Each application is made up from 4 data sets (in blue on left side). The data sets are of two types, constant or variable. Constants (in yellow) are supplied to the film officer as pre stored profiles (like Facebook profiles). Variables (in green), are different for each film shoot application. Outcomes are shown in purple on the right.

accesses filmapp.com/cityname to submit an application.
An administrator then applies the data to notify and consult colleagues.
The same data can be used to create an invoice and online payment request. When complete, the permit itself (unique to each FilmApp client) is generated and sent.
Detailed reports containing information about filming can be also generated in excel by the administrator.
A link to www.filmapp.org/cityname/ is inserted on the existing film commission (or local government) website. This takes the applicant to a landing page, which tells them how to make an application. Each page on the site has a banner header with the local authorities logo. The text on this page can be content managed by the administrator, useful documents can be posted on this page for applicants to download. Below is Atlanta’s FilmApp front page

Enquires can be made, tracked and managed within FilmApp. This is an excellent way of managing workflow within teams, making sure that all enquires are completed.
The film maker either registers if they are a new user, or logs in using their username and password if they have used FilmApp before.
The system asks where the applicant wants to film. If FilmApp recognises the location, detailed information and an information document about that specific location can be displayed (in yellow box).
Here, specific details about the times of the shoot are entered by the applicant, these details are stored on the system.
This is where the applicant enters details about what equipment is being used, and what action will be filmed – special attention is given to any filming that will require Police Consent
The applicant has to supply details of their production company. If they have used FilmApp before, the applicant can auto complete this section.
Supporting documents such as risk assessments, traffic management plan or parking suspension forms and be uploaded and stored alongside the application.
At the end of the application process, certain terms and conditions have to be accepted by the applicant. Each city, or local authority can insert their own terms and conditions.
Location managers are given their own interface – which contains all their applications. They can upload and download supporting documents, and keep on top of their workload.
When the application is received by the administrator, they get an e mail alert. The administrator logs in and sees the dashboard screen below. New applications are at the top, colour coded in blue. Below are the applications that are being processed by the administrator.
Using the Calendar, the administrator can view all upcoming applications in date order, and see any milestones (reminders) that might have been created. The colour bar represents the status of the
application or milestone
To process a new application, the administrator goes to the “overview” where general information about the proposed filming is displayed
Other people or authorities (such as the police) can be notified or consulted using the message function. Records are kept of every action in the log. Invoices, licences and notifications can be
raised and sent. Payment is automated and online.
General Information
London has been using FilmApp since 2010, over 20,000 film applications have gone through FilmApp.
Film Officers (Administrators) say they could not manage without FilmApp. The system was designed by an experienced location manager and film officer, it is upgraded following user feedback each year.
Location Managers in London have welcomed a common application process, London has a great reputation as a “film friendly city”
Other cities in the UK have adopted FilmApp, recognising the cost savings and increased efficiency that a sophisticated online process can bring.
