As I write these notes, a ticker on my laptopshows me global stock markets dropping offthe cliff – and taking the pound with them.

Banks failing, countriesshutting down and bluechips posting profitwarnings. The globaleconomy is in direstraits. Or is it? Whilethe finance sector is inturmoil, affecting us alldirectly and personally, what is the impact onour business?

Everyone I speak to isworking flat out with high volumesand good returns. When I look closeto home and some of the shows ourcompany handles I see only positives.Farnborough – record volumes andactivity levels; IBC – more exhibitors, more visitors and more freight thanever before. Some of the smaller, specialised and vertical events we’vedone recently show similar ratiosindicating high activity and strongconfidence in our sector. The keyfactor of course is visitor levels andthese have been on the up. TakingFarnborough as just one of manyrecent examples both quality andquantity of visitors were significantlyup on the last show. If you build it,they will come...

That should not be taken as a glib, smug statement. Regardless of thepattern in our sector there is nodoubt that global trade is undergoingsignificant change and, to survive andprosper, it’s vital to respond to, and

even embrace, thatchange. The pace ofbusiness these days, fuelled by rapidtechnological advance, islightning fast and anyorganisation that fallseven slightly behind willbe at risk.

IELA, more than evermust be prepared for

these challenges and have the toolsand resources to respond. Thatmeans speed, flexibility and creativity.Speed in making decisions and ourability to implement those decisions.Flexibility in our rule book to meetthe fast changing face of the businessand creativity in the offerings weprovide to our members and clientcompanies. IELA continues to focuson these key areas to help delivergrowing relevance and increasedbenefit to our members and to our industry.

Our new secretariat, headed byDeclan and Trevor, keeps usgrounded with excellent costmanagement but also brings greatenergy and resourcefulness to theIELA table. For example theyarranged for our latest Board meetingto be hosted by Mack Brooks at theiroffices near London. No cost to IELAand direct exposure to a majororganiser of global standing. What a

Zurich Winter Seminar 2008Looking back now at the IELA WinterSeminar 2008 in Zurich, still brings backwarm memories although a year hasalmost past. Working within CEVAShowfreight for over 3 years now the IELASeminar gave me, at that period of time, the opportunity to get even more involvedin the beautiful exhibitions industry.

Too many wonderful experiences arecrossing my mind when I think back aboutthe classes and social programmes organizedby the IELA commission. Each individualactivity made clear what IELA stands for andwhat her objectives are, creating a worldwidenetwork with reliable partners. It was alsovery good to learn about the other keyplayers involved in our industry and see ourbusiness from their point of view.

Hanging out during and after the classesjust talking and sharing our experiencesmade our class of 2008 grow stronger eachday and made us bond in a way I nevercould wish for. That’s why I wasn’t afraid thatour group would fall apart. It became evenbetter and better receiving lots of emailsand phone calls after getting back to theNetherlands, spreading out the magnificentlive time experiences.

Even today we all take every opportunityto meet up wherever over the world andkeep our business and friendshiprelationship ongoing. Knowing there is afriend all over the world really makes myjob a pleasure just doing it every day.

OPINION PIECE BYJOHN CHADWICK,AIRWAYS FREIGHTCORPORATIONIt was a privilege to represent IELA at theExhibition & Convention Executive Forum2008 and take part in a programmedesigned for the U.S. show organizer andproducer. The keynote address was byGreg Reid the CMO of Yellow RoadwayCorp. Worldwide. His main point was thateither the organizer/producer start to lookat the exhibitor in a different light or mostlarge exhibitors will probably go their ownway in reaching their customers. Reid did

not stop there; he even went on to say thatthose supplying the exhibitions andconventions had better pay more attentionto the needs of the exhibitor. From therethe program went into ways the organizerand producer could better improve theevent, and bottom line.

Now for something that most of you arenot going to be happy about and why IELAshould continue to do events like this. WhileSam Lippman (producer of the forum) knewwho IELA was no one else in the room had aclue. IELA is not a household word ororganization in the U.S. and if it ever wantsto be recognized as a viable group withsomething to offer then it needs to start topromote itself.

Doing events like this is where it starts.IELA also needs to consider exhibiting at theExhibitor Show and TS2. These are industryevents and this is where IELA can get its story

out to the industry. I don’t mean put agraphic up in a member company’s exhibit IMEAN exhibit in the show with its ownexhibit. IELA needs to get involved with otherassociations in the industry to make a positivestatement and garner respect in the U.S. IELAdoes that in Europe why not the U.S.?So much for the soap box.

