    Preface

    Welcome to CentreWare Network Services.The Network Services software allows users to control devices on a network.

    This guide contains feature overview information, system requirements, and installation procedures for the Network Services. This guide is written for administrators and users who need to install the Network Services for the first time.

    The contents of this guide are prepared on the assumption that the readers have already acquired prior knowledge and understanding of the operation of Microsoft Windows 95 operating system, Microsoft Windows 98 operating system, Microsoft Windows NT operating system Version 4.0, and Microsoft Windows 2000 operating system.

    Note that this manual is written for users operating the CentreWare Network Services on a client computer installed with an English edition operating system. Unless otherwise indicated, this manual is written for use with English edition operating system only.

    1.1 Introducing the Network Services

    The Network Services software allows users to control printers and multi-functional devices on a network from their personal computers.

    Printers and multi-functional devices are referred as device in this guide.

    The Network Services software facilitates the efficiency of work under an office environment, where multiple users share printers and facsimiles. With this product, users can look up the status of remote printers and facsimiles on their personal computer and monitor their print jobs without leaving a desk. The Network Services software consists of multiple applications for general users and system administrators.

    The Network Services software supports Microsoft Windows 95, Windows 98, Windows NT 4.0, and Windows 2000 environments along with Novell NetWare and TCP/IP environments.

    The Network Services software increases the efficiency of your work in a network environment with the following features:

    Sets up network servers and devices so that users can use devices on a network from their personal computers.

    Enables users to share the link between the port/queue information and devices.

    Enables users to find a device appropriate for their print/fax jobs. Enables users to monitor the status of devices and their print/fax jobs on their

    personal computers.

    SETTING UP NETWORK SERVERS AND DEVICESAn administrator needs to set up network servers and devices to enable users to send print and fax jobs to devices, which are physically connected to a network, from users personal computers.

    The Device Admin Wizard of the Network Services software allows an administrator to set up both network servers and devices from a personal computer.

    DEVICE ADMIN WIZARDThe Device Admin Wizard is an application mainly for administrators. It allows an administrator to install devices physically connected to a network and modify connectivity settings in NetWare and TCP/IP environments. The wizard guides an

    1.2 Features Overview

    administrator through setting up devices.You can use the wizard as follows:

    For the TCP/IP environment:

    You can set up an IP address, subnet mask, and default gateway address for a device.

    You can set up various features including the LPD port, transports, print mode, job spool using a device properties dialog box.

    For the NetWare environment (PServer only): You can create a printer object and a port/queue object in the NetWare server,

    modify them, and assign a port/queue to the created printer object. In NDS connection, you can specify the print mode, device name, tree, and

    context to the device.In Bindery connection, you can specify the print mode, device name, file server name to the device.

    MONITORING THE STATUS OF DEVICES AND JOBSThe Conductor (Toolbar) allows users to monitor the status of devices and print/fax jobs on a network from their personal computers. Users can find printers with few waiting jobs on a network and check whether their jobs were completed without leaving their desks.

    CONDUCTOR (TOOLBAR)The Conductor (Toolbar) allows users to monitor jobs on a network from their personal computers. Use the Conductor to:

    monitor the status of print and fax jobs in network servers and devices from users personal computers.

    manage jobs (send, hold, release, and delete). monitor the status of all jobs that you sent to devices in one dialog box. monitor the status of devices, paper tray status, error history, and job history. view or modify the connectivity settings of the device and memory information.

    SEARCHING DEVICES APPROPRIATE FOR JOBSThe Find Printer Utility is a network searching tool for users. It allows users to search the network for devices that have specific features or capabilities. Instead of manually checking for devices, users can search for, locate, and print to the desired device without leaving their personal computers. For example, users can list printers with A4 size paper and functions of 2 Sided Printing and Stapling on a network.

    1.2 Features Overview

    FIND PRINTER UTILITYThe Find Printer Utility allows users to search a network for a device with the desired features and find the location and configuration of the found device without leaving a desk.

    Use the Find Printer Utility to:

    search devices by specifying the following conditions: printer name, printer model, location, paper size, system services (print/fax/scanning), output options (2 sided printing, stapling, resolution)

    monitor the status of devices, paper tray status, error history, and job history (same as the Conductor).

    view or modify the connectivity settings of the device and memory information (same as the Conductor).

