and care in respect of his or her welfare. Thisobligation will apply at all times when your child is permitted to be onSchool premises or is participating in activities organised by the School.

(c) In order to fulfil our obligations, we need your co-operation, inparticular by: fulfilling your own obligations under these terms andconditions; encouraging your child in his or her studies, and givingappropriate support at home; keeping the School informed of matterswhich affect your child; maintaining a courteous and constructiverelationship with School staff; and attending meetings and otherwisekeeping in touch with the School where your child’s interests sorequire.

(d) In accordance with the law, we will not subject your child to corporalpunishment. We will not subject your child to physical contact exceptwhere such contact may be deemed appropriate in order to avert animmediate danger of personal injury to, or an immediate danger to theproperty of, a person (including your child). Unless you notify us to thecontrary, you consent to your child participating, under propersupervision, in contact sports and in other normal sports and activitieswhich may entail some risk of physical injury.

(e) If your child requires urgent medical attention while under the School’scare, we will if practicable attempt to obtain your prior consent.However, should we be unable to contact you we shall be authorisedto make the decision on your behalf should consent be required forurgent treatment (including anaesthetic or operation) recommended bya doctor. You give your consent for the administration of first aid and appropriate non-prescrition medicine.

(f) The School’s website describes the broad principles on which the School ispresently run. However, from time to time it may be necessary to make changes to any aspects of the School, and we reserve the right to do so. For this reason, please notify the School if there is anything of particularconcern to you contained on the website, as it may be that recentchanges are not reflected in the current version. We will give parentsnotice of any changes at the School that we regard as significant toyour child prior to the end of the penultimate term before the changeis to take effect, and where practicable will consult with parents onsuch changes.

(g) Religious observance at the School shall be conducted in accordancewith the School’s Collective Worship policy.

8. The Parents’ Obligations

(a) It is a condition of your child joining the School that you complete theapplication form honestly and without wilful and material omission orinaccuracy. The Head reserves the right to withdraw boarding facilitieswithout prior notice in the event of a material omission or inaccuracy.Should the Head exercise this right you will not be entitled to anyrefund or remission of charges or supplemental charge paid or dueand the deposit will be forfeited. However, in such circumstancescharges in lieu of notice will not be payable.

(b) It is a condition of your child’s joining the School that you completeand submit to the School a medical questionnaire in respect of yourchild. You undertake to inform the School of any health or medicalcondition, disability or allergy that your child has or subsequentlydevelops, whether long-term or short-term, including any infections. Ifthe School so requires due to a health risk either presented by yourchild to others or presented to your child by others or by reason of avirus, pandemic, epidemic or other health risk, you undertake to keepyour child at home and not permit him/her to return to the Schooluntil such time as the health risk has been averted.

(c) Other than in exceptional circumstances, and subject to theHeadmaster’s agreement, your child must register with the School’sdoctor.

(d) You undertake to inform the School of any situations where specialarrangements may be needed in relation to your child.

(e) The School is entitled to treat any instruction, authority, request orprohibition received from any person who has signed the AcceptanceForm as having been given on behalf of both or all such persons.

(f) The Head must be informed in writing of any reason for your child’sabsence from School. Wherever possible the School’s prior consentshould be sought for absence from the School.