THE MISSION IS RECOGNITION

On behalf of IELA, I have attended the Forumfor the past three years and based on myconversations, the attendees who are involvedwith international exhibition business knowwho IELA is in large part because they areprobably by choice or necessity, for the mostpart, working with IELA members. I agree thatif one of the attendees produces a show ortwo only in the US, they would not necessarilyknow who IELA is because their focus is not international.

Obviously, the more exposure IELApresents to the industry the morerecognition we establish. But, I also believethat the IELA Board, working on behalf ofthe IELA members, voices legitimateconcerns about the costs of these effortswith respect to the "return" they provide.

As an example, please review SamLippman's comments on the Forum:"IELA has played an important role in thesuccess of the Exhibition and ConventionExecutive Forum since becoming a sponsorin 2006. John Harrison and John Chadwickhave promoted IELA's union ofexperienced exhibition freight forwardsfrom around the world to the 170executives that attend ECEF. These ECEFattendees are responsible forapproximately 450 shows and $4 billiondollars in total spend in the United States. And they are becoming more interested ingrowing their shows internationally. (In2008 these executives revealed - 72%export their shows as follows: 35% to Asiaand U.A.E.; 26% to Europe; 18% to Canadaand Mexico; 14% to South America; and

5% to Australia and Oceania; and 5% toAfrica). I look forward to the privilege of working with IELA for many years to come."

Sam Lippman, Producer, ECEF

Now I ask you, does this summarizesufficiently the kind of forum or event IELAwill wish to sponsor and be a continual partof in the future? I would argue that, in partit does, but in the end we are committingthe IELA members' money to these efforts. What is your opinion?

UK TRIAL A SUCCESS

NEWSWhen the IELA Board of Management met last month in the ancient town of St Albans, the Secretariat team used the gathering to invite not only all UK members, but also otherexhibition logistics providers of quality that might be potential new IELA members.

Around 30 people in all sat down to dinner, in an informal networking environment.Agility’s Bob Moore met Henry Osborne a non-member for the first time following a 15year ‘long-distance’ business relationship. The networking opportunity proved hugelysuccessful as a trial and will now be rolled out into other areas through the developmentof Regional Chapters.

The inaugural Regional Chapter meeting is now confirmed to take place on Friday 16thJanuary 2009 and will be co-located with 2009 IELA Winter Seminar in Bangkok. So IELAmembers from across the region should now add this date to their diaries and watch outfor more details on the afternoon programme and networking dinner that will follow.

MEMBER WARNINGWe have received the following warningfrom the UK’s Events Industry Alliance (EIA)about a new scam, similar to the FairGuidescam of yesteryear.

Expo Guide / FairGuide.com / ConstructData Verlag target companies throughlegitimate exhibition guides aimed atexhibitors. Their current activities covercompanies throughout Europe, the Americasand Asia.

Expo Guide joins FairGuide in claiming tooffer online listing services. They use a formwhich resembles an organiser's freecatalogue listing service, inviting exhibitorsto complete the form for an entry in an on-line directory. Unsuspecting exhibitors whosign and return the form are then contractedinto a three-year, non-retractable agreement, whichcould cost the exhibitor asignificant amount of money, with no foreseeable benefits.

Included in their group is debtcollection agency Gravis Inkasso Gmbh andSwiss debt collection agency PremiumnRecovery AG (a Construct Data subsidiary)

which works in partnership with the variousguides to intimidate exhibitors into paying.

These publications have no connectionwith exhibition organisers or any of theirevents. It is important that all companieswho are exhibiting are made aware of this.

We strongly advise our IELA members, allexhibitors and the entire exhibitioncommunity, to be most vigilant against thisand similar organisations. Theseorganisations can cause extreme damageand harm to the reputation of our exhibitionindustry.

There are many so called guides that maildeceptive contracts and then harass thosewho sign them in error for money. Howeverthe sheer scale and systematic way in whichthese guides attack the credibility of ourexhibition industry is outrageous. So please

take the initiative and advise yourexhibitors before they aredeceived by these fraudulentpractices.

Additional information on theExpo Guide, FairGuide and other

Construct Data Verlag publications isavailable on the AEO website athttp://www.aeo.org.uk/page.cfm/link=86.

When people ask me if handling theOlympics is like working on one hugeexhibition, I usually say “no”.

So, why not? Well, handling the Games isactually more like handling over onehundred big and small exhibitions at thesame time at the same place.

I’ve been involved in the operations forOlympic and Paralympic Games since 1999.Beijing was my 5th Games, and no doubtthese were the most challenging ones so far.