    SHARING DEVICE INFORMATION FOR MONITORING DEVICESTo monitor devices on users personal computers, the port/queue information and the devices should be linked. In some network environments, the Network Services cannot automatically make a link between port/queue information and a device. In that case, the Device Discovery Wizard of the Network Services helps administrators and users to make a link.

    DEVICE DISCOVERY WIZARDThe Device Discovery Wizard is an application that helps administrators and users to make a link between port/queue information and a device searched on the network.

    The management of device informationWhen a link between port/queue information and a device is not placed in the registry, administrators need to create the device discovery file (the extension is .mts) specified for the Network Services using the Device Discovery Wizard. Before monitoring devices, users need to import the device information in the file to the registry of their personal computers by a double-clicking the file.

    This guide explains the overall process from the installation of devices on a network using the Network Services to the setup procedures for users to monitor the devices.

    See Help for the information of the Network Services operation after building the Network Services environment.

    Building the Network Services environmentThe following is the overview of steps to build the Network Services environment.

    1. First, administrators set up devices and network servers by using the Device Admin Wizard and the Device Discovery Wizard.

    2. Then, users set up their personal computers for monitoring the devices using the Find Printer Utility and the Conductor.

    Before proceeding setup proceduresDifferent network environments require different setup procedures and applications when building the Network Services environment. Find your network environment from 13 cases with alphabetical names in the table shown on the next page. This guide explains procedures depending on a network environment.

    Environment cases are determined by the combination of the following conditions.

    Network servers (NetWare, Windows NT Server, Windows 2000 Server, Windows 2000 Advanced Server, or none)

    Mode of devices to install (PServer or RPrinter) for NetWare Connection type (NDS or Bindery) for NetWare Operating system (OS) of users personal computers (Windows 95, Windows 98,

    Windows 2000 Professional, or Windows NT Workstation)Some environment cases require a certain operating system of an administrators personal computer.

    PRECAUTIONS FOR UPGRADEYou can upgrade your Network Services release 4.0, 4.5 or 4.5.2 to 4.5.2 SP1 without uninstalling the release 4.0/4.5/4.5.2. The installation by overwriting enables you to keep the device information that have been specified in your personal computer using the Network Services release 4.0/4.5/4.5.2.

    Make sure to read the following precautions before upgrading the existing software.

    The Network Services applications of release 4.0/4.5/4.5.2 and 4.5.2 SP1 cannot exist in the same personal computer.For example, you cannot install the Conductor from the Network Services release 4.5 CD-ROM and the Find Printer Utility from the Network Services release 4.5.2 SP1 CD-ROM to the same personal computer. You have to install the applications from the same CD-ROM.

    The Network Services release 4.0/4.5/4.5.2 cannot be installed on the personal computer on which the Network Services release 4.5.2 SP1 is installed. The Network Services release 4.0/4.5/4.5.2 may not operate correctly, because the setup program does not overwrite newer files by older files.

    2.3 Installing the Network Services

    This section explains the installation procedure.Different network environments require different Network Services applications. Be sure to confirm which applications are necessary for your environment referring to 3.1 Building the Network Services Environment before installation.

    The administrator rights or equivalent rights are necessary to install the Network Services software to a Windows NT workstation or Windows 2000 Professional.

    Installing the Network Services

    Exit all Windows programs before running the setup program. If you start the setup program without exiting the active applications, the following message appears.

    1. Insert the Network Services installation CD-ROM into the CD-ROM drive of the client computer.

    2. The following screen appears automatically. Place the mouse pointer over the Install/Uninstall (Setup.exe) icon and click it to start the installation.

    3. When the following wizard screen appears, click Next.

    4. The Setup Options screen appears. Click Install.

    5. The License Agreement appears. Read them and if you accept them, click Yes.When you install the CentreWare for the first time, go to step 6. If the CentreWare has already been installed, go to step 8.

    6. Enter Name and Company, then click Next.

    If the CentreWare has already been installed, this screen does not appear.

    7. Confirm the contents and Click Yes.

    If No is selected, the screen returns to the Registration screen.

    8. Select one or more devices you use, then click Next.

    To add the device you do not select here, you must carry out the setup program again to install the device.

    9. The default of the Destination Directory is Program Files\CentreWare, locating under the drive where the Windows system directory exists.To change the directory, click Browse and select another directory in the Choose Directory dialog box. Click Next.

