Chapter 1

The Problem and Its Background

Introduction

In these days, time, effort and money are such vital things that have to be used very

efficiently to have a satisfactory outcome in whatever work is to be done. Modern day

technology makes life simple and easy in many ways. Most schools use computers to help their

students deal with modern technology. But as the population of the students continues to grow,

many universities face difficulties in handling their enrollment in a manual process. And one of

the solutions to this problem is to make their manual enrollment into an online system. In

Adamson University, they are already implementing Online Enrollment System for the ease and

convenience of the students. Online enrollment system enables students to enroll into their

subjects prior to the commencement of their semester. However, students can still undergo in

manual enrollment procedure which is very inconvenient and hassle on the part of the students

and of the enrollment staffs as well.

In this paper, the effectiveness of the Online Enrollment System in Adamson University

is being studied. It includes the strengths and weaknesses of the said system, the factors that

make it ineffective the aspects that makes online enrollment effective. These factors include

accessibility, reliability, availability, time and so on. It also involves the opinions and views of

the students that had experienced the process of Online Enrollment in the said University.

Enrollment system is very essential in a school or university. Before, students go to the

University to have themselves registered. The registrar has to process the student’s information

before entering it into the computer for storage. Besides, students spend time and money to come

to school and be overwhelmed in a line that is a kilometer in length just to enroll. Now, human

interventions will highly decrease these waste of time. The topic is timely especially now that the

world is changing due to modern technology. Life becomes easier because of these technologies.

Students attain this privilege of technology in many ways, and one of these is Enrollment

through the Internet. But is the Online Enrollment Effective? Does it really save time? Is it really

more efficient and convenient than manual enrollment procedure? This study will discuss the

different factors that make online enrollment effective or ineffective.

Scope and Limitations of the Study

This study deals with the online enrollment process in Adamson University. It

encompasses the effectiveness and ineffectiveness of the said process in terms of time, speed,

reliability, accuracy, availability and so on. The respondents of this study are restricted only on

the college students of Adamson University. It covers all students from all year level regardless

of their course. Students from other Universities are not included in this study. Enrollment

processes varies in different universities. They have different process that of the process in

Adamson University. Also, the students from the Basic Education Department (BED) of

Adamson University are also not included. They also have different process of enrollment and

parents probably enroll for their children. We also limited it to the students who had tried the

enrollment process through the internet. We cannot include students who have not tried enrolling

online. Students who have not tried it know nothing about the said process. On the other hand,

course and year level is not a limitation in the study.

Significance of the Study

This study on effectiveness of Online Enrollment in Adamson University will be

beneficial to the Adamsonians in improving and organizing the system of enrollment in

Adamson University.

To the Students. The study will benefit the students because it will be their voice. The

study shows the student’s opinion in the enrollment process. It gives them a chance to say what

they feel about the enrollment process. This study also helps them to know how effective the

online enrollment is, and so they will be guided in choosing whether to enroll online or not.

To the Enrollment Staffs. The study will benefit the Enrollment Staff to improve the

process itself. The study will give an insight of the students regarding their opinion and point of

view in the said process. Through this, it will help them see their errors and mistakes and maybe

improve it for the sake of the next generation of Adamsonians who will enroll online. It helps

them to work easily without any destructions and errors.

To the Administrators. The study will benefit the Administrators for they will be guided

on how they will lead and guide their staff. This will serve as an eye opener to them for some, if

any; of their wrong doing and help they know the strengths and weaknesses of online enrollment

system and help them in improving it.

To future Researcher. This study will benefit and help the future researchers, for it will

serve as their guide and use their tool to help them in developing another research. The study can

also open in the development of this study.

Definition of Terms

The following terms are used in the study:

1. Browser

Application software that is used to access the internet. It is a program that enables users

to connect on the World Wide Web. The major web browsers are Chrome, Firefox, Internet

Explorer, Opera, and Safari.

2. Internet

Internet is collection of computer networks used by people around the world. It is used as

means of communication, entertainment, social interaction, and research.

3. Online Enrollment

Online Enrollment is a process of enlisting and registering oneself in a particular

University or school wherein it is done via internet. It is the new process offered to hasten the

enrollment and minimize the time spent in processing the papers.

