OnBase 16 Unity Client
This document demonstrates the basics of OnBase in the Unity Client. Nearly all OnBase Applications
are unique; this document covers very basic generic instructions.
Click on the OnBase Unity client shortcut on your desktop to get started.

How documents get into OnBase
Scanning
• Click on the Batch Scanning icon

• Click on the Scan icon
• Choose Scan Format from drop down list
• Click on the Scan button
Uploading electronic documents
• Click on the Upload icon.
• Click on Browse

• Select File
• Click on Open
OR YOU CAN DRAG AND DROP A FILE INTO ONBASE.
• Select Document Type or group from
drop down list
• Select Document Type from drop down
list
• The file type should autofill
• Document Date will default to today’s
date. This can be modified.

• As you begin to fill in the top fields, the Keyword
fields will appear to help with indexing the
document.
• Each OnBase Database will have different
Keywords. It is important to fill in these fields.
The keywords will be helpful in retrieving the
documents later as well as driving the logic of the
workflow.
• Some OnBase solutions will auto populate based
on a key field.
• Click on the Upload button
• Close Preview Window

• Click on the Home Tab
Upload document using a virtual print driver
• The virtual print driver (Hyland Software Virtual Printer) can be
downloaded from the BGSU Application Catalog)
• Select the document/file you wish to upload, select File, Print and
select the Hyland Software Virtual Printer.
• This error refers to a configuration setting and does not affect functionality.
• Click on OK

• Fill in the blanks on the
left-hand column
• Click on Upload
• Close preview window
eForms • Many OnBase users find themselves completing electronic forms rather than strictly updating
documents. These forms are often used to help kick off a workflow process.
• Many of the forms that are used at BGSU are online on our intranet. Some forms are accessed
from inside OnBase.
o Click on the Forms icon on the Home Tab.
o Click on the Form you want to fill out. (This can be sent to your Personal page, right-click
menu)
o Enter information into the form. If this form is setup to use an autofill keyword set, type
in the keyword and click on the AutoFill button.
o Click on the Submit button.
How to Retrieve documents that have been archived in OnBase
• Click on the Retrieval icon.

• Click on the Document Types and Groups
that the document is located. You can use
Ctrl+Click to select multiple groups
• Type information into the Keywords fields to
narrow down the search.
• If you are looking for a range of values (such
as $100 - $1000) you can do this by entering
the first value in the field box and then double
click on the Field Name OR press F6 to get a
second box for that field and then enter the
end value. The keyword operator defaults to
AND, change this to TO.
• Click on Find

• You can double-click on the document name to display it in the viewer.
• You can right-click on the document name and choose from a submenu of options that will give
you more information or allow you to perform a task on the document.
• You can change the sort order of the list of documents you retrieved by clicking on any of the
headings.
• You can also re-arrange the headings by clicking and dragging them to a different location.
Workflow
• Workflow can help automate our business processes.
• Click on the Workflow icon

• You will only see a list of Life Cycles to which you
have rights.
• To expand, double-click on a workflow to see the
different tasks below it.
• These different steps in the process are represented
as workflow queues in the tree structure.
• Within the process, users will only see the queue to
which they have rights.
• Any workflow that has documents requiring action
will have a number behind them.
• Click on the workflow queue to view the documents
in the right pane.

Launching OnBase WorkView Applications
1. Click on the OnBase Menu Icon
2. Click on the Applications Menu
3. Select your Application
4. Select Enable ‘Always On’

Printing Documents
• Keep in mind that when you print documents from OnBase, they are no longer as secure. Not
everyone will have rights to print.
• If you do have rights to print:
o Click on the Send To Icon on the Document Tab. (there is a right-click menu option for
this also.)
o Click Print