    If the CentreWare has already been installed, this screen does not appear. The program is automatically installed to the same directory.

    10. Choose the components you wish to install, then click Next.The Device Admin Wizard is not selected by default. An administrator who use the Device Admin Wizard should confirm that the Device Admin Wizard is

    13. If you chose the Conductor as an application to be installed at step 10, the screen, Modify Startup folder?, appears.To set the Conductor to StartUp in the Programs menu, click Yes. If not, click No.

    14. When the installation is complete, the following wizard screen appears. If you want to read the product information, select the Yes I want to read the Readme now. check box. Click Finish to complete setup, and then remove the CD-ROM from the drive, and then.

    When the installation has been completed, the Xerox CentreWare menu and the Network Services sub-menu are added to the Programs menu under the Start button. The applications and their help centres which have been installed are registered under the sub-menu.

    1. Exit all CentreWare applications before running the uninstall program.

    2. Open Control Panel, double-click Add/Remove Programs. Then select Xerox CentreWare from the programs list in the displayed dialog box, and then click Add/Remove.

    3. The setup program is activated and the wizard appears. Click Next.

    HOW TO READ THIS CHAPTERDifferent network environments require system administrators and users to use different applications and follow different procedures to set up the Network Services. This chapter explains the procedures to set up the Network Services for ten environment cases.

    Be sure to confirm the case name of your network environment in 1.4 Using the Network Services.

    I. PREPARING AN ADMINISTRATORS PERSONAL COMPUTERThis task is necessary for all the cases of A, B, C, and D.

    Confirm whether the required Network Services applications are installed on the administrators personal computer to be used. If not installed, see 2 Installing the Network Services to install them. The required applications are as follows:

    Activating the IPX agent

    If your device model is Document Centre 400/350/250 series or Document Centre 551/451 series, the IPX agent is activated automatically by the factory default setting when the device is turned on.If your device model is Able Model-PR II, activate the IPX agent on the device control panel following the procedure below.

    You can confirm whether the agent is activated by printing the printer settings list from the device. For details, refer to the procedure Printing the printer settings list on the this page.

    For Able Model-PR II1. Press Menu to display a menu.

    To set up network servers and devices, use the Device Admin Wizard of the Network Services. The Device Admin Wizard guides administrators to do the followings:

    1. Log in to the NetWare server as a supervisor.

    2. Click Start, select Programs, select Xerox CentreWare, select Network Services, and then select Device Admin Wizard. The Device Admin Wizard is activated and the first screen of the wizard appears.

    3. Click Next. The screen for selecting a device appears.

    4. Select Xerox Printers (NetWare) in Available Xerox Devices. The devices on the NetWare environment are searched and listed on the screen.

    You can search the device by specifying the IPX address using the Identify Device dialog box which appears by clicking Identify Device. Confirm the

    You can search the specific device model using the Filter Devices dialog box which appears by clicking Filter Devices.

    You can search the device by specifying the scope using the Specify Network dialog box which appears by clicking Specify Network. If the device cannot be searched, change the scope.

    5. Select the device name and IPX address from the list, which was confirmed with the printer setting list printed at II. Preparing Devices. Click Next.

    If the NetWare port of the device is not activated, select the device from the list referring to the address of the interface card printed in the printer settings list.

    6. The Enter Password dialog box appears. Enter the password for the device specified using the Network Services, and then click OK.

    Refer to the Readme file in the Network Services installation CD-ROM for the default password. For details of the password, refer to 5.1 User Access Restrictions on Device Settings.

    7. Select NetWare and click Next.

    If the NetWare port of the device is not activated, the dialog box appears which ask you whether the NetWare port can be activated.

    8. Select Bindery in the NetWare Connection Type, then click Next.

    If there is no Bindery server you logged in as an administrator or a user with equivalent rights, the error message appears and you are not permitted to proceed to next.

    9. If the device is installed in Bindery connection for the first time, the screen for selecting a primary server appears. Select a primary server and click Next.

    If you selected a Bindery server you do not log in as a system administrator or a user with equivalent rights, the NetWare Bindery Login dialog box appears. Log in to the selected server as a system administrator or a user with equivalent rights.

    10. The device name assigned to the device appears. If changing it, enter a name and click Next.

    11. Click Create a Queue.If selecting an existing queue, click Select a Queue and select it from the Browse Bindery Queues dialog box.