Logistics for any event can be demandingyet for a mega-event such as the Games -logistics can become a real daunting task!Team build up, office, warehouse, transport, customs, quarantine, health and otherauthorities, deadlines galore and many moreissues need to be addressed. It usually takesabout 2 years of preparation for a “summerOlympics” and about 18 months for a“winter Olympics”. During that time, theteams are dealing with thousands ofcontainers, hundreds of tons of airfreight, some charter flights even, and an incredibleamount of road freight.

The cargo transported can be anythingfrom venue seating or tent structures totiming, electrical, broadcast and pressequipment, or from the actual athletes gearincluding uniforms, sailing yachts, canoes, hurdles, javelins, pole-vaults, medical andpharmaceutical equipment to the equipmentfor the opening & closing ceremonies as wellas the torch relay.

“Normal” deliveries simply do not apply –trucks must have special vehicle stickers, drivers and onsite staff must have venuespecific accreditation, lockdown scenariosmust be obeyed and all movements can onlybe done if trucks & cargo are on the MDS(Master Delivery Schedule).

For China in particular, to make these Games happen – as smooth andprofessional as possible – was more than amatter of prestige.

And no doubt – the venues lookedamazing. Sydney had to invest ininfrastructure and Athens even more so, butBeijing received a general makeover with anestimated $23 billion for more than 140projects. Imagine…

Beijing’s new and ultramodern airport, sport sites such as the “Birdsnest” (the

National Stadium) or the “Watercube” (theNational Aquatics Centre), parks, roads, sewage plants, subway lines, skyscrapersand many more were constructed at abreakneck pace – simply fascinating. Moreover, events took place in Beijing, butalso in Qingdao (Sailing), Hong Kong(Equestrian), Shanghai, Tianjin, Shenyangand Qinhuangdao.

Different than previous Games, allcommercial invoices had to be translatedinto Chinese. The Authorities involved incustoms clearance and releasing Olympiccargo were not only Customs and BOCOG,but many more. The imports of food items, alcohol and other liquids as well as medicineproved extremely difficult due to thegenerally strict import restrictions into Chinaplus the addition of new Olympicrestrictions. A good relationship with therelevant Authorities proved to be a key tosuccess yet again.

All-in-all, logistics for such a mega-eventare only possible with a dedicated team, ateam that has the know-how, a high degreeof flexibility and a can-do attitude.

The key to success? Communication, knowledge, dedication and great teamwork!

One thing we should not forget – despiteall the hard work and no sleep at all, thereare always some fun times too……check outthe photo of Andrew Bogut (Australianplaying in the NBA) and me. He is 2.13m tall;I’m only 1.55 m – definitely worth a giggle!

Yves Rossy landed safely after the 22-mile (35.4 km) flight inSeptember following in the footsteps of French inventor and engineer,Louis Blériot who in 1909 won £1,000 when he became the firstperson fly across a large body of water. But what happened next……

Blériot like Rossy did not fly back, but unlike Rossy, he entrusted hisflying machine to Messrs. Langstaff Ehrenberg and Pollak betterknown as LEP and here is a picture taken in 1910 of the hi-techreturn shipment. Is this the first aerospace job?

I was asked to write about a“best advice” I was ever given.Well, I must say I’m lucky enoughto have been given lots of adviceover the years by some veryinteresting people, but one that Ihave taken very close to my heartis “to believe you can do whateveryou set your mind to do”. This isso true and applicable in so many different situations, both inyour personal as well asprofessional life.

Like with the majority offorwarders, I didn’t grow updreaming I would one day be

working in the forwarding industry (probably my father would havehad a heart attack back then). I guess this is the case for themajority of us, but once I was in, I don’t quite see how and why Iwould want to get out! It is an amazing industry and a lot, lot morecomplex and fulfilling than I had ever thought, and my majorobstacle was there – total lack of experience in the field!

But I believed I could do it and jumped head first! I must say that Istill have severe headaches every now and then (mainly when adeadline is approaching and still no signs of your shipment!), butmost of the time, those headaches are replaced by sheer pleasureto be working amongst such great people, in an environment whereyou do manage to combine both work and pleasure, where you areconstantly challenged and never quite able to predict what’s nextand where you are always learning.

Okay! You do end up learning what you should not - Ron Berrycatching up with somesleep during the Melbournelunch, Ravi and Bob Mooreon their “very own” versionof “belly” dancing (seephotos on the IELAwebsite), but hey, alwaysgreat people with a lot toteach and who, one way oranother, are spreading thevery advice I was given –“believe, work hardtowards that goal, and youwill see yourself there”.