Review of Related Literature and Studies

What is Enrollment?

According to www.studymode.com (2012) enrollment is the process of entering and

verifying data of the student to register at a particular school. Wherein, all the important

information about the students are recorded such as personal profile, fees and so on. Enrollment

serves as a vital part in the life of every student upon entering schools or universities, either

public or in private.   It gives students the impression on how the whole institute manages and

manipulate the entire body. Moreover, enrollment serves as the first experience of all students by

which he/she takes part either individually or with the company of a parent or some relatives.

According to www.studymode.com (2010), it is considered as the first step or procedure

that must be done by old students within a particular institute before the semester per school year

totally starts, but for those freshmen, or first year students (new students), they are usually

obliged to take an admission test, to know and assess them the right course to engage to,

followed by a scheduled interview in order to give them brief instructions and information about

certain issues with regards to the school’s policies, institutional programs as well as personal

information, health, economic status, so on and so forth.

What is Online and Internet?

According to http://www.onediy.com (2009), the definition provided by Oxford

dictionary, the Internet is an arrangement of connected computers, which lets the computer users

all over the globe to exchange data. In addition, http://www.livinginternet.com (2000),

the Internet is a complex space with a rich set of useful features and functions. Also, Barron and

Ivers (1996), the internet contains such a vast amount of information it has been referred to as a

black hole or a bottomless pit. It contains information or data coming from different persons

globally.

The principal components of the Internet are the World Wide Web (WWW) and e-mail.

(http://www.onediy.com, 2009) And according to Barron and Ivers (1996), World Wide Web

means the network of hypertext servers which allow text, graphics and sound files to be mixed

together and accessed through hyperlinks while e-mail or electronic email is the messages that

are sent via computer network. And also, they said in their book that the internet is a collection

of networks interconnected with routers, a computer or software package that handles the traffic

between two or more networks.

As mentioned in the book of Barron and Ivers (1996), Online is a communication via a

modem or network to a host system or the time the user is actually logged into the host. It means

that online is the state wherein the user is connected to a computer or telecommunication system

such as the internet.

What is the process of Online Enrollment?

As mentioned in www.studymode.com (2012), Online enrollment system is used

particularly in recording and retrieving student’s information online. Enrollment System is a

good example of a computer generated process. This can lessen the workload and provides

accurate information needed by the driving school. As a result, it will benefit not only the student

but the company as a whole.

As stated in the study of Arpon, Luces and Manlutas, Adamson University Enrollment

System is the application that utilizes the resources of all the systems. Holding multiple

instructions and performing huge operation during pre and post enrollment period. This

sophisticated system was developed for a period of time and requires extensively knowledgeable

programmers. The system front was designed in Visual Fox pro usually 6.0 and its “back-end” or

uses the potential of its database engine using SQL.

According to Adamson University Enrollment Primer (2012), Online Enrollment

Procedure is done by:

1.   OPEN WEB BROWSER (The AdU website is best viewed with Mozilla Firefox.) 

2.    LOGIN TO YOUR LMS ACCOUNT

·  Go to http://learn.adamson.edu.ph

·  Enter your 9-digit student number as username and password.

        For example:

        USERNAME: 201110001

        PASSWORD: adu

·  If you forgot your password, click “Forgot Password” and follow the instructions. Upon login,

you will be required to change your password.

·  Once logged in, you may now access your account.

3.    SEMESTRAL GRADES and CURRICULUM CHECKLIST

·   Students can check their grades for the previous semester by clicking on “My Grades” found

at the top of the page before proceeding to enrollment.

·   Students can view or print their curriculum checklist by clicking the drop down menu under

the student name.

4.      SUBJECT ENLISTMENT

Subject enlistment is on a first come-first served basis.

Pre-advised subjects refer to the list of subjects advised to be taken by the students next

term/semester.

·   Go to “Subject Enlistment.”

·   Click “Proceed to Subject Enlistment” button to start the process.

·   Click on a particular subject on the “Pre-Advised Subjects” to view the schedules/sections

offered.