    12. The Create Bindery Queue dialog box appears. Enter a name for the new queue. If changing the settings of the already installed device, you can select a server from the list.

    13. Click OK in the dialog box. The queue is created in the server. The screen returns to the previous screen, and then click Next.

    14. Confirm the settings and click Finish. The settings are reflected to the server and the device, and the device restarts.

    15. The screen shows the completion of setting and click Close.

    16. The message, Would you like to configure another device?, appears. If continue the installation, click Yes. To exit the Device Admin Wizard, click No.

    If there is only one device on the network, the message, Would you like to configure the current device again? appears.

    An error may occur while the device is in power save mode, in administrator mode, or accepting feature selections. For Document Centre 551/451 series, you cannot set up the device until it resets the settings to their default values after accepting feature selections (two minutes at the factory default setting). Wait for a while and try again.

    17. Proceed to 3.5 Users Tasks.

    Setting up network servers and devices

    2. Click Start, select Programs, select Xerox CentreWare, select Network Services, and then select Device Admin Wizard. The Device Admin Wizard is activated and the first screen of the wizard appears.

    10. The context set to the device appears. To change it, click Browse Contexts and select a required one in the dialog box. Click Next.

    11. The screen to enter the device name appears. The device name set to the device appears. If changing, enter a name and click Next.

    IV. MAKING THE DEVICE INFORMATION LISTThis task is necessary for cases C and D.

    For enabling users to use the devices installed by the administrator, make the device information list and save it to a file. The file name is Device Discovery file. The Device Discovery file, whose extension is .mts, is created using the Device Discovery Wizard of the Network Services.

    The Device Discovery Wizard guides administrators to do the followings in the order below:

    Make a device information list by searching the device on the networkThe device information list contains the device name and the network address.

    Add the information of the port/queue connected with the device to the device information list

    Export the device information list to the Device Discovery file(If users monitor devices from the same personal computer that is used to set up devices and network servers by an administrator, this operation is not necessary.)

    For details on the operation and the setting items of the Device Discovery Wizard, refer to Help.

    Making the device information list

    1. Click Start, select Programs, select Xerox CentreWare, select Network Services, and then select Device Discovery Wizard.The Device Discovery Wizard is activated and the first screen of the wizard appears.

    2. Click Next. The screen for selecting the connection type appears.

    5. The device information in the registry is read and listed on the screen.If the device, which the user is going to use, is not displayed, click Search Now. When searching has completed, the list of the devices on the NetWare network appears. Click Next.

    6. Select Delete/Modify Device Information and click Next.

    7. Select the device, which the user is going to use, from Xerox IPX Devices and click New of the Attached Port/Queues.

    Enter the port/queue name in the format of \\Server Name\Port Name.

    9. The screen returns to the screen for deleting and modifying the device information. If specifying the port/queue of another device, repeat step 7 and 8.If not specifying further, click Finish.

    10. Confirm the message appeared on the display and click Yes. The port/queue is set to the device information list.

    If users monitor devices from the same personal computer that is used to set up devices and network servers by an administrator, the following procedure for making the device discovery file is not necessary. Click No and close the Device Discovery Wizard.

    13. The screen for selecting the connection type appears.Select Novell NetWare (NDS or Bindery) and click Next.

    19. Enter the name of the Device Discovery file to be created and click Next.

    To select an existing file, select Browse. When selecting an existing file, it is overwritten by the new device information.

    20. The confirmation screen appears. Confirm the settings and click Finish.

    23. The message, Would you like to add, modify or export information for another Xerox device?, appears. Click No. The Device Discovery Wizard is finished.

    If Yes is clicked, the screen returns to the screen for selecting a connection type.

    3.3 Administrators Tasks (NetWare Server/RPrinter)

    The administrators tasks differ depending on the case.

    I. PREPARING AN ADMINISTRATORS PERSONAL COMPUTERThis task is necessary for all the cases of E, F, G, and H.

    Confirm whether the Device Discovery Wizard is installed on the administrators personal computer to be used. If not installed, see 2 Installing the Network Services to install them.

    II. PREPARING DEVICESThis task is necessary for all the cases of E, F, G, and H.

    Confirm whether the device is physically connected to the network. If connected, make the following settings on the device control panel to use the Network Services.