Always looking forwardto the next “meeting” innot so rainy London 09. See you all there!Sueli

IELA COMMITTEE NEWS

IELA was saddened last month bythe resignation of Peter Fritz long timeChair of the Customs Committee.

His meticulous and conscientious work inthis particularly precise and dry field meansPeter has contributed more than mostpeople recognise to IELA, its members andthe wider events industry. The CustomsManual opens doors for us withorganisations including UFI and IAEE andreciprocal links have disseminated thisunique resource to a huge global audienceof event organisers. His diligent andeffective work over the years and doggeddetermination has made a directcontribution to the global industry and wethank you for it, Peter.

Tijen Ozer (right) who has kindly agreed totake Peter's place is someone already wellknown to many of you and well versed in theworld of Customs. Tijen had many years ofIELA experience before bringing her newcompany IDA Expo into membership lastyear. We wish her well in her new role.

Well, for all of you whovoted for the BrusselsRoadmap and for 150 membersby 2010, I would like to thankyou so much for this challengeand I cannot wait to recruit you“yes” voters to themembership committee. Ourcommittee has been workingvery hard at identification ofnew potential members tobring into IELA. At the presenttime, the IELA Secretariat hasbeen extremely busy. SinceJune 1, 2008, they havereceived information requestsfrom 24 companies, of which atleast 10-20% of thesecompanies may potentiallyqualify to submit anapplication. In addition, wehad also gathered names of“qualified” exhibition freightcompanies that all of us asmembers have worked with inthe past, from the committee, from the board, from themembers. In this regard, wehave sent 47 packages for IELAmembership to theseexperienced exhibition / eventcompanies.

In review of thesecompanies, and by persistentcommunications by AnnaGuichard of IELA UK, we havecome to determine that 35% ofthese “qualified” exhibitioncompanies were notresponding, 5% actually are

applying and 15% wereinterested. For a fullbreakdown see figure 1 below.

We have definitely 5% of thecompanies applying to IELA,and some certainly are notcapable to apply to IELA.

The key question we havefocused on is those that say weare too expensive or do notsee the value in IELA, andthose that are interested orlack sponsors. This representsa large portion of potentialapplicants. We are looking toinitiate some strategies thatare going to help us get qualityapplicant. These include theIELA Board being a sponsor tolegitimate applicants, and alsofor November and Decemberof this year, we are starting a

test period of MembershipPromotion. In this period, weare going to pursue allcompanies that are interested, haven’t answered, or been onthe fence about IELA and weare going to offer a lowerentrance fee. The purpose ofthis promotion is to see if wecan get these qualifiedcompanies off their marks andfill out the application. Beassured that the Board will onlylook at quality membershipapplications and we will besure to inform the membersthe results of the test periodbefore any further action istaken! Quality is job ONE withthe Membership Committeeand we will retain this focus inevery aspect!MEMBERSHIP WORKING GROUP

IELA REPORT 6012

Action!

Well, well…..the StandardsWorking Group certainly hasbeen busy…..

Since the IELA Congress inMelbourne, the group hasissued its report to the IELABoard, updated everyone withwhat’s happening in“Standards”, held variousdiscussions with the IELASecretariat regarding thesurveys and other topics andmost importantly, the membersof the working group havestarted some pretty excitingbrainstorming sessions!

Let us share some of the keytopics, ideas and comments ofour discussions with you…..

We all agreed that measuringperformance is one thing, yetimproving performance isanother. As IELA Chairman, PhilPowell commented –“measurement is a pillar ofimprovement”.

Measurement as a pillar ofimprovement highlights theimportance of the IELAStandards Surveys as a “must”and also “must be improved”.Neil Goatcher has been in closecontact with the Executiveteam and surveys will now allbe handled by the IELASecretariat. The aim is toensure complete independenceand with a neutral approach weexpect the Executive to takethe Standard Surveys to thenext level.

This will mean tougher timesfor companies performing “lesswell”, be it failing to respond to

the surveys at all or coming inrepeatedly with results that arebelow the minimum qualitystandards expected. In futurethese members will becontacted by the IELAExecutive to alert them of theirsituation and with ideas for thedevelopment of improvementprogrammes.

Moving forward in otherareas, we are looking at newideas, quality formats and other topics.

Tijen Ozer brought us to agreat starting point –expectations! Whyexpectations?

Expectations and how wefulfil (or exceed) expectationsare key to our success.