·   Choose the desired schedule. Click the other subjects on the “Pre-Advised Subjects” tab to

add more subjects. Click on the particular subject if you wish to edit or delete.

·   After selecting all the desired subjects, click the “Save” button. Chosen subjects will be saved.

·   After completing the enlistment process, click “Print Reserved Subjects” to print temporary

assessment from your computer.

·   Proceed to payment. Once payment is made and posted in your account, your reserved

subjects will become officially enrolled.

5.     PAYMENT

After completing the subject enlistment, students may pay their tuition and other school fees in

cash/check at the following payment centers:

·   Over the counter payment thru debit bills facility, internet banking and phone banking at

BDO, PNB and Planters Bank branches nationwide.

·   Cashier’s Office, CS Building (Cash/check/credit/debit card)

What are the advantages and disadvantages of Online Enrollment?

Online Enrollment has many advantages. According to one of the essays in

www.studymode.com (2012), Enrollment System is very useful for both the firm and students

because it rather gives an effective and efficient approach for both the students and schools. It is

important in such a way that it benefits not only to the students but the administration as a whole.

(2012), with the Online Student Enrollment System, students could login, check their schedule,

and set desired changes and pay online without having to stand in a line and rushing to meet

deadlines to accomplish all the transactions required for enrollment. It would be less time

consuming and very convenient.

benefits of the computerized enrollment system enable the curriculum staff to keep information

about students, courses and tracks, and generate the enrollment list and send messages to the

students. It also enables the students to prepare their matrices, sign up for courses, get course and

track information and send messages to the curricular officer through the application. The

curriculum staff has reviewed the program and thought that it could be used in the real-world

1357513.html (2013), it is very convenient to do online enrollment because one does not have to

actually get to the school and cram in there together with the other enrollees. All it takes is a

computer that has an internet connection, and one can instantly enroll after following the

But, as stated by some bloggers and online essay makers, there are problems that can be

encountered in this kind of the enrollment process. As stated in

computerized enrollment system is an efficient way of storing and tracking information, there

must be sufficient training and testing of the programs to insure their accuracy and increase their

reliability and efficiency. This effort should be done by the management of the school to further

improve the enrollment system. And said in one of the forums at

http://adamsonian.ph/forums/showthread.php?t=46 (2013), the online enrollment system is good

but the bad part of it is it does not update immediately that result in getting wrong information.

And according to http://en.wikipedia.org/wiki/Online_transaction_processing (____), like many

modern online information technology solutions, some systems require offline maintenance

which further affects the cost-benefit analysis. So, keeping an efficient online enrollment system

is a difficult task to do.

Chapter 3

Methodology

Research Design

This study about the effectiveness of online enrollment in Adamson University uses

descriptive type.

Descriptive Reaserach is used to obtain information concerning the current status of the

phenomena to describe “what exists” with respect to variables or conditions in a situation. The

methods involved range from the survey which describes the staus quo, the correlation study

which investigates the relationship between variables, to developmental studies. (Key, 1997)

Instrumentation

This study uses survey forms as its instruments.

Survey methodology studies the sampling of individual units from a population and the

associated survey data collection techniques, such as questionnaire construction and methods for

improving the number and accuracy of responses to surveys. (www.wikipedia.com)

Sampling Techniques

Students were chosen using probability sampling technique.

Sampling is the use of a subset of the population to represent the whole population.

Probability sampling, or random sampling, is a sampling technique in which the probability of

getting any particular sample may be calculated. (www.wikipedia.com)

belongs to the age bracket of 16 years old and below. 16 out of 30 or 53% of the respondents

age brackets of 20-22 years old and 23 years old and above.

The fourth figure illustrates the college to which the respondents belong. Out of our 30

respondents, 0 or 0% is from the College of Architecture. Out of our 30 respondents, 1 or 3%

comes from the College of Business Administration. Out of our 30 respondents, 11 or 37%

comes from the College of Engineering. Out of our 30 respondents, 0 or 0% comes from the

College of Law. Out of our 30 respondents, 1 or 3% comes from the College of Education and

Liberal Arts. Out of our 30 respondents, 0 or 0% comes from the College of Nursing. Out of our

University offers other language aside from English for the foreign students.