Quality is the level ofmeeting (or exceeding)customer expectations.

And who are our customers? They are exhibitors, exhibitionorganisers, agent partners, visitors, venues, associationsand other stakeholders.

Now the question is – can weopen up surveys to a widervariety of “our customers”?

Can we do more to getaccurate ratings by using theIELA webpage, introducingblogs, E bay type “trustmonitors” (a great idea fromLena Ericson!) and the like?

Can we look at producingfuture conference forums(fantastic point raised by JocelinHackathorn – floor discussions!)around the topic ofexpectations, quality andratings?

Can we incorporate theparticipants of the WinterSeminar (thanks ChristophRauch for this greatsuggestion!) in thesediscussions to get a differentviewpoint?

Can we work on an IELA“quality standard”, anaccreditation similar to ISOhowever in an easy to handleformat?

We have come up with manyideas and are currentlyinvestigating the best way ofmoving this forward, utilisingthe Secretariat and their ideasalso. Sorry Declan forbombarding you with info overthe last few months andparticularly the last weeks!!!

One thing we have to besure of is to not only keep theinternational quality standardof our members, but toincrease the quality whereverpossible.

Our customers expect aseamless, one-stop solutionregardless of the fact that theremay be different companies ateach end of the export and/orsite agent spectrum andregardless of different countryregulations. They want acommon and high qualitystandard wherever they go andutilise the services of an IELAmember.

In order to meet and exceedour customers’ expectations,we need to create a highquality standard for IELA andsharing our experiences is akey part of this journey. Feelfree to join us with your ideas!

The third meeting of the IELASenior’s Club took place from the 3- 5 October in Freiburg ImBreisgau, the ancient and historicalcity in the Black Forest in southwest Germany. Sixteen participantsfrom six different countriesincluding, Masao Sato who hadtravelled from Japan to attend, assembled at the beautifulColombi Hotel in the centre of Freiburg.

With the formalities over, theparty embarked on a walking tourof the delightful city centre with aguide who gave very informativecommentary about the old city, including the cathedral and thefact that it was a gated city

centuries ago. We were also toldabout the long history of the cityand about the fact that it is verymuch a city of academia andresearch with over 25,000students attending one of theleading universities in Germany. After returning to the hotel theparty enjoyed a very leisurelyevening over a lovely dinner in aprivate room.

The following day we were takenby coach on a tour of the BlackForest region, in weather thatranged through all the fourseasons. The first stop wasGunterstal where we boardedcable cars to the summit ofSchauinsland (1284m), a distance

of 2.25miles (3.6km), the longestcable car run in Germany. The planwas to enjoy the superb views ofthe Black Forest region and over to

the stunning beauty of the Swissmountains, however, the nearer wegot to the summit the mist closedin and by the time we arrived

visibility was only a few metres, and it wassnowing! We are reliably informed that it wasunusually early for snow so we assumed it hadbeen arranged especially for us, to bring someauthenticity.

Things were not all bad. We were given aglass of Sekt (Champagne) before boarding thecoach again, this time for St Peter, to visit themonastery, then is was off again on a veryscenic route through the Black Forest to Titisee,Schluchsee and to the Cathedral in St Blasien.By this time we were ready for some lightrefreshments and stopped at a small boardinghouse, “Pension Schweizer”. Here we enjoyed alight lunch finishing with a piece of superb BlackForest Gateau, made by the landlady of thePension, and who had won many prizes for hergateau. It was truly magnificent!

On Saturday evening we had a wonderfuldinner in the main dining room of the hotelwhich was thoroughly enjoyed by everyone inquite stunning surroundings. Talk over dinnerstirred memories of times past when we hadmet in various parts of the world whilstcarrying out our business in exhibition logistics. After a good night sleep we assembled again

on Sunday morning, to enjoy a final “brunch”together before leaving to go our separateways to our homes all over Europe, andbeyond. During brunch Hans Brauchli led adiscussion as to when and where we shouldhold the fourth meeting of IELA’s Senior Cluband after various comments it was agreed thatit should be held next September in theenvirons of Paris, France.

All of the participants acknowledged withgrateful thanks the generosity of the sponsors,in particular Schenker in Germany and also the12 other organisations and companies whosponsored this event. It is all very muchappreciated as it does allow those who wish tomeet up with people with whom they haveworked for many years, and who have noweither moved on to pastures new, or who havesimply retired. Our thanks go to each andevery one of them.

Finally we thanked Hans and Jean-Paul fortheir work in putting the programme, andwine, together for the event, and to Ruth forcollecting the money!
